Both the PMRN Website and User s Guide are often updated to meet the needs of educators. 9 Introduction - Preface 1.0 Introduction Preface Welcome to the Progress Monitoring and Reporting Network (PMRN). The PMRN is Florida s Web-based data management system for the reporting of gains in reading and the Florida Kindergarten Readiness Screener (FLKRS). The FLKRS is to be administered during the first thirty instructional days of the new school year to all Kindergarten students enrolled for the first time in a public school and to all Kindergarten students enrolled in a non-public school who attended a Florida Voluntary Pre- Kindergarten (VPK) program the previous year. This User s Guide is intended for educators in Florida s non-public schools that will be screening their Kindergarten students who previously attended a Florida VPK program. The FLKRS has two parts: the Florida Assessments for Instruction in Reading (FAIR) and the Early Childhood Observation System TM (ECHOS TM ). Both the scores from the readiness screener and the observations from the ECHOS TM are to be entered into the PMRN before the close of the thirtieth day of school. Upon completion of all data entry across the state and analysis by the Florida Department of Education (FLDOE), reports summarizing student readiness for learning will be provided through the PMRN. If you have policy and programmatic questions related to reading, including the ordering of print materials for the FAIR, please contact the Just Read, Florida! Office ( or JustRead@fldoe.org). 10 Introduction - Equipment, Security About the PMRN The PMRN is a Web-based data management system available at any time through an Internet connection. To achieve the most secure connection, thereby protecting sensitive student and staff data, please note the following equipment and security requirements. Equipment Browser Minimum Requirements: To support secure connections the PMRN requires the use of Microsoft Internet Explorer 7.0 or 8.0, Mozilla Firefox 3.0 through 17.0, Google Chrome, or Apple Safari 4.0. Note: For computers utilizing Windows or Apple/Macintosh operating systems, the enabling of JavaScript and Cookies as well as a minimum of Flash Player version 10 are required. You may view a list of the technical specifications at: Monitor Resolution: It is recommended that your monitor resolution be set to 1280 by 768. Macintosh Users: The FCRR has found that student data labels do not print correctly on Epson model printers, but do print successfully on the following printers: HP2200, HP4200, HP4050, and HP5SiMX. Security Saving Passwords: Some computers and Internet browsers allow you to Save Passwords. It is recommended that you do not have your computer remember your PMRN Password. Ask your site technology specialist about disabling the option to Save Passwords. Signing Out: When you complete a PMRN session, please Sign Out. The PMRN will automatically end your session if you are idle for twenty minutes. If you must leave the computer, please Sign Out so that another person who might use your computer cannot have access to information within the PMRN. PMRN User s Guide - FLKRS Version 3.0 Page 1.2

11 Introduction - Identifier, User Name, Password Note: To prevent being timed out, click Save, refresh the page, or load a new report within twenty minutes. Typing is not considered an action that prevents being timed out, as the database is not refreshed. Protect Your Identity: You should keep your User Name and Password in a secure location, and you should not share it with anyone. Details about privacy and security issues can be found on the PMRN site through the Copyright, Privacy Statement, and Disclaimer links found at the bottom of the Sign In page. PMRN Internet Address The PMRN Website is located on the Internet at: Note: Notice the s after http. This indicates that the site is secure for the transmission of sensitive data. Accessing the PMRN Identifier, User Name, and Password Each PMRN User needs three pieces of information to begin using the Website: a Unique Identifier, a User Name, and a Password. Security requirements prohibit the PMRN from sending these three pieces of information in a single document. Each principal receives his or her Identifier in a letter mailed from the FCRR. Each principal s User Name and temporary Password will be sent by . For other school-based Users, the Identifier is the PMRN Unique Identifier. Users will receive their User Names and temporary Passwords by after they have been granted access either by the principal or by the principal s designee, usually the school s Reading Coach. In the PMRN, the principal is known as the School Level 1 (SL1) User, and the designee is known as the School Level 2 (SL2) User. PMRN User s Guide - FLKRS Version 3.0 Page 1.3

12 Introduction - Identifier, User Name, Password SL1 and SL2 Users should retrieve the PMRN Unique Identifier to provide to Users at their school. To retrieve the PMRN Unique Identifier, the SL1 or SL2 should follow the steps below: Sign In to the PMRN using his or her User Name and Password. Select the Users tab. Click on the name of the User that needs his or her Unique Identifier. Review the label named PMRN Unique ID found at the top of the User Information. Principals should contact the PMRN Help Desk if they have not been given access to the PMRN. Since principals enter their designees into the PMRN, a principal s designee should contact his or her principal if he or she does not have access to the PMRN. All other staff should contact the principal s designee to be granted access. If a staff member has been granted access but does not have a User Name or Password, the staff member should contact the Support Specialists of the PMRN Help Desk (helpdesk@fcrr.org or ). Note: The Support Specialists may only provide User Names and Passwords to the Users themselves. Information to have on hand before you Sign In to the PMRN for the first time: Your received from the PMRN assigning your User Name and temporary Password. Your Identifier which is your Unique Identifier created by the PMRN. Note: At the beginning of the school year, the principal needs to make a number of entries in the PMRN. Please see Principal s Entries, Section 2. Start by going to the PMRN Website, located