Key Stage Returns 2015 (All Phases) Introduction This year only one set of SIMS guidance notes have been produced to cover all key stages including Key Stage 1\Key Stage 2 \Phonics Year 1 and Phonics Re-check Year 2. These notes will advise schools on how to download the required Wizards in SIMS. Overview This document has been created to assist schools in completing their Key Stage and Phonics Returns and printing the associated reports using SIMS. This document covers Early Years Foundation stage Profile (EYFSP), (** See Note below ) Key Stage 1, Key Stage 2 Phonics Y1 and Y2 Screening returns. Note The EYFSP is to be recorded on a DFE spreadsheet as the advised by the LA to be completed and returned to them by the required date. Importing the Wizards Following the latest SIMS upgrade and if you have gone into any Assessment route, you will have seen the screen below. This screen can be accessed by selecting:- Focus Assessment Marksheet Entry. Unless your school is using any of the SIMS Tracking resources remove the ticks from these options just leaving the tick in AMPARK Resources Click on Yes to download the Assessment package. When import has completed an Activity log will show all items Imported. Click on Close NOTE : This import may take up to half an hour and you need to ensure it is left to complete Even if it looks as if not importing and shows as Not Responding! If this import has completed successfully you will not need to perform the next section - move to How to access marksheets and enter assessment data on Page 6 Problems finding the Key Stage Wizards If you do not get the above screen you can still import the Key Stage wizards manually in the same way as for previous years Select Routines Data In Assessment Import. At the Select the file to import from browse, you need to find the SIMS.net directory, the path is usually C:\Program Files\SIMS\SIMS.net. You should now see a list of folders and files within the SIMS.net directory. Double click on the AMPA folder then England Primary (and Middle Deemed primary) \Assessment Manager. 4

You will now see a list of all the assessment wizards available for you to import. Click on one of the wizards which you need for your school then click on Open. The following is a list of all the wizards which you might need: Key Stage 1 Wizard England 2015.xml Key Stage 2 Wizard England 2015.xml Year 1 Phonics Screening Wizard 2015.xml Year 2 Phonics Screening Wizard 2015.xml The Import window will now show details of the wizard you have selected. Click on Finish. - You will be asked if you want to proceed, click on Yes. An Activity Log window will now open to confirm that the selected wizard has been imported. Click on the Close to clear this window. NOTE: - You are likely to need more than one of these wizards, so you will need to follow this routine again as the system only allows you to import one wizard at a time. Junior schools should ensure they import the KS1 and Phonics Wizards as this will enable marks to be imported as part of any future CTF files received. 5

How to access marksheets and enter assessment data To open wizard manager click on Tools Performance Assessment Wizard Manager. Select the one of the wizards from the list by clicking on the heading; do not put a tick in the completed box. Click Next At the Select Group window, click on the Magnifying Glass, extend Year Group by clicking on the plus sign then select the relevant year group for this marksheet from the list and select Apply. ( If you wish to view marksheets for individual classes expand the Registration Group option and select the relevant class ) Click Next to take you to the Marksheets page of the wizard, which will list the Marksheets available for the Key stage you are viewing. Select a marksheet from the list (please see each 6

individual area of assessment Page 11 onwards for which marksheets to use) Click on the Green Pencil at the right hand side to open the marksheet you have selected Below is a screen print to show an example of what a marksheet may look like: Panel 1 Basic Details, There is a notes section which gives details about how the marksheet should be used. Panel 2 Marksheet The Result Date will show as the current date, this can be left as displayed. The Group Membership Date will also show today s date this is fine as long no pupils have left recently whom assessment needs to be recorded for. If you have had a pupil leave recently, you will need to change the group membership date back to a date just before they left then click on the refresh button the pupil will then show in the list. The Summary button will show a summary of the data which has been entered. The Narrow button will narrow the columns which might make it easier for you to view the marksheet. The Zoom button opens the marksheet in a new window, making it easier to read. To start entering results you can right click on the first cell and choose Select Grade for Cell. This will open a list of the available grades which you can then either double click on, to enter the grade for the first pupil then move to the next pupil or you can enter the grades manually by 7

