Release Highlights New Applications Career Plan Setup This application replaces FrontOffice Career Plan application. Marks Processing This application replaces both FrontOffice Marks Processing and Calc. Credit & Post applications. Service Tracker This application replaces the portion of the legacy Q Connect application made available to service providers for tracking billable special education services. The billing portion of the legacy application will be released as a separate application. Student Academic History This application replaces and enhances FrontOffice Academic History, Narrative Editor, Standards History, Graduation Documents, and Modify Defaults for Calculate GPA s applications. Student Career Plan This brand new application enables counselors and advisors to create individualized learning plans for each student independently. Career plans can be used as a base, then individual courses and/or courses from other career plans can be added separately for each future school year. Track Course Setup This new application replaces both FrontOffice Course Assign and Course Selection applications. New Features & Functionality Multiple Applications Class, Student and Staff Banner Applications When users click Find button in either a class or student banner the Find, Clear, Cancel buttons have moved from the bottom to the top of the dialog the Find to Search to reduce confusion. Attendance Class Attendance Added sorting capability to the Attendance Roster Each column may be selected and sorted ascending or descending: A Post-processing QLIP has been added to Class Attendance. Mass Attendance Added the ability to include Notes along with attendance in Mass Entry. Added Mass Entry logging. Added the ability to Roll Back a Mass Entry posting. o Note: There is a permission item to provide access to Mass Entry Log form that then also provides the ability for the user to roll back a mass entry. Added Permission Item for Mass Entry to optionally override all previously existing attendance codes. New Related Permission Items: Features & Functionality of Q Version 3.2 4

Truancy Tracking Added option Reset count of qualified attendance events to last communication notification date. If left unchecked, the report will behave as it has in the past. When checked, the last communication notification will be used as the starting point to determine if student attendance counts qualify. Attendance Reports Attendance Roster 1 Week Report Added a report option to Include Existing Attendance Data which defaults to ON. When set to OFF, a blank report grid is produced. Attendance Roster 2 Week Report Added a report option to Include Existing Attendance Data which defaults to ON. When set to OFF, a blank report grid is produced. Class Attendance Analysis Added option to Include Default Attendance. The default is Off or to not include default attendance. If the report is being run from a school and the user is not a teacher: o When Default Attendance is included the report will limit the user to a maximum two month date range. If the report is being run from the district: o Include Default Attendance is disabled o The report will limit the user to a date range of up to six months due to the volume of data. Class Attendance Spreadsheet Added a second indicator to heading to display ^ if a class has multiple meeting patterns in a day and attendance was not taken in all possible meeting patterns. Added a legend for new indicator only if class has more than one meeting pattern in a day. Changed Day name letter for Thursday to R. Features & Functionality of Q Version 3.2 5