at: Note: Notice the s after http. 13 Introduction - Signing In Signing In At the PMRN Sign In page, type in the User Name and Password as they appear in the you received from the PMRN, and click Sign In. Note: The PMRN User Names and Passwords are not case-sensitive. Both capital and lowercase letters are accepted. Possible Errors when Signing In to the PMRN: You mistyped your User Name or Password. Please try again. The letter O and the number 0 and the letter I and the number 1 can be difficult to tell apart in some messages. If any of these characters are in your User Name or Password, please try typing the User Name or Password using each, or copy your User Name or Password from your and paste it into the boxes on the Sign In page. 14 Introduction - FERPA, News FERPA Statement The PMRN contains official student records. To proceed, you must agree to adhere to the provisions of the Family Educational Rights and Privacy Act (FERPA) and Florida laws regarding access to and disclosure of these records. Click I agree to continue. At the bottom of the PMRN pages are links to information about privacy and security issues. You are urged to read this information. Note: Information within the PMRN is not to be shared with any person who does not have a defined educational need. News After the FERPA statement, a News & Information page may be displayed. This page contains the most recent and relevant information pertaining to the PMRN. This page may be accessed at any time by clicking the News link located on the menu to the left of the PMRN Home Page. After clicking the Next button at the bottom right corner, the News & Information page will not appear again at Sign In until a new news item is added. PMRN User s Guide - FLKRS Version 3.0 Page 1.6

15 Introduction - Reset Password Reset Password For security reasons, you must reset your Password upon Signing In for the first time. Follow the onscreen instructions to enter your Identifier and a new Password you select. Note: You will use this Password for future access to the PMRN. After entering your Identifier and new Password, click Submit. Possible Errors: You mistyped your Identifier. Please try again. You did not include the required number of letters and/or a number in your Password. The new Password did not match the re-typed Password. You did not follow the requirements for Passwords. Passwords must be at least 6 characters and no more than 20 characters in length, and must include at least one number. Your new Password matches your old Password. After clicking Submit, you will notice on the screen that your Password has been changed. PMRN User s Guide - FLKRS Version 3.0 Page 1.7

16 Introduction - Forgot Your Password? Forgot Your Password? If you forget your Password in the future, click Forgot Your Password? on the Sign In page. Follow the onscreen instructions to enter your address. Click Submit. If the address is valid, is in the PMRN database, and is not shared by two or more Users, the Password will be sent to the address entered. After using the Forgot Your Password? function, you will need to reset your Password the next time you Sign In. PMRN User s Guide - FLKRS Version 3.0 Page 1.8

17 Introduction - Home Page Home Page Congratulations! You have completed the Sign In process and have reached your Home Page, your key navigation page within the PMRN. In addition to your name and Access Level, this page displays the name of your school above the navigation tabs. Below is the PMRN's Home Page for principals (SL1 Users) at a FLKRS school. Different Users will see different pages after they finish entering their Password, based on their Access Level in the PMRN. You may click the tabs to access different areas of information in the PMRN. When you are working within one of these areas, you can always return to the front page of each section by clicking on its tab. When you wish to end your PMRN session, click Sign Out in the menu column to the left of the screen. The Help and Contact Us links lead to more information about the PMRN and offer ways to reach the PMRN Help Desk. Note: Remember to use your new Password the next time you Sign In to the PMRN. 18 Introduction - Your Profile Your Profile You are urged to check your personal account information by clicking the Profile link on the menu to the left of the screen. This is where you can change your name if it is incorrect or if it has changed. The name change only affects printed reports, by changing the class name in the roster (but not your User Name). Have your District Human Resource/Payroll department make the official change to your District's files to ensure that your corrected name will appear in the PMRN the next time data is updated by the FLDOE. Teachers, especially, need to check their profiles. This information determines how a teacher's name appears on reports to parents and where s from the PMRN are received. Use the drop-down box for Title to specify the form of your name on printed reports. To have your name appear as "Jane Doe," for example, leave the drop-down box at N/A. If you want just your title and last name to appear on reports, select the correct title (Mr., Mrs., Ms., or Dr.) from the drop-down box. This will print out "Mrs. Doe," for example. The address listed is the address that the Password will be sent to if you click the Forgot Password link. After you have made your desired changes, click Save. 19 Introduction - Change Your Password, Need Assistance? Change Your Password Should you need to change your Password, you may do so by filling in the boxes on the bottom section of the Profile page. Click Save after making any changes to your profile. Note: Please see page 1.7 for Password requirements. Need Assistance? 20 Principal s Entries - Overview 2.0 Principal s Entries Overview Note: This section of the PMRN User s Guide is written for the School Level 1 (SL1) User at a non-public school administering the Florida Kindergarten Readiness Screener (FLKRS). No other Users are able to perform these steps. At the beginning of the school year, the principal is the school s only User of the PMRN. By entering information on a screen within the PMRN, you will prepare your school to begin using this Web-based tool. These tasks involve: Confirming your school s calendar(s) Identifying your designee (SL2 User) in the PMRN and adding him or her as a User Before the school year begins, the PMRN urges you to review the information in this guide about other Users and enter information into the PMRN about your SL2 User (Please see Users and Access, Section 3). Once you have completed this additional step in setting up the PMRN, you and your staff can begin to administer the Florida Kindergarten Readiness Screener (FLKRS). 