1 MANAGING TEST SESSIONS IN PEARSONACCESS next AZELLA STAGES III, IV, AND V Preparing for the Spring Reassessment online test is important and there are required tasks that must be completed. Next, we will review activities related to managing test Sessions such as Session Student Rosters, Sessions with Section Seal Codes, and Student Test Tickets that students will use when entering TestNav 8. 1
2 TERMINOLOGY (SPRING 2018 AZELLA REASSESSMENT PEARSONACCESS next USERS GUIDE PAGE 55) Testing Ticket Session Section Student s user name and password for logging into TestNav 8. Every student will have his or her own Testing Ticket. A Session is a group of students by school and grade level assigned to a Stage test. A Section is a sub test domain (i.e., Listening, Reading, Writing Part 1, Writing Part 2, and Speaking). Seal Code A Seal Code is a specific code used to unlock a section (sub test domain) by School, by Session, by Grade Level, by Section. Here are 4 terms that you need to know for the online testing. More information about each of these is included in the Preparing for Testing Session Resources section of the Spring 2018 AZELLA Reassessment PearsonAccess next Users Guide beginning on page 55. Testing Tickets are printed for each student and provide the student s user name and password for logging into TestNav 8, Pearson s online testing platform. Test Sessions in PearsonAccess next are used to organize students into groups by Grade and Test Type. Students included in the Student Data Upload file provided by ADE have been automatically placed in an Online Test Session for their grade. Test Sections are the different sub tests or domains of the AZELLA test. Listening is a section. Reading is a section. Writing part 1 (multiple choice) is a section. Writing part 2 (extended responses) is a section. Speaking is a section. Seal Codes are used to unlock each section (or sub test domain) of the test. Test Administrators will print out the list of Seal Codes so that they can provide the seal codes to students before administering each section on the testing day. Seal Codes are 2
3 very specific to a school, a Session, one grade level, and section of the test. 2
4 TEST PREPARATIONS District Steps 1 3 Follow these steps to locate and print Session Student Rosters, Seal Codes, and students Testing Tickets. Step 1 On the Reassessment Test administration home page, select Students in Sessions from the Testing drop down menu. Step 2 Select the Session on the left side of the screen under the Session List section. Step 3 Use the drop down menu under Resources on the right side of the screen. 3
5 TEST PREPARATIONS AZELLA STAGES III, IV, AND V Under the Resources you will find the different resources that you can select to view and print as shown in this image. 4
6 SESSION STUDENT ROSTER BY SCHOOL, BY STAGE WITH SINGLE GRADE LEVEL With ADE s student upload to Pearson, students were assigned and placed into Sessions. Sessions are by school, by Stage, and by a single grade level. This is an example of a Session Student Roster that can be viewed, printed, and shared with the School Test Coordinator and the Test Administrator. 5
7 SEAL CODES FOR SECTIONS OF A SESSION BY SCHOOL, BY SESSION, BY GRADE LEVEL Students will type their assigned GRADE LEVEL Seal Code for a specific Section (sub test) into TestNav 8 to start each section (domain sub test) Section Seal Codes are specific by School and by Session, which is by Stage with a single grade level. Seal Codes cannot be shared with other schools or other grade levels. There are 5 Seal Codes per test Session, except for the SPV tests which will have 4 Seal Codes. In my example, I ve highlighted in green the Stage 3 Grade 3 Section 1 Listening sub test Seal Code. This means that all Grade 3 students at this example school assigned to the Stage 3 Grade 3 test Session will have to enter 7852 after they login to TestNav 8 in order to begin the Listening Test. It does not matter if any of the Grade 3 students at this school take the Listening Test on different days. They will use the assigned Seal Code for the Listening Test. A Grade 4 student at this same school will not be able to use the Stage 3 Grade 3 Listening Test Seal Code even though Grade 4 is also Stage 3. This is just an example of Seal Codes and the codes shown in this image will not work for any students at any school. The assigned Seal Codes cannot be used at any other school or with any other grade level and test Session. This means that the Grade 3 students at a neighboring school who are assigned to the Stage 3 Grade 3 test Session at their school will have a different Seal Code for their Listening Test. Seal Codes cannot be shared across schools 6
8 or across test Sessions or across grade levels. Students will not be able to open their assigned section of their test with an incorrect Seal Code. For added security and to ensure that students present on the same testing day start each section at the same time, Seal Codes are required to open each section of the test. Prior to testing day, the AZELLA District Test Coordinator, School Test Coordinator, or the Test Administrator will print out the Seal Codes for all Sessions. Do NOT print these Seal Codes to pass out to students; rather, the Test Administrator will need to write the Session Section Seal Code on a board or somewhere where the students for that Session and Section will be able to see it and type it into TestNav 8. One Session of Seal Codes will have all of the required Seal Codes for each Section (domain sub test) for that school and that specific grade level. Seal Codes are secure test materials and must treated as such. At the end of the Reassessment Testing window all Seal Codes must be securely shredded by the District or School Test Coordinator. 6
