2 Executive summary The aim of this deliverable D6.4 Final Plan for the use and dissemination of the knowledge is to present the updated future plan for dissemination and exploitation of the project results. The deliverable is the follow-up for D6.2 Interim plan for the use and dissemination of knowledge, which reported on the different dissemination plans prepared by the national associations participating in the project. The exploitation and business plan prepared by BIPAVER will also be discussed in the deliverable. Also the achievement of the project consortium in terms of dissemination of the project vision, ideas, and results till to date will be summarized in this document. 2/18

4 1 Introduction Purpose and Scope of the Dissemination plan The ReTyre Final plan for the Use and Dissemination of knowledge is prepared to give a comprehensive overview of the communication, dissemination and exploitation actions of ReTyre; as well as to report on the project dissemination objectives, targets, strategies and tools planned for the future (after the end of the project). The communication, dissemination and exploitation activities are crucial for the execution and the success of every projec. Many different actions have been undertaken in the past 30 months in order to promote and present the project, this deliverable (together with D6.2) will report on this. This Plan also describes the role of the partners within the project activities and in general it will serve as a guideline for the partners in relation to future dissemination actions towards the general audience and beyond the Association and SMEs directly involved in the project. The document is structured in the following manner: 1. Chapter 1 provides in brief, the purpose and scope of the Plan 2. Chapter 2 gives a summary of the project communication, dissemination and exploitation objectives and results 3. Chapter 3 gives an account of the communication and dissemination procedures and strategies 4. Chapter 4 defines the exploitation strategies and activities 5. 5 2 Communication, Dissemination and Exploitation Objectives The communication and dissemination actions in ReTyre are envisaged to communicate and disseminate the activities carried out during the entire duration of the project, the project s main scientific achievements and the initiatives organised by the partners of the project within the framework of ReTyre as well as their participation in major European and worldwide events/ discussions on the development of the sector of retreaded tyres. The Exploitation plan aims to strengthen and speed up the market uptake of successful results of the project by development of an exploitation strategy for the eligible results and supporting the partners involved for further exploitation during the crucial stages after the project. The following sections include the objectives solely tied to either the communication or the dissemination objectives and the activities which have been executed during the duration of this project. The following communication objectives have been achieved: 1. To manage and to enlarge the communication network of ReTyre. 2. To take actions to communicate the activities and results of the project (By the SME-Associations during national meeting and round tables) 3. To participate in exhibitions, events and meetings and present the project aim and results 4. To create a dedicated website for ReTyre project, with public and Members Only sections 5. To create all needed communication tools to give a visual identity to the project 6. To ensure the proper communication and dissemination of the information generated by the project to relevant partners (other members of BIPAVER no participating in the project), representatives of new tyres industry and policy makers. The following dissemination objectives have been achieved: 1. To disseminate results of the investigation done on retreaded tyres in order to understand which parameters influence at most the tyres performances on rolling resistance, noise emission and wet grip 2. To take actions to disseminate the activities and results of the project 3. To disseminate project materials to the sector and also to widest audience of the general public, to raise awareness around the project topic and create an interest among the audience. 4. To increase project awareness via the use of informational and promotional materials (flyer, presentations etc.) in meetings or conferences The following exploitation objectives have been achieved (and actions still ongoing): 1. Assessment of the expected impact of the found inter-relationships 2. Identify eligible results and analyse exploitation potential 3. Set up exploitation plans for individual technologies 4. Support activities for IPR protection 5/18

6 3 Communication, Dissemination Strategy and Activities All of the previously mentioned objectives have been reached by carrying out the listed activities executed via the communication strategies. The main activities have been carried out include, but are not limited to the following: 3.1 Communication and Dissemination Activities The Consortium s activities can be lined up along the following dissemination channels: Conventional and electronic publications Participation and/or Organization of Events Press conferences and press releases Knowledge transfer to other projects and networks The World Wide Web: documentation will be circulated through the internet via the project website, news, and to potential future users without disclosure of classified information. Preparation and presentation of the Deliverable (D6.2 on the Interim Plan for the use and dissemination of the knowledge) Development