Attendance Information for Part time Faculty Division of Mathematics Revised August 2018 Student Attendance Accurate records of class attendance should be kept throughout the semester. Rolls must be verified daily near the beginning of the semester and occasionally throughout the semester thereafter. Students who have not attended must be reported to the registrar. Students who do not withdraw but quit attending before completing at least 60% of the course are assigned an F$ rather than an F. The grade distinction is important in regard to financial aid eligibility. When assigning a grade of F$ at the end of the semester, instructors must input the date last attended by the student into SCORE. Faculty Attendance Instructors are expected to be present for each class session. In the event of an emergency which makes class attendance impossible, the appropriate campus dean (please see attached list of phone numbers for each campus) as well as the administrative secretary for mathematics, (math@highlands.edu or 678 872 8099) should be notified. Campus administrative personnel are responsible for placing a sign on the classroom door to notify students of the cancellation. Students should also be notified by GHC email or through a posting in the GHC learning management system (BrightSpace). For non emergency absences, please contact the Mathematics division as far in advance as possible. Every attempt will be made to cover the class with other GHC faculty or design assignments for the affected students. Any substitute instructor must be approved in advance by the academic dean. Behavior At times it is necessary to deal with disruptive student behavior. In most cases the instructor is able to handle these situations. However, there are occasions on which the help needed for the student goes beyond what the instructor can provide. Student Life and Student Support Services representatives, as well as site specific CARE Teams and professional counselors, are available to assist students and faculty. Please discuss any issues when they appear with the academic dean. If a behavior issue rises to the level of outside intervention or if you feel a student needs support beyond the level you feel comfortable providing, consider filing a CARE Ticket (https://intranet.highlands.edu/general information/generalinformation/general forms/care/). If the behavior creates a threatening situation to you or your class, please contact the security office for the campus you are on and then contact the academic dean.

Part time Faculty Information, Fall 2018 2 Classrooms Classrooms are assigned by the campus deans and their administrative personnel. Please do not change the location of your class without first consulting the academic dean and the campus dean. Copying/Printing The faculty ID card is used to access the copiers and printers. Each part time faculty member will have money placed on their card for copying and printing each semester. Copying and print charges are assessed at $0.10 cents per copy. Card balances are shown when copies are run. Please notify LaTascha Echols at lechols@highlands.edu or 678 872 8099 if additional funds need to be added to the card during the semester. Coordinator Kelly Shane (kshane@highlands.edu) serves as mathematics coordinator. He should be contacted with questions about GHC academic policies, course content, syllabi, instructional materials, etc. Disabilities Support Students with disabilities are required to self identify in order to receive services. Route students requesting accommodations to Student Support Services (see contact information below). If Student Support Services has or receives the needed documentation, accommodations specified for a particular student are provided to the instructor in writing from Student Support Services by the student. Instructors should work with Student Support Services to provide students with the approved accommodations. Part time Faculty Information, Fall 2018 3 Early Warning Program Georgia Highlands College requires that all faculty members report their students' progress throughout the course of the semester as part of the institution wide Early Warning Program (EWP). The objective of the program is to support academic success by reviewing early indicators of satisfactory student progress. In accordance with EWP, faculty members provide the Registrar's Office with academic reports of each student enrolled in their course(s) at checkpoints staggered throughout the semester. The following success factors are reported at their corresponding checkpoint: For Full term courses: Week 2: Notification of Non attendance ATD or NA. Week 6: Satisfactory or Unsatisfactory Progress Please consult with the academic dean for reporting dates for other term lengths. Please note: An email with the specific due dates for above notifications (non attendance and Satisfactory or Unsatisfactory Progress) will be sent by the Registrar s office at the beginning of each semester. Students reported as non attending will be deleted (administratively withdrawn) from the class roster. Evaluation Course Evaluations by Students Towards the end of each semester, students are sent instructions for how to complete course evaluations online. Links to the evaluations are sent to students GHC email account from the Office of Planning, Assessment, Accreditation, and Research. After grades have been turned in, a summary of the evaluations is sent to the instructor and to the academic dean. Evaluations are screened and taken seriously by academic deans. Using feedback from student evaluations, instructors should engage in a process of continual instructional improvement. Faculty Evaluations/Classroom Observations Academic deans or division coordinators perform classroom observations of part time faculty. A copy of the classroom visit form is available online. Expectations The normal functions associated with teaching any course (preparing syllabi, keeping accurate records, providing feedback, evaluating students, etc.) are the same for part time faculty members as they are for full time.