21 Principal s Entries - School Configuration School Configuration While working on a computer connected to the Internet, the principal will make a number of unique entries on the initial setup screen within the PMRN. This page is called the School Configuration page and it must be completed in a single session, as it will only appear once. Note: It is important that the principal be prepared to complete the School Configuration in one session, which takes less than five minutes to complete. Once the School Configuration page has been accessed and completed, it will not appear again for the current school year. The School Configuration sets important time-frames for each school that determine when scores from the Florida Assessments for Instruction in Reading (FAIR) and observations from the Early Childhood Observation System TM (ECHOS TM ) can be entered. Note: If you leave the PMRN site at any time before you complete the School Configuration screen, you will have to reset your Password again. You will not be able to use the same Password a second time. You will need the following information before you Sign In to the PMRN for the first time: Your received from the PMRN assigning your User Name and Password Your Identifier that was sent to you in a letter from the FCRR Your School Calendar with your school s start date and the dates of non-instructional days Note: For the initial set-up of the PMRN, the Support Specialists of the PMRN Help Desk have used the county school district-wide traditional calendar. 22 Principal s Entries - Calendar, Non-Instructional Days Confirm Calendar The school calendar start date is the date that the principal entered during school registration. This should be the first instructional day for students. The PMRN will use these dates to determine when to open and close the FLKRS data collection window. Non-Instructional Days A school holiday is an example of a non-instructional day. Your screen may show a list of holidays for the county schools in your area. Please contact the PMRN Help Desk if you need to add non-instructional days or if the dates on your screen are incorrect. Note: Non-instructional days affect the dates set for data recording. It is very important that the list of non-instructional days is accurate. PMRN User s Guide - FLKRS Version 3.0 Page 2.3

24 School Configuration Completed Principal s Entries - Configuration Complete When you have successfully completed the School Configuration page, the PMRN's key navigation page will be displayed. In addition to providing your name and Access Level, this page also displays the name of your school above the navigation tabs. Note: At this point, we recommend that you continue your session by adding your SL2 User. Please refer to Users and Access, Section 3. Remember: Use your new Password the next time you Sign In to the PMRN. If the School Configuration was not completed before you Signed Out, the process will start over from the beginning, requiring you to create a new Password. 25 Users and Access - Overview 3.0 Users and Access Overview Note: This section of the PMRN User s Guide is written for School Level 1 (SL1) and School Level 2 (SL2) Users at non-public schools administering the Florida Kindergarten Readiness Screener (FLKRS). No other Users are able to perform these steps. Student and employee data are very sensitive. PMRN Administrators should take great care in assigning Users access to such data. Please note that different levels of PMRN Users have access to different information. Principals are named School Level 1 (SL1) Users and have access to all information within a school s PMRN site. Principals designees are called School Level 2 (SL2) Users and have access to all PMRN information - except the School Configuration page, which is completed by the principal at the beginning of the school year. 26 Users and Access - Administrative Users Administrative Users These Users have the capability to either enter or remove other Users or students in the PMRN, create classes, edit and enter student scores, and receive official communications from the PMRN. School Level 1 (SL1) User A principal is the sole SL1 User at a school. The FCRR identifies and assigns principals as SL1 Users. School Level 2 (SL2) User Each school is allowed to have only one SL2 User who serves as the principal s designee. This User has the same PMRN access - except to the School Configuration pages - given to principals. Note: For the purpose of this document, the SL2 User is known as the Reading/ Literacy Coach. The SL2 User may also be the assistant principal in charge of curriculum, a curriculum Resource Teacher, or someone else in charge of PMRN administration. Note: The SL1 and 2 Users receive s and alerts from the FCRR. No other Users receive these communications. PMRN User s Guide - FLKRS Version 3.0 Page 3.2

27 Non-Administrative Users Reading Level User Reading Level Users are teachers who provide primary reading instruction to a class. Data Entry Level (DEL) User Users and Access - Non-Administrative Users The DEL User enters scores and observations from the FLKRS on the Data Entry page. When entering the data through the Data Entry page, a Reading Coach should be both an SL2 User and a DEL User to readily maintain class rosters and ensure data entry is correct. 28 Users and Access - Users and Access Levels Users and Access Levels School Level 1 and 2 Users have access to all School, Teacher, Class, and Student Reports for their schools in the PMRN and are the only ones that can add and remove Users. The chart below provides the list of Access Levels and recommends who should have each level, the number of persons that can be assigned the level of access, and the application(s) that can be accessed. 29 Users and Access - Adding a New User Adding a New User At the beginning of the school year, the principal should add his or her Reading Contact as the SL2 User for the school. In the PMRN, the principal is the SL1 User and the Reading/Literacy Coach or other designee is the SL2 User. Different PMRN Users have access to different information. Before you assign other Users, please review information about Access Levels, on page 3.4. An SL1 or SL2 User may add Reading Users. To add new Users, click the Users tab. If a list of your teachers appears, please refer to page 3.6 for instructions on how to provide them access. Click the Add User button. PMRN User s Guide - FLKRS Version 3.0 Page 3.5