9 Testing Tickets are secure test materials. Testing Tickets are distributed and collected every day for each Section. Students may NOT leave the testing room with their Test Ticket. STUDENT TESTING TICKET FOR TestNav 8 USED FOR ALL SECTIONS (SUB TESTS) OF STUDENT S SESSION USERNAME = SSID A Student Testing Ticket contains each student s User Name and Password for logging into TestNav 8 each day the student tests. Student Testing Tickets are secure test materials and must be treated as such. The AZELLA District Test Coordinator, School Test Coordinator, and/or Test Administrators must print the Student Testing Tickets prior to testing. Test Administrators will pass out the Testing Tickets as the students enter the testing room and they will be collected before the students leave the testing room. Students will use the same Testing Ticket for each section of the test that they complete. At the end of the Reassessment Testing window, District or School Test Coordinators must securely shred all Student Testing Tickets. A student s Username is their SSID number. Every student will have a unique Password that must be used every time that student signs in to TestNav 8. 7
10 ORDER OF TEST ADMINISTRATION 1. Listening 2. Reading 3. Writing, part 1 M/C 4. Writing, part 2 ER 5. Speaking 5 consecutive school (instructional) days Once a Section (domain sub test) has started it must be completed during that school day. Due to having to use Seal Codes for Sections of the test, the order of test administration must be as shown here. Students may have 5 consecutive school days to complete the entire Reassessment Test. Once a domain sub test, or Section, has started it must be completed by the end of the same school day in which it was started. Due to 6 students completing the Speaking Test at the same time in a typical classroom sized room, 2 to 3 additional instructional days for the Speaking Test is permitted. 8
11 PREPARING TEST SESSIONS IN PEARSONACCESS next AZELLA STAGES III, IV, AND V SPRING 2018 AZELLA REASSESSMENT PEARSONACCESS next USERS GUIDE (PAGES 61 65) Preparing a Session is the action that links the students in the Session with their assigned form in TestNav 8, Pearson s online testing platform. This step must be done prior to the first day of testing and can take time to complete this task, depending on how many students are in a Session. You may refer to pages 61 through 65 in the Spring 2018 AZELLA Reassessment PearsonAccess next Users Guide for additional information. 9
12 TESTING STUDENT TESTS Students who have been pre registered for a Spring Reassessment Test are listed here. Stages I and II show Type as Paper. Stages III, IV, and V show Type as Online. After ADE extracted student information from AZEDs, Pearson uploaded it to PearsonAccess next. In doing so, this automatically created, registered, and assigned the appropriate test for the students. Stages 1 and 2 students show a test Type as Paper. Stages 3, 4, and 5 students show a test Type as Online. 10
13 TESTING SESSIONS A few days before the scheduled test date, select Sessions from the Testing drop down menu. On the Sessions screen, check the box or boxes for the Sessions you will be working with. You may select more than one at a time. Next, click the hyperlink for Go to Students in Sessions which is located next to Sessions as shown in this close up image. 11
14 TESTING STUDENTS IN SESSIONS Under the Sessions List, the Test Administrator may select one of the Sessions listed to show the list of students that have been assigned to that Session. The Combined View will show all of the students for the Sessions listed below the Combined View title. If there will be more than one grade level testing at the same time in the testing room, then the Combined View will need to be used in order for the Test Administrator to start the test for these students. Under the Sessions List, the Test Administrator may select one of the Sessions listed to show the list of students that have been assigned to that Session. If the Combined View is selected, it will show all of the students for the Sessions listed below the Combined View title. In this example, it would show all of the students at this school who are assigned to Stage III Grade 3 plus Stage III Grade 4 plus Stage III Grade 5. If there will be more than one grade level testing at the same time in the testing room, then the Combined View will need to be used in order for the Test Administrator to start the test for these students. 12
15 TESTING STUDENTS IN SESSIONS Select one or more test sessions, or select the Combined View to select all of the Sessions that are listed and then use the Prepare Session button. A Session has been successfully prepared when you see the green Start Session button. After selecting one session or the Combined View, the Test Administrator will need to select the Prepare Session box located on the right side of the screen. When all test forms are assigned, the Session will show as Ready and the green Start Session button will appear. 13
