2 Release Highlights New Applications District Courses This application replaces FrontOffice District Courses application. Master Schedule Builder This application replaces FrontOffice Master Builder application. Student Schedules This application replaces FrontOffice Student Schedule Editor and Student Course Request Editor Applications. 3 New Features & Functionality Multiple Applications Health Alert pop-up displays condition such as specifics for Food Allergies. Implemented Student Groups comparable to those implemented in FrontOffice: o Students with No Requests Q o Students with No Schedule Q o Students with Unscheduled Requests Q. Analysis Student Pulse Added support for TA s to show in Pulse if that teacher allows them to show in their Grade Book options. Features & Functionality of Q Version 3.1 3
4 Attendance New Features & Functionality Class Attendance The note field now expands when used. Print Button added that will produce a printed version of the roster to match the functionality of the FrontOffice application version. Student Attendance Added Cycle Day column to detail information appearing at the bottom of the view when clicking upon any cell. Features & Functionality of Q Version 3.1 4
5 Mass Attendance Added a new Permission sub-right for Use Other Faculty Groups. Added Student Ident to the Review Student s list when using Mass Entry. In Rapid Entry Phone Log Notified by is not required. When Notified by is empty, it will be recorded as Unknown. A new record will be written when the note changes without requiring an Attendance code change. Features & Functionality of Q Version 3.1 5
6 Time Tracker Changed to support adding non-enrolled students even if there are no students enrolled in the class: o Classes which have no enrolled students now appear in the banner. o Changed to include the Add Non-enrolled Students link. This will allow the user to add Non-Enrolled students even if there are no currently enrolled students in the class. Truancy Tracking When a Truancy set is created as a School type (S), it cannot be seen at other schools. Performance improvements made when collecting students that meet the Truancy Tracking rules. Attendance Reports ADA/ADM Audit Report Add new option Delete and Replace Overlapping Summary Records. Previously, if user specified Save Summary it would return a validation error if dates overlapped dates of existing records in the ADASUM table. If the user selects the new option then processing proceeds and overlapping rows are DELETED. In order to give the user feedback, a new page has been appended to the end of the report. It will report all changes made to the ADASUM table (delete, update, create). Features & Functionality of Q Version 3.1 6
7 Attendance Roster 1 Week Report New Report This report is a one week version of the two week Attendance Roster. Class Attendance Spreadsheet Options Attendance Roster 2 Week Report Added an option for Alternate Row Shading rather than automatically including it. Class Attendance Analysis The Report now uses Student / Class filter rather than Class filter. The defaults for Pivot Layout changed: o Teacher has been removed from the default page filter. o Firs row filter is now Period Number, instead of Period and Student has been removed as a default row filter and is no longer available there. These are configurable in Excel after the report is produced. Class Attendance Spreadsheet Changed Report Options: o Added a drop-down for selecting one school at a time if run from the District. o Added a list box of all available tracks for selected School. o Changed previous start and end date range to Date Selection box for Current or Previous Calendar or Attendance Months or Custom date range. Note: Custom date range is limited to a 2 month maximum. o Added option to select Report orientation. Users are now able to elect to print in Portrait mode. Excessive Absence Report Performance enhancements. Features & Functionality of Q Version 3.1 7
8 Phone Log Report The report will now print all records when logged into the District Office. The Q reports listed below are new replacement reports for legacy Q Connect versions. All have been enhanced to support being run from the District, sorted by School. Time Tracker Attendance Hours Summary Time Tracker Class Attendance Counts Time Tracker Class Attendance Spreadsheet Time Tracker Student Attendance Summary Behavior Class Behavior Added option to Show Codes to the Class and Student Reports that are embedded within the application. Enrollment Contact Confirmation Added last Changed Date and Time to review information. Mass Activities Changed application to use a Student/Class filter instead of a Student filter for selecting students. Mass Visits Changed application to use a Student/Class filter instead of a Student filter for selecting students. The application will now honor the Student Visit s Share Notes Preference for defaulting the Is Shared flag. Student Emergency Contacts Added ability to delete phone numbers. When a phone number is deleted, the numbers below it move up in the list. Features & Functionality of Q Version 3.1 8
