1 Step-by-step Guide to the RU Artificial Intelligence Selection and Placement Process Welcome to the Radboud University Artificial Intelligence Selection Process for the academic year ! Taking part in a selection process can be a little overwhelming. This step-by-step guide will provide you with the necessary guidelines; reading it carefully will ensure that you go through the process as smoothly as possible. Important note 1: if you have not already received an official admission from our Admissions Office then you have not yet been officially admitted to our selection process. Please ensure that you check your s regularly to see if you have received an from our Admissions Office. All selection candidates will be informed of their admissibility as soon as possible. Important note 2: if you notice that your identity has not been verified in Studielink, you must make sure that Radboud University s Central Student Administration (CSA) receives a certified hard copy of your identification by 31 January 2018 at the latest. Box HC Nijmegen The Netherlands If you wish to send the document via a courier service that requires a delivery address, please provide them with the following address: Radboud University Nijmegen Central Student Administration Comeniuslaan HP Nijmegen The Netherlands Make sure that your identity has been verified by 31 January 2018 at the latest. If your identity has not been verified, you will not be able to participate in the Selection Process. 1. Three selection assignments As a selection candidate, you must complete all three selection assignments in order to receive a ranking number. The total amount of time required for the three assignments is estimated to be around 5 hours. The first selection assignment will require you to complete an online questionnaire about your previous education, final examination subjects and grades. You will receive an containing the link to the questionnaire on Wednesday 24 January Please keep at hand the most recent transcript of your grades that you obtained during secondary school education. If you have already obtained your secondary school diploma, 1

2 we ask you to provide us with the grades that you obtained during your final examination year of your secondary school. As English and Mathematics are compulsory subjects, only your grades need to be entered in the spaces provided. For information regarding the rest of your subjects and grades, however, you will need to provide both the name of the subject and the corresponding grade that you obtained. Please upload the transcript of the grades that you provided for the questionnaire. The estimated required time for completing the questionnaire is half an hour. If you wish, you can temporarily save the questionnaire and continue working on it at a later time. Once you have submitted the questionnaire, you will no longer be able to access it or make any changes. The deadline for submitting the questionnaire is Friday, 23 February 2018, 23:59 CET. Please note that we advise you to complete the questionnaire as soon as possible. This is because, if it appears that you do not yet have some of the required data/documents at your disposal, you will still have sufficient time to complete the questionnaire before the deadline. The second selection assignment is an online multiple-choice test, which will take place on Saturday, 24 February This multiple-choice test will be taken via Blackboard. On Wednesday 24 January 2018, you will be sent an activation code that you will use for creating your own Blackboard account. The ' Artificial Intelligence Selection Process course will appear in Blackboard no later than 2 February On 24 February 2018, you will be given one hour to complete the multiple choice test, which will consist of questions about mathematics and logical reasoning. The test will automatically end after one hour and will no longer be accessible after this time. You will be able to choose from two available time slots: The time at which you will take the test will be determined by your location and time zone: 1. Australia, Africa, Asia and Europe The test will start at exactly am CET (UTC+1) and will end at am CET (UTC+1). If you live in another time zone, you will have to convert this CET time slot to your own local time. For example: am CET is pm in Dubai (UTC/GMT +4 hours) am CET is 3.00 pm in Bangkok (UTC/GMT +7 hours). 2. North and South America For this time zone, the test will start at exactly 9.00 pm CET (UTC+1) and will end at pm CET (UTC+1). If you live in another time zone, you will have to convert this CET time slot to your own local time (e.g pm CET is 2.00 pm Central Standard Time and 3.00 pm Eastern Central Time). You may only take the test once; the test will no longer be accessible once you have submitted your answers. During the test, however, you will be able to click back to previous questions if you need to make any changes to your answers. You must make sure that you submit the final test before am or pm CET respectively (depending on whether time slot 1 or 2 applies to you). Ensure that you have a sound internet connection and that you can take the test in a quiet and organised space. Please note: In the case of suspected fraud on the test, Radboud University retains the right to subject candidates to an additional oral examination. Confirmation that fraud has been committed on the test will result in the selection candidate s immediate exclusion from the selection process and subsequently exclude him/her from being admitted to the Artificial Intelligence programme. 2