of communication tools (logo, flyer and power point templates) to support presentations Creation and maintenance of project LinkedIn account Distribution of information regarding the project by the National Association participating in the project to their members. Distribution of a newsletter to target groups. Organisation of participation in international fairs in which communication tools will be distributed and project results will be presented and discussed (respecting confidentiality issues) Organisation of meetings with representatives of new tyres industry Organisation of meetings with policy makers 3.2 Communication and Dissemination Strategies There are two different levels of communication used during different project phases and that determined the creation and adoption of two different types of communication and dissemination tools. Direct Communication Indirect Communication Direct Communication Communication material have been generated throughout the project lifespan. The tools have been distributed electronically to all the partners, the WP leaders, the European Commission and are also available on the project website. The direct actions have been/are: I. Direct mailing (newsletter, project information) II. Direct distribution to the retreaders of the communication material produced III. Discussions generated at meetings: Bipaver representatives during their national assemblies, specific sessions were planned at the Tyres Round Table in March 2013 and 2014, at the National meetings of the participating SME-Associations IV. Organisation of workshops: the National Associations planned (and will still organize in the future) national workshops in order to train the retreaders for the use of the software tool This direct action will continue also after the project lifetime and it is mainly addressed to communicate the project results and to enhance a debate and a discussion on the project with the sector. It implies an activity of one-to-one dialogue to give more details on the project and actively involve the target groups in the project. 6/18

7 3.2.2 Indirect Communication Indirect methods of communication have been used and monitored to ensure consistent communication about the project activities, plans and other information. The indirect communication methods were meant for all the retreading sector and consist of: I. ReTyre project website: A project website where the project is presented to the general public II. ReTyre Newsletter, Flyer, Logo and public deliverables circulated More about disseminations tools, target groups and dissemination materials have been reported in D6.2 and in previous periodic reports, therefore those information will not be repeated here but simply updated with the recent actions undertaken. 7/18

8 4 Exploitation Strategy and Activities The main project results will be a software tool able to predict the tyre performance (on noise emission, rolling resistance and wet grip) based on the selected casing, retreading process and applied tread. The exploitation strategy will be based on: Appropriated management of the knowledge generated in the project and IPR protection according to the interest of the partners, Assessment of the expected impact of the project results and the factors that could influence their exploitation (standardisation, required level of knowledge, regulatory aspects, etc), Analysis of the exploitation potential of the tools, reviewing all aspects from the viewpoint of potential end users and possible investors This will allow to check carefully the strengths and weaknesses of the results as future business, and to identify all other necessary resources and actions required to exploit them. Incorporation of individual exploitation plans for all relevant partners. 4.1 Project results The most important project result is, without doubts, the software tool and the future possibility of providing a label (and/or expectation) for the performances of retreaded tyres. Currently, as reported in the deliverables submitted for WP4, the alpha version of the software tool is available on the Retyre website. This version have been used by the project partners (retreaders and national associations) in order to test, improve and validate the tool. It is clear, however that another improved version will need to come. From recent results and discussion among the SC members new important parameters need to be introduced in order to predict tyres performances (parameters related to tread and rubber compound). 4.2 IPR Management Background- With regard to access to the background, article 49.2 of the Rules for Participation in FP7 provides that access to background during implementation is royalty-free and article 50.6 provides that access to background for use after the end of the project is royalty-free unless otherwise agreed prior to the signature of the Grant Agreement. RTD Performers made available to the industrial participants, free of charge, the necessary information to enable or facilitate the exercise of ownership of the Foreground Foreground- The arrangement of the IPR (intellectual property rights) and results of the project is as follows: KCL/BIPAVER is the owner of the project Foreground, the represented national association (BRV, PRM/AIRP, AER, SVP-CR, VACO) have licensing rights on the results. Two of the partners (KCL and Promotec) are SMEs representing the parent associations (BIPAVER the European Association of retreaders and AIRP the Italian Association of retreadres). KCL will own the foreground for the benefit of BIPAVER and BIPAVER s members. Promotec will use the foreground for the benefit of AIRP and AIRP s members. These statements is also be reported in the Consortium Agreement. In the Consortium Agreement all relevant issues needed for the proper execution of the project are described in detail. This also includes intellectual property rights (IPR), management of knowledge and rules for publishing information. Since the participating SME-AGs are members of BIPAVER, KCL/BIPAVER they agreed to entrust KCL of the payments to the RTD performers. The IPR arrangements are structured as follows: 1) KCL is owner of the final project results for the benefit of Bipaver and Bipaver's member; 8/18

