Our ref: Faculty of Medicine, Dentistry & Health Sciences (M501) CONDITIONS OF AWARD Overseas Biomedical or Clinical Fellowships Medical Research Fellowships based at The University of Western Australia UWA Medical Research Fellowships are tenable only at The University of Western Australia or, in the case of UWA Fellows based overseas, at institutions approved by the Faculty of Medicine, Dentistry and Health Sciences Scholarships and Fellowships Committee, such as teaching hospitals, universities and research institutes. A report from the Supervisor indicating that facilities and services will be available to the Fellow must be received by the Faculty Office prior to the award of a Fellowship. TIMING OF FELLOWSHIPS A Fellow must take up the Fellowship in January of the year for which the fellowship was awarded or, where special permission has been granted, to do so within twelve (12) months of the offer of award. Commencement remains subject to relevant ethics clearances being obtained. Any awardee of a Fellowship, who does not reply to an Offer of Award by the date specified in the letter of offer will forfeit the Fellowship in favour of a reserve candidate. The holder of a full-time award may apply to work part-time, between 50-70%, for genuine personal reasons, such as child-care, caring for family members, or incapacity. However the period of the award may not be extended. FINANCIAL ADMINISTRATION Payment of funds shall be made upon the terms and conditions and in the manner from time to time determined by the Faculty. Unless otherwise specified, payment in respect of Overseas Fellowships will be made in three moieties, based on the stated milestones in the letter of offer (including salary and allowances). Salary packages (a) (b) (c) (d) (e) (f) Salaries at UWA will normally commence at the top three points of Level A and will be dependent upon qualifications and postdoctoral experience. Fellows are entitled to an annual increment. On-costs are included in the salary package for payroll tax and workers compensation insurance. Superannuation Guarantee Contribution (SGC) is included for Research Group Based or Seeding Fellowships (not Overseas Fellows) The salary payable to Fellows is taxable. Salaries provided to Overseas Fellows will normally be paid at the first three points of Level B plus Clinical Loadings for medically qualified fellows. Taxation arrangements are the responsibility of the Overseas Fellow. Travel Allowances for Medical Research Fellowships Overseas The following allowances are provided to Overseas Medical Research Fellows: 1.Travelling Expenses A maximum of $5,000 towards the cost of air fares for the Fellow and dependants will be provided for direct travel to the overseas institution - $2,000 L:\Student administration\scholarships\medical Awards\Forms and advice 3

for the fellow and dependant spouse, $500 per child to a maximum of $1,000. Where the applicant is overseas at the time of application no airfare will be paid. 2. Conference Travel Allowance A travel allowance may be awarded to attend conferences or to visit colleagues in other universities or research in institutions. (iii) Written applications should be submitted to the Manager (Student Affairs) through the Head of Discipline or School. Applications must outline the purpose of the proposed travel; its relevance to the awardee s research programme and be endorsed by the Head of Discipline concerned. Grants will provide a return Economy Class airfare and a per diem of $60 to a maximum value of $1,000. Conference/course registration fees, bench fees and the like will not be provided. Award holders will be eligible for ONE travel grant for each year of tenure. No other allowances are payable. Allowances for Medical Research Fellowships at The University of Western Australia The following allowances are provided to Medical Research Fellows based at The University of Western Australia 1. Supporting Research Costs During tenure of a Fellowship at in The University of Western Australia, an allowance to a maximum of $3000 may be made for expendable or minor equipment essential to the research program of the research fellow. Written applications should be made to the Manager (Student Affairs), Faculty of Medicine, Dentistry and Health Sciences through the Head of Discipline or School. Applications must provide details of the consumables/equipment to be purchased and a written quotation provided where possible. The relevance of the requested funds to the fellow s research program should be clearly indicated. (iii) It is normally expected that award holders will be part of an existing research team within a school or discipline and that provision has been made to adequately fund the fellow s research program. Accordingly, heads of schools or disciplines are required to provide a supporting recommendation justifying the need for additional funds for consumables and/or minor equipment. (iv) Grants are made to the administering discipline or school and will make provision for up to a maximum of $3,000. (v) Fellows will be eligible for ONE supporting grant during tenure of their research program. Fellows in receipt of a two-year fellowship will not be eligible for an additional supporting grant in the second year if one has already been claimed. (vi) All items of equipment purchased through a UWA Medical Research Fellowship remain the property of the administering discipline or school. TERMINATION OF A FELLOWSHIP Notwithstanding any other condition, the Faculty of Medicine, Dentistry and Health Sciences may, at any time and upon such notice and subject to such conditions as it may in its discretion decide, terminate a Fellowship in any of the following circumstances: if, in the opinion of the Faculty, the research for which the Fellowship is approved is not being carried out with competence, diligence, scientific honesty and appropriate ethics approval as specified in the application; with six months' notice on the grounds of permanent incapacity, inefficiency or misconduct* on the part of the Fellow, provided always that, before terminating any award under the provisions of this clause, the Faculty will investigate the grounds for termination and consult with the Head of Discipline or School, inform the Fellow concerned in writing and with