SUMMER EXTERNAL EXAMINATIONS 2014/15 INFORMATION FOR. PARENTS AND. STUDENTS Mr F. EXAMINATION INSTRUCTIONS FOR STUDENTS Morning exams start at 9am Afternoon exams start at 1.15pm Please ensure you are in attendance 10-15 minutes before the start time of your exam. It takes time to get up to 250 students into the Sports Hall and into the right seats. There can be several different exams taking place at the same time. All Students Please line up in the correct place for your exam, as outlined on your personal timetable. You need to know exactly which seat and which room you will use for each of your exams. Not all exams take place in the Sports Hall. If you are in S3, or another venue, for an examination you should normally wait outside the room. If you have to bring a bag or coat it must be left at the front/rear of the room as instructed. You will find a card with your picture and name on the desk where you should sit. Examination Board rules state that you MUST be silent and face the front. If there is any communication between any students it will be assumed that you are cheating and will be treated accordingly. You must not talk until you have left the examination room. Late arrival for an examination disturbs others in the room and could delay the finish time of the examination for you. If you arrive more than 30 minutes after the start of any exam, Mr Baker will decide whether you will be able to sit the examination. The Examination Boards will have to be notified. Please ensure you allow enough time to get to school so if you are delayed for any reason e.g. traffic, you will still arrive in good time. If you miss an examination you will NOT be able to do it at a later time. You will have to wait until the next available exam season, which will be in the summer of the following year. If you are ill and cannot take the examination, you MUST telephone the school immediately and leave a message for the Examination Staff. You MUST provide a sick note from your doctor. Please see information later in this booklet. If you do not have a genuine reason for missing an examination you will be charged for that exam. All costs are detailed later in this booklet. Failure to pay may result in your results being withheld.

ACCESS ARRANGEMENTS Every year we make arrangements for those students who have special requirements. For example, some students are allowed additional time. You will have been told if any special arrangements apply to you and they will be on your desk card. It may be, on some occasions that you are in a different place for your examination. You need to check all details on our personal timetable carefully. IF YOU ARE NOT SURE ASK. PLAGIARISM / COPYING WORK You have been given an information sheet about the rules for coursework / controlled assessments. YOU sign to confirm that the work YOU are submitting is your own work. If you are found to have copied, you could be disqualified from all the examinations with that exam board. Remember: The work you submit for assessment MUST be your own. You must NOT copy from someone else or allow anyone to copy from you. If you use references you must put these in inverted commas and say where they are from in your bibliography. The school does not decide the penalty if you are caught cheating the examination board does! If YOU break the rules it could cost YOU all your exam results You should check all details on your Statement of Entry - which is issued in February - to ensure your personal details are correct. This is the information the Exam Boards use to issue your certificates. You must notify the exam office immediately if there are any discrepancies. Full school uniform must be worn by all Yr11 students attending school for GCSE examinations. Please do not write on examination desks. This is regarded as vandalism and you will be asked to pay for any damage.

Revision Plan Remember that it is essential to have a revision timetable. Liaise with your Head of Year/Tutor for individual advice. You will be able to create a personalised plan. Candidate Number / Examination Number You have a four-digit candidate number. This is the number you enter on examination papers. It will be the Candidate Number on the card on your desk. Your candidate number is important. Please learn it. Instructions for a fire alarm during an exam We hope there won t be any fire alarms during the examination period, however if it happens, these instructions must be followed in COMPLETE SILENCE - Exam rules still apply. 1. Should the fire alarm go off, firstly do not panic. Do not attempt to finish the sentence you are writing. Listen carefully to the invigilators instructions 2. You may be asked to leave the room in silence and in the order that you are sitting. Leave all equipment in the examination room. 3. When you leave the room you MUST be at least one metre away from the students in front and behind you. If you speak to any other student you will have to be reported to the exam board, and you may be disqualified from the exam. 4. From your examination room you will be taken outside to a suitable area. You will be told where to stand. You will have to be kept separate from the rest of the school. 5. When you return to your examination room, do not start writing until the invigilator tells you to do so. LISTEN CAREFULLY TO INSTRUCTIONS AND DO NOT PANIC

Internal Appeals Procedure We are committed to ensuring that assessment evidence provided by candidates is produced and authenticated according to the requirements of the relevant specifications for each subject. Where lessons are shared between staff, internal moderation and standardisation will mean that marking is fair across the teaching groups. If you feel that this may not have happened in relation to your work, you may make use of this appeals procedure. Note that appeals may only be made against the process that led to the assessment and not against the mark or grade submitted by the centre for moderation by the awarding body. What to do if you are ill on the day of an exam If you are ill and are unable to attend an examination it is vital you phone the school first thing in the morning (01943 608424) You should obtain a note from your doctor detailing the reason for non-attendance. We will submit this note to the Examinations Board to ask for special consideration. The Board looks at this in conjunction with other examination marks from the student in that particular subject. This sometimes enables the board to adjust the mark and grade accordingly. However if you have only completed assessments that account for less than 50% of the marks for that subject you will not receive a grade for that subject.. If you are feeling unwell, but still able to travel, you should come to the examination and we can assess the situation then. In most cases it is better to take the examination if you can. We will still apply for special consideration from the examination board. If in doubt PHONE THE SCHOOL If you fail to attend an examination without a valid reason you will be charged for that exam.

