2 FACILITATOR KEYS TO SUCCESS What is facilitatin? Facilitatin is making things easier and includes: Supprting the curriculum thrugh discussin and activities. Creating cnnectins f shared infrmatin and experiences. Helping participants get gd infrmatin and affirmatin. Prviding fcus and directin. Apprpriately challenging and questining participants. Effective Facilitatin Effective facilitatin requires that facilitatrs are: Natural and genuine. Interested in all participants. Engaged in a series f cnversatins with a variety f participants. Clear and nn-judgmental in their cmmunicatin. Flexible and able t adapt t different situatins. Fcused n the participant s experiences and struggles. Develping apprpriate relatinships with participants. Facilitatr Tips Be prepared. Knw and review the infrmatin and activities yu are leading cmpletely prir t the sessin. Fcus n the prcess, nt the cntent. Allw participants time and pprtunity t discver imprtant learning pints fr themselves, dn t autmatically give away all the answers. Dn t dminate the discussin. Dn t feel respnsible t respnd r cmment n each idea r questin they discuss. Yu are nt the fcus f the sessin. The participants shuld drive the prcess, yu just make sure they stay n track and fcus and stick t the schedule. Dn t be afraid f silence. Give them time t think abut the questins yu ask and respnd. They may be hesitant when yu first start but dn t rescue any f them by answering the questins fr them. Make eye cntact with participants and walk arund t encurage discussins. Yu may need t repeat questins. Practice active listening. As smene is speaking shw yur interest thrugh yur bdy language and facial expressins. Maintain gd eye cntact and nd yur head t let participants knw they are being heard. Deal quickly and assertively with disrupters. Dn t let them cntrl the grup r dminate discussin. Avid arguments with disruptive peple but dn t be afraid t address it after the sessin is ver. Turn questins back t the grup. Each year the natinal headquarters utilizes the recruitment data frm previus years t determine hw many new members each chapter shuld be recruiting. Our leadership cnsultant takes a lk at the chapter s pervius three year recruitment average and then adds five t that number. The utcme f this frmula is the amunt f men ur chapter shuld recruit thrughut the academic year. The number can be divided amngst the terms f the academic year in whatever way wrks best fr ur chapter n ur campus. The natinal ffice recgnizes that each campus is different and that is why they give ur chapter the freedm t chse hw t divide that number up thrughut the academic year. S lng as the end result is the chapter reaching the verall predetermined gal set frth by the natinal ffice. Nte: This is usually the frmula used and is intended t assist chapters in planning fr successful grwth, but yu shuld fllw up with yur cnsultant fr specific questins related t yur grwth gal fr the year. With that said, ur recruitment gal fr this academic year is. If yu d nt knw yur gal, be sure t reach ut t yur Leadership Cnsultant prir t the wrkshp t find ut s yu can share it. We will nw discuss hw t reach this gal by understanding the values f ur fraternity, hw t identify ur ideal new member and where t find the ideal new member n ur campus. 6 Identifying the Ideal Recruit 15 minutes We have just discussed the imprtance f making sure that we are recruiting men wh embdy the values and missin f Pi Kappa Phi. Additinally, it is imprtant t make sure we are recruiting men that help us fill needs in areas where the chapter may nt be as strng. Ask participants t name sme winning sprts team. Once they have named a few, ask them what makes them successful as teams? If nt hit n during the answers, pint ut that teams wh win are successful because they have the right players, with the right skills and talents balancing ut all f the psitins n the team. Fraternity recruitment shuld be like scuting fr a sprts team. We shuld be recruiting men that will help address ur chapter s prblems and/r weak areas t help strengthen ur chapter. Fr example, if chapter members dn t pay dues, we need t be recruiting men wh understand financial respnsibility. Or if chapter members are nt invlved in campus activities, we