9 2) The represented SME Associations (partners in the Consortium) have exclusive, free of charge, licensing rights for their respective countries; 3) SME Associations members of BIPAVER but NO partners in the Consortium will be charged with a reduced fee for the BIPAVER-LABEL, the use of the software tool and the other project results. Cost will be divided among the members of the association. The payment will be done via the Membership Subscription or by #labels/year (this will be decided by the national associations). The fee for the services will be included either in the membership fee (in a weighted percentage of the truck tyre market) of the national associations of retreaders or as a fee per labeled retreaded truck tyre. In this way, it is secured that the service is spread in the most efficient way and that the costs are charged on a fair basis, i.e. based on size and turnover of the members. 4) Members of the SME Associations members of BIPAVER and participating in the project have free of charge right for the use of the software (Banden Plan, Insa Turbo and Carling) 5) The condition from the national associations (under condition num 3) will apply to members of associations members of Bipaver which are not participating in the project. 6) SME Associations NON-BIPAVER members and NO partners in the Consortium and individual Retreading companies willing to use the label will be charged by #labels/year All the participating retreading company are members of national associations which are itself partners (i.e. Banden Plan Europa is member of VACO, Carling is member of SVP-CR, Insa Turbo is member of AER) The major project outcomes are listed in the table below. 10 4.3 Planned use of project results After the project, the methodology and intranet based software tool need to be further developed into a service that is accessible for all associations of retreaders and their members. The service will provide labels or certificates for retreaded tyres. It is the task and responsibility of KCL/BIPAVER to further development the alpha version of the software tool after this project into a commercial service for their members: virtually all national associations of retreading companies. It is also the task of KCL/BIPAVER to disseminate the project results: the methodology and tool, and to make available training courses and material for their members: the national associations of retreaders. The represented national SME Associations/Groupings: the Bundesverband Reifenhandel und Vulkaniseur- Handwerk e.v. (BRV, GE), Promotec/Associazione Italiana ricostruttori Pneumatici (PRM/AIRP, IT), the Asociación Española de Neumáticos Reciclados (AER, SP) and the Sdružení výrobců protektorů České republiky (SVP-CR, CZ), Vereniging VACO (VACO) have the task and responsibility to transform the methodology into a service that is accessible for all retreading companies in Europe. It is the joint task of KCL/BIPAVER and the national SME-AGs to maintain the service, i.e. future updates of the tool and broadening of the service. Based on the existing (new) tyre database, where in the near future environmental performances will be added and updated. In the exploitation phase, the service fee will be paid by the member retreading companies to the National Associations. To keep the service, i.e. the methodology and intranet based software tool up to date by performing real tests (of e.g. rolling resistance, noise emission and wet grip) of randomly selected tyres. In time, the applicability of the methodology and tool will be expanded to less common retreaded tyre types by building up the database of test results supported by additional research The plan is to implement the service within 6-12 months after completion of the project 4.4 Dissemination and Exploitation plan from the participating SME Associations BRV German Association for retreaders The BRV intends to communicate the information and the results of the Re Tyre project as follows: New information and results of the ReTyre project will be provided on the BRV website ( to both tyre professionals and consumers. Furthermore BRV will implement a link on its website, guiding readers to the ReTyre website. In addition to that, BRV will give current information about the ReTyre project to its members via the BRV-VIP-Newsletter, which is distributed among more than tyre specialists` contacts. BRV publishes the magazine Trends & Facts, which has a circulation of copies and appears six times per year. In this magazine BRV will give information about the ReTyre project and publish articles about the results. In addition to the measures mentioned above, BRV will organize a national information and training event for German retreading companies. BRV is the main (Ideellen träger) imaginary partner of REIFEN, the leading international exhibition for new tyres, vulcanization, tyre retreading, trading and services as well as tyre and chassis technology. This exhibition takes place every two years in the German city of Essen. On the occasion of this event BRV will organize an international retreading conference and inform the audience about the results of the ReTyre project. Last but not least BRV will publish press releases and this way will provide information about the ReTyre project to o all BRV-members (both retreaders and tyre traders) o all other business members o technical services (such as TÜV, DEKRA etc.) o government agencies and administrations (Federal Ministry of Transport, Federal Motor Vehicle Office etc.). 10/18