3 The third and final assignment is a motivation assignment. The specific instructions will be available in the aforementioned Artificial Intelligence Selection Process Blackboard course on 24 February, 2018, once the online test has been completed. Candidates will not be able to prepare for or view the motivation assignment before this time. Candidates will be given two weeks to complete the motivation assignment, which should be no longer than 1.5 A4 pages (500 words). Complete the assignment in your own words and clarify which sources you used. The assignment must be completed in English. The estimated required time for completing the motivation assignment is three hours. Please upload the assignment to Blackboard as a Word file, the filename of which should include your name and student number. Make sure that that you have completed the assignment before the deadline of 10 March Once you have submitted the motivation assignment, you will no longer be able to access it or make any changes. 2. Selection criteria The selection of candidates will be based on three criteria: The grades obtained during your secondary education (the grades obtained for English and Mathematics and the overall average, weighted at 25%); The score attained on the online multiple-choice test (weighted at 45%); The score attained on the motivation assignment (weighted at 30%). There will be no opportunity to view the assessments pertaining to the assignments that have been completed. The Regulations for Selection stipulate how the quality of the selection and ranking is guaranteed by the Artificial Intelligence programme. 3. Ranking and placement The only participants that Radboud University will include in the ranking are those who have taken part in all of the selection components. The candidate with the highest score will be awarded first place, the candidate with the second highest score will be awarded second place, etc. Studielink will notify all selection candidates of their ranking number by on 15 April This will look like the following example: 3

4 The following step is the placement. Candidates who have been placed (candidate numbers 1-550) will receive a separate with their Proof of Placement. Candidates should either accept or reject the Proof of Placement in Studielink as soon as possible, and within two weeks of receipt at the latest. Failure to do so will result in their place being forfeited and offered to the candidate with the following ranking number. In the event that a candidate rejects their placement, their place will then be offered to the candidate with the following ranking number. In this way, candidates can still be offered last-minute placements. 31 August 2018 is the last day that Radboud University will be able to offer places if any are still available. This second will look like the following example: What if I have a ranking number higher than 150? If you are not placed immediately (having a number higher than 150, e.g. 200), there is still a chance to get admitted in case other candidates reject their Proof of Placement. There are several reasons why candidates might reject their place within the programme, thus there is a realistic chance of getting placed even with a high ranking number. For this reason, it is advisable to check Studielink regularly, as the person next in line will be contacted after a Proof of Placement has been rejected. 4. Admission The final step for selection candidates involves the admission requirements, which should be met no later than 31 July This means that candidates must submit a relevant international diploma, demonstrate sufficient proficiency in English and meet the additional requirements for Mathematics. If necessary, candidates may request a postponement. If this postponement is granted, the admission requirements will need to be met no later than 31 August The form for requesting a postponement will be available on this website at a later date. Please note: for international students applying for a visa, the deadline for meeting the requirements with respect to English and Mathematics is 1 June A request for postponement is not possible. Please make sure that you are familiar with the admission criteria that apply to your situation. 5 Please note: candidates may only start the programme if they have met all of the admission requirements and have also accepted their Proof of Placement on time. You may already accept your Proof of Placement in Studielink before you have met all of the conditions of admission. 5. Important dates and action points We advise you to print out the overview below and copy the dates into your calendar. We also urge you to keep an eye on the website, especially the Question & Answer section. Important Dates for Selection and Placement 1 October January 2018 Submit your application via Studielink. 16 January 2018 Selection candidates will be sent an , which will include the step-by-step guide. 24 January 2018 Selection candidates will receive two s: 1. The first will contain the link to the first selection assignment: the questionnaire. No later than 31 January 2018 No later than 2 February The second will contain the activation code for creating a Blackboard account; this is required for the multiple-choice test and for the motivation assignment. Please check Step 6: Online access to the literature and the test. Please note: Radboud University will contact selection candidates via the address that they supplied in Studielink. Please check your regularly; this includes checking your spam folder. If something goes wrong and you miss out on vital information, you will not be entitled to an exemption or postponement. Ultimate deadline for Radboud University s Central Student Administration (CSA) to receive a certified hard copy of your identification (by post). The ' Artificial Intelligence Selection Process course will appear in Blackboard. Please check Step 6: Online access to the test and motivation assignment. 23 February 2018 Deadline for submitting the first selection assignment: the questionnaire. Estimated required time: half an hour. 24 February 2018 Second selection assignment: multiple-choice test. Please check Step 6: Online access to the test and motivation assignment. Please note: For candidates in Australia, Africa, Asia and Europe, the test will start at exactly 9.00 am CET and will end at am CET (time slot 1). For candidates in North and South America, the test will start at exactly 9.00 pm CET and will end at pm CET (time slot 2). Candidates in other time zones will have to convert CET time slot 1 or CET time slot 2 to their own local time. 24 February 2018 Once the test has been completed, the third selection assignment (the motivation assignment) will be made available in Blackboard. Candidates will have two weeks to 5