need t recruit men wh are already invlved n campus r have strng leadership/invlvement experience. If we want t change the caliber f the member yu have, we need t change a). the way we recruit and b). the men we are targeting. With this cncept in mind, let s take a few minutes t identify the areas and/r values f Pi Kappa Phi that need t be strengthened in ur chapter. Have participants turn t page 3 in their wrkbk and take a few minutes t identify the gaps and values that they need t fcus n strengthening in the chapter. Encurage them t refer back t the missin, visin and values discussed earlier if they need t. Give them 3-4 minutes t wrk n this. If we are lking fr recruits t fill ur chapter needs and wh have qualities and characteristics that align with Pi Kappa Phi values, hw d we tell if that persn pssess these things? Let s take a few minute t discuss hw we can learn abut each f the values frm the Student Creed when meeting recruits. Have participants get int 7 grups. Yu can d less grups and assign each grup mre than ne value if needed. Yu make the call based n the grup size. Have each grup cme up with 2-3 questins r measurable ways t identify if a recruit pssesses their assigned value. They can use page3 in their wrkbk t write dwn their answers. 7 Give them 3-4 minutes t wrk as a grup. Give each grup 1 minute t reprt ut what they discussed. They shuld all fill in the suggestins in the wrkbk n page 3. Finding the Ideal Recruit 10 minutes Ask participants identify places n yur campus where they might find the ideal recruit. Write this list dwn s all participants can see it. What is a defining mment in yur life since jining Pi Kappa Phi? Three Gals f Effective Recruitment Cnversatins 15 minutes There are three main gals that we want t achieve in rder t have effective recruitment cnversatins. Have participants turn t page 4 in their wrkbk and have a vlunteer read the three gals befre yu get started: Gal #1: Recruit Feels Cmfrtable Imprtant Understd Gal #2: Recruit understands Pi Kappa Phi Gal #3: Recruit wants t be a Pi Kappa Phi One f the hardest things fr us t d in recruitment is apprach peple we dn t knw and start a cnversatin. When yu apprach smene new they cnsider yu a stranger, and ur entire lives we have been taught nt t talk t strangers. S when a stranger appraches ur instincts tell us t be n the defensive and get ut f the cnversatin and away frm the persn as quickly as pssible. As recruiters it is ur jb t make the persn feel cmfrtable as quickly as pssible. The way we make initial cntact and ur first impressin are extremely imprtant t keep the persn engaged in cnversatin. Select ne persn t stand in the frnt f the rm. Ask all participants t raise their hand and name ne thing they ntice abut this persn they culd use t start a cnversatin. 10 What physical attributes d yu ntice abut a persn? Allw a few participants t share, then ask the fllwing discussin questin: Hw wuld yu use these bservatins t start a cnversatin? Remember t cmpliment them! Giving a free cmpliment is a great way t pen the dr t further cnversatins. Ask them questins t gain infrmatin n their interests and make cnnectins. Okay, let s g beynd a persn s physical appearance. Can yu think f a time when yu saw smene wh simply impressed yu? D yu remember what they did that made an impressin n yu? What actins impressed yu? Maybe it s seeing a guy pen a dr fr a lady. Fllw-up yur initial cnversatin n their behavir r persnal style with why that particular item/ behavir impressed yu. Remember t pen and clse the initial cntact with a free cmpliment. Making Cnversatin 10 minutes Let s test yur cnversatin skills. Find a partner, ideally that yu d nt knw that well. Pretend this gentleman is a ptential recruit that yu are targeting. Yu will have tw minutes t recruit them. After tw minutes, yu will switch and he will try t recruit yu. Make sure t watch the time s that each side is nt ging ver tw minutes. At the tw-minute mark, alert them t switch. When they are dne, have them return t their seats and ask the fllwing discussin questins: Hw was that experience like fr yu? What did yu talk abut? Hw did the cnversatin flw? Was it ne-sided r did bth parties participate equally? Did anyne talk abut Fraternity? We are ging t d this activity again. This time find new partners. 