1 Engrade PRO Teacher Reference & Quick Start Guide Congratulations! Your school is now part of the fastest growing online education platform and learning management system. Engrade is used worldwide by more than 400,000 teachers to help save time in the classroom and improve student performance. With Engrade, you will be able to: Record your grades online from any computer 24/7 Post assignments and files for students Message parents and other teachers This Reference & Quick Start Guide will show you all of the basic functions on Engrade, as well as introduce some of our more advanced features. Your username and password will not work on It is important to note that Engrade consists of a large number of applications that may or may not be turned on for your district or school. 3 GETTING STARTED AND BASIC FUNCTIONS LOGGING INTO ENGRADE 1. Visit 2. Enter your Username and Password and click Submit. This should have been provided by your Administrator or sent to you via . If you lose your password, you can always click Lost Password at the bottom of this page to receive a link sent to your address to reset it. 3. 4 ADJUSTING YOUR CLASS SETTINGS 1. From your Class List, click the title of your class. Clicking this hyperlink will bring you to your class gradebook. 2. The current gradebook settings have been set according to your school s specifications, but you can adjust them by selecting grading settings from the options dropdown menu. 4 R e f e r e n c e & Q u i c k S t a r t G u i d e
5 3. Select your Grading Scale of choice. If you choose Custom, you can adjust the grading brackets and the Grade given for each bracket. For example, both of the following grade scales would work on Engrade: You may also select standard A-B-C grades with 10% brackets or display a Percentage grade only by selecting If you select Manual, your students will not be able to view their current grade until you update their score. Note: Your school administrator may have locked your grading settings! 5 R e f e r e n c e & Q u i c k S t a r t G u i d e
6 4. Next, you can enter Assignment Categories if desired. You can choose to weight assignments based on their type. For instance, you might make exams worth 50% of the total class grade, and other categories like homework worth less. If you do not want to weight your assignment categories, click the button next to no. To weight your assignment categories, click the yes button near the option. Then, type in the weights you would like to use next to each category. Remember to make sure that the percentages add up to 100%. After you have adjusted the settings to your liking, click the Save Settings button at the bottom of the page. 6 R e f e r e n c e & Q u i c k S t a r t G u i d e
7 ADDING ASSIGNMENTS 1. From the Gradebook page, click the New Assignment button in the upper left corner of the page: 2. Enter the assignment name, points possible, and due date by typing in the text fields: If you are using assignment categories, you can select the appropriate category for each assignment here as well. 7 R e f e r e n c e & Q u i c k S t a r t G u i d e
8 3. Clicking the green More Options button will reveal options like Descriptions, Standards labeling, and attachments. 4. To add standards, select the standard set and choose Tag Standards. Within the pop-up screen, scroll until you find the Standard that you would like to associate with your assignment. Note that Standards appear based on Grade Level and Subject as set in the Basic Class Settings for your class. Click the checkbox next to the appropriate standard and click tag item. 5. To attach a document like a reading list or a PDF, click the down arrow next to the attach bar, and scroll to the bottom of the menu. 9 GIVING STUDENTS / PARENTS ACCESS On Engrade, students and parents can log in to check their grades, assignments, and messages. There are three options to give students and parents access. Please ask your administration for your school s preferred method of providing student and parent access. OPTION 1: Print out Flyers for students (or parents): 1. Go to the Students list (see steps 1 and 2 above) and hover over Options. Click Print Student Flyers or Print Parent Flyers. Use this method if your school has already created usernames and passwords. 2. Print out the screen by pressing control + P on your keyboard or by selecting print from your web browser s file menu. 3. Cut on the dotted lines and hand out the strips to each student. 12 MESSAGING STUDENTS / PARENTS OR OTHER TEACHERS On Engrade, teachers can easily message students and parents. Messages can be sent individually or to a group and they may include file attachments. 1. Login to Engrade. 2. Click Messages in the top menu bar. 3. Click Contacts in the left hand menu bar. 4. Click the expand and collapse buttons to show or hide different groups of users. Notice that student and parent names will only appear if there is a registered account associated with the user. 12 R e f e r e n c e & Q u i c k S t a r t G u i d e
