1.0 Introduction The Big Apple system is a tool that allows you to submit your session reports into Tutor Doctor for your completed tutoring hours. Each time you complete a tutoring session with your assigned student(s), you can enter the information into the Big Apple. The Big Apple can also help you manage the various appointments that you have with your students. You will have the ability to log into the Big Apple and enter your weekly appointments with each student assigned to you. It also lets us see any available time blocks in your schedule where we can potentially offer you other students to tutor. 2.0 Web Browser Setup You must use Mozilla Firefox to operate the website. Be sure you download this free application and use Firefox as your browser when using the Big Apple - www.mozilla.com/firefox/ **This program is designed to work effectively on Firefox only. 3.0 Logging on for the First Time Go to: https://bigapple.tutordoctor.com Username: Password: Provided to you by the Franchisee Owner Provided to you by the Franchisee Owner 4.0 Changing of Passwords The first time you log on, please change your password. 1. On the left hand side, select My Profile 2. In the Personal Tab, go to the bottom of the page and select Edit My Profile 3. Scroll down the page and input a new password for yourself. 4. Select the Save option.

5.0 Updating Attributes 1. Log onto Big Apple 2. On the left of the screen there is a purple section with tabs, a. Click on Administration b. Click on My Profile 3. On the top of your profile you will see seven options a. Click on Attributes Attributes is where you can update all your personal information that is pertinent to tutoring with Tutor Doctor. 4. Attribute Type / Sub Type Selection On the left side here you have the ability to select what subjects you would like to apply to the Tutors Profile a. Select the folder you would like to view b. Select the attribute type c. After selecting the attribute type the right hand side (Attribute Selection) will change accordingly

5. Attribute Selection On the Right side here you have the ability to select grade levels or Time ranges that will correspond to the Attribute type you selected. Here you will have the ability to select multiple attributes. a. You can select the Checkbox at the top left hand corner to select all attributes on the listing b. You can select the individual Check Boxes to only apply the attributes you want to apply. c. You can select the Name of the attribute; hold the Shift button then select the Second attribute and this will apply all the items in- between.

6. Viewing a full listing of attributes applied to a Profile When viewing your Attributes tab in your Profile, you can scroll down to the bottom of the page and expand the Selected Attributes. a. Selecting the option. b. - This option will allow you to make comments / notes on the attribute you have selected. c. - This option will allow you to remove the attribute from your selection.

6.0 Viewing Student Information 1. On the left of the screen there is a purple section with tabs, a. Click on Administration b. Click on My Profile 2. On the top of your profile you will see seven options a. Click on Students. This will show you an overview of your student. 3. To view more detailed information on any of your students: a. Click on the Student Action Icon on the right hand side of your screen. 4. After selecting the student s action icon, you will be taken to a page where you are able to view: a. How many hours this family has available. b. The parent s contact information. c. The student s Information. d. What attributes are applied to your student(s).

7.0 Entering Appointments When you are matched with a student, we recommend you enter your appointments into your Big Apple account in advance. This shows us the times that you are already booked with students and also lets us know when you are meeting with each specific student. 1. To enter your tutoring appointments, complete the following: a. On the left hand side, on the purple section, select Appointments b. A calendar will pop up. Select Add Appointment. A separate window will open. It is important to fill in the following information: i. Student 1. Type in the students first name into the text box 2. Select the student from the drop down list a. If the student s name doesn t appear, please contact your Tutor Doctor office to Attach the student to you in the Big Apple. b. If your student is an adult, you may see their name appear twice, once with an address (representing the Account Owner), once without the address (representing the student). c. Please select the student name that appears without the address. If you choose the wrong one, an error message will appear. Simply go back and select the right name (with no address) from the drop down list.

ii. Date Range Control: 1. Input the correct Date you will be going to your session A) Select on the calendar Icon C) If you need to adjust the months you could toggle left or right using the above arrow buttons B) Select on the Date you wish to indicate as your starting point D) After switching the month you can select on the date you want to indicate as the starting point iii. Duration: Input the length of your scheduled session You can do one of two methods to modify this field: 1) Select on the next to start time and Manually Select what your start time is going to be: 2) Manually Type into the field what your start time is going to be: A) Type into the desginated field B) Select the time from the Dropdown menu iv. Notes: Input the Subject you are tutoring. c. When the appointment is fully completed, select Save.

8.0 Printing Maps & Directions 1. You may print maps and directions to your assigned student s houses anytime you wish. 2. Select the Appointments tab on the left side then select the day you have scheduled your Tutoring Sessions 3. Once you are on the day you wish, select Print Today s Jobs. a. You will then see the following screen: b. Select Print 4. You will then be taken to a screen where you are able to toggle between a Text Only Road map view and a Maps Overview of how to get to the students house.

9.0 Creating Session Reports 1. After each tutoring appointment with your student is complete, it is important to create a Session Report. It is important that all the information you enter into the Session Report is accurate, including the date, time, and length of your session. 2. For a family with multiple children who are being tutored, ensure that you enter a Session Report for each child. Please do not enter one Session Report for a large time block of time when you tutored several children back to back. Each child needs their own Session Report to be submitted each time you tutor them. 3. The session reports are reconciled by using the Family Report as a reference. After the session report is reconciled then the Franchisee owner would either accept or reject the session report. The Family Report must also be submitted to your Franchisee Owner. 4. A copy of this Session Report may be forwarded to the student or student s parents/guardians as a permanent record of your tutoring session with them. 5. Session Reports must be submitted within 24 hours of each tutoring session for each student. In order to submit a Session Report: 1. On the left hand side of the Big Apple screen, select the Sessions Tab. 2. The bar will open to reveal List. Select List. This will reveal all the appointments that you have set up from the Appointments Tab. 3. Click on Pending Sessions and then go to the Right and select Create Session Report.

4. Under Session> Tutorial Overview> Summary, input your comments on the session you had with your student. Enter what you covered together and enter any great accomplishments that happened or any concerns you have. Once completed, select the Add option on the right hand side. 5. Under Tutorial Overview, you can change the second drop down to Other Information and this report is good opportunity for you to note if a student is making progress or struggling in a certain area, teaching strategies you used, creative approaches, any assessments conducted & results etc. There is scroll- down menu in the Comments Section of the session reports that you may find helpful to use that prompt you to detail information about other issues that have occurred during the Tutoring Session. 6. Select Save Session Report. This will allow you to save your entry and come back at a later time to change or edit your comments. 7. When you are ready to submit your Session Report, please select the Submit Session Report. Once you submit the session report, you will no longer be able to edit the content. *********IMPORTANT********* Once you hit Submit Session Report, Tutor Doctor is notified that you have submitted a Session Report. It tells us the time that you met with the student and what you covered together. Anything you put in the session report could be sent to the family. Be sure that your time is accurate and your report is professional.

10.0 Changing or Cancelling Appointments 1. Changing Dates or Times of Tutoring Session: a. Select the Date on your calendar that your tutoring session is scheduled for. b. Find your Appointment for that student on the calendar. c. Double Click on the Appointment. Change the date to your revised tutoring time. 2. Cancelling a Session: If a family cancels a session that is not being rescheduled, a. Select the date on your calendar that your tutoring session is scheduled for. b. Find your Appointment for that student. c. Click on the Cancel Session Icon. d. Click on Confirm to cancel the appointment 3. Adding an extra tutoring session: a.
