1 Chalkable InfrmatinNOW AL Summer 2017 Release Ntes Enhancements The enhancements listed belw have been implemented in the 2017 summer release (v ) f InfrmatinNOW. It is strngly recmmended that users review the InfrmatinNOW Summer 2017 Release Preview dcument frm the supprt site fr details regarding the fllwing enhancements. T access the dcument, lg in t Click Dcumentatin. Select Quick Reference Guides and then InfrmatinNOW Web-based SIS. Alabama-Specific Changes Addresses: Each screen that cntains an editable address (student/staff/cntacts), excluding the Schl and District addresses, has been updated with the fllwing changes. Zip+4 Requirement: If the Zip+4 district setting is enabled fr an Alabama public schl, the ZIP Cde field will require a ZIP+4 value. If a user attempts t create an address r update an existing address and the Zip Cde field is nt in the ZIP+4 frmat, an errr will display that required the user t fix the field befre saving. Aut-Cmplete Addresses: If the address validatin district setting is enabled, when a user adds a new address r edits an existing address, the address will be validated using SmartyStreets. When a user adds an address t a persn r edits an existing address recrd, as the user types in the address line 1, a drp-list will display with matching criteria frm which the user may select a new address. Chse Data t Transfer: Users may nw chse whether t imprt cntacts and/r addresses fr students wh are enrlled using the Search State ptin. Chrt Field: Changed t Base Chrt Year. The Chrt Year field has been added t the student Main tab. It is a 9-character drp-list such as A change reasn, date and ntes have als been added. Direct Certificatin Update: Updated business rules fr the direct certificatin imprt and lgic when enrlling students. Created a new DC lunch cde t called 99- Temprary DC. This cde will be assigned t all prir academic year DC students at the beginning f each new academic year. Once the 13-mnth DC perid is ver, all prir academic year DC students wh were nt identified as DC in the current academic year will be changed frm 99 t 3-Paid with the file imprt. Remved all functinality within InfrmatinNOW that identifies extended eligibility students and sets their lunch prgram accrdingly. Any extended eligibility students will be included in the imprt file. Remved all functinality that deals with identifying and remving Direct Certificatin (DC) eligibility n prir year DC students wh were nt re-flagged as DC during the first 30 cperating days f the new schl year. ALSDE will be respnsible fr: Identifying DC students and adding them t the match file. Identifying Extended Eligibility students. Setting DC prir year DC student t 99 when the rllver fr the new schl year is cmplete. Setting students t Paid nce the 13-mnth perid has expired if the student was nt identified as DC during the new schl year. Chalkable_ Chalkable InfrmatinNOW 1

2 ALSDE prvides a file fr LEAs via the InfrmatinNOW State Push Prcess cntaining the fllwing fields (Daily): SSID (replaces SSN in the current file) Last Name First Name Date f Birth *DC Lunch Cde (replaces DC Type in the current file) Changed the current ISTATE Push and InfrmatinNOW Imprt File Layut frm a fixed-width text file t an XML file. The imprt file will nw match n student s SSID instead f SSN, Last Name and DOB. ELL & Hmeless Histrical Tracking: The fllwing fields n the student Misc and Federal Prgram tabs are nw academic sessin-specific. Hmeless checkbx Hmeless Residency Status LEP Status US LEP Entry Date LEP Exit Date Enrichment Student (nt gifted): A new Enrichment Student (nt gifted) checkbx has been added t the student Main tab. Fster Care Tracking: A new Student Supprt: Fster sectin has been added t the Federal Prgrams tab which includes fields fr Fster, Start Date, and End Date. The fllwing district Service Types have been added: Name: Federal Prgram Cde: FP001 State Cde: FP001 Descriptin: Describes federal prgrams that the student is participating. The fllwing District Services has been added: Name: Fster Care Cde: FC001 State Cde: FC001 Service Type Name: Federal Prgram Descriptin: Student participates in Fster Care. Aut-Create Fster District Service: If there is a DC imprt f Fster (Cde 7) fr a student, the district service f Fster will autmatically be added fr the student with the start date as the date n the file/imprt and the end date as the last day f the academic sessin. Language Errr: While the Language field fr a student has been required, a detailed message did nt display if a user tried t edit/save a student recrd that did nt have a language assigned. A detailed message will nw display alng with a link t set the student s primary language. 3 Lunch Imprt Changes: When using the Lunch Imprt Service under Utilities File Imprts Lunch Imprt, the new 99 Temprary DC cde has been added. Students with this cde may nt be edited except frm the ALSDE DC imprt. Mass Enrllment fr E98: Prir t the summer update, at the beginning f the schl year and after lcatr is built, students were registered thrugh the API. T enrll these students, users were required t g t Students Registratin and enrll each student using the enrllment cde E98. Then, the user was required t g t the hme page t see a pp-up that allwed them t reslve each E98. This prcess was difficult and time-cnsuming. The prcess has nw been changed t reduce the burden n end users by autmatically enrlling the student with enrllment cde E98 when the student is registered thrugh the InfrmatinNOW API after lcatr has been built. Students Mass Enrllment: This ptin is nw available fr Alabama public schls. It is restricted t enrlling students with an E98 actin and Pending E98 reasn as lng as state enrllment is licensed, there is an active cnnectin t the state database, and the academic sessin year is the current academic year in the state database. Scheduling Lgic: A change has been made which will prevent nn-special Educatin students frm being scheduled int an essential curse (i.e., class type f 60 r 70 in the ALSDE state curse file). Standardized Test Display n Transcript: When a standardized test is set t Display n Transcript, the scre types fr the test will als be set t Display n Transcript. When the update is installed, fr any standardized test that is set t Display n Transcript, all scre types f the test will als be set t Display n Transcript. State Cdes fr District Services & Service Types: Each year the ALSDE prvides an updated list f student District Services and Service Types. These