13 5. Click each username that you would like to send a message to. If the user is selected, you ll see a green check mark on the right hand side of the screen. 6. Click the Send Message button. Similar to sending an , enter a Subject for your message. You may also attach a file if you like. 7. Enter a message and click Send Message. 8. All contacts listed in the To field (screenshot above) will receive your message the next time they log into Engrade. 14 PRINTING PROGRESS REPORTS 1. Log into Engrade. 2. Click on a Class Name. 3. Scroll over the Print button and then select Print Student Reports. 4. Engrade will generate a printable list of Student Progress Reports that display student grades by assignment category and individual assignment scores. 5. Selecting Print Missing Reports will generate a list of every assignment that each student is missing. Be sure to indicate missing assignments by placing an m in the gradebook for the assignment score. STANDARDS TRACKING Engrade allows you to keep track of your class s progress on the West Virginia CSO Standards with the Class Profile app. TAGGING ASSIGNMENTS 1. 15 2. Within the pop-up, scroll until you find the Standard that you would like to associate with your assignment. Note that Standards appear based on Grade Level and Subject as set in the Basic Class Settings for your class. 16 ASSESSING STUDENT PERFORMANCE 1. Choose Class Profile on the left side of the screen. 2. Select Students tab at the top. 3. Teachers may filter Class Profile results by using the filter button. You can only filter by the assignment categories that have been set up for your class. 4. Clicking into each cell will bring up a list of student grades for each assignment associated with that particular standard. 16 R e f e r e n c e & Q u i c k S t a r t G u i d e
17 ONLINE LEARNING APPS Engrade has many additional features that help improve communication and provide more online learning opportunities for students. Some of these features include Quizzes, Flashcards, Wikis, Lesson plans, and 3 rd party content delivery. The most up to date information on each of these features is always available here: WIKIS All Help Flashcards - Wikis - An Engrade wiki is the easiest way for teachers to share educational information with students and fellow teachers. Each wiki is a web-based document that can contain formatted text, links, images, YouTube videos, and Engrade Flashcards. 17 R e f e r e n c e & Q u i c k S t a r t G u i d e
18 Wikis can be used to create: Student Study Guides & Notes Class Web Sites Class Syllabi Full Textbooks Wikis are available online to students 24 hours a day, 7 days and week and can be shared with teachers around the world. CREATING A WIKI 1. Login to Engrade. 2. Hover your mouse over Apps and select Wikis. 3. Click the Create New Wiki button. 4. Enter the basic information for your Wiki such as name and description, and use the checkbox to indicate whether the wiki is public 5. Each page of your wiki will be divided into sections. Each section will have a title and a body. To add the first section to your wiki, click the Add New Section button. There you can choose which type of section to add: Text This will allow you to enter plain text. For formatting options such as bold or italic, learn more here: Image Upload or select a previously uploaded image in your account to display. Video Enter the URL of a YouTube or Vimeo video to display. Flashcards Enter the URL of Engrade Flashcards to display. 6. Once you have added a section, you can hover your mouse over that section to reveal several links in the upper right that can be used to edit the section. These include: Edit - Click this to edit the content of that section Delete - Click this to delete the entire section from the page Up - Click this to move the section above the previous section on the page Down - Click this to move the section below the next section on the page 7. Add as many sections as you like to your Wiki. ASSIGNING A WIKI 1. Login to Engrade. 2. Hover over Apps and then select Wikis. 3. Click on a Wiki you would like to assign. 4. Click Assign to Class in the upper left hand corner of the Wiki. 18 R e f e r e n c e & Q u i c k S t a r t G u i d e
19 5. Select the classes you would like to view the Wiki and click submit. The Wiki will appear on each student s Calendar. LESSON PLANS Engrade Lesson Plans are similar to wikis. Teachers can create them by drawing on different web elements like text, images, video, and flashcards; or, they can select pre-made templates provided by their school or district. CREATING A LESSON PLAN 1. Log into Engrade 2. Hover your mouse over apps and click Lesson Plan 3. Choose Create New Lesson Plan 4. Enter the basic info like name and description. Be sure to choose the appropriate Grade Level and Subject. When you re done, click Submit. 5. Each page of your Lesson Plan will be divided into sections. Each section will have a title and a body. To add the first section to your Lesson Plan, click the Add New Section button. There you can choose which type of section to add: Text This will allow you to enter plain text. 20 When you re finished with a section, use the Add Section button to save and continue. 6. Once you re satisfied with your Lesson Plan, you can tag it with the appropriate standards by using the blue links on the top of the screen. When you click the standards set you re using, a pop-up window will appear. You can scroll through the standards to select the standard(s) associated with your lesson plan. Note: if you don t see any standards in the pop-up window, your class may be labeled with an incorrect subject or grade level. 7. Some school districts will require you to submit your lesson plan for approval before other teachers can use it. If this is the case in your district, you can use the Submit to Administrator button to lock editing on your Lesson Plan and submit it for review. Note: if your district does not require approval, using the Submit to Administrator button will irreversibly lock editing on your Lesson Plan. 20 R e f e r e n c e & Q u i c k S t a r t G u i d e
21 8. You can share your Lesson Plan with individual teachers or with all of the teachers in your school. To share, go to Apps -> Lesson Plans and hover your mouse over the settings wheel to the right of your Lesson Plan. Select Add Users. From here, you can enter a username into the text field to add one user at a time (you can look up usernames in the messages section), or you can add your entire school by choosing the Add School button. FLASHCARDS Flashcards are simple study aids that can be viewed by students in three ways. They can be viewed as traditional flashcards, a matching game, or multiple-choice. 21 R e f e r e n c e & Q u i c k S t a r t G u i d e