Part time Faculty Information, Fall 2018 4 Part time faculty also participate in the assessment of student learning outcomes by administering certain questions to their students. These are provided by the facilitator of the appropriate assessment team towards the beginning of the semester. Part time faculty are expected to use their Georgia Highlands email accounts. Please check the account frequently. Part time faculty members are expected to provide the full amount of instructional time designated for a course. Changing the beginning or ending time of a class or the days classes are scheduled to meet is not permitted. FERPA (Federal Educational Rights to Privacy Act) Only directory information can be released for students. GHC defines directory information as: name, date of birth, enrollment status, dates of enrollment, degree earned, major, honors and awards, and address Information about grades should be given privately only to the student. If parents or other concerned parties contact you requesting grades or other information about a student s situation, forward the request to the registrar s office or the appropriate dean. Do not release non directory information to anyone or in any form, other than privately to the student, without express authorization from the registrar or the appropriate dean. Final Exams A final exam schedule has been determined before a semester begins. Please adhere to the published schedule. Any deviation must be approved in advance by the academic dean. If an individual student has three or more final exams scheduled on the same day, then one of the exams may be rescheduled for a different time. Grades

Part time Faculty Information, Fall 2018 5 The deadline for turning in grades is determined before the beginning of the semester. Grades are submitted online using SCORE. All reporting dates, including the date final grades are due, are circulated by the Registrar s office. In addition to final grades, instructors are required to report attendance and satisfactory or unsatisfactory academic progress under the Early Warning Program. (See page 8) In the event an error has been made in reporting a final grade, the instructor must file a Grade Change Form. Contact LaTascha Echols, Kelly Shane, or Melanie Largin for assistance. See the on line college catalog for a listing of letter grades that may be given. In most courses, assigned final grades can be A, B, C, D, or F. In the two learning support co requisite support courses (MATH 0997 and MATH 0999), a grade of D or I cannot be awarded. History of the Institution Founded in 1970 as Floyd Junior College, a two year unit of the University System of Georgia Current sites include Floyd County (Hwy 27 South, Rome), Heritage Hall (Downtown Rome), Cartersville, Marietta, Douglasville, and Paulding County (Dallas) Approval was given in spring, 2011, to offer a completion program for students with two year nursing degrees to be able to earn a bachelor s degree. Thus, Georgia Highlands College moved from two year status to classification as a state college. Identification Card The faculty ID card is sometimes referred to as a Charger Card, since the mascot for GHC is the charger. The ID for new part time faculty can usually be made at the part time orientation. The same ID is used for semesters thereafter. The card is required for printing or copying at all campus locations. It is also required to access certain areas of college, such as computer rooms at some campus locations. Faculty teaching at the Marietta Campus also need a Kennesaw State University ID card. Marietta site personnel will assist with this process. Information Technology Help in resolving IT issues can be obtained by emailing rt@highlands.edu.

Part time Faculty Information, Fall 2018 6 Library Librarians are happy to provide pertinent information for classes and tailored to the specific instructional needs. At least one week s notice should be provided in order to allow time for class preparation. The instructor of a class should always be present when the librarian provides instruction. Librarians are not to be seen as substitute instructors, and they are not to be asked to grade papers. Mail A mailbox will be set up for part time faculty members at the sites at which the faculty members teach. Check with the administrative secretary for the division or the administrative secretary for the site to find the location of mailboxes. A regular schedule has been established for courier services among sites. The administrative assistants can provide information about the schedule. Meetings Other than part time orientation once a year, part time faculty members are not required to attend faculty meetings. However, part time faculty members are always welcome to attend division meetings and will be included in emails reminding faculty of those dates as they approach. Office Space Each campus location offers a designated area for part time faculty to work or meet with students outside of class. Academic or campus deans can provide more information about what is available at each location. Parking A GHC parking permit (hang tag) is required for parking at all campus locations except Marietta. A current year GHC permit can be obtained during the part time faculty orientation. Parking at the Marietta site is more complex. Faculty teaching in Marietta must obtain a parking permit for Kennesaw State University. Marietta site personnel will assist with this process. Pay The current rate of pay for a 3 semester hour course is $2200 for instructors holding a Master s degree and $2250 for instructors holding a PhD. Pay for a 2 semester hour class is 2/3 of this rate, and pay for a 4 semester hour class is 4/3 of this rate. Paychecks for full session (15 wk. terms) are issued in four installments each semester. For fall semester checks are issued at the end of September, October,