MOBILE PHONES & ELECTRONIC EQUIPMENT We cannot stress enough how important it is NOT TO BRING IN MOBILE PHONES OR ANY ELECTRONIC EQUIPMENT. No mobile phones or electronic equipment are allowed into the examination room. A breach of this rule means that the student will be disqualified from that examination and may be disqualified by that Examination Board from all their exams as they will assume you were trying to cheat. This does happen - Exam Boards enforce this rule very strictly. If students bring a mobile phone it should be TURNED OFF and handed in. It is the responsibility of the student to collect their belongings at the end of an examination. The school accepts no responsibility for loss or damage. If you choose to leave your phone in your bag it must BE TURNED OFF. If the phone sounds or vibrates you are breaking the rule. Students are not allowed to leave the examination room until the official end of the examination, that is, the time shown at the front of the room. Students must make arrangements for transport home at the end of exams. They should not rely on being able to catch the school bus (following afternoon exams.) Make sure that you know exactly when your exams are. Check whether they are morning or afternoon. All dates and times can be found on your Individual Seating Plan and the timetable on the school website. (Under Exams ) You need to make sure that you bring in ALL relevant items for each exam, e.g. a calculator for a Maths exam. No calculators will be supplied by school. Please make sure you also bring a black pen, pencils, eraser, ruler, sharpener and any specialist equipment needed e.g. protractor, in a clear pencil case or plastic bag. YOU ARE NOT ALLOWED TO USE TIPPEX, LIQUID ERASERS OR GEL PENS IN ANY EXAMS. You may highlight questions BUT you are not allowed to use highlighters in your written answers. You may bring still water in a clear bottle. No other drinks are allowed. All labels must be removed from bottles. Do not draw graffiti or write offensive comments on examination papers if you do the Exam Board may refuse to accept your paper.

Results IMPORTANT DATES A Level Results ; Thursday 13 th August 0930-1230 GCSE/BTEC Results: Thursday 20 th August 0930-1230 There are three options for collecting exam results; 1) You can collect in person (preferable) 2) Provide a stamped addressed envelope and we will post your results. 3) You can authorise (in writing) someone else to collect on your behalf (See authorisation form on Page 10) Please note the result slip you receive in August is NOT your certificate. Exam Boards issue Certificates in November. You will be invited to a presentation evening. If you are unable to attend, please ensure you arrange to collect your certificates shortly after presentation evening. Please be aware:- Exam Boards will no longer replace lost Exam Certificates, which you will need to show employers etc. many years from now. KEEP THEM SAFE Deadline for Priority Re-Marks & Photocopied Scripts : 2pm Thursday 20 th August (This is for A Level Exams only - normally where University places depend on the result) Deadline for requesting normal re-marks: 17th September Deadline for return of original scripts: 30 th September

COSTS Missing an AS/A2 exam unit: (Approx.) 20.00 Missing a GCSE exam unit: (Approx.) 15.00 *Cost of re-marks / return of scripts. This varies according to individual exam level; - i.e. A Level or GCSE. Details are on the attached enquiry pro-forma. (These may change slightly if the exam boards increase their prices) *If you do need to query the marks you receive for any of your exams you must first complete the consent form enclosed (Post-Results Consent Form). Please bring this to the Examinations Office with the correct payment. Please be aware that when requesting a re-mark of an examination paper your mark can go down as well as up or stay the same. **If you request an Original Script you may NOT subsequently request a re-mark, but you can order both at the same time (prior to 17 th September) However you can request a re-mark if you requested a photocopied script ( Priority AS/A2 units only). Cost for re-sitting GCSE / A level Exams. This varies slightly every year so you must check the exact fee. The fee must be paid before your entry is made. (Summer exam entries are made in February each year as exam fees double after the entry date) All payments should be made via Parent Pay, although cash and cheques are acceptable. Cheques are to be made payable to Ilkley Grammar School.

Important! Unexpected results It is very distressing to find on results day that you haven t achieved the marks you expected and your University / 6 th Form / College place is in jeopardy. Although we all hope this will not happen to you, unfortunately every year a small group of students fail to achieve their expected results and urgent action has to be taken to try to resolve whatever problems arise as a result. Staff are available to help students - in attendance on results day - who did not get their expected grades and need help and advice. Please Note; Exam results days are very busy for staff and students. We cannot deal with phone calls or e-mails. YOUR RESULTS ARE IMPORTANT ; YOU SHOULD MAKE EVERY EFFORT TO ATTEND Post Results enquiry forms are on the following sheets. The form must be signed by the student. Different dates and costs apply to A Level and GCSE exams, please use the correct form for any application you want to make, and please be aware we cannot make any applications until payment is made including on results day (if your results are unexpected ) be ready to take urgent action if it becomes necessary. (Re-marks cannot be requested without your signed authorisation) After priority requests (A Level only) on results days, all other enquiries about results can be made when school reopens.
