GENERATING ELEMENTARY REPORT CARDS FOR GRADES K- 1. Log into Synergy using your email username and password. 1 Before transferring grades to the report card, make sure your grade book is setup correctly for standards, assignments need to be assigned to the correct subject area and reporting period and all grades recorded in the standard the assignment is correlated to and not directly to the assignment. PLEASE NOTE: If this was not done, grades will not transfer to the report card.. To verify assignments are properly assigned to the correct reporting period, hover the cursor over the Grade Book link and select Assignments from the drop down. Select << ALL>> from the Grading Period then click on the Grading Period tab. If the assignments are not set to the correct grading period make the appropriate adjustments here. If there are more than 10 assignments, click on the Save Grading Periods and click the Next>> link. Review and correct additional assignments. Select next Section from the class Pull Down and repeat the process.
. Prior to transferring grades to the report card, teachers should analyze students grades to determine if the calculated grade needs to be overridden based on student s progress throughout the semester. This will be based on the teacher s own discretion. From the Assignment or TeacherVue window, hover your cursor over the Grade Book link located at the top of the screen; select the Grade Book Main from the drop down window. 4. Select a section from the Class drop down and select the Standards option from the Mode drop down. Click anywhere on the standards description box to access the grade entry menu and select Enter Scores. NOTE: Verify the correct reporting period (S1 and S) is selected and check that all assignments are visible and grades are entered. If assignments are assigned to the incorrect reporting period they will not transfer to the report cards. 4 4. In the Standards column, override the calculated grade and click on the Save or Save/Return to Grade Book button. The cell will turn green to indicate the grade was overridden. Follow this step to override the calculated grade for all other students. After all grade changes have been made, select the Homeroom section then hover your cursor over the Grade Book link located at the top of the screen; select the Report Card Preview Standards from the drop down window. NOTE: This is one of three screens, where a student s grade can be overridden. The other two will be covered later on.
. Grade book grades can also be overridden from this screen (second option). In the Calculated Mark column, click on the grade drop down and select the new grade. Click on the Transfer Marks for <individual student> Grades will appear in the Report Card Mark column. The grade in the Calculated Mark column will revert to the grade book grade. To override a previously posted grade you must change the calculated grade as described above but you must also check the checkbox next to the Report Card Mark. Then Transfer Marks for <individual student> again. 7. If you choose to override grades with one of the other options you can click Transfer All Student Marks. Synergy will prompt you Are you sure you want to transfer all student marks to the Report Card? This will override any marks previously entered and will take a few minutes. Click on the Ok button to acknowledge the warning message 7 7
8. After all grades have been transferred, hover your cursor over the Report Card link and select Students. Click on a student s name Review all posted grades and make any final changes to posted grades (third and final override option), add in any grades that were not posted from the grade book i.e.(life Skills and Work Habits) then enter their days present, and comments (see below) for the report card. 8 8 8 9. Teachers are responsible for entering the Days Present for each student. Print the ATD 01 Daily Attendance Summary Report from the Report Menu located in the TeacherVue main screen, which shows the total number of days present for each student. Enter that number in the Day Present field on the report card. 9 9
10. Teachers have the option to enter comments for each student. Click on the Go To Comments Area link located on the right hand side of the screen, Synergy will automatically scroll to the bottom of the screen. In the S1 NO COMMENTS ENTERED. box, click on the Edit link to enter comments. 10 10. In the Comments for S1 section, teachers can select comments from the Comments Bank or manually enter their own comments in this area. If you have your own comments you prefer to use and will be used repeatedly, you can add it to the Add to Comments Bank section. NOTE: There s a limit of 84 characters. After all comments have been entered, click on the Save & Return button to return to the main Grade Book screen. 1. The comments will also appear in the S1 box at the bottom of the screen. After all grades and comments have been entered, click on the Save/Mark Complete button to return to the Grade Book screen and repeat the process for another student. NOTE: The student s name will now appear in the Report Cards Complete section. 1 1 1
1. After all student report cards have been completed, click on the View Report Cards link to select the report card language (i.e. English or Spanish), view and print report card. 1 1 14. In the View Report Cards screen, click on the Generate Class Report Cards button to print all student report cards. NOTE: Synergy will not generate the PDF file until all report cards have been completed. In the S1 column, the word Complete will appear indicating the report card has been processed for that student. Click on the View link to view the report card. Click on the Back to Student List link to return to the main screen. 14 14 1. Synergy will generate a PDF file to be printed by each teacher and distributed to parents. NOTE: At this time, the Information Operations Office will not be printing or mailing elementary report cards. The procedures for disbursing report cards will not change with the online report card.
