Last Day of Grading Period (Grading Cycle): Quarter 1 September 14, 2016 (Middle/High Only) Quarter 2 November 16, 2016 (Elem) Quarter 2 November 18, 2016 (Middle/High) Quarter 3 February 8, 2017 Elem, Middle, and High) Quarter 4 April 27, 2017 (Middle/High Only) Make sure you are in the correct Quarter before proceeding. Step 1 Monitor Your Interim Posting Report The Interim Posting Report displays teachers who have not posted final grades. The report is broken down by Course, Section, and Periods and should be monitored regularly during the interim posting window. 1. Click the Reports tab. 2. Select District Reports. 3. The district reports window will display. 4. Select the Report Cards folder in the left navigation area. 5. Select Interim Posting Report 6. Select the Quarter to process. 7. Click Run Report. 8. The Interim Posting Report will display. Interpreting the Interim Posting Report: Click to select the grading quarter Click to run the report Click to access the report Teachers that have NOT submitted interim grades Once a teacher submits grades via post final grades for all students in a particular course section, the teachers course section will automatically drop from the report. Reminders: Make sure the current quarter marking period is highlighted/selected. The Grade Posting window dates are indicated at the top of the report. Once the time indicated has passed, teachers will be locked out from posting grades. Pay attention to sections that were possibly marked grade eligible by mistake. Page 3 of 8

Step 2 Post Grades for Absent Teachers In the event a teacher is absent or for some other reason is unable to post their own grades, you can post grades for the teacher by using Post Final Grades. Consult with your Administrator prior to posting grades in the absence of a teacher. DO NOT PROCEED until you receive direction from your Administrator. To post grades for a Teacher, from Post Final Grades: 1. Click the Users tab. 2. Select Post Final Grades. 3. Search and select the teacher. 4. The Post Final Grades screen will display. 5. Use the Course pull-down under Post Final Grades- Teacher Program to select the grade level course. 6. Select the correct Interim grading term (i.e. Interim 1, 2, etc.). 7. Select or enter grades as needed. 8. Click the Save button to save the manually entered grades. 9. Choose another course from the pull-down if applicable and repeat the above steps. Although multiple fields have a default value, you will need to click the save button to submit the grades. Grade Level Course When selecting the grade level course, you will only need to edit the Conference Requested column. The conference requested column will default to NO and you will only select YES as needed. This will populate the Conference Requested field on the interim. Click to select another course section Select the current grade marking period IGNORE this column Select save to submit Select yes if conference is requested Course Section When selecting the course section, you will only need to edit the student progress column. The student progress column will default to YES and you will only change as needed. Select to see all students that meet the criteria YES selected NO selected Page 4 of 8

There is no need to enter anything in the Percent & Grade column. This field is not used for interims and should remain blank. Note: The teacher s portal alerts will remain for the interim period because there is no final grade (Percent & Grade), only custom fields are submitted. Disregard the alert if you have submitted and saved for that section. Teacher Comments When entering teacher comments, you will need to access longer comments via Final Grades, GPA, & Class Rank. You will not be able to enter comments via the Post Final Grades screen. Only teachers can enter comments via Post Final Grades. To enter comments: 1. Click the Grades tab. 2. Select Final Grades, GPA, & Class Rank. 3. Search for and select the Student. 4. Select the proper interim (i.e. Interim 1, 2, etc.) tab. 5. Click Long Teacher Comments over to the right. The teacher comments window will display. 6. Make edits or enter as needed. 7. Click Save. The comment window will automatically close. 8. You have entered/updated comments for that student. Note: Comments entered in this manner automatically update comments in the teacher gradebook. Select the proper interim grade period Select to view comment code legend Click to enter teacher comments Enter teacher comments Click to save comments Note: This is not where you enter grades. Step 3 Print Interims The CCPS Reporting Services application will be used to generate and print interims for Elementary grade levels only. Once all interim information has been entered, you can begin the printing process. Accessing Reporting Services: 1. Click the FOCUS Report Cards link on your desktop. Note: If the Report Cards link is not present, use the following URL: https://report.focus.collierschools.com/reports/browse/ 2. The Reporting Services application window will display. Click to navigate between folders Single Sign-On Click to navigate to next section of folders This application is single sign-on and dependent upon whomever is logged in on the computer. Accessing Interims: 1. Click the Report Cards icon. 2. Select the ES Report Cards folder. When the Elementary school folder is selected, a folder for each grade level pertaining to report cards will appear. There will also be an interim folder present. 3. Select the Interim Reports folder. 4. The ES Interim Report icon will display. Note: Interims are printed in batch format and in English only. There are no translated interim templates. Only comments may display translated because the teacher manually translated them upon entering. Generating Interims: 1. Select the ES Interim Report icon. 2. You will need to select each grade level and print/download accordingly. 3. Select your school from the drop-down. 4. Select the grade level from the drop-down. 5. Select the interim quarter from the drop-down. 6. Click view report. 7. The set of interims will generate and display at the bottom of the screen alphabetically by teacher and student last name. DO NOT PRINT from the PDF viewer. Print from the downloaded PDF file. Page 6 of 8

Downloading Interims: 1. Click the Export icon. 2. Select PDF. 3. The save as window will display. 4. Choose a location, name the document. 5. Click save. 6. The PDF file will download and appear in the bottom left corner of the screen. 7. Click on the file to open. Page 7 of 8

Searching Document Content A quick way to locate a specific interim (i.e. student, teacher, etc.) is by searching the PDF document content. 1. Press the Ctrl + F key on your keyboard simultaneously. A search box will display in the upper right corner of the screen. 2. Type the student ID number or teacher name (last name, first name) you want to search for in the search box. 3. Press Enter. Use the small left and right arrows in the blue search box to skip to the previous or next instance of the specified keyword/phrase. Step 4 Understanding the Interim Template Understanding and Interpreting the elementary interim template is key to be able to identify where information originates and where it is placed on the interim. 1. The date on the interim will default to the quarter interim period end date. 2. Absent = Displays absences for the interim grading period. 3. Not Present Full Day = Displays tardies for the interim grading period. 4. Conference Requested displays what was selected in post final grades in the grade level course section (period 00). 5. Satisfactory progress displays what was selected as Yes in post final grades for the course section. 6. Area(s) of concern displays what was selected as No in post final grades for the course section. 7. Teacher Comments displays what was entered by the teacher in the post final grades or final grades, gpa, & class rank longer comments section for the course section. Page 8 of 8
