Overview As a KnowledgePass training manager, you can manage your users who will use KnowledgePass to build their Kronos skills and knowledge and for review and self-help. Using the Training Manager Functions, you can: Create learning paths of learning and performance support content Import (add), update, and delete users Track user activity This document covers creating and maintaining learning paths. How do you become a KnowledgePass training manager? It is very easy. All you have to do is log into KnowledgePass, scroll down to the bottom of the Home page, click the link Request training manager role and follow the instructions. When you submit your request, the Training Manager Functions replace the Training Manger Request with all the tools you need to manage users and create and maintain learning paths. There are two types of users: Restricted Users who have access to the content in their My Learning block, but not to the Find My Learning tool, which gives users access to the entire KnowledgePass learning library Unrestricted Users who have access to the Find My Learning tool to search for learning content in the KnowledgePass learning library and enroll themselves in it. Creating a Learning Path: Naming that path Follow these steps to create learning paths for your users. 1. From the Training Manager Functions block on your Home page, click Manage my learning paths. The page you land on lists your company, its parent (used by KnowledgePass to organize company accounts in KnowledgePass) and all learning paths you or other Training Managers in your organization have created. (If you are curious about what user sets and user subsets are, refer to the last page in this manual. You don t need to understand them to create great learning paths). Note: If you are seeing only the Top (under Parent User Set) and not seeing your company name, make sure that the Include all User Subsets in listing option is checked. 2. 3. Click the User Subsets tab. 4. From the list of Currently Assigned, click the Add User Set button. Note: You can edit your learning paths from this page by clicking the edit icon. 2017, Kronos Incorporated or a related company. All rights reserved. 3
5. Enter a Name for your learning path. You can enter a description for your information. DO NOT enter or change any other field values. NOTE: if you are using the Workforce Central-KnowledgePass plug-in to assign users to learning paths, the learning path name should have no spaces. 6. Click the Save Changes button at the bottom of the page to save the name and description. 7. Click Tracks to add the content to your learning path. 8. Creating a Learning Path: Finding the right content KnowledgePass has an in-depth search capability to help you find the right course content. You can do your own ad hoc search or use pre-defined searches. The advantage of using a predefined search is that you start with recommendations from our training experts and then have the option of removing or adding tracks as needed. 1. Using a pre-defined search, click the Select a predefined search button. Select a pre-defined search that fits the group you are building the learning path for. Once you select it, KnowledgePass displays the search filters and selections defined by the search. 2. Using ad hoc search; you add the search filters yourself. Click Add to select a search filter. Tip: Start by selecting the Product/Version filter. 2017, Kronos Incorporated or a related company. All rights reserved. 5
3. The Product/Version filter displays a truncated list of the entire list of products and versions. Search for your products by either entering the version or the name of the product in the Search field. KnowledgePass will list all content that applies to the selected Product/Version. You will want to select other search filters to further refine the list. We recommend Role/Function be your second search filter. You can add filters by clicking the Add button and selecting a filter. You can remove filters by clicking the filter s X. Important Tip: The Keyword Search filter displays the description (and you can search for specific topics using the Keyword Search filter). If you want to see what learning materials are in the content, add the Preview (before enrolling) filter. This displays a link to the page containing the learning materials, allowing you to review the content before adding it to the learning path. 2017, Kronos Incorporated or a related company. Creating a Learning Path: Adding/removing the content to or from the learning path Your final step is to add the content to the learning path. 1. You add content to the learning path in the following ways: Click the green arrow in the Actions column to assign one at a time. Drag one or more into Bulk Assignment and then click the green arrow to assign them to the learning path. Click the Add All # Search Results in Bulk Assignment to add everything in the list to Bulk Assignment. Then click the green arrow to assign to the learning path. 2. When KnowledgePass prompts you that you are about to assign the content and do you want to proceed. Click the green check to proceed. Click the red X to cancel. 3. If you are assigning the content from Bulk Assignments, you will be prompted with the following. Click the green check to proceed. Click the red X to cancel. 4. Click the Currently Assigned tab to see the content assigned to your learning path. You can remove content by clicking the red arrow in the Actions column. Important: If you aren t seeing all or any of the content, clear the search by selecting Start new search under Additional search editing tools. When you remove content from a learning path that is assigned to users, KnowledgePass will remove it from their My Learning. Once content is removed from a learning path, any activity on the materials in the removed content by users assigned to the learning path is deleted. Therefore, when you click the red arrow KnowledgePass prompts you to print an activity report. Next Step:-Assigning the Learning Path to your users Now that you have your learning path, you want to assign it to users. You can do so in any of the following ways: If the users already have accounts in KnowledgePass, access Available to Assign in the learning path s Users tab and select the users. When you add users to KnowledgePass via the Import Users function. Refer to Managing Access via the KnowledgePass URL in your Training Manager Resources Documentation tab for instructions. Via the KnowledgePass plug-in to Workforce Central.
