2 Holding Module for Learner Learners Welcome to the new LMS GeoLearning LMS is a Windows based Learning Management System with intuitive navigation. Course selection and registration are available. As Learners become more knowledgeable new features will be introduced. We have kept the popular Learning Paths from the old LMS to assist the selection of relevant courses by job role. Under My Learning fast access to UNDP's Mandatory Courses has been introduced. Top Level Menu Options used in LMS 1. Learning Paths: The popular Learning Paths from the old LMS to assist the selection of relevant courses by job role. 2. My To Do: Courses you have chosen for yourself (Self Registered) and courses/workshops that you have been assigned (i.e. Pre-registered) 3. Catalog Search: Lists available online and instructor-led courses. 4. Learning History: Used to Print a Certificate; View your Learning History (Transcript Report) and view Gradebook (allows you to mark grades and completion for certain user-defined task). 5. Learning Plan: Your learning plans with due date and description (from Success Factors) 6. Setting and Preferences: Allows the setting of your Regional Preferences and the selection and download of any required Plug-Ins (necessary to run some courses) 7. OnDemand: Direct access to corporate online training for Atlas, LMS and the RCA Learning Paths Learning Paths Learning paths are suggested learning paths based on Job Roles. For your convenience, each job title has a corresponding learning path. Please note that the curricula are illustrative, not comprehensive, and based on what is available in the LMS. The selected learning resources are listed in order of priority (decided upon through extensive consultation). The approximate time to complete each course has also been indicated for your guidance. Simply click on the course you would like to take. Courses that are not underlined will be coming soon. You will find:

3 - Corporate Mandatory Courses for all staff - Required Courses for each job title which are necessary to complete - Recommended Courses for each job title designed to enhance staff effectiveness - Other Course Suggestions offered to provide staff with additional courses that may be useful and of interest to their jobs. 7 Learning Plan Learning Plan Your learning plans with due dates, description and learning activity. All staff members are expected to have in LMS a mimimum of one approved Learning Goal and one completed Learning Activity within that Learning Goal (in the current RCA time frame). This will represent a Green on the dashboard. Role Definitions 1) Learner - a staff member who will be using LMS to enter their Learning Goals and apply for a Learning Event (Course, Training etc) 2) Supervisor/Approver - a Supervisor Approves their staff member's Learning Goals. Add Supervisor Select a Supervisor When you assign yourself a Supervisor you grant the Supervisor the ability to view your User's Profile and Learning Data as well as to include that data in the reports that they can generate. Your Supervisor is responsible for approving your Learning Goal(s). When you want to assign a Supervisor the system presents you with a list of UNDP staff in table format - selection takes place from this table. Procedure In this topic the staff member Mike Dodd will select Anant Sharma as his Supervisor.

8 Step Action 1. Learning Plan Page From Learning Plan Click the Add Supervisor link. 2. Click the Assign New Supervisors button. 3. Search for Users In this example we search for Anant Sharma. Enter the desired information into the Search for: field. Enter "sharma". 4. Click the Go button. 5. Click the SHARMA option. 6. Click the Next button. 7. Click the Save button.

Learning Plan (Catalog Activity) Learning Plan Terminology PLEASE NOTE before you enter a Learning Plan you MUST have an assigned Supervisor. If you do not have an assigned supervisor see OnDemand for Learning Plan, Add a Supervisor. To enter a Learning Plan in the Learning Management System you need to be aware of the following terminology: Development Goal: skills. Learning Activity: a Learning Plan (with Learning Activities) to develop your knowledge and an Activity which supports the achievment of your Learning Goal e.g. a workshop attendance or a course selected from LMS. It is recommended that Learning Plans follows the RCA period.

10 Procedure In this example a Learning Plan is entered for the learner Mike Dodd. The Development Goal Name is "Enhance Atlas Procurement Skills" One activity is entered: "UNDP Procurement Certification". Step Action 1. Click the Learning Plan link. 2. Click the My Learning Plan link.

11 Step Action 3. Learning Goal Summary Page If Goals had been previously entered you would see a list of currently entered Goals. In this example, this is the first Goal. Click the Create a New Development Goal link.

12 Step Action 4. Add Development Goal Enter a meaningful Goal Name (Objective) Enter the desired information into the *Objective field. Enter "Enhance Atlas Procurement Skills". 5. Competencies Only Competencies related to your Job Code are listed. Select the related competency to the Development Goal. Click the Job Knowledge and Technical Expertise option.

13 Step Action 6. Add Development Goal Enter a meaningful Goal Description, think of it as an explanation to your Supervisor who will have to approve the Goal. Enter the desired information into the Description: field.

14 Step Action 7. RCA Dates Change the default dates as required. You may wish to change the dates to follow the current RCA period e.g. 1st February 2009 to 31st January Click the On Track list item.