9 When in Add/Edit mode, a new button for Sibling Emergency Contacts will appear if Siblings exist and enable the user to copy from the Sibling s emergency contact list to the student being edited. Student Editor Implemented a new District Preference (in snpref: MaintChcSchAsEnrl ) to maintain the School of Choice as the School of Most Recent Primary Enrollment. If the preference is set to YES, then the Student Editor will update School of Choice whenever enrollment changes are made. In addition, if the Preference is set to YES, the School of Choice field will display only on the Edit Demographics screen if the student does not have status records (a Non- Student). If the Preference is No, or missing, the Q Student Editor will leave the School of Choice field always editable and will not change its value behind the scenes. Added the ability to delete Emergency Contact Phone Numbers. When in Add/Edit mode for Emergency Contacts, a new button for Sibling Emergency Contacts will appear if Siblings exist and enable the user to copy from the Sibling s emergency contact list to the student being edited. Extended the ability to disable or hide fields through permission restrictions to include: checkboxes, links, text areas, images, radio buttons, list boxes etc. Features & Functionality of Q Version 3.1 9
10 Modified to allow the enrollment of a student whose last grade was one grade higher than the upper grade of the current school. The change was made to support the need to move a student back to an elementary school, as example, once they had been enrolled and withdrawn at a middle school. Modified to not let the user select the grade on a part-time enrollment. The grade in the part-time enrollment will be automatically set to the grade of the primary enrollment. Student Profile Changed the assignment area to show assignments when either the display date or due date meet the Viewable after date criteria in Mark Terms setup. For assignments associated standards and their scores are displayed. See ParentConnect & StudentConnect. Enrollment Reports Enrollment Analysis Added Student Birth date to list of available fields. Student Profile Report Added report options for Print All for every area that is able to print additional information from within the Profile Application. Food Service Eligibility Applications Denied applications may now be notified by . Cafeteria Alert pop-ups no longer set the default focus to the first button available. Users need to click a button to proceed. Displays Food Service ID if present. Support added for Receipt printing based on a preference. Student Name search lists Food Service ID where appropriate, otherwise it lists the Student s Ident. Features & Functionality of Q Version
11 When finding students by Food Service ID District-wide, the application will notify the user if the Food Service ID is used by more than one student. Cafeteria Settings implemented (see Food Service Setup). Cafeteria Pin Pad Application Implemented LDAP/Active Directory Login. Eligibility Notices Denied applications may now be notified by . Food Service Setup Implemented new Cafeteria Settings editor which provides greater flexibility to specify settings and defaults by district, school type, and school. Due to fundamental structural changes, Q and FrontOffice Cafeteria Preferences are now separated. FS Student Tools Changed to allow Food Service ID s to be assigned per School or District-wide. This is related to the Food Service Setup Preference: Food Service ID Scope which sets a default. Food Service Reports Daily Detail Reports Added three new reports: Daily Placement by Teacher, Daily Meal Detail by Teacher, Daily ala Carte Detail by Teacher. These reports are only available when logged into a school. Student / Class filter is available when selecting these reports. Point-of-Sale Letters & Labels Added new query: Students not Directly Certified. Health Reports California Immunization Blue Card Report Added the ability to print 'Had the Disease', 'Exempt' in Blue Card immunization cells. To do so, put the desired phrase in zhimmunstatus.extcode and set zhimmunstatus.isexempt to 1 for the immunization statuses for which you want a status printed. Features & Functionality of Q Version
12 Removed Beliefs Exemption language on the second page of the Blue card report. Updated other wording to match latest blue card format. Added ability to print TB and XR Screening on Blue card. Requires special configuration to implement. The configuration could be different for every district based on how screenings have been configured by the district. Please contact Aequitas Support for configuration instructions. The following new Q reports are replacement reports for legacy Q Connect versions: Health Consent Health Contacts Health Referrals Marks Gradebook When the Gradebook Preference to Limit Spreadsheet Tasks Displayed is on, the Spreadsheet date range will work independently of the other tabs. Previously the short date range would still be set if the user clicked on another tab. If the preference is set to No, all tabs will inherit the filter data currently set. Enhanced the Gradebook Student Assignment Transfer process to support transferring standard marks to the new assignment as well as assignment scores if they exist. Standards are transferred when the same assignment exists with the same standard associated with the same course. When the assignment and standards match, all standards are transferred. Standards that do not match are not transferred. Standard marks are not calculated in the Transfer process. Added new preference to Auto-Calculate Standard Marks. The default preference value is set to YES. This functionality mimics longstanding functionality. If the teacher sets the preference value to No, Standard Marks for standards associated with an assignment will not be automatically calculated when points are entered for the assignment. 13 Gradebook Manager New default Standards Calculation procedure sets have been added corresponding to the three existing procedures. The new sets honor the Assignment Is Graded flag and the Is Dropped flag related to Scores. Mark Reports Gradebook Task Summary Sheet The parameters in the Grid Options have been re-arranged: o Moved Based Current Grade By and Term to the top of the Grid Options. o When a class is selected, the Term will be populated. When the Term changes, the Include Assignments From/To (new label) dates will be populated. Programs Program History Added support for extension data associated with placements. Features & Functionality of Q Version
