1 Assistant Director of Sport and Houseparent The role has dual responsibility for Head of Sport at the Prep and assisting the Director of Sport in the overview of the development, promotion and delivery of sport within the Foundation. The role has responsibility for the organisation and teaching of PE and Games at the Prep and the development of PE including training teams, taking teams to external matches and tournaments/tours out of school hours. The duties will include ensuring the staff within the department are motivated, engaged, trained and competent and feel supported in the delivery of their accountabilities. The post holder must be passionate and fully committed to the development of PE and be prepared to go the extra mile. The responsibilities include oversight of: Outstanding provision of PE to all year groups from Nursery to Year 8 The swimming programme for all year groups from Nursery to Year 8 The successful delivery of Games to all year groups from Nursery to Year 8 The Head of Sport (Prep)/Assistant Director of Sport will be a member of the Prep Management Group (PMG) and will also be expected to contribute to wider school matters. This role will report directly to the Head of Prep and Director of Sport with responsibilities to the Deputy Head (Pastoral) and the Principal Deputy Head. Duties and Responsibilities Teaching duties Develop the subject of PE across the Pre-Prep and Prep, in accordance with the Early Years, KS1 and KS2 National Curriculum. Liaise closely with the Director of Sport on KS3 to allow a seamless transition into the College at Year 9. Assess how well learning objectives have been achieved and use this formative assessment to inform future teaching, setting clear targets for improvement of pupils achievement. Prepare PE and Games developmental plans and reports that contribute to the SEF for any ISI inspections. Teach in accordance with the ethos of the school, thus creating, maintaining and developing the conditions of care for the pupils to enable them to achieve effective learning Prepare schemes of work, medium term planning and weekly/daily lesson plans Liaise with parents and attend Parents Meetings both formal and informal Administration Coordinate sports fixtures with other schools, predominantly rugby, hockey, netball, cricket and athletics. Prepare and run a range of sports clubs, including advanced skills coaching sessions.
2 Prepare boys/girls to take part in sporting events/tournaments such as they arise, e.g. IAPS tournaments including weekend fixtures Responsible for the PE budget; select and make good use of resources available. Provide updates and regular reports on the progress of PE and Games across the school to the Governing Body when requested. Prepare regular updates for the weekly school newsletter. Organise whole school events such as sports days (for Nursery KS1, KS2, KS3) cross country events, swimming galas, festivals and any other events that might promote the PE and Games department within the Foundation both internally and externally. Pastoral Care Ensure the PE and Games staff provide supervision of children at all times when in PE and Games timetabled lessons, including when they are changing into and out of, kit and uniform. Liaise with class teachers to ensure complete awareness of individual children s pastoral and SEND needs. Provide a role model for the development of children s social behaviour and attitudes, ensuring no prejudice in any form (including gender stereotyping) is evident. Provide a safe, secure and well-organised environment that encourages the development of children as independent learners and considerate members of the school community. Implement school policies and guidelines for pastoral care, such as (but not limited to) the safeguarding and anti-bullying policies. Recognise and respond effectively to equality issues as they arise and challenge stereotyped views. Build and maintain positive relationships with parents. Professional Development Ensure professional development for all who teach PE, Games, specific sports and general primary teaching is updated regularly. Be aware of INSET requirements and attend in-house training as appropriate, leading such activities when necessary and deemed appropriate. Give guidance, support and advice to individual colleagues in order to improve their teaching of PE and Games. Other General Key Duties Take responsibility for the safe and neat storage of equipment. Take a regular inventory check and ensure sports equipment is in good use. Set an example as a positive role model, in terms of behaviour and dress, for the pupils in the class Take responsibility for the welfare, discipline and safety of the pupils Keep PE attendance registers up to date and maintain records of the pupils achievements Undertake playground and lunchtime supervision as required Take an active role with school events such as Open Mornings Complete full reports with good grammar, spelling, punctuation and prepare them in a timely
3 manner according to the published deadlines Awareness of the marketing needs of the school and promote the school where possible Undertake training in Child Protection/safeguarding, risk assessments, fire marshal, first aid or other training as required by the Foundation Awareness of the various medical needs and ensure children have correct medication such as diabetic kit, epipens, inhalers etc. Have extra training to support the needs if appropriate. Be prepared to cover in non-contact times should this be required. Be prepared to teach another subject should the need arise. Take part in annual residential trips (LOTC) and other day trips