11 4.4.2 AIRP Italian Association for retreaders Retreading is an important industrial process that delays the formation of wastes, giving an important ecological contribution to the management of used tyres, extending their life cycle, while at the same time enabling the final user to save money buying a high quality product. It is therefore fundamental to spread a culture about type approval, security and ecological performances of retreaded tyres. For this reason AIRP aims to promote the results of ReTyre project, both with the final users and the dealers. Diffusion of results will be carried on following different paths: On the one hand, for what concerns final users, this work of information will be done with press conferences and press releases both to general and automotive specialised press. On the other hand, for what concerns trade, AIRP will first of all inform its members, many of whom are both retreaders and owners of chains of dealer stores. AIRP can also benefit of another association contact information, Federpneus, which gathers tyre specialised dealers on the national territory. When the software tool will be ready, it will be AIRP concern to spread the news among its members and to teach its functioning so that it will quickly become a common instrument. Together with other associations, AIRP publishes the magazine Pneurama. Pneurama has a circulation of copies, of which distributed in foreign countries. It is the only Italian magazine specialised particularly on tyres, with both a paper and a digital version, available online and for mobile devices. The online magazine Pneurama Weekly is accessible on Pneurama website as well as through the dedicated newsletter, distributed among more than tyre specialists contacts. AIRP will publish articles about ReTyre results and software tool, once implemented, both on the paper magazine and the online one, to reach the largest share of stakeholder possible. Moreover, it will publish a display advertising on Pneurama.com, to redirect readers toward ReTyre website, hence directly publicizing the initiative. Furthermore, AIRP organises the Autopromotec exhibition with the means of Promotec, its service society. Autopromotec is one of the main international aftermarket trade shows, with a huge section dedicated especially to tyres, retreaded and new alike. The fair counts around visitors, of whom coming from foreign countries. Thanks to its multitude of contacts, AIRP is able to organise a complete communication plan to spread ReTyre results to the whole tyre industry and its users. With all these relationships within the Italian tyre universe, AIRP undoubtedly hold a preferential channel to carry on lobby activities to reach Italian legislators AER Spanish Association for retreaders The commitment of partnering with industry of retreading, happens to change the bad image having this sector from the past. The Spanish public administrations begin to bet on tyre retreading as engine and environmental value of a national industry capable of producing 700,000 units of truck tyres and 500,000 car tyres. This commitment requires us to try to improve the quality, safety, reliability and image of our product and the RETYRE project, comes to promote this image, so from the Association, we are going to go to the following groups: Administration - We are going to hold meetings with all the ministries of environment, as well as the Ministry of industry and development, informing them of the data obtained very positive for our tires. To the professionals of the sector. Through the Chair of the retreading created at the University Miguel Hernández of Elche, we will organize seminars to educate the tyre professionals who today are unaware of our product. The results of the RETYRE project will serve to improve the image of retreading with a technical report that equates it in new tyre performance. To the public in general, through articles of our Neumático Verde y Seguro of AER journal publications and the Spanish specialised press and our website, which already has a link to the project page. ations performed on the journal Tallers en Communication 11/18

12 Also the relationship of AER with other associations of dealers and workshops, in meetings with them, constantly reported the project information. Finally, AER annually attend several fairs locally and internationally, in those in which you have a stand devote part of it to inform anyone that is interested in the project RETYRE SVP-CR Czech Association for retreaders SVP CR as a member of RETYRE consortium realizes importance of dissemination activities and diffusion of information about results on national basis. Awareness about the topic will be carried on following paths: SVP CR will publish project results in cooperation with the most spread tyre industry magazines i.e. PNEUREVUE a Tyres & Equipment, both on the paper magazines and on the web versions too. Both of the magazines have four issues every year and are widely accepted by professional public as a source of professional informations. SVP CR translate the project NEWSLETTERS and project FLYER into the Czech language, print it and distribute them into the professional public. SVP CR dealt and will deal with the RETYRE topic