MyEducation BC Lesson # 5 Cross Enrolling Students / Removing Cross Enrollment / Transferring Student within District Cross-Enrolling In MyEducation BC, there are two types of students at a school: Primary students and Secondary students. This does not refer to the grade level of those students, but rather what school is the main school the student is attending. A student at their home school is considered to be a Primary student there. A student at their Cross-Enrolled school is said to be a Secondary student there. These terms will show up throughout the application, so be aware of their meanings. To enroll a secondary student into your school: Click the Student top tab then select Options menu, and select Create Secondary School Associations. 1
The Create Secondary School Associations wizard appears. Select the District year for the cross-enrollment. Enter the Start date and End date that the student will attend the secondary school. These will default to the start and end date of the school calendar. Enter the Last name, Gender, and Date of birth for the student. These are mandatory. Click Search. A pop-up lists the student s name, some demographic information, and contact information for the student s primary school. Select the student from the list if there is more than one choice and click OK. 2
The student should now appear in the Student list under the All Active Students filter with a Cross-Enrollment icon in the Alerts column. Indicates the student s Primary School 3
Removing the Cross Enrollment You do not withdraw a student who is cross-enrolled to your school you simply end the Secondary School Association. Click the Student top tab. Click the checkbox beside the student s name, and click the Membership side tab. Click the Schools sub-side tab. 4
Click the blue, hyperlinked name of the schools whose association you wish to end. Update the End date to when you wish to remove the student from the secondary school. Note: If you choose today s date, the student will remain in your secondary school s student list until midnight. As well, the Secondary School alert will remain until that time. If you wish the student to be removed immediately, and the alert to disappear, enter a date prior to the current date. Save the record. Your student will now be withdrawn from their secondary school. The record will remain in the Membership side tab > Schools sub-side tab for historical purposes and the transcript will remain intact. 5
Transferring a Student within the District (Push Transfer) The school Principal and Vice Principal, as well as the Administrative Assistant, will have the ability to transfer a student from your school to another school within the district. Principals and Vice-Principals will likely be involved in the transfer process. Transferring School: From the Student top-tab, find the student you want to transfer out of your school and click on their name. From the Demographics tab, middle section on the right, click Transfer pending checkbox and select the name of the school the student is moving to. 6
Click Save on the top left above the Demographics tab. Accepting School: To accept a transfer - from the Student top-tab. Go to the Options menu, Registration, Transfer Student. 7
The Transfer Student dialog box will appear. Click the magnifying glass to see a list of students waiting to be transferred to your school. Select the student by clicking on the radio button next to the students name and then click OK. 8
Enter the Date of the transfer (will copy over to the Date for Entry), the Code and the Reason. Clicking the magnifying glass will give you a list of the available Codes and Reasons. Click OK to confirm the transfer. Enter Code and Reason only if you ve been given the correct information from the withdrawal school. 9