11 Phi, yur majrs, hmetwns, r brtherhd events. Dn t frget yu are trying t make a cnnectin with this man. Make sure t watch the time s that each side is nt ging ver tw minutes. At the tw-minute mark, alert them t switch. Once bth pairs have gne, bring the grup back tgether and ask the fllwing discussin questins: Hw was that experience fr yu? Hw was this different the secnd time arund? What did yu talk abut? Did yu make the cnnectin with any f their physical attributes? Hw did yu lead r clse the cnversatin with a free cmpliment? Whether yu are striking up a cnversatin with a guy in ne f yur classes r talking t a prspective member at a frmal recruitment event, the cnversatin tls we are abut t review will be crucial t yur success. T truly master the art f cnversatin yu d nt need t becme mre articulate r witty r infrmed f current events. The primary keys t gd cnversatin skills are: 1 - Knwing hw t use pen ended questins t guide the cnversatin and 2- Getting the ther persn t talk abut themselves and their interests. In recruitment the cnversatin shuld always be abut the recruit. Every recruit yu meet shuld be treated like a VIP. Open-Ended Questins 10 minutes Once yu have a cnversatin started the key is t keep it ging. Yu d this by asking pen-ended questins, which are questins that cannt be answered with a yes r n. What d yu like abut living in? is better than Where are yu frm? What srt f things are yu interested in ding after cllege? is better than What is yur majr? It s als imprtant that yu actually listen t what they are saying s that yu have smething t fllwup with. If yu just have t use an ld standby questin, make it a tw-part questin. Where are yu frm? What was it like grwing up there? What s yur majr? Why did yu chse? Yu never knw when yu are ging t meet a ptential recruit. It s gd t always have a few questins in yur back pcket ready. If yu had t pick ne sng t be played every time yu entered a rm, what wuld it be? What are three things yu must have in yur man cave? Give participants a few minutes t write their wn pen ended questins n page 6 in their wrkbks. Have a few participants share their respnse. Generally speaking they start with: Hw, Why, Where, When Example: Example: Recruit: My dad is a lawyer s I always wanted t g t law schl, s we ll see what happens. Brther: Why wuld yu enjy being a lawyer? Recruit: I am an Eagle Scut and really enjy being utdrs. Brther: Hw did yu get invlved in By Scuts and becme an Eagle Scut? Gal #2: Recruit Understands Pi Kappa Phi 5 minutes What s yur Pi Kappa Phi sales pitch? What are the tp five things yu wuld tell a ptential recruit? Help the recruit see what his experience wuld be like in Pi Kappa Phi. Infrm the listener f the salient facts f Pi Kappa Phi. Give the grup 60 secnds t cme up with their tp five facts r selling pints related t Pi Kapp and have them write in their wrkbks. Encurage them t include the facts and infrmatin abut Pi Kappa Phi reviewed at the beginning f the wrkshp. They can use the space at the tp f page 10 t write these ut. Select a few participants t share their tp five. Ask participants t pair up and give each persn ne minute t give their sales pitch. 14 Sharing Yur Stry 5 minutes What are sme wrds that remind yu f yur favrite memries and experiences as a member f Pi Kappa Phi? Give participants a few minutes t write in their wrkbks n page 7. Have a few participants share their respnses. When yu share yur meaningful experiences, peple wh believe in the same things will cnnect with yu. It s prven that when yu explain what yu believe and why yu d what yu d that peple will want t cnnect with yu. Additinally, effectively cmmunicating ur values alng with a stry allws members t determine a ptential member s genuine interest in the rganizatin. Sharing leadership success draws leaders. Highlighting academic achievements appeals t schlars. Displaying the strength f brtherhd attracts men wh are supprtive, fun, and whm yu will never frget. Shwcasing a cmmitment f time and energy t serve will attract thse wh want t give back. Talking abut yur drunkenness attracts drunks. Return t yur meaningful experiences. What is a stry yu can share abut yur experience that has been meaningful in yur life? Give