30 Users and Access - Adding a New User Fill in the information boxes on the screen. Note: The User Name and Password will be sent to the address of the User being added. Please verify the address with the User. The Identifier is the person s Employee ID number or Social Security number. Access Level refers to the User level you assign this person. A teacher s Employee ID number is usually 6 or 7 digits in length. The School Level User would need to enter their 2-digit District Number in front of the Employee ID number (plus a possible zero) to meet the 9-digit requirement for an Identifier. Click the boxes under the Allow? column to assign Users to appropriate Access Levels. The checked box under the Access to PMRN column signifies the User will have access to perform PMRN functions and view PMRN reports. When you have filled in the boxes needed, click Submit. 31 Users and Access - Adding a New User Verify User The new User s name, address, and Access Level will be displayed. (If there is an error, click Cancel, which will return you to the list of Users.) Click Continue. Later, when you have a list of Users, this step will ensure you are adding the correct person if there are people with similar names or Social Security numbers. The PMRN will send a User Name and Password to this person via . You may want to notify them and share information in this guide on how to Sign In and reset Passwords, found on pages Note: At the end of this section, there is a page that is designed to be copied and distributed to the teachers at your school which will assist them in gaining access to the PMRN (page 3.11). 32 Users and Access - Deleting a User Deleting a New User To delete a User, begin at your Home Page by clicking the Users tab. Click the name of the User you want to delete. When the information for the teacher is displayed, uncheck the box(es) under the Access column corresponding to their current Access Level(s). Click Submit. 33 Users and Access - Deleting a User To confirm the deletion, click Continue. Note: A teacher who has FLKRS scores associated with him or her cannot be deleted from the list of this year s teachers. Access to the reports will be removed, but the teacher s name will still appear on the list of teachers at the school. PMRN User s Guide - FLKRS Version 3.0 Page 3.9

34 Users and Access - User Access Level Selection User Access Level Selection PMRN Users can have more than one Access Level. The PMRN is set up so that Users can use a single User Name and Password and switch between Access Levels. Some tasks required of Reading/Literacy Coaches are best performed with School Level 2 access, while others are more easily accomplished as a Data Entry Level User. At the start of the school year, the principal enters the SL2 User into the PMRN. An SL2 User can then add his or her own additional level as a Data Entry Level User. Follow the directions for adding a new User on pages When Signing In to the PMRN, a User with two or more Access Levels will have the option of which level to use. Click the radio button to the left of the row with the Access Level you wish to use, and click Next. To switch Access Levels while working within the PMRN, click on the words Access Level: in the upper left of the screen, shown at right. 35 Teacher Handout - First Sign In Page 3.11 As a teacher, you can begin using the Progress Monitoring and Reporting Network (PMRN) to enter FLKRS data after you have been given access by your school s Reading/Literacy Coach or principal. First, you must check your for a letter assigning you a User Name and temporary Password, which is required to access the PMRN. You will receive this shortly after your school s Reading/Literacy Coach or principal gives you access. The will have New User Name & Password Assignment for PMRN in the subject line. When you receive your User Name and Password, please follow these directions to Sign In to the PMRN and to reset your Password. You must complete this process before you are able to Sign In to the K-2 EST. 1) Sign In: Go to the PMRN at: Note the s after http. This indicates the site is secure for transmission of sensitive data. Type your User Name and Password in the appropriate fields and click Sign In. Note: You may use capital or lower-case letters. The Sign In page is not case-sensitive. 2) FERPA Statement: Because the PMRN contains sensitive student and staff data, you will be asked to agree to the provisions of the Family Educational Rights and Privacy Act (FERPA) and Florida laws regarding access and disclosure of records within the PMRN. Click I agree to continue. 3) Reset Your Password: Follow the directions on this page to enter your Identifier, which is your PMRN Unique ID, and to reset your Password to one you prefer. Note: The Password must have at least six characters, with at least one being a number. Remember to use your new Password the next time you Sign In. If you forgot your Password, click the Forgot Your Password? link on the Sign In page. Enter your address, and the PMRN will your Password directly to you. Keep in mind that each time the Forgot Your Password? link is used, you will need to reset your Password to a new one. About PMRN Identifiers: Three pieces of information are required to Sign In to the PMRN, a User Name, temporary Password, and Identifier. For the Identifier, teachers can use their PMRN Unique ID. The PMRN Unique ID can be retrieved by the school s principal (SL1 User) or the staff member administering the PMRN for the principal (usually the SL2 User). The SL1 or SL2 Users will find the PMRN Unique ID by clicking on the User s name under the Users tab.