typing the grade into the cell. After the grades have been entered for all pupils, click on the Calculate button. The calculate button automatically enters data into the formula columns (columns with the f at the top of them). Then click on Save. NOTE :- If an incorrect mark is entered before the marksheet is saved (the mark will show in red) then you can over type it with the correct mark. If the marksheet has been saved then you will need to right click on the incorrect cell, choose View/Edit Result History, and click on the incorrect mark then click on the red X to delete. You can then enter the correct mark Teachers completing the data entry Teachers can complete the marksheets by either typing the results directly into SIMS, for schools where teachers have access, or by entering the grades into an exported Excel marksheet which can then be re-imported back into SIMS when completed, see below for details. 1. Open the marksheet using the steps above. (you can amend year group option if you wish to view by Reg Group) 2. Click on the Export button at the top of the screen. 3. The marksheet will now open in Excel. Save the marksheet (name it something sensible e.g. KS1 2015) to a secure area on the network (or USB) where the teacher is able to access. NOTE:- It must be Saved as an XML Spreadsheet (NOT a Workbook or SIMS will not recognise it to import back in). This should happen automatically but it is worth checking. 4. The teacher can then fill in the marksheet and then either send it back to you when completed or save it into the same shared area on the network ( or USB). 5. To import the marksheet back into SIMS, go to Routines Data In Assessment Import 8

from Spreadsheet. 6. This will open the Import from Spreadsheet wizard. Click on the Yellow Browse Folder and find the spreadsheet which the teacher has updated click on Open. 7. Click on the Next button this will open an Activity Log, you can close this window. The next window will show you what will be imported onto the marksheet. It is a good idea to check through the marks at this point. 8. Click on Next then Finish. 9. Click Yes when it asks if you want to proceed. 10. Quickly check through the Activity Log then click on Close. Check the marksheet by opening it up using the steps above the marks should now show on the marksheet. NOTE When marks are entered directly into SIMS, if an invalid mark is entered then SIMS won t let you save the mark. If teachers are entering marks into Excel to be imported back into SIMS they will not be notified of an invalid mark therefore it is very important that these marks are double checked. Invalid marks will not be imported back to SIMS 9

Printing blank Marksheets If the teachers aren t going to enter the marks manually either in SIMS or in Excel it might be useful to provide them with a copy of an empty marksheet. This will mean all the pupils will show in the same order as you see them onscreen and the teachers will be able to see exactly what you need them to fill in. To do this, open the marksheet then click on the Print button. Tick the box Print Blank Marksheet then click on Print. Early Years Return specific instructions The LA are requesting schools to return the data in the same way as previous years using the DFE Summary Spreadsheet by Friday 19 June 2015. The spreadsheet as well as further information on EYFS will be available on the relevant section of the EDNet website www.ednet.co/statutoryassessment. Key Stage 1 Return specific instructions As with previous years, you are required to send the End of Key Stage 1 Assessment Results to the Local Authority for official validation and await this validation prior to producing reports to parents The Return Key Stage 1 data will be in the form of a Common Transfer File (CTF) to the LA via the Perspective light Website. The deadline date for returning Key Stage 1 data to the is Friday 19 th June 2015 but can be sent as early as Monday 15th June 2015 1. To open the Key Stage One Wizard click on Tools Performance Assessment Wizard Manager. 2. Select the Key Stage 1 Wizard England 2015 from the list by clicking on the heading; 3. At the Select Group window, click on the Magnifying Glass, extend Year Group by clicking on the plus sign then select Year 2 from the list and select Apply. 4. Click Next to take you to the Marksheets page of the wizard. Click on the first marksheet KS1 A. Teacher Assessments 2015 then select the Green Pencil to open the marksheet. Complete the marksheet as described earlier in this document. KS1 A. Teacher Assessments 2015 This marksheet contains columns for you to enter Teacher Assessments. This marksheet must be completed by all schools for all Year 2 pupils. Data is required in the first 8 columns. The final 2 columns are read only with formulas attached. Teacher Assessments for English (ENAT1, ENAT2, and ENAT3) Maths TA and Science (SCAT1, SCAT2, SCAT3, SCAT4) should all be entered into the appropriate columns Columns with an f in the top right hand corner have formulas attached. These formulas are activated by clicking with your mouse on Calculate (located at the top of the page). When you have entered marks for all pupils click on Save. 12