participants a few minutes t think abut their stry. Have a few participants share with the grup. Take it t the Deep Zne 5 minutes Share what yu believe the recruit can bring t Pi Kappa Phi. Revealing yur persnal thughts is essential fr the relatinship t grw and deepen. If yu knw the recruit wuld be a strng leader in the chapter r wuld be an academic asset t the chapter, tell them. Als tell them hw Pi Kappa Phi can help strengthen them. Yu need t cnnect their interests back t chapter pprtunities. Gal #3: Recruit Wants t be a Pi Kappa Phi Making the recruit want t be a Pi Kapp is a key piece f recruitment, which is ften times verlked. Nw that we ve created a meaningful relatinship with a recruit it is ur respnsibility as brthers t fllw-up frm ur first meeting and ask them t hang ut again. 15 Once yu get t hang ut again, yu can determine their interest level in the fraternity by using ne f the fllwing methds. Feature, Advantage, Benefit (F.A.B.) 10 minutes One way t influence a recruit t jin Pi Kappa Phi is by sharing the features, advantages, and benefits f the rganizatin. Let s talk fr a minute abut what that lks like. Participants may fllw alng n page 11 in their wrkbk. A feature is a distinctive characteristic f a prduct r service that sets it apart frm any ther. An advantage is any trait r feature that gives a prduct r service a mre favrable pprtunity fr success. A benefit is a desirable attribute f any prduct r service which a custmer perceives they will get frm purchasing. Example: Example: Feature: Pi Kappa Phi s natinal nn-prfit, Push America. Advantage: Pi Kappa Phi is the nly fraternity t wn and perate it s wn natinal nn-prfit. Benefit: Members can participate in numerus servant leadership pprtunities, including a crss cuntry cycling trip called the Jurney f Hpe. Feature: Pi Kappa Phi s schlarship prgram. Advantage: Access t the chapter s academic advisr and individual supprt frm the chapter s schlarship chair. Benefit: The pprtunity t succeed academically and achieve yur desired GPA. Describing the feature, advantage and benefit f an rganizatin can smetimes be difficult. When we lk at an bject r prduct the characteristics can becme clearer. Fr example, if I was t describe the feature, advantage and benefit f my pen I wuld say, This pen has waterprf and fade prf ink, which is a distinct feature f this brand that ther pens d nt have, ensuring the ntes that I take will remain legible ver time s that I can cme back t remember them. 16 Select an bject in the rm and describe the feature, advantage and benefit f that item. Ask 2-3 participants t repeat this activity fr the grup using different bjects. When we describe Pi Kappa Phi, what are the features, advantages and benefits? Have the grup identify these and recrd their respnses fr each ne in their wrkbk n page 8. Trial Clse 10 minutes A trial clse is an pprtunity fr yu t find ut if a recruit is ready t accept a bid t membership withut frmally ffering ne. If yu fear rejectin this is a great tactic t see where yu stand. Ask ne f the fllwing questins: If I were t give yu a bid t jin Pi Kappa Phi right nw, is there any reasn yu wuld nt accept it? If I were t ffer yu a bid t jin Pi Kappa Phi right nw, n a scale f 1-10, 10 being I m ready t jin and 1 being n way, where wuld yu rank yurself? This allws yu t identify the reasns a persn may nt want t jin and help answer any cncerns they may have. Be prepared t answer questins abut dues, academics and what t say t parents. Understand that fraternity is a big cmmitment and nt fr everyne. Yu may spend time with a ptential recruit wh decides nt t jin Pi Kappa Phi and that is kay. As lng as he had a psitive interactin with the fraternity he may refer anther man t us at a later date/time. Walk participants thrugh the fllwing cmmn bjectins that recruits have t jining the fraternity (they can be fund in their wrkbks n page 9). Fr each bjectin, ask fr a few vlunteers t share hw they wuld respnd, and then share the fllwing ptins fr respnses if nt cvered. I dn t have the time t jin. Hw much time d yu think it will take? What are yur ther time cmmitments? Hw much time culd yu cmmit? I culd like t intrduce yu t. He wrks part time, plays a sprt, and maintains a 3.5 GPA. I can t affrd it right nw.