as a main issue during all assemblies and meetings held by this organisation. SVP CR is ready to organize workshops for his members and for non members of SVP CR, too, to make accessible the software tool to all retreading companies in the Czech and/or Slovak republic. SVP CR will make lobby activities and communicate with the legislation makers and regulators of the Czech republic to simplify negotiation between European and national authorities VACO Dutch Association for the entire tyre and wheel business The VACO also as a member of the RETYRE consortium has been announcing for several years the importance of activities end diffusion of information about the results of the tyre retreating process on national basis. On several ways and levels information has been and will be brought out nationwide. To maintain the quality and reliability of the results brought out, this information will be published as follows: VACO will use the several nationwide used newspapers The tyre specified national magazines will be used The VACO owned tyre information magazine and possibilities with news Flashes will be used The VACO education department SVOV will arrange meetings from workshop and seminars to training program types The VACO will arrange meetings with the involved departments of national ministries VACO published a sector wide brochure to both disseminate the ReTyre project and the benefits of retreading. The brochure is also distributed to the haulage business in The Netherlands. At the yearly held VACO members conference the results will be announced for the complete branch BIPAVER European Association for the Independent retread industry (SME) VACO is also member of the European Association for retreaders and will be able to use some of the nation used possibilities for the benefit of BIPAVER. National published publications will be translated for European use. They also can be used for publications of retreading at national level for the associated members. Within BIPAVER more activities took place during the last project period: I. Discussion with representatives of new tyres industry: this is a crucial step in order to prepare a solid, common plan for the revision of current regulations to present at the authorities II. Discussion with policy makers: linked to the point above, it is of crucial importance that BIPAVER as representative of the European retreaders can take action and report directly at Commission level in order to advocate the position of small retreaders as well. 13 5 Dissemination efforts for each of the various channels (during and after the run time of the project) 5.1 Dissemination plan for the runtime of the project ( ) Dissemination of the project s results and progress to target groups such as retreaders members of the participating national associations, new tyres industry, working group (policy & legislations) have been achieved by the following channels: Internal Dissemination: All information have been distributed among the partners and will be made available via the restricted part of the website: Regular meetings, teleconferences and General Assembly meetings have been held on a regular basis and whenever necessary. Activities performed are: Design of training programme (D6.3) Development of training programme and translation into various European languages After the validation of the predictive tool at a Consortium level the tool have been presented/offered to other members of the associations of retreading companies. External Dissemination: The external dissemination took place via: The public part of the website Workshops, KCL/BIPAVER and the represented national associations: BRV, PRM/AIRP, AER, SVP- CR and VACO will organize meetings and workshops at national level (in national languages) to present the project results and to introduce the methodology and software tool to retreaders; Project presentation at national and international meetings, such as: o Sustainable Tyre Conference April 16 th 2013 in Berlin o Autopromotec in Bologna (2013 or 2015) o ReifenMesse in Essen (2014) Scientific and general awareness publications Leaflets, KCL/BIPAVER and the represented national associations: BRV, PRM/AIRP, AER, SVP-CR and VACO will prepare and distribute leaflets to members and written documentation regarding the RE-TYRE project. Informing and lobbying of the responsible European policy-makers and regulators Introduction of the predictive tool at retreaders Train the trainer With training and user knowledge strongly incorporated in the website tool it is important to implement the knowledge into different SME s. Because the technical content is very language specific and because the association members traditionally have a strong role in training en communication within their country the projects aims to train appointed trainers from the different association members. The Train the trainer program have been covered by the preparation of a Training Manual and its translation in the different BIPAVER languages. After 6-12 months from the end of the project the possibility of organizing a workshop (or more) will be reevaluated (one possibility ids to insert a dedicated session during BIPAVER GA meeting in May 2015). The workshops will explain at least the following items: 1) How to use the Retyre tool and its website 2) How to translate the technical content into the different languages 3) Code of conduct for the forum 4) How to communicate the Retyre label to different stakeholders 13/18

