AOB No Agenda Action 1 Proposed to proceed to the first agenda Proposer: Lim Strahan Seconder: Low Choon Chye 2 NTU Fest Updates Ms Bess Tay Qi Wen went through the updates to the NTU Fest planning o The event will be held tentatively on the 19 th Aug, Saturday of week 1 AY17/18 o On 17th October, they had met with the Student Affairs Office and presented their plans. o On the 30 th November, they would be attending the CLC meeting to present a concrete idea to the senior management. o The schedule from there would be the concept and idea firming up by December, with the recruitment of subcommittee members and preparation from January to August. o Hall representatives added to the NTU Fest advisory group: Mr Alfred Farid, President, Tanjong Hall Mr Lee Cheng Shaun, President, Hall 2 2. 2.1 Proposed to proceed to the second agenda 2.2 Hall representatives added to the orientation workgroup: Mr Sean Soh Jia Wei, President, Hall 8 Ms Goh Voon Jin, President, Hall 14 2.3 Hall representatives added to the welfare standing committee: Mr Kalaichelvam S/O Ramdass, President, Binjai Hall Mr Muhammad Yamani Bin Abdul Rashid, President, Hall 6

3. 3.1 Proposed to proceed to the third agenda 3.2 Welfare Updates Ms Auginia Natalia presented on the welfare updates for campus buses Campus Buses o The campus buses have different starting and ending points and will be monitored to confirm if it does indeed solve the bunching issues. o She requested the Council to monitor and feedback if there is an improvement. o Baseride website GPS is not very user friendly so Graduate Student Council will help with an app and requests for assistance in developing the user interface. o The issue of stationary busses with their GPS turned on was also raised. Mr Johan Ezran asked about new red line bus stop at north hill halls. Mr Low Choon Chye replied that the Housing and Auxiliary Services does not want opposite bus stops due to safety issues and students rushing across the road. If they want opposite bus stops, they will need to justify the point strongly, so as to overcome the issues of safety and increasing the overall congestion. Mr Marsel Mauricius mentioned that one consideration to take note would be making stationery buses turn their GPS off is that buses may forget to turn it back on after. Mr Nicholas Lee suggested opposite binjai hall should be possible as there are other examples of bus stops with close bus stops opposite them. Ms Jolene Lee Wei Ling suggested that buses should stop at Crescent Hall bus stop. Mr Goh Yu Xian, Jayden presented on the welfare updates for development Academic Welfare o The academic welfare survey sent out through email o Mr Goh Yu Xian, Jayden requested that the council members encourage their members to do the survey. U-Care o U-Care initiative would be conducted to raise money for the Students Fund. o The slogan would be U-Care because we care. o Snacks and drinks would be placed in study rooms, Athena and Minerva. o A donation box will be set up for students to donate any amount they want. Mr Low Choon Chye presented on the welfare updates on food prices Food Prices o Mr Low Choon Chye had met with the Chief HAS Officer and discussed about food prices. Food in NTU is more of an ecosystem. There are cheap food and expensive food in NTU but students will tend to complain about the expensive food and not take as much heed to the cheap food. Their role is more to regulate the prices as the contracts are already signed. o They will come up with a list of cheap food in NTU and they will publish it to the students

Mr Gan Rui Yun mentioned that on the senior management side, the provost is aware of the food prices issue and the Prof Lok has been appointed to look into this. Prof Lok will form a task force to reassess the food prices and priorities and look into this issue and get more concrete evidence. Mr Gan Rui Yun would be meeting him soon and it is likely that the school would run a survey so encourage members to take part in it if it happens. 4. 4.1 Proposed to proceed to the fourth agenda 4.2 NTUSU OEP 2017 Mr How Yijie, Darren presented on the NTUSU OEP 2017. The NTUSU OEP 2017 will be from 2 nd to 8 th January and the planned location was Taiwan. This trip would be open to the Council and the aim of the trip will be to learn from and share with the student unions in Taiwan. 5. 5.1 Proposed to proceed to AOB Proposer: Lim Strahan Seconder: Gan Rui Yun 5.2 HASIC Meeting Mr Gan Rui Yun mentioned the HASIC meeting comprising of student representatives from the Council, Non-Constituent Clubs and Halls. In this meeting there was discussion about who should be promoted in terms of club tiering. The HAS forsees an oversupply of hall places. Mr Gan Rui Yun informed the council that they should prepare for a situation where there won t be this hall point system to incentivise members of clubs. 5.3 NTU Card Design Competition Mr Gan Rui Yun presented on the NTU Card Design Competition o The NTU Card Design Competition was organised by the Corporate Communication Office. o The purpose of the competition was to change the design of the card as they will be changing the card to an all-in-one solution. o NIE would also be included in the new scheme. o There were over 500 entries. o They had told the Corporate Communications Office that they did not consider a lot of factors. o The Corporate Communications office agreed to have a second contest run by NTUSU. o A student panel assembled with judges from every college and will shortlist 50 with every student entitled one vote through the CITS system. o Features of the design will be incorporated into the final design and not used wholesale as it will be touched up by professionals to ensure it fits into the requirements. o The designs from both competitions would be available for students to choose from when they matriculate or change their cards. o There would be a 500-dollar prize from the NTUSU budget for the winner and a lucky draw of Capitaland vouchers for the voters.

o The competition would be from 21 st November to 4 th December time was required for touch ups and judging. o Iconic buildings like the hive would not be chosen as there will be many more iconic buildings being constructed in NTU. Mr Gan Rui Yun reminded Council Members to encourage students to vote as it is a reflection of the student. Mr Gan Rui Yun stressed the importance in showing that students are represented and that their s will be heard and taken into consideration by the management. Mr Wesley Chan recommended that publicity materials be made for this competition. Mr Low Choon Chye mentioned that NTU students will want a common matriculation card. Mr Gan Rui Yun replied that they can push for it but the first step would be to ensure a strong turnout on the voting to show high representation. 5.4 10 minute toilet break Proposer: Goh Yu Xian, Jayden Seconder: Nicholas Lee 5.5 Resume meeting Proposer: Gan Rui Yun Seconder: Go Li Jia 5.6 Union Blacklist Ms Lynnette Chng Jiamin presented on the Union Blacklist. The Union Blacklist was a measure of the Union s disciplinary policy. Members placed onto this list would lose their role in their committee and be barred from joining any other NTUSU committees or constituent club committees. This is to prevent people from being irresponsible. Typically, 2 warning letters would be given before blacklisting Ms Lynnette Chng Jiamin invited the constituent clubs to share members for the blacklist. Mr Leonard proposed the end of the meeting. Mr Darren seconded the motion. The meeting was called to an end at 2219H, 7 th November 2016.