Enrollment Locker Assign Added ability to randomly assign lockers Added Cycle day and Period selection to the Assign by Classroom Location Based on Schedule option. o Note: Cycle day only appears in multicycle day settings. The Assign by Schedule function honors the new classroom association when it exists. If a classroom association does not exist, Assign by Schedule continues to use associated location for assignment selection. See School Classroom Editor (Locker Tab) and Locker Editor for more information about the association of classroom and lockers. Mass Activities Added a user-level preference available at the bottom of the screen when in Mass Activities to enable the user to choose if they want a Student Filter or a Class/Student Filter for the selection of students. Records Access Added a new lookup category code for Records Access Document Type codes to separate document types for this application from those used in the Student Documents application. The new set will originally be an exact copy of the Document Type codes used by the Student Documents application. Student Editor Added support for extension data in the Contact Details view. Additions to permissions to make it possible to set permissions to make it very difficult for a user to add a new student without enrolling them in a track: o On New Demographics view: Submit & Done Button o On New Enrollment view: Done Button Continue Button Submit & Done Button o On Enroll/Withdraw Tab All buttons permission-able so roles can be created that only allow the maintenance of part-time enrollments or only next year enrollments, etc. o Under New Student Tab on Select Student Made Continue with Selected Student and Add New Student buttons permission-able so roles can be created to allow re-enrollment of existing student, but not the creation of a new student. Added last exit reason to the New Student search results Logic related to updating Graduation Year was modified so if both the preference to auto update the Grad Year and the preference to allow editing of the Grad Year are ON, it will not be auto updated unless it is NULL. Student Profile Changed Marks area to display the RCDMARK value and the Transcript area to display the TRNMARK value from GPAMARKS table rather than the mark value. This will mean the displayed marks in Profile will now correspond to the marks reported on Report Cards and Transcripts. The RCDMark and TRNMARK are configured in Mark Setup Mark Values. The RCDMark is shown on the Report Card and the TRNMark shown on the Transcript. Enrollment Reports Student Profile Report Changed Marks area to display the RCDMARK value and the Transcript area to display the TRNMARK value from GPAMARKS table rather than the mark value. Changed assignment area to honor when a student was excused from an assignment to not include it on the report. Food Service Food Service Accounts Added Student Ident and school to the Account Detail Report. Added data validation: Policy Setting Values are required (for active policies). When entering new transactions, the transaction type is set to filter value. Direct Certification Upon import of Direct Certification files without error, the batch is now automatically saved allowing the user to leave the workstation unattended. Direct certification will no longer re-import records if the student is already certified by the same method (Homeless, Migrant, etc.) Features & Functionality of Q Version 3.2 9

Certifying Household siblings retroactively is now supported by setting the system date to dates in the past. POS Food Service Setup Implemented Extension fields in the Site Editor for CNIPS extension data. Added a Cafeteria Policies Editor under the Cafeteria Settings tab. New Features & Functionality Process Applications Added a new preference and functionality to support Approve No-Income Applications Manually. Preference may be set in Preference Editor under Process Applications. Added ability to process New Household Series requests. Verification Statistics may now be updated automatically (by timed job or re-calculated manually) up until 23:59 on October 1 and October 31. Health Student Health Added Extension support for Student Medications Details and Edit views. Health Reports Missing Health Screenings A New report replacing legacy Q Connect report. Marks Gradebook Enhanced Grading Scales to support scales for multiple mark sets within a mark type. This allows calculated marks to use multiple mark sets. The mark sets must be defined in the Mark Definition. Class Marks Changed to allow editing of credit values for variable credit courses when in Edit History is allowed and enabled. Student Marks Changed to enable editing of comments and notes for posted marks when in Edit History mode. Features & Functionality of Q Version 3.2 11

Mark Setup Added new Comments tab to replace FrontOffice Comments application. o The tab is permission-driven. Comments may be entered from the District for any school. o Comments displayed may be sorted by any column and a usage count is provided. o When adding/editing/viewing non-default language comments, the nondefault language comments are listed next to the default language comments. Comments cannot be added in a non-default language without a default language version existing. o Comments may now be copied from one school to other selected schools. Added a permission-based Mark Definition tab to replace FrontOffice applications Timeline, Mark Definition Setup, and Track Marks. o Added a copy feature to copy a set of mark definitions from one track to other tracks. o Added restrictions related to when mark definitions can be changed or deleted based on where a user is logged into, and whether mark definitions have been used in other track/schools/previous years. Marks Processing A new application to replace both legacy FrontOffice Mark Processing and Calc Credit and Post applications. The new application has the ability to run Processing from the District for multiple sites at one time as long as all sites have the same Report Points. Enhanced to allow for multiple GPA & Rank by GPA Types along with multiple Current GPA/Eligibility Rules. The new application also has the ability to Undo processing for a specific track and term. This will remove transcript records posted. This is used when users accidently run Marks Processing and post to history before all marks have been entered. Student Academic History Replaces and enhances FrontOffice Academic History, Narrative Editor, Standards History, Graduation Documents, and Modify Defaults in Calculate GPA applications. There are separate sub-rights for Transcript, Standards, Narrative Editor, GPA History, and Grad Requirements making it unnecessary to have 5 different applications. Transcript shows details without being in edit mode. When in Edit mode all data is available without moving from tab to tab. New sub-right to allow for editing Transcript info and have it back post to Mark Reporting. The Academic Transcript report may be printed for the individual student using the Print icon on the Transcript tab. Standards will show records from the Standards Transcript table. Grad Requirements Tab has the ability to change the Requirement assigned to student. Features & Functionality of Q Version 3.2 14