36 Creating Classes - Overview 4.0 Creating Classes Overview Note: This section of the PMRN User s Guide is written for School Level 1 (SL1) and School Level 2 (SL2) Users at Florida s non-public schools using the PMRN for the reporting of Florida Kindergarten Readiness Screeners (FLKRS). Section 5 is written for Data Entry Level Users and Reading Teachers. It is very important that the steps in this section be followed to ensure that class lists are up to date for the administration of the FLKRS. Please share the information in this guide on how to Sign In and Reset a Password (Please refer to page 3.11). Remind him or her that Identifiers, when resetting a Password, are Unique Identifiers. Click Add User again to continue this procedure until your teacher list is complete. Indicate the periods that will be associated with the class by clicking the box(es) that correspond to each period. We suggest not selecting the A period and instead using the U period. Click Submit. Note: Periods can be used in a variety of ways. Periods can be used to group students by the time that they see the teacher, by students taught by a set of team teachers, or by ability levels. For the purpose of administering FLKRS, a single unassigned (U period) class period will work best. You will see the Class name, Grade, and Teacher you just selected. 42 Creating Classes - Enroll a Student Enroll a Student Note: Non-public school students will not be Imported into the PMRN via Survey 8 at the beginning of the school year. Begin by clicking the Students tab. Click the Enroll a Student button. Fill in the requested information on the screen. The student s Identifier is his or her Social Security (SSn) number. 43 Creating Classes - Enroll a Student If the student s SSn is not available as his or her Identifier, leave the Identifier field blank and click the check box next to Student s SSn is not available. The Identifier field will be then be populated with the Alias ID, which will be used for enrolling the student. Please ensure the information has been typed correctly. Click Add. Note: The student s Alias ID is unique to the student and is a combination of the county s two-digit county code, four-digit school number, the year, and a set of letters that are assigned sequentially. All students at a non-public school are assigned an Alias ID and no Alias ID will be used twice. The Social Security number is preferred because the Alias ID is only used while a student is enrolled at a specific non-public school. Please see Enroll a Student, page 4.7. Begin at your Home Page and click the Classes/Periods tab. Click the name of the class and period in which you want to add a student (If the class is not on the list, you must enter the teacher and/or class before you add a student. See Adding Teachers, page 4.2, and Add a New Class, page 4.5.). When the class list is displayed (below), ensure the correct class and period to which you wish to add the student are showing in the boxes on the top of the page. Click Add Student. Ensure the correct teacher s class name is at the top of the page (If it is not correct, click the Classes/Periods tab to return to class lists.). Use one of these methods to search for the student: Type the student s Last Name and click Search. Click on the first letter of the student s Last Name. If there are fewer than 250 students in a grade, there will be a Show All button to click to show all students for this grade. The PMRN will display a list of students within your school matching your request. Scroll down to see the list. If the student is not retrieved by the PMRN, it is because the student is not enrolled in your school (Go to Enroll a Student, page 4.7) PMRN User s Guide - FLKRS Version 3.0 Page 4.10

46 Creating Classes - Add a Student Beside each student s name is an indicator of his or her current status at your school. Shows this student is assigned to another class. (To add this student to this class, you must first remove the student from their current class. See Remove a Student, page 4.12.) Shows this student is already assigned to the class selected. Shows the student can be added to this class. To add one or more students to this class, click the box(es) in front of their name(s). Click Submit. If this completes your additions, click Return To Class Roster. You will return to the Edit Class page. 47 Creating Classes - Remove a Student Remove a Student Students can be removed from a class, but their information is still available within the school so they can be transferred to another class. Students can also be withdrawn from a school. Only School Level 1 or 2 Users can remove students from a class or withdraw students from a school. Data Entry Level Users and Reading teachers can transfer students, which removes a student from one class and simultaneously adds him or her to another. (See Transfer Students, page 5.7.) Select as many students as necessary to remove from this class by clicking the check(s) in front of their name(s) so the box(es) become(s) blank. Click Submit. Scroll down to see your school s list of classes. Ensure that your list of classes is correct. Delete a class Delete a class by clicking Delete Class/Period to the right of the class name. Click the name of the class for which you wish to reassign the teacher (for example: KG - B, Teacher - U). At the Period drop-down menu, select ALL. Select the teacher to whom this class should now be assigned at the Change the teacher for this period drop-down menu. (If the teacher is not listed, return to Adding Teachers, page 4.2.) Note: You must first delete the classes of the teacher (see page 4.16), once the students have been removed in order for the successful removal of the teacher. Begin at your Home Page by clicking the Users tab. Click the name of the teacher you want to remove. The teacher will remain in the PMRN database should he or she move to another school. If scores have been Submitted by the teacher, the teacher will continue to appear in the school s list of Users for the remainder of the school year, but the teacher will not have access. For each teacher on your Class List page, click the teacher s name. To print multiple class lists, select the check boxes to each class you wish to print, and click Print List. About Class and Period Assignments Traditionally, elementary students are assigned to a single teacher throughout the school day and received instruction for all subjects. Many schools now have students change classes for primary reading instruction. Students may also be grouped into different periods