16 STARTING A SESSION TESTING DAY On a testing day and inside of PearsonAccess next, the Test Administrator must select the students who are present and ready to test. Students must be approved by the Test Administrator before they can log into TestNav 8 with their credentials supplied in the Testing Ticket. Select Sessions from the Testing drop down menu. On the Sessions screen, check the box or boxes for the Sessions that will be testing. You may select more than one at a time. Next, click the Go to Students in Sessions which is located next to Sessions. Then, select the Session or the Combined View from the Session List. 14
17 STARTING A SESSION TESTING DAY Next, the Test Administrator must identify which students are present for testing on that specific testing day. As each Session is selected under the Session List or the Combined View is selected for multiple Sessions, students assigned to those Sessions will appear in the center of the screen. The Test Administrator will need to check the boxes for those students who are present for testing on that day. The filters on the left side may also be used to locate one student at a time. Once the students have been selected, the Test Administrator will click on the green Start Session button. This will allow students to log into TestNav 8 and enter the designated Seal Code for that section of his or her test. If a student is absent then the Test Administrator will not check the box next to the student s name at this time. 15
18 TESTNAV ON TESTING DAY Seal Codes Feb. 7, 2018 Grade 3 Listening Test 0123 Grade 4 Listening Test 4567 Grade 5 Listening Test Students will open the TestNav 8 application on their computer or device and then use their Testing Ticket to login. The Test Administrator must provide the Section Seal Codes for each group of students that are the same grade level; therefore, if there is more than one grade level present in the testing room, the Test Administrator may need to provide one grade level s Section Seal Code at a time. The Test Administrator and Proctor must circulate around the testing room to ensure that students are entering their User Name, Password, and Seal Code correctly. The Test Administrator must follow the directions exactly as they are written in the Test Administration Directions to begin the test. 16
19 TestNav 8 REQUIREMENTS TestNav 8 is Pearson s online test delivery solution. Students will use TestNav 8 to complete their tests, not PearsonAccess next. The next few slides provides you with information on system requirements for TestNav 8, required hardware, and how to receive tech support. 17

A link to the complete chart is available on the Assessment District Test Coordinator web page as well as on the PearsonAccess next home page. The exact web address is provided on this slide. All students must use a keyboard. If devices have an onscreen keyboard, the district must provide an external keyboard for students to use because the onscreen keyboard takes up at least half of the test screen and the student will not be able to see the entire question. It is highly recommended to use wired keyboards. We also recommend that students use an external wired mouse but it is not required. 18
21 STUDENT HEADSET REQUIREMENTS L/R/W1/W2 Any type of headset or earbuds No microphone required SPEAKING The microphone MUST be Noise cancelling and Uni directional Headphone and Microphone Requirements Students are required to use headsets for the Stages 3 through 5 online AZELLA test. Students may use any headset or earbuds for the Listening, Reading, and Writing subtests. There is included audio that they will need to listen to in each of these domains. The Speaking Test requires a headset with a noise cancelling and uni directional microphone because students must record their responses in TestNav 8. For devices that have USB ports, Pearson recommends the Logitech ClearChat Comfort USB Headset H390. Please remember that up to 6 students at a time may complete the Speaking Test if they are in an average sized classroom setting; therefore, you should not need to purchase this type of headset for every student who is required to be tested since they can share the headsets. Districts may use their ELL B weighted funds to purchase these headsets. Federal Title III funds and SEI Budget funds may not be used to purchase headsets for testing. Pearson has provided a Headphone and Microphone Requirements document which provides you with the requirements for a USB headset and a single jack headset for those devices that do not have USB ports. They have also provided a document for suggested seating arrangements for the Speaking Test. This information is available on 19
22 ADE s District Test Coordinator web page under the AZELLA tab and it is on the home page for the Spring Reassessment Test administration in PearsonAccess next. 19

Select the image that indicates Session 4 Completion Verification as shown here. This will open on a new web browser tab. Complete the form and then submit it. In doing so, this will send a notice to ADE that you have completed this Session. In the confirmation pop-up screen you will see a link to the Professional Development certificate for this session. Session 5 is for all Stages and it includes any updates for the Spring Reassessment Test and provides answers to frequently asked questions. 20