Mark Reports New Features & Functionality Academic Transcript New Academic Transcript report replacing the legacy FrontOffice Transcript report. This report may be run from within the Academic History application for the individual student selected. Features & Functionality of Q Version 3.2 15

Class Marks Listing Added new options to include: o All Students o Only Students Missing Marks or o Only Classes with No Marks. Added ability to select specific Mark Types to include. Added ability to filter on marks for a particular Mark Set. Added option to turn off shading. Graduation Requirements Allocations New report replaces legacy FrontOffice Transcripts by Sum and Transcript by Allocation that were part of the Grad Status Print function in FrontOffice Academic History. Graduation Requirements Results This report replaces legacy FrontOffice Requirement Status Report under Academic History. Features & Functionality of Q Version 3.2 16

Programs Service Tracker A replacement for Q Connect Service Tracker application. This new version contains only the portion of the legacy application made available to service providers for tracking billable Special Education services. The Billing portion of the legacy application will be released as a separate application. Enhancements: o Includes display of Special Ed Placement information and other Special Education Program Extension information as configured through Extension Editor. o o o o Drill-down display of student attendance for the service date. The notepad will appear red if the student was absent on the date of service. Greater ability to create and manage groups, their members and the services records for the group. Users may Include Inactive students and or choose to Include Exited students who have exited Special Education or related Special Education placements. Two district-level preferences are associated with Q Service Tracker: Include Students from All Schools which when on will enable a Provider to see all their students from any logged in school as if they were at the district office and Validate Services which will enforce the configuration rules setup in the Service Tracker Service Type (zsvctype) table. Q Reporting Changed to prevent Aequitas delivered Data Designer Objects from being deleted or renamed. Added Report Title to Report Writer Pivot Table Reports. Changed Report Writer Multi-Line Report Design screen to accommodate multiple pages rather than just a single page. Multi-Line Report Design: Made lines selectable and draggable. You may now use arrow keys to move a line, as well as Ctrl + arrows to adjust end position, and Shift + arrows to move lines based on grid (grid must be visible), and Ctrl + Shift + arrows to adjust endpoint of line based on grid. Decision Support Tool Added Logged-In School Year to available session values able to be passed to procedure parameter. Features & Functionality of Q Version 3.2 18

Scheduling Career Plans Setup Replacement for FrontOffice Career Plans application with these enhancements: o Filter ability to assist in finding desired course or courses by code or description. o Enhanced to select multiple courses to be added to Career Plan. o All courses that are part of Career Plan can be edited at any time. District Courses Added Permission item for the Show History button. o The ability to change From and To Dates is now dependent on the Edit Flag of that sub-right. Master Schedule Builder Course Offerings & Tally o Added filtering o Added Department column so if you filter the Whiteboard to a specific Department, you may also filter the Course Tally to that Department. Added an export to Excel feature to the Whiteboard. Added the ability to double-click on a section in the Whiteboard which will switch the Resources pane to the Sections tab and select the same section and also select that course in the Course Tally, bringing these panes into alignment with the double-clicked section. Export to Excel button In this view, on the Whiteboard Jim Ancona s LS21Y-1 (YR) section under the cursor has been double-clicked causing the Resources to show the selected Section and that section to be highlighted in the Course Tally. On the Resources / Teachers Tab, Teacher first name and Ident are visible in Teacher Drop-lists Added hotkey to Add button in Mass Add Sections Features & Functionality of Q Version 3.2 20

