Introduction Course Objective Academic Advising I will teach you how to locate a student's current academic information such as current status, program, major, degree, campus, level, joint degree, student advisor, holds, registration information, and financial summary. Student Information Once an applicant becomes a student, the Registrar becomes the Banner gatekeeper of the student information. If you have questions about student information that cannot be answered in your school or department, contact the Registrar. Student Records Confidentiality FERPA! It s the Law! (Family Educational Rights and Privacy Act of 1974) University Policy and a tutorial on the Federal Law on student confidentiality, FERPA, can be viewed on the registrar s website: http://www.regent.edu/admin/registrar/confidentiality.cfm Students who want to review their educational records must make a written request to the Registrar s Office listing the item(s) of interest. Educational records include those files and their contents, which are maintained by official units of the university. Students may not inspect and review the following: Financial records of parents or guardians. Confidential letters and recommendations associated with admissions, employment or job placement, or honors to which they have waived their rights of inspection and review. Education records containing information about more than one student, in which case the institution will permit access only to that part of the record which pertains to the inquiring student. Transcripts are only given out by the registrar s office. No employee should ever print transcripts for a student. Instead the student should be directed to the Registrar s office. Students can print their own unofficial transcript in Genysis. This is not a comprehensive review of FERPA; please view the registrar s website to become more thoroughly informed on this Federal Law. 04/22/2008 3

SGASTDN (General Student Form) General Student Form The General Student Form is used to view or modify a student s current academic information. The information in this form is initially created when a decision is entered on the Admissions Decision Form (SAADCRV) which indicates that the applicant accepts the universities offer of admission (deposit has been received or waived). Modifying Student Records Student records are be modified by the Registrar in two ways as a correction or as a change. 1. A correction can be made to the original student record such that no history of the previous values will remain. 2. A change will modify the student record such that a history of the previous changes will remain. The scroll bar on the right will become active, indicating that more than one student record now exists for this individual. The previous record will have a tart term equal to their initial term and an end term equal to the effective term of the change. The new record will have a start term equal to the effective term and an end term of 999999, which indicates no closure. 04/22/2008 5

Navigation Area You can access other related student information from the Navigation Area. Just select the option name you desire to see. Joint Degree Indicator A joint degree is indicated if more than one curricula is being present. The university does not use the Banner Dual degree fields due to its limitations. 04/22/2008 6

Fields Student Status Student Type Curricula Summary - Primary Curricula Summary - Secondary Definition Must be active to register (click the dropdown menu to see valid codes for this field) G = first time at Regent University C = continuing 2 nd term at Regent University N = new to the program (already graduated from Regent) Primary curriculum information Secondary curriculum information (If secondary contains information, this indicates Joint Degree. The university does not use the Banner Dual degree fields due to limitations. Other Information The other tabs in SGASTDN go into more detail about the curriculum, field of study, academic and graduation status, etc. 04/22/2008 7

General Academic Summary SGASTDQ (General Student Summary Form) This form displays all general student records on file for a student for the term represented in the Key Information block. If the term field is blank, you will see all terms. If a term is entered in the Key Information, those general student records with a from term that is earlier in time or is equal to the term in the Key Information will be displayed. If no term is entered in the Key Information, all of the student s general student records will be represented on the form back to the earliest record on file. 04/22/2008 8

SGAADVR (Advisor Form) Multiple Advisors Form This form is used to view the advisors that are assigned to an individual student for a particular term. You must enter a term when loading this form. Students may have more than one advisor, but they must have at least one primary advisor. 04/22/2008 9

Student Holds SOAHOLD (HOLD INFORMATION FORM) This form is used to assign, track, and remove holds. Holds may prevent registration, graduation, or the production of enrollment verification documentation, transcripts and grade mailers. If a person has a hold, a message is displayed in the appropriate area. A hold should only be removed by the person who entered it. To place a hold: 1. Go to the Record menu and choose Insert 2. Enter a hold type and reason. The From date field should automatically populate with today s date 3. If the hold is to be indefinite, leave the To date at the default 31-DEC-2099. Otherwise, specify a date that the hold should be automatically lifted 4. DO NOT check the Release button. This will only allow you to remove the hold, which can be a problem if you decide to leave the university and the hold is still on the students account. Staff at Regent follow a voluntary policy of not removing a hold unless they placed it. To remove a hold: 1. Change the date of the hold to yesterday s date. This will effectively end the hold from today s date and forward. 2. Click the Save button in the toolbar. 04/22/2008 10

SFAREGQ (Registration Query Form) Student Registration Query Form This form provides you with an online view of a student s schedule with meeting times, buildings, rooms, campus code and other information. If the student is not registered for the term, you will not be able to leave the key information block. 1. Enter the term (Ex: 200870). 2. Locate the student using ID or Name. 3. Go to NEXT BLOCK (click in first field in next block). 4. Use the scroll bar on the right to browse through courses and view more information 5. To view a previous term, choose Rollback, change the term, and perform NEXT BLOCK. 04/22/2008 11

Student Financial Summary TSAAREV (Account Detail Review Form) This form displays a running history of payments and charges on a student account. Use it to get an overview of a student s financial status. All detailed questions should be directed to the Business Office The Account Balance and Amount Due fields at the bottom of the screen summarize the student s account. 04/22/2008 12

RPAAWRD (Award Form Maintenance) This form displays an overview of the student s financial aid. Since financial aid is granted on a yearly basis, you must enter an Aid Year instead of a term. For example, 0809 or 0910 Fund Awards Lists the awards offered and the status of the award. Continue to the right to see how much was offered, and how much the student accepted. Click the Fund Awards By Term tab to see the awards broken down by term Click the Disbursement Schedule tab to see how much of the awards have been disbursed to the student s account so far, and what is scheduled to be disbursed. 04/22/2008 13