cdes will nw include a State Cde, which is autmatically assigned and cannt be edited. State Reprt Apprval Cnfirmatin: Under Reprts State Apprvals, a new apprval cnfirmatin dialg has been added. When a user selects a reprt and chses Apprve, an apprval message will display. Custm Field Retentin During Rllver The Rllver prcedure has been updated t exclude academic sessins where the schl ptin t allw dual enrllment is set t true. A change has als been made t the prcess where a user makes changes t a student s custm field data fr a dual enrlled student. Discipline Required Fields Users may nw specify required fields fr discipline recrds. G t Students Student Maintenance. Search fr and View a student. Select Discipline under the Manage menu n the left. Select Required Fields frm the Tasks menu n the left. District Services Referred By, Ntes and Entered By fields have been added t district services. After a service recrd is created and saved, a new Custm tab is available n the student service recrd. Grade Bk Reprt Changes The Unpsted Grades reprt has been added t the Grades Reprt menu. The Unpsted Grades reprt has been mdified t include a new Grade Bk Use ptin. Histrical Hmeless & ELL Tracking Fr bth Hmeless and ELL fields, data is nw stred as academic sessin-specific. Chalkable_ AL Summer 2017 Release Ntes 3

4 Lunch Imprt Prir t this release, a lunch imprt service required a rutine t be specifically created by Chalkable t imprt lunch statuses frm a 3 rd party prduct t InfrmatinNOW. The service required unique cnfiguratin fr each district by Chalkable staff and, whenever changes were needed such as the district adding a new lunch status, users were required t cntact Chalkable fr changes. With the summer update, the imprt can nw be cnfigured and even scheduled by the district under Utilities File Imprts and the Lunch Imprt tab. Management Cnsle Mass Edit Transcript Curse Type: A new ptin has been added which allws users t mass update the curse type n histrical transcript recrds t match curse types fund under System Preferences Setup Curse Type. Pst All Grade Bks: A user with apprpriate permissin may nw pst grades fr all grade bks. G t Mgmt Cnsle Cnsle and select Pst All Gradebks. Query Updates Numerus changes have been made t the fllwing Query views. Refer t the InfrmatinNOW AL - Summer 2017 Release Preview dcument, available n the Chalkable supprt site at fr full details. Staff View Student View Student Daily Attendance View Student Discipline View Student Grading View Student Medical View Student Perid Attendance View Student Schedules/Curse Sectin Views Student Transcript View Student District Service View When generating a student-based query using the HTML utput ptin, users with apprpriate rights culd duble-click n a student t access demgraphic details. This caused sme issues when changing infrmatin that was academic sessin-specific. Nw, when the user generates a query t HTML, the user will nly be able t access the student recrds by duble-clicking if, when that user was setting up the query, he r she selected the currently lgged-in academic sessin. Security Updates Cpying Security Grups: A new ptin has been added which allws users t cpy a grup, including its permissin settings, t anther grup. Maintain Calendar: A new Maintain Calendar permissin has been added. Users will n lnger be required t have permissin t update/edit an academic sessin in rder t update the calendar r attendance mnths. Grade Verificatin Reprt: Teachers may nw print the grade verificatin reprt acrss all their classes under Classrm Reprts Grade Verificatin. Standardized Test Update A new Display On Transcript ptin has been added t the standardized test scre type which allws the user t push the setting t the individual student standardized test scre recrds. 5 Student Updates Student Schedule Grid Update: An Enrll Date clumn has been added t the student schedule screen which displays the date that the student enrlled in the class. If the user chses t Include Withdrawn Classes, a new WD Date clumn will display with the date the student withdrew frm the class. When the user selects ne f the classes frm the student s schedule, an Enrll Date will nw display even if the student was enrlled in the class as f the first day f the term. The term start date will display even thugh, technically, there is n enrllment recrd fr this class fr this student since they are starting as f the first day f the term. Student Prfile Reprt: A new ptin as has been added t the student prfile reprt which allws a user t print a withdrawal checklist type reprt fr ne r mre students. API Updates See the InfrmatinNOW - API July 2017 Release Ntes dcument, available n the supprt website at fr details regarding API changes in the 2017 summer release. Mdificatins Crrected issue n the student Query by grade level where it returned incrrect infrmatin when selecting Ttals Only and when the grade level names were single-digit. Crrected issue where, if student has a mid-year prmtin (grade level change) and a previusly psted transcript was un-psted/re-psted, the transcript was nt updated. Crrected issue where custm alerts were nt shwing fr new students. Crrected varius errrs fr staff query. Crrected issue where custm field data was erased under specific circumstances. Crrected issue where, if lcker cmbinatins were manually entered n the student Schl tab, they were nt printing when student queries were created. Crrected issue n the Lunch Imprt where the system wuld nly trigger fee exceptins fr the students at the schl frm which the lunch file was imprted. Crrected issue n the lunch histry where imprts were adding recrds fr every day, nt just changes fr that day. Crrected issue where First Year In US as Immigrant date did nt save. Crrected issue where a scheduling mdel was nt using the crrect enrllment date fr start f term fr a 2nd (r later) term class when the student did nt enrll at the start f term 1. 6 Crrected issue where, when building a query that pulls data frm multiple academic sessins, saving that query t wrking filter and creating student filter resulted in a stack trace errr. Queries that include student lcker cmbinatins that were manually entered n the students will nw display in queries. Crrected issue in the student query mdule where, when selecting multiple academic sessins and wrking filters, users received an errr if mre than 2100 recrds were returned. Crrected Failed T Cnvert Parameter errr when retrieving a saved staff query that included the birth date.