Part time Faculty Information, Fall 2018 7 November, and December. For spring semester checks are issued at the end of February, March, April, and May. Scheduling Classes Academic deans design a schedule of divisional classes based on projected enrollment, past enrollment data, needs at various campuses, etc. As needs for part time faculty are identified for a given semester, part time faculty are contacted via email about classes available for the upcoming semester. Throughout new student orientations and registration, a close watch is kept on enrollment numbers to determine whether new sections need to be added or existing sections need to be cancelled. Decisions regarding class cancellations or additions due to fluctuating enrollment could be made as late as the first week of class. Please remain as flexible as possible throughout the staffing process. Academic deans or their designee notify affected faculty when a class is cancelled or reassigned to full time faculty member. Separation Notices The University System is required to send Separation Notices to all part time faculty members at the end of the semester, even if the faculty member will be returning the next semester. This is in relation to unemployment law, although part time faculty would not be eligible to draw unemployment. Receipt of the separation notice does not indicate whether a part time faculty member will be teaching again the next semester. The schedule for the following semester would probably have been determined by the time the part time faculty member receives the separation notice, so the instructor would know whether a class had been offered. While the schedule is subject to change even after classes start, instructors would know by communication with the academic dean whether to expect a class to be available for them teach. Supplies The mathematics administrative assistance, LaTascha Echols, will send supplies to the campus sites as needed. She will send a box or envelope of markers, pens, chalk, folders, or whatever supplies are needed upon request from the individual faculty members. (Note: The math supply cabinet is located in Office W 344 at the Floyd campus.) Syllabi Syllabi should follow the format required by Georgia Highlands College. At the beginning of the semester, an electronic copy should be provided to the administrative assistant, LaTascha Echols, via email (math@highlands.edu or lechols@highlands.edu ).

All students must be provided with a copy of the syllabus, either as a printed document or an electronic document. Faculty are encouraged to post their syllabi in the college s learning management system, BrightSpace. Copies of syllabi are retained for accreditation purposes as well as to deal with questions from students. In the event of a grade appeal or any kind of student complaint, a well written syllabus is quite valuable. Faculty teaching learning support courses distribute a copy of learning support policies to students and collect a confirmation (signature sheet) from students, verifying their receipt of the information. Completed signature sheets are forwarded to LaTascha Echols via intercampus mail. Teaching Load Part time faculty members in the University System of Georgia are not permitted to work more than half time. Part time instructors who are not TRS retirees are limited to a maximum of seven semester hours per semester. Teacher Retirement System retirees are limited to a maximum of seven semester hours fall and spring terms and four semester hours in summer. These limitations include loads at other University System of Georgia institutions. For example, a parttime instructor could not teach six hours for Kennesaw State University and six hours for Georgia Highlands College. Part time instructors are required to file forms each semester to update information about retirement status and work load across the USG. Testing Centers If there is any need for proctored testing for any courses (example: online, hybrid, etc.) please use the following contact information: testing@highlands.edu or 706 295 6318 Texts/Instructional Materials The division decides collectively what instructional materials will be used. Individual instructors do not choose instructional materials required for a course. Students may look up information on required materials using the quick link to the bookstore from the Georgia Highlands webpage. A faculty member can obtain a desk copy of the needed text/materials by contacting the administrative secretary (math@highlands.edu or 678 872 8099).

In addition, a notification system (GHC Notify, https://sites.highlands.edu/information technology/it help center/ghc notify/) has been set up which will provide automated calls as well as email notices. This system can be accessed from the GHC webpage. Weapons Policy: Information about Campus Carry available at the following link: https://www.highlands.edu/campus safety/campus carry information/ Withdrawals A student may withdraw without penalty (receive a W for course grade) until around midterm. Withdrawal dates for each part of term are established by the Registrar and provided before the beginning of each semester. After the withdrawal date has passed, the only recourse for being able to drop without penalty is to obtain a hardship withdrawal.