The following are valid marks which can be entered into this marksheet KS1 B. P Scale Data Entry 2015 5. If you have any P Scale marks to fill in, you will also need to complete the second marksheet KS1 B. P Scale Data Entry 2015 for the pupils who are working towards the KS1 grades. P scales are required for any pupils with SEN who are working below level 1 of the national curriculum. Pupils with SEN who won t progress beyond KS1 should be reported using P scales. You will need to use P scales to record and report pupil achievements in English Maths and Science. Pupils working towards level 1 of the national curriculum who do not have SEN should be reported as W (working below the level) This includes pupils who are working towards level 1 solely because they have English as an additional language. You should use the code NOTSEN to explain why a pupil working towards level 1 doesn t have a P scale reported. The following chart outlines the P Scales that can be recorded. Some schools may wish to complete the third marksheet KS1 C. Test Outcomes 2015.(optional) Taken from the notes on this marksheet this can be used to enter results for the tests that supported the Teacher Assessments made as part of the Key Stage 1 arrangements for 2015. This marksheet is not compulsory. 13

7. The final two marksheets are not used for data entry they simply show the data which you have already entered in the previous marksheets. You can look at these if you wish, you may need to click on the calculate button to show the grades. Once the data has been entered onto the Key Stage 1 Wizard England 2015 (and P- scales) Marksheet, you need to export a CTF to include this data then send this to the Liverpool LA This will include any P-Scales data you have entered for Key stage 1 pupils Sending the key Stage 1 data to the LA 1. Click on Routines Data Out CTF Export CTF 2. At the CTF Export Type window select KS1 then click on Select. 3. Ensure there is a tick in Include students already exported and click on Refresh 4. Click on the drop down arrow at the top of the Year Taught column and select 2 for KS1 pupils. 5. In the Destination LA/Other column right click on the first pupil and choose Select All this should highlight all pupils in the list. Still in the first pupils cell, click on the drop down arrow and choose Liverpool from the list, this should add Liverpool for all pupils. 6. Click on Export CTF. The CTF will be saved to your CTF export folder which is usually F:\SIMS\STAR\CTFOUT Make a note of the file name so you will know which file to select when sending N O T E : I f any children out of cohort have been assessed at Key Stage 1 their assessments must be sent to the LA. They would not have been included in the Year 2 CTF. Therefore, separate CTFs would need to be produced as above 7. Files should be sent to the LA using the Perspective light Website, as previous years https://perspective.angelsolutions.co.uk/perspective/login.aspx. Send to LA no later than Friday 19 th June 2015 14

Key Stage 2 Return specific instructions Key stage 2 data is returned to the National Assessment Agency, via CTF, see instructions at the end of this section The deadline date for returning Key Stage 2 data to the LA is Friday 26th June 2015 but it is recommended to submit by 23rd June 15 and can be sent as early as Monday 1 st June 2015 1. To open the Key Stage Two Wizard click on Tools Performance Assessment Wizard Manager. 2. Select the Key Stage 2 Wizard England 2015 from the list by clicking on the heading; 3. At the Select Group window, click on the Magnifying Glass, extend Year Group by clicking on the plus sign then select Year 6 from the list and select Apply. 4. Click Next to take you to the Marksheets page of the wizard. Select one of the marksheets from the list then click on the Green Pencil to open the marksheet. Complete the marksheet as described earlier in this document. KS2 A. All Subjects TAs 2015 This marksheet is compulsory. This marksheet is used to enter the detailed outcomes of teacher assessment in English, Maths and Science. The following are valid marks which can be entered into this marksheet Important Note: Using F & P Grades at Key Stage 2 There is the facility within the grade set to indicate if a child has already been assessed/entered for the appropriate KS2 test. Acceptable entries are F Future or P Past. E.g.: if a child within the group selected is taking Maths early then a relevant Level will need to be assigned to Maths TA. However, the English and Science are not being taken until next year. Therefore, English & Science Levels should be recorded as F (Future) You are advised NOT to enter P if a test or assessment was taken in the Past as this will overwrite the existing validated Key Stage data. KS2 B. Subject TAs 2015 This marksheet will be populated from marksheet A. You do not need to make any entries on this marksheet but you can check teacher assessments here if you wish. KS2 C. P Scale Data Entry 2015 You will need to complete this marksheet for any pupils who are working towards the KS2 grades. As with Key stage 1 pupils working below the levels of the Key Stage 2 tests will need to have this marksheet completed. For pupils assessed as W in the KS2 A. All Subjects TAs 2015 marksheet, in this marksheet the entry of P Scales or NOTSEN are required to refine the assessment. The following chart outlines the P Scales that can be recorded. This is likely to be automatically updated when you import the results once they have been returned by the National Assessment Agency. KS2 E. En Test Results Data Entry 2015 - This Marksheet can be used to enter the detailed English results returned on paper by the Marking Agency. It covers externally marked English tests at Key Stage 2 for England in 2015. This marksheet is not compulsory. KS2 F. Ma Test Results Data Entry 2015 - This Marksheet can be used to enter the detailed Maths results returned on paper by the Marking Agency. It covers externally marked Maths tests at Key Stage 2 for England in 2015. This marksheet is not compulsory. The final two marksheets are not used for data entry, they simply show the data which you have already entered in the previous marksheets. Sending the KS2 return to the national Assessment agency Once the data has been entered onto the Key Stage 2 Profile Wizard England 2015 Marksheet, you need to export a CTF to include this data then send this to the National Assessment Agency (NAA) via the NCA Tools Website. 1. Click on Routines Data Out CTF Export CTF 2. At the CTF Export Type window select KS2 then click on Select. 3. Ensure there is a tick in Include students already exported and click on Refresh 4. Click on the drop down arrow at the top of the Year Taught in column and select 6 for KS2 pupils. 5. In the Destination LA/Other column right click on the first pupil and choose Select All this should highlight all pupils in the list. Still in the first pupils cell, click on the drop down arrow and choose and choose National Assessment Agency ( or STA Key Stage ) from the list, this should add National Assessment Agency for all pupils. NOTE May show as Standards STA Key Stage. if amended in previous year 6. Click on Export CTF. The CTF will be saved to your CTF export folder which is usually F:\SIMS\STAR\CTFOUT - Make a note of the file name so you will know which file to select when sending NOTE : If any children out of cohort have been assessed at Key Stage 1 their assessments must be sent to the LA. They would not have been included in the Year 2 CTF. Therefore, separate CTFs would need to be produced as above 7. Unlike the Early Years and KS1 returns, the KS2 return does not get sent to the LA. Instead you will need to login to the NCA Tools website and upload your CTF file https://ncatools.education.gov.uk/ and select Teacher Assessments KS2 CTFs to be sent to NAA no later than Monday 26 th June 2015 17

