This document makes the assumption that the user is very familiar with the Administration of the current SumTotal 7.2 instance. Learner Mode 1 2 3 New and updated features on the Learner home page: 1) Expandable menu on left side Allows users quicker access to most of the features of the learner mode a. Search As before, this allows a user to quickly search the training catalog to find a course or curriculum. b. Messages Here, you can view reminders about upcoming training and other kinds of automated messages that SumTotal sends you (also accessible via the Learn drop-down menu at the top). Users can receive messages here even if they do not have an email address configured in the LMS. c. Quick Links Contains links to edit your profile and preferences, as well as links to manage aspects of your training. d. Favorites Displays categories, activities, etc. that users set as their favorites. 4
e. Calendar A basic calendar. The arrows next to the month and date allow users to scroll forward and backward by month or by quarter. f. Current Registration Displays the current registrations a user has. g. Complete Registration Displays completed course items. h. Pending Activities Displays courses and classes that a user is either on the waiting list for, or in which they have requested approval to take. i. Certification history Displays certifications previously acquired. 2) To Do Window Provides an easier way to access training and training options. 3) Catalog Provides a quicker way to directly access the training catalog. Training Transcript The training transcript has been updated to now allow it to be filtered to show a specific year, or allow the user to specify a date range. Also, the Print button has been replaced with an Export to PDF button that will open a new window and allow you to download a PDF version of the transcript. 5
Manager Mode New and updated features on the Manager home page: 1) The biggest change to the Manager home page is the exception report area. The radio buttons have been replaced with a drop-down menu that allows you to select between direct reports and viewable users. It also displays a graph that gives a quick visual aid in determining how many users have incomplete training. 2) A Provide Signatures link has been added to the shortcuts on the left side, as well as under the Learn drop-down menu under the title of Pending Signatures. 6
Administrator Mode New and updated features on the Administrator home page: 1) The Quick links on the left side have been trimmed down to remove several links. 2) The Learn drop-down menu has a new entry: Pending Signatures Takes you to a page where you can provide a signature for courses requiring it. 8
Audience Rules - Another change in the Administrator mode functionality is in audiences. There are now more rules that can be used to define who is included in an audience. These new rules are: User s duration is User s start date is User s duration in job is User s duration in organization is User s preferred language is User has completed learning activities User has not completed learning activities User s country is User s country is not User s state is User s state is not 9
Learning Activities Learning Activities have some new configuration options when in advanced view. 1) Registration Instructions A text field is now available in the Notes section of Properties to provide registration instructions to students. 2) Translated Properties A new sub group under the Properties section is available, and allows you to specify alternative languages to offer course names, descriptions, and registration instructions in. 3) Diploma template In the Grading and Completion section under Properties, you can now define the diploma template to use for a course. 4) Audience assignment A new option is available under the Management section called Audiences. In this section, you can assign training to an entire audience. 5) Express Interest Under the Properties group in the Status section, the option to allow students to express interest in a course is now available. This allows a student to easily notify their manager that they are interested in taking a particular course. The manager can then authorize or deny the request. 6) Content Replacement Under the General section of Web Based Training, you are given the option of replacing the content file for an existing SCORM course. This is meant as a way to make minor updates to a course,. When uploading the new file, remember that it must have the same name and structure. You are also required to enter a reason for the replacement file being uploaded. SCORM Uploads - The SCORM course upload page is updated to allow for multiple file uploads at one time, as well as setting some initial information about the course 10