16 Step Action 10. Add Learning Activity Click the Add Learning Activity button. A Learning Activity is a learning resource (e.g. a workshop, an LMS Course etc) that addresses a skill area targeted for improvement. Adding a Learning Activity indicates a plan to achieve your Development Goal. 11. Add a Learning Activity Two options are available: 1) Custom Learning Activity - used for a Learning Activity NOT available in the LMS (e.g. an external seminar). 2) Select from Learning Catalog - for courses, classes and workshops available in the LMS. In this example the learner wishes to take the UNDP Procurement Certification. Click the Select from Learning Catalog button.

Add a Learning Activity Two options are available: 1) Custom Learning Activity - used for a Learning Activity NOT available in the LMS (e.g. an external seminar). 2) Select from Learning Catalog - for courses, classes and workshops available in the LMS. In this example the learner wishes to take an external (custom) course. Click the Custom Learning Activity button. 12. Enter the desired information into the *Name field. Enter "Fundamentals of Public Procurement.". 13. Course Description Enter the desired information into the Description field. 14. Click the Drop Down to select the current Status of the Learning Acitivity.

Learning Plan (Approval) Supervisor Approval The staff member's Supervisor is responsible for approving the staff member's Learning Goals. In this example: The Supervisor is Anant Sharma. The Staff Member is Mike Dodd. Please be reminded to assign your Supervisor first (see OnDemand > Learners > Learning Plan > Add Supervisor)

Click the View Learning Goals for Mike Dodd button. 4. The Learning Goals for the staff member Mike Dodd are displayed. Click the 1.1 option (or the Goal you wish to review and approve), 5. Click the Edit Development Goal button. 6. Click the Manager Approval drop down. 7. Select either Approve or Rejected.

Click the View Details button. 7. Click the Enroll in this Class button. 8. You have successfully enrolled for the Learning Manager Workshop.

45 1) My To Do (Self Registered and Pre-registered) Self Registered courses - courses you have chosen to do yourself and may form part of your Learning Plan or Pre-registered events- refering normally to workshops that you have been pre-registered for - perhaps, for example, by your Learning Manager or the UNDP/Learning Resource Centre. 2) UNDP Mandatory Courses Quick access to UNDP's Manadatory Courses such as Orientation to UNDP; Security (Basic and Advanced); Harassement; Gender and Ethics 3) Announcements Quick, visible notification to Learning Announcements - such as new courses, or upcoming mandatory course deadlines etc My To Do (Self Registered) My To Do - Self Registered My To Do - Self Registered refers to courses that you have chosen yourself, it is a good place for you to continue and/or monitor the progress of courses for which you have already enrolled. Please Note: Before a course appears in 'My To Do - Self Registered' you first need to go to Catalog Search and select a Course. Procedure Self Registered refers to courses that you have chosen yourself, it is a good place for you to continue and/or monitor the progress of courses for which you have already enrolled. In this example we continue the course 'Ethics Training'.

46 Step Action 1. Click the My Learning link. 2. My Learning Page To continue a course already selected use the 'My To Do' column. In this example we wish to continue the Ethics Training. Click the Launch button or the Ethics Training link. 3. Click the Ethics Training option. 4. Click the Launch button.

My To Do (Pre-registered) My To Do - Pre-registered My To Do - Pre-registered refers normally to workshops for which you have been preregistered. For example, you may be pre-registered by your CO Learning Manager to a local in-house workshop or by the UNDP/Learning Resource Centre for a corporate event. My To Do - Pre Registered is found on the My Learning page on the bottom half the My To Do column.

48 Procedure In this example the Learner has been Pre Registered for a workshop called 'Introduction to the new LMS'. You will learn how to view the Workshop details, the Workshop Schedule and any material that needs to be reviewed in advance of the event. Step Action 1. My Learning Preregistered courses are located under My Learning. 2. My To Do Pre-Registered To view the details of a course for which you have been pre-registered click the course name. Click the Introduction to the new LMS link.

49 Step Action 3. Course Activity For some courses you may be expected to do background work before attending the event. In this example you are required to review the LMS OnDemand training content before attending the event. Click the option and Launch the training. 4. Course Schedule Click the Scheduled Classes link. 5. Click the Introduction to the new LMS option. 6. Click the View My Class Schedule button. 7. Course Schedule The course schedule is displayed in calendar format. Click the Close Record link. 8. View Course Details Click the Description link.

My Requested Learning (Approval Required) My Requested Learning (Approval Required) There are occasions when an approval for a course or class is required. Generally this will be related to an expenditure - for example, the HR Certification or the attendence of a workshop

53 when DSA is applicable. In these circumstances the system will automatically route your learning request to the designated approving official. The required course / class is selected from Catalog Search, the system will then automatically prompt you through the approval request workflow. The Learning Request will be shown in your My To Do. To check the status of your approval requests go to My Learning Requests under My Learning. Procedure In this topic the learner requests approval for the official UNDP HR Certification course. Step Action 1. Click the Catalog Search link.

54 Step Action 2. Catalog Search In this example we search for the UNDP HR Certification course. Enter the desired information into the Search for: field. Enter "HR". 3. Click the Go button. 4. Click the Details button. 5. Click the Submit Request link. 6. Select the required course, in this example there is only one, the UNDP HR Certification. Click the Next button. 7.