14 Train the SME-AG Once received the training manual in the national language each association member will have a content owner who can train and disseminate the knowledge through their own system of communication and training. Each association member will host at least one workshop for their SME-AG members. After the validation of the predictive tool at a Consortium level the tool will be presented/offered to other members of the associations of retreading companies. The activities are: 1) Introduction of tool at BIPAVER members 2) Training of retreaders by associations (with the same programme applied for the SME members of the Consortium) 5.2 Dissemination plan for the period after the project s runtime ( ) At the end of the project an open workshop will be organized to present the outcome of the project to the relevant groups and to others interested in the outcome. The workshops are meant to inform the retreading community of the final results and to further promote the implementation of the project results. Further, it is the intention to make the service available to non BIPAVER members at commercial conditions. The Retyre tool will be made available by the BIPAVER website (it will be designed, maintained and updated). The website will act as contact point for interested parties providing project summary and project/project participants information. It will inform the public with the ongoing (since validation and analysis are continuing also after the end of the project) and ended research activities. The plan is, within the website environment, to add the possibility possibility to choose from a number of languages in order to make the information easier to understand. Consequently, the website will also be the basis for training and dissemination. Depending on the final form of the website a number of the underneath mentioned methods will be implemented in the website: 1) Frequently Asked Questions Database developed by the website owners 2) Help function 3) Separate access to digital training module for the website were a step by step user guide will be made available (demo) 4) Because the knowledge of retreaded tyres is very specific, especially in combination with labelling it might be a good idea to develop a forum. Within the forum the users from different SME s can exchange their knowledge and experience. This is a way to combine knowledge development into the daily business of tyre labelling. The preparation of a dedicated Wikipedia page will be considered. Initial launch of Retyre tool After the finalisation of the website an international workshop will be organised in Leiden. This workshop will consist of two parts: 1) After the pilot the final launch of Retyre tool for all BIPAVER members including a short workshop into the use of the tool. During this part of the workshop also a code of conduct, respectively a Code of Policy for the use of the tool will be discussed. 2) Launch of Retyre tool for all other stakeholders, including an international press moment with BIPAVER members. By implementing a large part of the training and dissemination within the website, the project should achieve that all future users of the program can easily train themselves. Including SME s from countries without Associations and new members. However, after the initial launch of the tool it is important to rapidly reach all initial users. 14/18

15 5.3 Business model In order to guarantee the possibility of financing the extra activities necessary to obtain the best software tool, BIPAVER is currently preparing a business plan for the coming years. In the business plan are reported (among other items): Costs foreseen for maintenance of the internet tool Costs foreseen for the update of the software tool Models for the costs sharing among BIPAVER partners Possibility for profit (via registration fee) Shareholder participation liaised by the IPR elements (SME Associations) 5.4 Impact indicators for communication and dissemination The Consortium has established some indicators for measuring the impact of the dissemination activities. These include: Expected number of retreaders and industries registered in the dissemination database and their interest and participation in further discussion and activities Number of national and international fairs/other events that partners will attend/have attended Circulation of information at local level in single countries Circulation of information on other websites and networks Feedback received over any communication or dissemination activities Number of coverage in specialised and general media 15/18

17 7 Conclusion The plan for the use and dissemination of knowledge has been discussed and prepared by BIPAVER taking into consideration plans at national and international levels. It appeared clear, during the last project period, that the entire sector both from retreaders and from new tyres industry are very interested in the project results. Interest have been reported even by Asiatic tyres manufactures. The software tool, despite providing the best expectations for the performances of retreaded tyres, is still in a early stage to be consider a real predictive tool (at the time of the preparation of this document work is ongoing for the update of the tool to a beta version, which should be available before spring 2015). Nevertheless, the project had (and expect to have for the coming years) a huge impact in the sector and it became a piece of history for the retreading sector. BIPAVER is completing a business plan to guarantee the financial self-sustainability of the tool and the future of the related activities. Moreover Bipaver members are aware of the importance of all relevant parameters and its presentation into the Predictive Tool. The tool is and will be perceived as a strong and present support for the continuity of their business. 17/18
