Page 1 of 8 Locker Assignment To assign lockers in eschoolplus, follow the steps below: Modify the Registration Configuration Create your lockers in eschoolplus Delete Lockers and combinations from inactive students or students who are no longer in your building Run the Assign Lockers Utility Maintain Lockers throughout the year 1. Modify the Registration Configuration For each building that plans to use the Assign Lockers Utility, you must check the Assign Lockers checkbox in the registration Configuration. To modify the Registration Configuration: a) Select System Administration > Setup > Building > Registration b) Click List to display the list of buildings if the building list is not shown c) Click on your building d) Click the Assign Lockers checkbox e) Click Save

Create your lockers a) Select Registration Center > Setup > Lockers b) Select the NEW button to create a new locker c) Enter the appropriate information d) Click SAVE The following fields are required to create a locker: Building, Locker ID, Description, Maximum Students assigned to the locker, Locker Combinations You can restrict the locker to students in a specific grade, homeroom or house team but if a student changes from one grade, homeroom or house team to another you must manually change his locker on the Personal Page. *****NOTE****** If you put a grade restriction on a locker, and students keep the same locker while they are in your building, you must update the grade on each locker at the end of year. For example, if a locker is a 9th grade locker and it is assigned to a 9th grade student, you must change the grade in the locker setup if the student keeps the locker for 10th grade.

Delete lockers and combinations for inactive students or for students who ve left the building If you have not been deleting locker information for students who have left the district, you may want to delete the locker number and locker combination field from those students before assigning new lockers. At the end of the school year, you would also want to delete the lockers from graduated students or from students who are leaving your building and going to another building (for example, eighth graders going to the high school). Running this process prior to running the Assign Lockers Utility ensures that all available lockers will be processed. To delete locker information: a) Select Utilities > Mass Update > Registration Information b) Click Search c) To delete lockers from inactive students use the search criteria below: d) To delete lockers and combinations from eighth graders who will be going to the high school before rollover, use the search criteria below. After rollover you will have to filter on Grade = 09 **NOTE** It is a good idea to delete lockers from inactive students and students moving to another building before rollover. e) Click Search. The list of your students will display on the bottom of the page. It is very important to check this list carefully to make sure the students on the list are the ones you expected. It there are students on the list who shouldn t be there, click the remove box next to their names and then click the Remove button.

Page 4 of 8 f) On the Registration Mass Update page, select Area of Personal, Field Name of Locker Number and leave the New Value field blank. On the second line select Area of Personal, Field Name of Locker Combination and leave the new value field blank. g) Click Update. You will be returned to your home page and the update process will run. You will get a report in your Reports Directory that shows what change has been made to each student. You will get a warning message telling you that you are updating a field with a blank. That is what you want to do. 4. Run the Assign Students to Lockers Utility This utility will assign student to lockers and update the current locker combinations if the option is selected. The utility will attempt to process the most restrictive lockers first. For example, a locker which has a grade, house/team and homeroom assigned to it will be processed before a locker which has only a grade assigned. To run the Assign Lockers Utility: a) Select Utilities > Assign Students to Lockers b) Enter the building c) In the Updates to Perform field: Assign Lockers Students will be assigned a new locker if they don t have one Update Current Combinations The locker combinations in eschoolplus will change to next combination listed on the Lockers page. d) Overwrite Students With Lockers field If this box is checked every student will be assigned a new locker. e) If you want to process a specific group of students, enter Filter criteria f) If you want students to process in a particular order, enter Sort criteria g) Select RUN h) You will get a log in your directory indicating the changes. In the example below, 6th and 7th Graders who don t have a locker in Lemon Yellow Middle School will be assigned a locker and the 6th graders will be assigned lockers first.

Page 5 of 8 Checking this box will update the locker combinations based on what is listed on the Lockers page. The current locker will be deleted from the student and a new locker will be assigned if this box is checked. Sixth Graders will be assigned a locker first in this example. You may want to run this utility once to update all locker combinations and then run it again to assign a particular group of students. 5. Maintaining Lockers You may choose to run the Assign Students to Lockers utility at any time or you can maintain lockers for individual students by choosing one of the following options. a) To maintain lockers on the Personal Page Select Student Center > Demographic > Personal Use Search to select the appropriate student Change or add the locker number for the student. The locker combination will display after the locker number is selected. Click SAVE

Page 6 of 8 b) To maintain lockers on the Locker Page; Select Registration Center > Setup > Lockers Select the appropriate locker from the list or use Search to display the correct locker In the Assigned Students section enter the student id number or use the drop down to conduct a search Click SAVE *****NOTE****** If a locker is restricted by grade or team and the student assigned to it changes his grade or team you must update his locker number.

Page 7 of 8 6. Deleting a Locker from the List of Lockers Lockers that have students assigned to them may not be deleted. You must first remove the students assigned to the locker. This locker can be deleted because it has no student associated with it.

Page 8 of 8 A student can be removed from a locker in one of two ways. Go to the Personal screen and search for the student. Remove the locker number and combination on this screen. Select Registration Center > Setup > Lockers and select the locker you want to delete. Click on the Remove box next to the student s name and click SAVE. Once you remove the student from the locker, the delete box will display next to the locker number in the Locker List. Check the delete box and click DELETE. 7. Printing with Lockers The locker number will print on each student s schedule. There is a label available in COGNOS that will print the locker combination. Many districts attach this label to each student s schedule. There are also two locker reports published in the enrollment folder. One gives you a list of all your lockers with every combination. The other is a list of lockers with the current combination. You should keep the reports that are generated when you assign the lockers in order to have a record of which students are assigned to which lockers. You can also use the Advanced Search to produce a report of your students with their lockers.