for each class. Within the PMRN, students should be assigned to Reading classes with the teacher who is delivering their reading instruction. By default, all students will be assigned to the U Period. Through the PMRN User Interface, School Level 1 and 2 Users are able to group students in periods A through H. Reading teachers may not distribute the school s list of classes. Distribute the printed class lists to the teachers. Ask them to mark through students who are not in their class. It is important that you ask teachers or office staff to provide you with all of the information for students who need to be added to classes. The information needed is: Student Identifier* First Name Last Name Birthdate Gender * The Student Identifier is the student s Social Security number. * If the school does not have the student s Social Security number, the PMRN will generate an Alias ID for the student (see page 4.8). When you receive edited class lists from teachers, you might also have your school attendance office review them to note students who have recently been enrolled or withdrawn. As a result, there are some things to keep in mind as you adjust class lists. There are two ways to put students in class as a Data Entry Level User or Reading Teacher: 1) Transfer students between classes 2) Enroll students in the school and assign them to classes It is important to have this information on hand for each student before you begin. You will want to ensure correct spelling. To locate a student in the database you must have: The student s Identifier OR The student s First Name, Last Name, and Birthdate Quick Tips When Data Entry Level Users and Reading teachers add or enroll students, it is a one-step process that adds a student to one class and simultaneously removes the student from his or her current class. If you have followed the sequence in this manual, you will have already printed class lists, circulated them to teachers, and corrected class lists. Before your assessment team delivers tests to students you may want to print your corrected class lists for them. These class lists can be used by your test administrators in a variety of ways to organize testing. They can also be used to record the student scores during testing. When Progress Monitoring tests are administered, the scores students achieve can be written on the class lists you print for administrators. When the completed testing materials are returned, the Data Entry Level User may enter the student scores into the PMRN from either the individual Student Score Booklet (SSB) or from the class summary sheet. 67 Assigning Students - DEL/RT - Print Student Labels Print Student Labels After you print class lists for test administrators, you should also print labels with student information to be placed on individual student scoring sheets. From your Data Entry Home Page, click on the name of a class to get the list of students. Click Print Labels. Note: Once all student scores in a class have been Submitted, the Print Labels button will no longer appear. About Label Sheets Your computer will display a page of student information formatted to print on sheets of labels. The printing is offset to leave a blank row of labels at the top and bottom of the page. This accommodates browsers that print the date and web address. Print your first sheet by clicking Print. Click Next to display the next sheet to print. To print labels for multiple classes, from your Home Page, select the boxes corresponding to the classes for which you wish to print labels. Print the labels by clicking Print Labels. Note: Student labels will be formatted to print on sheets of Avery 5160-sized address labels. Only 24 labels on a sheet of 30 are printed. The margins should be set to.75 for the Top and Left, and.25 for the Bottom and Right. Macintosh Users: The FCRR has found the following labels do not print correctly on Epson model printers but do print successfully on the following printers: HP2200, HP4200, HP4050, and HP5SiMX. 69 6.0 FLKRS Demographics / Assessment Schedule Overview Demographics / Assessment Schedule - Overview The PMRN is the sole repository for information of the Florida Kindergarten Readiness Screener (FLKRS). FLKRS is to be administered to two sets of students: 1) any Kindergarten student attending a Florida public school for the first time, and 2) any Kindergarten student who is attending a non-public school, but the previous year was enrolled in a Florida Voluntary Pre- Kindergarten (VPK) program. This section is written for Users at a non-public school who are administering the FLKRS to a student who attended a VPK program. Public schools Submit student demographic information to the Florida Department of Education (FLDOE) through the Public School Automated Student Database. Since non-public/private schools do not have access to this database, basic student information must be entered through the PMRN User interface. Demographic information must be entered prior to the observations from the Early Childhood Observation System (ECHOS ) being entered into the PMRN. Two levels of Users can enter the demographics, observation, and score information for students these are the Data Entry Level (DEL) User, who can record information for any student in the school, and Reading Level User, who can report information for students in their assigned classes. The information that needs to be recorded before the observations from the ECHOS are entered into the PMRN are: Is the student Hispanic? What is the student s race (American Indian or Alaskan Native, Asian, Black or African American, Native Hawaiian or Other Pacific Islander, and/or White)? Does the student have a potentially limiting physical condition (Orthopedically (Ortho) Impaired, Visually Impaired, Deaf/Hard of Hearing, and/or Dual-Sensory Impaired)? If not participating in the ECHOS and/or FAIR at your school, it is because the student is an English Language Learner (ELL), is a Student With Disabilities (SWD), was retained (second year Kindergarten student), already screened at another school, or is a student that has had excessive absences. 