4 Houseparent The Prep Houseparent reports to the Prep Deputy Head Boarding and to the Head of Prep. There are also pastoral responsibilities to the Prep Deputy Head Pastoral and compliance responsibilities to the Pastoral Deputy Head (College). The Houseparent will line manage the boarding staff to ensure outstanding practice and continuity for all boarders at the Prep. This would be the Assistant Matron, Graduate Teaching Assistants and GAP students. The Houseparent is responsible for: Providing a high standard of care and support for all boarding pupils in their care The day to day running of the boarding house The National Minimum Standards for boarding at the Prep liaising closely with the Prep Deputy Head (Boarding) and the Pastoral Deputy Head (College) Providing a high quality educational and pastoral experience for all boarders at the Prep Helping the Prep Deputy Head Boarding to monitor and appraise all boarding staff Ensuring a busy, active and engaging programme of activities for the boarders The Houseparent will be a member of the Prep Management Group and the weekly Pastoral Board. The Houseparent is expected to contribute to all wider school matters as well as the academic curriculum. House parenting is an immensely challenging and fulfilling position. It requires maximum dedication and commitment to the heart and soul of the school. It is very much a team that operates at Mount Kelly and we would expect the houseparent to throw themselves into this role with energy, innovation and good humour. Duties and Responsibilities The Houseparent will ensure the boarding house is a happy, safe, engaging and an enjoyable environment to nurture young talent. Pastoral The Houseparent will play an important role in the pastoral welfare of all boarding children at Mount Kelly Prep. Run the boarding house seven days a week - this includes daily wakeup, breakfast and supper and acting as loco-parentis. Organise and run the weekend programme including developing a more vibrant Saturday of onsite activities utilising the skills of the staffroom and the school grounds. Attend to pastoral matters and feedback any relevant information relating to boarding to the daytime staff. Ensure the individual circumstances, needs, strengths and weaknesses of each pupil are identified and known by staff as needed, so that individual opportunities, talents and potential are developed and maximised. Liaise with the Head Matron, Foundation Nurse and if necessary, the school doctor to ensure that pupils medical requirements are properly catered for to encourage pupils to adopt a healthy lifestyle; to ensure that pupils eat a balanced diet; to ensure that pupils get enough sleep and to not to become overtired; to ensure that prescribed medicines and household remedies are stored in a secure place and that a record is kept of any that are dispensed or used.
5 Liaise with the Matrons to ensure that pupils clothes and personal belonging are used appropriately and stored securely and tidily; to ensure that pupils treat the belongings of others, and the fabric and furnishings of the House with respect. Develop, in the pupils a collective responsibility to be aware of the difficulties or problems of others, and to offer such support and help for each other as is appropriate. Provide an annual report on boarding at the Prep, including management, development and welfare targets for the coming years. Use every opportunity to cultivate contact and communicate with parents, to ensure they are fully informed about their child s welfare; to ensure that family incidents and problems are brought to the attention of those who need to know. Counsel pupils, at a time and place that is conducive to good communications, concerning emotional, social or behavioural problems they may have; to liaise with other staff, including those with responsibility for the pupil s siblings, if appropriate; to inform the Deputy Head (pastoral) about any major issues or if any referral to outside agencies is required; to fulfil the requirements of the school s policy on safeguarding. Support the school s disciplinary policy and, by encouragement and reward and by a clearly understood and fair system of sanctions, foster an acceptance of the code of conduct of the House and the School; to inform, the Deputy Head (Boarding) or Head of Prep of any cases of severe bullying or serious misconduct. Take part and contribute to the wider appraisal of boarding staff as per the school s appraisal system. This would add to a member of staff s 360 appraisal. Ensure the school s policy with regard to Health and Safety and Risk Assessment are fulfilled when taking boarding pupils off site. Administrative Run the weekends in the boarding house Plan and oversee weekly and weekend activities for all boarders Chair weekly boarding meetings to ensure all stakeholders in boarding are fully aware of any issues that have arisen and of forthcoming events Keep full and complete pupil records Ensure the smooth planning of weekends and publish logistics for the duty team Arrange catering for boarding weekends and special events Maintain control over boarding budgets (trips and sundries) Liaise with the Transport Manager regarding overseas travel and flight logistics Maintain accurate Tier 4 and other documentation for all overseas boarders liaising closely with Admissions Other tasks Manage pupils pocket money, boarding house petty cash and tuck shop accounts Keep a record of flexi boarders in the diary and allocate beds each week, submitting flexi boarding re-charges to bursary Meet with Boarding Monitors and dorm reps on a weekly basis. Meet as a House on a weekly basis ensuring the pupils have a voice and shared responsibility in the day to day running of the House Meet with potential parents and take tours of the boarding house if necessary Induct new boarding staff and pupils. Oversee the update and revision of induction material for all new staff and pupils Make sure documents and policies are up do date each term (register, gadgets and
6 passports signing in sheets, dorm lists, bedtimes) Adhere to the school s Fire Safety policy ensuring termly fire practice drills Liaise with parents and pupil travel about exeats, half terms, end of term and beginning of term plans Look after pupils for the whole of exeat if they are staying in school Liaise with music departments regarding music practice time and liaise with swim department regarding transport and swim training Keep noticeboards up to date Graduate Trainees and Gap Students The Houseparent will assist the Prep Deputy Head Boarding in the recruitment of GTAs and Gap students. The Houseparent will also line manage them on a day to day basis answering to the Prep Deputy Head Boarding and Head of Prep. The Assistant Director of Sport and Houseparent is expected to teach a reduced timetable. He or she is expected to make a full contribution to the pastoral and extra-curricular life of this busy boarding and day school. He or she will regularly attend Foundation wide events in the evenings and at weekends. This Job Description provides a guide to and general description of the duties and responsibilities of the role and may be amended. It is not exhaustive and therefore the post holder should be willing to undertake any other related tasks, as may be reasonably required by the Head of Prep or the Principal.
