1 Committee Member Responsibilities BOOK FAIR For the upcoming school year, we are planning three (3) Scholastic Book Fairs (one in the Fall, one in February and one in April). Members that volunteer for the committee will need to meet several times to plan and organize the Book Fairs. The Book Fairs are generally run once during the day from 10:00 am to 1:00 pm and again that evening from 6:00 pm to 8:00 pm. Members of the committee should also plan to work at the Book Fair. ROOM PARENT Room parents organize classroom parties (Halloween, Holiday, and Valentines Day). The room parent is responsible to call other parents to get refreshments, and paper goods for the party. A room parent should also try to be at the party. BOY S NIGHT OUT (FATHER/SON EVENT) In the past this event has been a P-Bruins or Paw Sox game. Members of this committee need to meet to discuss possible events, contact the selected venues to determine date and price possibilities. They must coordinate a date with the PTO and the school. Once the event is scheduled, the committee handles signups and the collection of money. Finally they oversee the purchase (through the PTO) and distribution of tickets. READING WEEK Parents who volunteer for Reading Week come into the classrooms during that week and read to the children. The chair of the committee coordinates scheduling and book selection with the individual parents and teachers. This is a very rewarding experience. SWEETHEART DANCE (FATHER/DAUGHTER EVENT) In the past this event has been a dance. Members of this committee need to meet to discuss possible events, contact the necessary resources (e.g. DJ s, photographers, etc.) to determine date and price possibilities. They must coordinate a date with the PTO and the school. Once the event is scheduled, the committee handles signups and the collection of money. Finally they oversee the purchasing of services (through the PTO) and distribution of event tickets. HOSPITALITY COMMITTEE This committee assists other committees in the planning and providing of refreshments at PTO events.

2 FIFTH GRADE EVENT Last year this event was a ceremony at the high school followed by a social event at the Drop Zone. Members of this committee need to meet to discuss the event, contact the selected venues to determine date and price possibilities. They must coordinate a date with the PTO and the school as well as plan and coordinate other resources such as certificates and tee shirts for the students. Once the event is scheduled, the committee handles signup and the collection of any money. Finally they oversee any purchases (through the PTO). PICTURE DAY Parent volunteers help to organize children on the day of pictures to ensure everything goes smoothly. Picture day will be in October. FIELD DAY This is a day of physical activities and games held near the end of the school year. Most members of this committee are only needed the day of Field Day to help coordinate the classes as they participate in the different stations. The chair of this committee with the help of a small steering committee needs to meet to discuss possible stations and coordinate a date with the school. Once the event is scheduled, the steering committee handles purchasing (through the PTO) any supplies needed and the scheduling of parent help for that day. Finally they oversee the running of Field Day itself. PLAYGROUND COMMITTEE This committee will oversee the dedication of the second phase of the playground this fall, the installation of a walking track around the playground area and final landscaping. They are also responsible for general maintenance of the playground (raking mulch as needed, sealing plastic seams if necessary, touching up scratches, etc.) THANKSGIVING FOOD DRIVE This committee organizes the collection of food from the classrooms and donations from local businesses. The committee uses cash donations to purchase a sufficient number of turkeys and other needed food items. They assemble baskets to be donated to needy Ashton families. Often there are sufficient food donations to assemble holiday baskets as well. YEARBOOK This committee collects pictures from students, parents, and teachers (providing the teachers with disposable cameras early in the year had proven useful in the past). The committee solicits advertisements and messages from the parents for the yearbook. During February and early March the committee meets regularly to lay out and assemble

3 the yearbook pages in order to send it to the publisher by the specified deadline. The committee oversees sale of the yearbook to the students. GIRL S NIGHT OUT (MOTHER/DAUGHTER EVENT) In the past this event has been a craft night at the school. Members of this committee need to meet to discuss possible events, contact the necessary resources (e.g. Let s Party, craft stores) to determine date and price possibilities. They must coordinate a date with the PTO and the school. Once the event is scheduled, the committee handles signup and the collection of money. Finally they oversee the purchasing of services (through the PTO) and distribution of event tickets. FAMILY EVENTS This is a new idea. This committee will plan and organize a family event for the school. They will be responsible for defining the event, researching resources necessary for the event, scheduling the event with the PTO and the school, promoting the event, collecting money (if required), making necessary purchases (through the PTO), and overseeing the running of the actual event. CULTURAL EVENTS This committee works with the teachers and administration of the school to bring cultural events to the school. FOURTH GRADE PLAY Members of this committee will run the fourth grade play. For the past two years local college students have written and directed the play but parents are still needed if the play is to take place. Parents are needed to help coordinate the event with the PTO and the school, to help oversee students during practice, to sell and distribute tickets, to organize and sell refreshments, etc. The play s performance is usually scheduled for late May. The play is a lot of work but also fun and rewarding for the students and parents who get involved. FUNDRAISING Members of this committee organize and carry out fundraising activities for the PTO. Fundraisers are necessary in order to provide the funds need for many of the PTO sponsored events and programs such as field trips, weekly readers for the students, cultural events, fifth grade event, field day, and a late bus. BAKING COMMITTEE The members of the baking committee are willing to provide baked goods when requested to do so for any PTO or school sponsored event or program.

Members of this committee need to meet to discuss possible events, contact the necessary resources (e.g. bowling alleys) to determine date and price possibilities. They must coordinate a date with the PTO and the school. Once the event is scheduled, the committee handles signups and the collection of money.