reasonable particularity of the substance of the alleged grounds for termination and, unless by reason of ill health, he/she is incapable of making any submission, allow that person a reasonable opportunity to make submissions in writing or to appear in person in relation to the matter. *This includes scientific misconduct or fraud, or failure to conduct the research in accordance with the National Statement on Ethical Conduct in Research Involving Humans, the NHMRC/AVCC Statement on Research Practice, the Australian Code of Practice for the Care and Use of Animals for Experimental Purposes or the NHMRC Policy on the use of Non-Human Primates in Medical Research where appropriate. ADDITIONAL EARNINGS Fellows with or without medical or dental qualifications, shall not be entitled to engage in professional work for additional remuneration unless: (iii) additional remunerative work is only undertaken with the permission of the Faculty of Medicine, Dentistry and Health Sciences and the Fellow's supervisor; the work carried out under this entitlement is related to the broad area of their research activities; or where clinical sessional work is essential for maintaining and enhancing clinical skills In circumstances other than the above, Fellows are not permitted to accept any position, involving the receipt of additional income incurred by personal exertion, unless the Faculty of Medicine, Dentistry and Health Sciences Scholarships and Fellowships Committee has approved, in writing, a specific request to vary this condition. SALARY LOADINGS Salary loadings are applicable to all UWA Medical Research Fellows with registered medical or dental qualifications, whether or not they perform any clinical duties. The Faculty will supply all Funds for these loadings on the following basis: (iii) the level of loading payable to medically qualified Training Fellows who do not engage in clinical duties will be at 50% of the UWA Clinical Loadings. This level of loading will be paid irrespective of the department or discipline in which an individual works, or the nature of his or her duties. where Fellows with medical qualifications are responsible for patient care within the institution in which they are working, the Faculty will pay the full clinical loading. in the case of staff with dental qualifications, dental loadings, equivalent to half the medical loading, will be payable on the same basis. ADDITIONAL AWARDS In order to maximise medical research funding within the Faculty of Medicine, Dentistry and Health Sciences at The University of Western Australia, Medical Research Fellows in receipt of UWA based medical research fellowships will be expected to apply for, and accept, other awards during the tenure of a UWA Medical Research Fellowship. Continuation of a fellowship into the second year of a two-year fellowship will be contingent upon receipt of an Interim Report and evidence that a fellow has applied for alternative funding. The acceptance of another award will result in an obligation to relinquish the UWA Medical Research Fellowship irrespective of the value of the award, its nature and its relationships to the content of the Fellow s research programme. Fellows will not be eligible to apply for, or hold, two consecutive UWA based Faculty Medical Research Fellowships. RECREATION LEAVE Fellows shall be entitled to recreation leave in accordance with the conditions applying in The University of Western Australia. All leave due shall be taken prior to the termination date of the Fellowship. SICK LEAVE AND MATERNITY LEAVE Fellows shall be entitled to sick and maternity leave in accordance with the conditions applying in the institution, however sick and maternity leave will be taken within the term of the fellowship. LONG SERVICE LEAVE, STUDY LEAVE No allowance for Long Service Leave has been included in the Salary Packages. CLEARANCE REQUIREMENTS Research at The University of Western Australia For the UWA based Fellowships, clearances for research which involves Human experimentation, Animal Experimentation or use of radioactive substances, ionising radiation, recombinant DNA, potent teratogens or carcinogens must be obtained from the appropriate Ethics Committee and/or Bio-safety Committee prior to any funds being released. Research at an Overseas Institution For the overseas based fellowship the Supervisor of the Fellow is to provide evidence that the research is being conducted according to accepted international ethics standards and has been approved by the appropriate institutional ethics committee/s. REPORTS Fellows based overseas shall submit to the Manager (Student Affairs) a Final Report prior to the expiry of the fellowship or forfeit 10% of the final payment. Fellows based at The University of Western Australia will be required to submit an Interim Report using the form provided at the end of the first year on work undertaken together with evidence of applications to external funding bodies to L:\Student administration\scholarships\medical Awards\Forms and advice 7

ensure funding into the second year. Fellows will be required to submit a Final Report using the form provided after the completion of the second year, and within 3 months of the anniversary of the commencement of the award. A list of all publications resulting from the Fellowship should be appended to the form. The Faculty shall have the right to publish, or use in such a manner as it sees fit, any such report in whole or in part, provided due acknowledgment of the source is made. The supervisor must complete and co-sign the appropriate section of the Interim and Final Report forms. ACKNOWLEDGMENT OF FINANCIAL SUPPORT All publications or discussion of results achieved from research carried out with the assistance of a UWA Medical Research Fellowship shall state prominently that the work has been supported by a UWA Medical Research Fellowship and the Faculty of Medicine, Dentistry and Health Sciences. INTELLECTUAL PROPERTY Intellectual property resulting from research normally belongs to the administering or host institution. The Responsible Officer and/or the Supervisor must immediately notify the Faculty of Medicine, Dentistry and Health Sciences of any patentable discoveries, inventions, processes or improvements arising from a UWA Medical Research Fellowship.