Changed the interaction between the resource views (Section/Teacher/Room) and Course Tally. Now when switching between the resource views using the radio buttons, you will remain on the same section. Previously, you could switch to the teacher tab and the teacher dropdown would default to the first teacher in the list (same idea with room view). Now the dropdown defaults to the teacher of the section you were just on, and selects the section that you were on in the previous resource view. If you are in the teacher/room resource view and switch sections, the selected course in the course tally will switch to the same course as that selected in the resource view. This change eliminates the perceived problem where the section in the resource view was a different course than that selected in the Course Tally, then when attempting to edit the section, it created a new section rather than changing the edited section. Master Schedule Manager Changed application to use new section size and TA size fields from Track Course (TRKCRS) table rather than the Course table. (See Track Course Setup screen shot below.) Added Meeting Pattern tab to enable creating and maintaining meeting patterns (also used by the master builder) for multi cycle day tracks. Added Placeholder teachers to the faculty select list (to the bottom of the list) when adding a new section and placeholder teachers exist for the track. Added permission driven tab for Placeholder Teacher Setup and maintenance. Features & Functionality of Q Version 3.2 21

Master Schedule Manager, Continued Changed the Add New Section view to allow selecting a meeting pattern to create the meeting records for multi-cycle day tracks. Added new preference to show all staff members in the faculty dropdown when adding or editing a section. Changed application to be summer school track sensitive. When logged into a track flagged as summer school, regular school year tracks will not be available. Features & Functionality of Q Version 3.2 22

Student Schedules Added ability to validate course requests against course prerequisites. Added ability to call Student Schedule Report directly from within Student Schedules application for the current student. Add display of Grade Restriction and Gender Restriction to Section Scheduler grid. Added optional ability to hide rows on Section Scheduler grid based on grade and gender restrictions relative to the current student. Added optional ability to use Teams when doing conflict checking on the Section Scheduler grid. Modify to make tracks whose summer school flag does not match the logged-in track non-editable. Add indication to request list that a request is an alternate. Modify to only show Team column on Section Scheduler grid if track has teams defined. Implemented adding requests from new Student Course Plan on Career Plan form. Modified Grad Status display to show rule name and whether overall rule is met or not. Modified to show textual result instead of credit result for tests, activities, and waivers. Implemented EasySched button on Section Scheduler form when scheduling requests. EasySched sets the section sort order to the default (number of sections per course, course code, seats available descending, and period) in Features & Functionality of Q Version 3.2 23

case user changed it and then automates selecting sections top down, each time picking the next one that does not conflict for an unsatisfied request. For a well-balanced master schedule, this usually results in a complete schedule for a student. This is not the loader and it does not take loader rules or section linking into account. It is an automation of a manual best-practice use of the section scheduler screen. The user is left to evaluate the result and make adjustments before submitting the result. Track Course Setup New application to replace both FrontOffice Course Assign and FrontOffice Course Selection applications. Scheduling Reports New Scheduling reports replacements for Legacy FrontOffice Reports of the same names: Grid Master Schedule Master Schedule Student Schedules o Student Schedule report may be printed for the selected student from within the Student Schedules application. School New Features & Functionality Mass Email Added Permission item to allow users with the permission access to other user s groups in the selection area. Added a new staff level preference to give users the choice of using either Student or Class Selection filter. See Mass Activities for more information. Classroom Editor A Lockers Tab has been added to mass associate a set of lockers with classrooms to support the ability to assign lockers by period based on student schedules. New permission items have been added for Classroom, Location, Time Period, and the new Lockers tabs. Features & Functionality of Q Version 3.2 26

Locker Editor Added Classroom field to the Locker definition. Added the ability to associate a classroom with a locker when adding or editing locker information and included it in the set of displayed fields. State Reporting CA Only Modified all CALPADs extracts to exclude Summer School tracks based on the Summer School flag in the Track Editor Track Definition. System Lookup Editor Added Print page capability to each of the tabs in Lookup Editor. Test Importer Modified to handle alternate line endings in data files. The application will now handle: CrLf, LfCr, Lf, and Cr. User Manager Modified to properly honor System: User Manager [StaffAdmin] permission item. Individuals with this permission will now be able to see the existing passwords, as well as other data, for non-system administrator staff. Features & Functionality of Q Version 3.2 27