These files can be downloaded and imported into your SIMS system There will be two types of files available: a spreadsheet type (CSV) which you may find useful for reading the results a zipped CTF format which can be used to import the results into SIMS. 1. Download the zipped up CTF file into F:\SIMS\STAR\CTFIN 2. Browse to this folder and unzip the file into the same location 3. You can then import the unzipped CTF into SIMS in the normal way Routines Data in CTF Import CTF. Phonics Screening Years 1 and 2 Return specific instructions The Phonics assessments for years 1 and 2 are very similar. The Year 1 phonics assessment will need to be completed for all current year 1 pupils. The Year 2 phonics assessment will only need to be completed for any pupils currently in Year 2 who failed to achieve a grade of Wa for the Year 1 test last year 1. To access the Year 1 or 2 Phonics Wizard go to Tools Performance Assessment Wizard Manager and choose either Year 1 Phonics Screening Wizard 2015 or Year 2 Phonics Screening Wizards 2015. Click on the Next button. 2. At the Select Group screen, click on the Magnifying Glass and extend the Year Group area choose either Year 1 or Year 2 depending on which Phonics wizard you are using. Click OK. 3. There is only one marksheet to select for either of the Phonics Screening assessment. Click on the marksheet then click on the Green Pencil to open the marksheet. 19

Year 1 Phonics Screening Wizard 2015 This marksheet has changed slightly since last year. The first column has been provided for you to enter the Threshold score. This is so that when the DfE confirm the threshold ( after 29th June 15) it can easily be entered and the marks calculated Therefore the administration of Phonics data is a two-step process as follows:- Step 1- Pre Threshold release (pre 29th June 2015); Schools will need to enter and submit the Phonics Screening check mark for each Year 1 child, to Liverpool LA by Friday 26th June 2015 at the latest. (recommended to send by 23 rd June ) Step 2 - After the release of Phonics threshold (post 29th June 2015); This guide will take you through using the Phonics Screening Check Wizard to calculate the Phonics Screening Check pass grade and report to parents. There is only one mark to fill in on the phonics assessment marksheets. Valid values are between 0 and 40 as shown below. Note: For those children who are; absent, did not take the check or have left. The mark must be left blank and the phonics grade of A, D or L entered accordingly. This table applies to Phonics Y1 and Y2 Re-test Description Process Mark Phonics Grade Child took the phonics screening check and met the required standard. Child took the phonics screening check and did not meet the required standard. A mark of 0 40 is entered from the screening check outcome. The grade will be applied automatically when the threshold is released by DfE ( after 29 th June 15) 0 40 Wa Wt Absent Child did not take the phonics screening check Child has left the school Leave the Marks column blank and enter the grade as per the list to the right Leave blank A D L Click on Save when marks have been entered When the threshold values have been validated by the DfE after 29th June 2015 a phonics grade will then be associated to the mark. 20