22 CREATING FLASHCARDS 1. Hover over the Apps menu and select Flashcards. 2. Click Create New Flashcards. 3. Enter a title and description for your flashcard set. 4. Enter the best answer for Grade Level and Subject. 5. Enter in the prompts and answers. 6. Click Submit and your flashcards will be created. 22 R e f e r e n c e & Q u i c k S t a r t G u i d e
23 ASSIGNING FLASHCARDS 1. Hover over the Apps menu and select Flashcards. 2. Hover over the Settings icon and select Assign to Classes. 3. Select the classes you would like to be able to view the flashcards. Click Submit and they will be viewable on the student s Calendar. STUDENT BEHAVIOR APPS ATTENDANCE 1. Log in to Engrade and click into one of your classes. 2. Click Attendance on the left side menu. 3. From the Attendance menu, you will see pre-selected attendance codes for you to choose from in a clickable interface. Select the appropriate mark by clicking the corresponding letter to the right of each student name. 23 R e f e r e n c e & Q u i c k S t a r t G u i d e
24 4. Make sure you click the Save button before you navigate away from the page. 5. You can move forward and backward across the calendar by clicking the arrow keys to the right and left of the date. Be aware that your ability to edit data from previous days may be locked as per school or district policy. 6. You can see totals for the month and for all time (all dates that correspond to the gradebook) by using the Month and All Time tabs. BEHAVIOR Engrade provides some behavior management tools that you may find useful for communication with students and parents. To use Behavior Tracking, please follow these steps: 1. Go to your class gradebook. 2. Hover your mouse over the More link in the left hand menu. 3. Click on Behavior. 24 R e f e r e n c e & Q u i c k S t a r t G u i d e
25 4. Choose S for satisfactory or U for unsatisfactory behavior. You can also add a comment for any student. Some schools may choose to add additional codes. Please speak to your administrators about adding more options. 5. Click Save to preserve your comments. COMMENTS Engrade provides several methods for giving comments to students and parents. 1. Adding a comment to an assignment a. From your gradebook, click Students on the left hand panel b. Click a student name and select the Scores tab c. You can enter a personalized comment for each assignment by typing into the comment field to the right of each assignment listing. 25 R e f e r e n c e & Q u i c k S t a r t G u i d e
26 d. Students and parents can view the comments by clicking into your class and choosing Grade Details. 2. Adding a general comment for the class a. From the gradebook, click Comments on the left hand panel. If you do not see the comments option, you can check under More by hovering your pointer over the green arrow. If Comments does not appear, the feature may have been turned off by your administration. b. Click the gray None link next to a student name to enter a comment for that student. c. Students and parents can view this comment on a printed progress report (admin only). STUDENT INFORMATION Engrade allows you to pull up a variety of information about each of your students, including contact info, demographic info, behavior and attendance data, standardized test scores, and Engrade account information. 26 R e f e r e n c e & Q u i c k S t a r t G u i d e
27 1. From the Gradebook, click Students on the left hand panel. This screen displays your class roster and includes ID numbers, last login information, current class grade, and missing assignment totals. 2. 28 From this screen, you can navigate to a variety of student information by using the tabs at the top of the screen. Scores will display a list of the student s classroom assignment scores. Attendance (see Student Behavior section) Behavior will display behavior marks (as discussed in the student Behavior section on either a classroom basis (seen below) or a school-wide basis. Accounts will bring up a window with student account information. This window indicates how many accounts are associated with the student, the relevant usernames, and last login information. 29 MODIFICATIONS MODIFYING CLASS OR GRADING SETTINGS Note: some settings may be locked by your administration. 1. Log into Engrade. 2. Click on the name of the class you would like to modify. 3. Hover over the Options button and select Grading Settings. 4. Use the Basic Settings tab to modify the class name or messaging settings. 5. 30 SORTING STUDENTS To sort your students: 1. Open your class Gradebook. 2. Hover your mouse over Options and select Grade Settings. Once there, click the Sort Students select box and choose your desired setting. Engrade's sorting options are: Order Entered Above - sorted in the order your entered them, new students will be added to the bottom Last Name - sorted alphabetically by last name ID Number - sorted by student ID in ascending order Class Percentage - students with the highest percentage will be listed first PUBLIC PROFILE An Engrade profile gives teachers the option to share class information with students and families. A teacher's profile can be made public or private. A teacher's public profile can be found by entering the URL Engrade profiles can include a Welcome Message, Assignments with due dates, Wikis and Flashcards. 30 R e f e r e n c e & Q u i c k S t a r t G u i d e
31 EDIT YOUR PROFILE To edit your profile, hover over Account. Choose Edit Profile. To turn on/off Public Profile, use the check box next to Allow students and parents to get class information at You may enter a welcome message in the box.