14 Q Reporting Added Activity as an object to Data Designer Sources. New view for Food Service POS students: QW_FSStudents. This view replaces the FrontOffice QW_DS_Students() function. Changed the Track filter display to list tracks by School code then Track code rather than just Track code so all tracks for a school appear together. Updated to support the use of double byte characters (Japanese, Russian etc.) with Multi-line Report Writer in the text property of Textboxes, Labels, etc. Note: You will need to use a double byte font in the controls in which you are trying to display double byte characters in order for the text to appear correctly on the report. The following changes apply to the Document Editor/Mail Merge Features used by Truancy Tracking and Excessive Absence Reports: o Added a Delete button so Language instances of a Mail Merge letter can be deleted. o Added a Page Break control field that can be inserted into a letter to cause a page break to be generated. o Added a Block Delimiter control field so the user can create a delimited list of items within a repeated block (not a repeating table.) Sample syntax from Truancy Tracking: {BeginBlock}{truancyDate}{BlockDelimiter}, {EndBlockDelimiter}{EndBlock}. Performance enhancements for Report Writer reports. School Mass Changed application to use a Student/Class filter instead of a Student filter for selecting students for all users. Features & Functionality of Q Version
15 Scheduling New Features & Functionality District Courses Replacement for FrontOffice application. o New functionality includes: Greater ability to filter courses. Show History pop-up enables the editing of effective dates for the course based on permissions. Copy course functionality enables a user, with appropriate permission, to copy an existing course to create a new one. Features & Functionality of Q Version
16 Master Schedule Builder Replacement for FrontOffice application. The Q Master Schedule Builder new functionality includes: o A scheduling white board o The ability to mass add sections o Ability to use placeholder staff The new application is compatible for coinciding use of legacy FrontOffice application with the exception of using the new placeholder staff functionality. Features & Functionality of Q Version
17 Master Schedule Manager Added Master Schedule Grid link that will display the grid master schedule by teacher and provide drill-down into any section for additional information. Changed the pop-up warning to be able to turn off when adding or editing a class and the mark definition scheme does not match the term of the class. Added a new tab MS Placeholders to provide the ability to mass change the placeholders to actual staff members when placeholders have been used in building the master schedule using the new Q Master Schedule Builder application. The tab will only appear when placeholders requiring re-assignment exist for the logged-in school (and the working schedule has been exported from the Builder). Features & Functionality of Q Version
18 Student Schedules Replacement for FrontOffice Student Schedule Editor and Student Course Requests applications. New functionality includes: o Ability to view schedules for all tracks in which the student is enrolled and schedule student in multiple tracks for logged in school o Review student s Graduation Status o Review Career plan requests prior to generating them from Career Plan and update student s Career plan. Features & Functionality of Q Version
19 Student Schedules, continued o When in the Scheduling grid: May both add and drop classes. May sort by any column by clicking in the header. Information visible includes: Available seats, Conflict OK setting. Check box at the bottom to Hide Conflicting and Satisfied Sections when checked streamlines process of selecting classes. In the screen below, the sections are sorted by period and when the period 3 class was selected, all other choices for period three disappear making it easier to focus on the next period to schedule. 20 Scheduling Reports New Q Reports: The following reports replace the legacy FrontOffice reports: Add Drop Report Course Request List & Tally Student Schedule Changes Report The Student Schedule Changes Report replaces the FrontOffice report that was embedded in the FrontOffice Student Schedule Editor. This report can be launched from within the Q Student Schedules application but, unlike the FrontOffice report, this report can also be run independently from the Schedule Reports menu. System Extension Editor Implemented the use of substitution variables in the Default Value Field. Any value other than one of the substitution variables listed below will be used as literal. The substitution variable list is the same as for Group Editor Increased the maximum list count for manual groups from 2500 to Staff Editor Extended the ability to disable or hide fields through permission restrictions to include: checkboxes, links, text areas, images, radio buttons, list boxes etc. Features & Functionality of Q Version
21 ParentConnect Manager Added to the School tab: o Ability to set Login Reminder (when logged into the District track). o Generic message sent with all notifications a parent has subscribed to receive notification. StudentConnect Manager Added a new Module Item Add/Edit Alternates that determines whether alternate requests are editable when students enter course requests.