After the release of the Phonics Threshold The threshold mark will be published on Monday 29th June 2015. This will be available from www.gov.uk To enter the threshold mark and calculate the child s phonics grade (outcome) go back into the marksheet and enter the threshold mark into the first column The easiest way to do this is to Right Click the column heading for Threshold Score and Click Select grade for column. You can then select the required threshold grade as released. Click on OK Each pupil record should now be populated with this value Example Only Click on calculate to populate the Grade for Phonics Check Year 1 and Data Check columns. Click on Save If the grade column reads Wa it means that the expected standard has been met. 21

Year 2 Phonics Screening Wizard 2015 The Year 2 phonics assessment will only need to be completed for any pupils currently in Year 2 who failed to achieve a grade of Wa for the Year 1 test last year Schools unsure of the pupils can block search for them on the DFE keytosuccess.website https://www.keytosuccess.education.gov.uk/cgi-bin/schools/index As with the Y1 Phonics test this will be a two step process awaiting the release of the threshold from the DFE, as below Step 1- Pre Threshold release (pre 29th June 2015); Schools will need to enter and submit the Phonics Screening check mark for each Year 2 child, who did not achieve a pass in Year 1, to Liverpool LA by Friday 26th June 2015 at the latest. It is also useful to only display those pupils that require a recheck in Year 2. You can do this by selecting the filter button in the top right hand side of the Data Check Column. You will then see the option as below to select! This will then show pupils requiring a mark for Phonics Y2 re-test After the release of the Phonics Threshold (same as for Phonics Y1 test) The threshold mark will be published on Monday 29th June 2015. Sending the Phonics returns to the LA Once the data has been entered onto the Year 1 and Year 2 Phonics Screening Marksheets, you need to export a CTF to include this data then send this to Liverpool LA. The Year 1 and Year 2 data can be exported together under one CTF. 1. Click on Routines Data Out CTF Export CTF 2. At the CTF Export Type window select Phonics Test Results then click on Select. 3. Ensure there is a tick in Include students already exported and click on Refresh 4. Click on the heading Year Taught In this will sort the pupils by Year Group. 5. Click on the first pupil in Year 1 then hold down your Shift Key and scroll down to click on the last pupil in Year 2. All Year 1 and 2 pupils should now be highlighted in blue. 6. In the Destination LA/Other in the last selected pupils cell, click on the drop down arrow and choose Liverpool from the list, this should add Liverpool for all pupils. Click on Export CTF. The CTF will be saved to your CTF export folder which is usually F:\SIMS\STAR\CTFOUT Make a note of the file name so you will know which file to select when sending 7. Files should be sent to the LA using the Perspective light Website, as previous years https://perspective.angelsolutions.co.uk/perspective/login.aspx. Send to LA no later than Friday 26th June 2015 24

Assessment Reports (covering all levels) After you have completed your data entry for the required Key Stage and sent the CTF s to the relevant authorities you may wish to print some reports to show individual pupil assessment or compare school assessments /results with national averages (where available). You may also wish to go to this area if you have imported the Key Stage 2 optional Test Results from the NCA tools website so that these can be included on pupil reports. 1. Open one of the wizards as instructed in previous sections -Tools Performance Assessment Wizard manager. 2. Select one of the wizards from the list then click Next until you arrive at the Individual Report Format screen. 3. From this screen you can select which report you wish to run and choose the pupils which you would like to run the report for. NOTE Examples of each report for individual Key stage areas are given in Appendix One. 4. Select the report from the list at the top then choose the pupils whom you wish to run the report for. You would normally want to run the report for all pupils therefore use the Select All button. NOTE : If the report shows national data and isn t going to be different for each pupil then you probably just want to choose the one pupil then print the report and photocopy it to give out to parents. 5. After the pupils have been selected you need to click on one of the three buttons on the right hand side of the report names. The options are: Preview shows the report onscreen. Print prints the report. Export export to save the report onto your machine. Upload Report This option is used to upload this report to the pupil record. Most schools will not use this option 25