6 Important Dates for Selection and Placement complete the assignment. Uploading the final version may be done at any time via Blackboard. Estimated required time: three hours. 10 March 2018 Deadline for submitting the third selection assignment: the motivation assignment. Please check Step 6: Online access to the test and motivation assignment. 15 April 2018 Studielink will inform candidates of their ranking number by . Selection candidates who have been placed (numbers 1-150) will receive another confirming their Proof of Placement. Within two weeks after receipt of the Proof of Placement Selection candidates will either accept or reject their Proof of Placement as soon as possible in Studielink, though this must be done no later than two weeks after the Proof of Placement has been received (otherwise it will be annulled). 1 June 2018 Candidates applying for visa must meet the admission requirements with respect to English and Mathematics no later than 1 June 2018, without the possibility of postponement. 31 July 2018 All other candidates (not applying for visa) must meet the admission requirements no later than 31 July 2018, and candidates applying for visa must meet the requirement regarding a certified copy of their diploma. Please note: if necessary, candidates may request a postponement. If this is granted, the admission requirements will need to be met no later than 31 August August 2018 Orientation Week (strongly recommended). 31 August 2018 This is the last day that Radboud University may still offer candidates a place, if one becomes available (last-minute placement). 3 September 2018 Start of programme. 6. Online access to the test and motivation assignment Several steps will need to be followed in order to gain online access to the test and motivation assignment. Below you will find some screen shots and a handy guide to help you on your way. If you have any questions or require help with any of the steps below, please contact our technical support group via technicalsupport@ai.ru.nl. A. Activating your Blackboard account The first step involves activating your Radboud University account. When you applied to Radboud University you received an that contained your student number (s ), which is your username (login name) for Blackboard. Because you may no longer have this at hand, you will receive another on 24 January 2018, which will contain your student number, which is your login name. On 24 January 2018, you will also receive a second containing the activation code for Blackboard. In order to activate your Blackboard account, you will need to follow the steps below. 6

7 1. Go to (Please note: for the English version, you will need to switch from 'Dutch' to 'English' in the dropdown menu). You should now see the Activate account screen. Fill in your student number in the User Account field (e.g.: s ) and then fill in your activation code. Click on the [Next] button, which is located on the right of your screen. 2. Create a new personal password. Make sure that it is a personal password that is easy to remember and write it down; you will need it again in the future. Click [Next]. 3. Your password has now been changed. You can no longer use the activation code. From now on, you can log into Blackboard using the combination of your user account (= student number, s [don t forget to include the s ]) and password. In the event that you are unable to retrieve your student number or activation code, please contact the Student Affairs Office via balie@dsz.ru.nl. B. Logging into the Artificial Intelligence Selection Process Blackboard course The ' Artificial Intelligence Selection Process course will appear in the start screen of your Blackboard account no later than 2 February This course will grant you access in Blackboard to the online multiplechoice test that will need to be completed in Blackboard as well as to the motivation assignment that will need to be uploaded to Blackboard. To log into Blackboard, go to You can log in with your student number (or username: e.g.: s , don t forget to include the s ) and the personal password that you created during the previous step (see step A). Click on the ' Artificial Intelligence Selection Process heading under My Courses. 7

The online multiple-choice test When you log into Blackboard to complete the test on 24 February 2018, make sure that you are logged in well before the am CET or pm CET starting time respectively (depending on whether time slot 1 or 2 applies to you, as mentioned under Step 1: Three selection assignments ). Use your username (e.g.: s , don t forget to include the s ) and the personal password that you created (during step A.2) for accessing Blackboard. The test is located in the list on the left side of the screen. The test will not be visible on your screen before 24 February Click on the test. 8

9 At 9.00 am CET, you will be able to start the test by clicking on either one of the two [Begin] buttons. Follow the instructions on your screen. The test will automatically be saved once the allotted time has elapsed. Please note: you will have one hour to complete the test. At am or pm CET respectively (depending on whether time slot 1 or 2 applies to you), the test will automatically be shut down. D. Submitting the motivation assignment The motivation assignment will be available in the ' Artificial Intelligence Selection Process Blackboard course on 24 February 2018, after you have completed the online multiple-choice test. On 24 February 2018, the exact content of the assignment and the accompanying instructions will become available under the 'Motivation Assignment heading in the red column on the left side of the screen. The motivation assignment will not be visible on your screen before 24 February You can upload the assignment whenever you wish, but make sure that you do so no later than 10 March After this date, the assignment will be shut down and uploading will no longer be possible. To submit the assignment, click on [View/Complete]. 9

10 Blackboard will ask if you agree with the Terms and Conditions of Use for Turnitin, which is the programme that we use to check for plagiarism. So, make sure that you have completed your motivation assignment in your own words. Click on [I Agree Continue] to proceed. You will see your motivation assignment on the following screen. To hand it in, click on [Submit]. 10

11 If your given name and surname* have not automatically been filled in by Turnitin, you can fill these in yourself on the following screen. Enter your student number (e.g.: s , don t forget the s ) in the 'Submission title' field. * Given name = First name / Surname = Last name To upload your motivation assignment, select one of the options below. Upload the assignment as a Word document and do not forget to add your name and student number. Specify the filename as follows: Motivation_s _First name_last name. Then click on the blue [Upload] button at the bottom of the screen. 11

12 You will subsequently see a summary of your assignment. Click on the [Confirm] button at the bottom of your screen to ensure that your motivation assignment is uploaded successfully. The Motivation assignment is the third and final selection assignment. Once you have completed all three assignments within the allotted time, you will receive an from Studielink on 15 April 2018 informing you of the ranking number that you obtained.