70 Demographics / Assessment Schedule - FLKRS Entry FLKRS Demographic Information Entry To enter the demographic information for a student, Sign In to the PMRN as a Data Entry Level (DEL) User or Reading Level User (see page 3.11). From the Scheduled Tasks tab, click on the name of the class in which the student is enrolled. When the Summary page opens, check the list of students (Student column) for the student for whom demographic information is to be recorded. There are three statuses, represented by Task Progress Circles, that each student can have for a type of task: Empty White Circle: This task type is required to be completed but has not yet been started. Half Circle: This task type is required, has been started, and is in progress. Filled In, Black Circle: This task type has been completed. As a section is completed, the summary circle will move from empty, to half filled, and to completely filled. Before the ECHOS portion of the FLKRS can be started, the Demographics portion must be complete. The BS/PMT portion of the FAIR must be completed before the BDI portion is started. 72 Demographics / Assessment Schedule - FLKRS Entry Enter Demographic Information To enter the demographic information for a student, select the FLKRS Demographics tab and from the Select a Student drop-down menu, select the student for which the data is to be entered. There are three sections that need to be completed: Race / Ethnicity Potentially Limiting Physical Condition Participation Status Race/Ethnicity If the student is Hispanic or Latino, select the radio button indicating Yes. If the student is not Hispanic or Latino, select No. If you are not certain, select No. To indicate Race, select Yes for all races that apply and No for all those that do not. 74 Demographics / Assessment Schedule - FLKRS Entry Participation Status Only students who attended a VPK program the previous year are to be considered for FLKRS administration, but not all prior year VPK students are required to participate and some students may have limited participation. Students who are English Language Learners (ELL) may be excluded from the FAIR portion of the screener and students who have excessive absences cannot have all of the behaviors observed in the ECHOS. If the student has an extreme disability (SWD), the screener may not be appropriate. Students who are returning to Kindergarten (retained) or have been screened at another school this year do not need to be screened at the current school. For each portion of the screener, it must be identified whether the student is participating and if not, why not. More than one reason may be selected, but both a reason for not participating and the box indicating that the student is participating cannot be checked at the same time. 76 Demographics / Assessment Schedule - Assessment Schedule FLKRS Assessment Schedule The Florida Kindergarten Readiness Screener (FLKRS) is to be administered during the first thirty instructional days of the new school year. An instructional day is defined as a weekday (Monday through Friday) during which students attend school for any portion of the day. The first instructional day is the first day of school that students are in attendance. The PMRN is open for the entry of FLKRS on Instructional Day 2 and closes at the end of Instructional Day 30. Non-Instructional Days Non-instructional days are weekdays in which students are not in attendance. This can be a holiday or a teacher planning day. These are programmed into the PMRN so that teachers have the full twenty-nine instructional days to enter the FLKRS scores. When the school s principal (School Level 1 (SL1) User) first Signs In to the PMRN, they are asked to confirm the school s start date and non-instructional days. If there are any discrepancies, the school s principal should the PMRN Help Desk (helpdesk@fcrr.org) with the correct information. There may be emergency situations (inclement weather, fires) during which the school may close. The days on which FLKRS data entry can begin and end are indicated in purple, weekends are indicated in goldenrod, and noninstructional days are in red. The current day is indicated in yellow. At the end of Instructional Day 30, the data entry pages for both Data Entry and Reading Level Users will be locked and no more demographic, observation, or score information can be entered. Automated s will be sent to the School Level 1 (SL1) and School Level 2 (SL2) Users on the twenty-seventh and twenty-ninth instructional day reminding them of the closing of the FLKRS administration period. 79 7.0 ECHOS Observations Overview ECHOS Observations - Overview All Kindergarten students enrolled for the first time in a Florida public school and all Kindergarten students in a non-public school who attended a Voluntary Pre-Kindergarten (VPK) program the previous year are to be considered for the Florida Kindergarten Readiness Screener (FLKRS). Provided in Section 6, FLKRS Demographics/Assessment Schedule, were directions on how to identify students for whom all or a portion of the FLKRS is not appropriate. This section will outline how to record the observations from the Early Childhood Observation System (ECHOS ). The ECHOS has nineteen domains or benchmarks that are to be observed for each child during the first thirty instructional days of the new school year. Each area has four levels that indicate a hierarchy of domain/benchmark acquisition. The indicators are labeled A, B, C, and Not Yet Demonstrating. There is also an option to show that the teacher did not have an opportunity to observe any indicator within the domain. All nineteen benchmarks do not need to be observed on the same day or in a specific order. If an indicator for domain 14 is observed on instructional day 2 then it should be recorded on Instructional Day 2 and if an indicator for domain 6 is not observed until Instructional Day 29 then it should not be recorded until that day. It is possible that indicator A for a benchmark is observed one day and B or C is observed on another. On the day that it is observed, the indicator should be recorded. It is possible that during the first 30 days of school no indicator for a benchmark is observed. Only Reading Level Users (teachers) may record their own observations in the PMRN. As a reminder, before ECHOS observations are recorded for a student, the demographic information for the student must be complete. On the Summary page, verify that the student s circle for FLKRS Demographics is completely filled. If the circle is not filled, complete the demographic information (see page 6.2). The ECHOS recording form will open with the nineteen domains/benchmarks, the three unique indicators for each benchmark, the option for each benchmark to show that the student has not yet demonstrated the benchmark, and an option to record that the teacher has not had the opportunity to observe the student in a setting in which the benchmark would be demonstrated. Note: Remember, for security reasons, the PMRN will end your session automatically if you do not interact with the database for 20 minutes. If an additional indicator for a benchmark is observed, the additional indicator can have the checkbox selected. Observations can be recorded and edited until the close of the thirtieth instructional day of school. At the end of Instructional Day 30, the ECHOS observation recording page is locked and observations cannot be recorded or edited. It is important to review the Assessment Calendar on a regular basis as it can be modified to account for changes in non-instructional days. It is advised that on the thirtieth instructional day, those students who do not have a completed circle on the Summary Page, have, for those benchmarks that were not observed, the No Opportunity to Observe or Not Yet Demonstrating checkbox selected. If the No Opportunity to Observe or Not Yet Demonstrating checkbox has been selected, the checkboxes for indicators A, B, and C are disabled. 85 Entering FAIR Scores - Overview 8.0 Entering Student FAIR Scores Overview Within the PMRN, Data Entry Level (DEL) Users and Reading teachers are the only Users that should enter student scores. The score entry should be performed by individuals skilled at entering data through a computer interface. Once FAIR scores are typed into the PMRN they can be either Saved temporarily or Submitted permanently. Saved scores can be edited by the Data Entry Level User and the Reading teacher. Once scores have been Submitted, they can only be edited by School Level 1 or 2 Users. A Reading teacher only has access to enter the scores from his or her class(es). A Data Entry Level User has access to enter scores for the entire school. Roles of Data Entry Level Users A Data Entry Level User at a school plays an important role within the PMRN because DEL Access allows any member of the school staff to enter data into the PMRN. The Data Entry Level User can also assist in verifying class lists. Reading/Literacy Coaches should be both a School Level 2 and Data Entry Level User. 86 Entering FAIR Scores - FAIR Data Entry FAIR Data Entry The PMRN accepts scores for Kindergarten students on the Florida Assessments for Instruction in Reading (FAIR). Scores entered into the PMRN through the Kindergarten Data Entry page can be edited but not invalidated. The following assessment types can have data entered into the PMRN: Broad Screen / Progress Monitoring Tool (BS/PMT) Broad Diagnostic Inventory (BDI) to include Vocabulary Assessment Calendar The Assessment Calendar shows key dates in the PMRN including lockdown dates and dates student score entry can take place. Data Entry Level Users and Reading teachers have access to the Assessment Calendar via the Assessment Calendar button on the Scheduled Tasks tab (Reading teacher) or the Class Selection page (Data Entry Level User). Data Entry Lockdown Dates Kindergarten Data Entry of the FAIR is only available during Instructional Days 2 through 30 of the school year. Remember, for security reasons, the PMRN will end your session automatically if you do not interact with the database for 20 minutes. Unsaved data will be lost. Use the Submit option: When you have proofed your scores and have no corrections Note: Cells on the Listening Comprehension Data Entry page do not become active until the scores from the BS/PMT are Submitted. The Home Page of the DEL User is the Class Selection page where he or she can choose which class(es) need(s) scores entered. Note: Only Data Entry Level Users will see the page above. From his or her Home Page, a Reading teacher must click the Scheduled Tasks tab to select the class which he or she needs to enter student scores. The default view under the Selected Tasks tab is the Data Entry Summary tab. This shows the tasks that each student has completed, each task available to the student, and which tasks are not available for each student based on the student s performance. 89 Entering FAIR Scores - Enter Student Scores There are three statuses, represented by Task Progress Circles, that each student can have for a type of task: Empty White Circle: This task type is required to be completed but has not yet been started. Half Circle: This task type is required, has been started, and is in progress. Filled In, Black Circle: This task type has been completed. The Task Progress Circles are updated as scores are entered. Each tab shows the applicable tasks for the type of tasks selected - BS/PMT or BDI. The task order flow for the FAIR is programmed into the PMRN. For example, except for Vocabulary, BS/PMT scores must be entered before BDI scores can be entered (When scores cannot be entered, score boxes will not be available.). Use the drop-down menu (shown below) to navigate between the different tasks under specific task types. Enter the students scores from the Student Score Booklet (SSB) into the boxes on the page and click Save or Submit. If the scores entered are outside the acceptable range, the PMRN will not accept the scores and an error message will be displayed. The error message will display the acceptable range for the score you are trying to enter. Tasks that require multiple pieces of information will require all pieces of information to be entered before the student s scores can be Saved or Submitted. 91 Entering FAIR Scores - Modify Student Scores Modify Student Scores Note: School Level 1 and 2 Users are the only Users that can modify scores in the PMRN after they have been Submitted. Data Entry Level Users and Reading teachers may change scores on the Data Entry page until scores are Submitted. There are two types of tasks available for modifying in the PMRN: Broad Screen/Progress Monitoring Tool (BS/PMT) Broad Diagnostic Inventory (BDI) to include Vocabulary School Level Users may only modify student scores. These scores cannot be deleted. The PMRN keeps track of all edits to student scores. In the FAIR, some tasks follow a flow. This means that task B cannot be started until task A is complete. There are other tasks that can be completed at any time. Vocabulary is an example of a task that can have scores entered any time during the twenty-nine day FLKRS Administration period. For Kindergarten students in AP1 (FLKRS), scores for Letter Naming and Phonemic Awareness must be Submitted before scores for the Listening Comprehension task can be entered. It is important to remember that the prescribed task flow is programmed into the PMRN and the scores available for modifying are based not only on what scores have been entered for the student, but also on the student s performance on previous tasks.
