2 Using TK20 for Key Assessments: A Step-by-Step Guide Each EDUC course includes at least one Key Assessment, used for evaluation of the teacher education program. Students and faculty are required to enter these assignments through the SU data management system, TK20. The system may be used for additional assignments as well. Step 1: Design of the assessment and its rubric Key assessments are entered into TK20 by Unit Administrator Georgiann Toole, and all key assessments/rubrics which have been used in the past are currently in the system. As you assemble your syllabus and course materials for each semester, examine the key assessment(s) rubrics for each of your courses in TK20. If any changes need to be made, or if you wish to add a new assessment, consult with Dr. Toole immediately. Be sure that key assessments are included in your syllabi. Also, include notification to students that the use of TK20 for key assessment submission is mandatory. Step 2: Sending the key assessment to students In order for students to submit key assessments, instructors must first send the key assessments to students as an assignment. You may do this following the instruction guide (p. 3), or request that Dr. Toole send it for you. Be sure to provide a date on which the assignment should be sent, and the date by which it is due. (Some instructors choose to make the TK20 due date later than the real due date, to allow for submission or completion difficulties. This is easier than granting TK20 extensions after the due date has passed, but either will work. Instructions to grant extensions are on p. 8.) Once the assignment is sent to the students, it will appear in student accounts as a Pending Task. Step 3: Student submissions When key assessments have been sent to students, a red flag appears next to the Pending Task announcement, for both students and instructors. TK20 includes a Wizard which facilitates student submission of assignments and attachments (called artifacts in TK20). (Student instructions are on p. 4, in case you are curious about the process.) Students should be aware, however, that problems do occur; therefore, waiting until the last minute to submit assignments is risky, since doing so leaves little time to resolve any difficulties before the assignment is due. Step 4: Instructor assessment Use the instructions on p. 7 to assess student submissions. Because of differences between individual assignments, the process may differ slightly. Contact Dr. Toole if you have questions. Some terminology: Until a student submits the assignment to the instructor, the phrase Open for Editing will appear next to the student s name in the instructor s list. (If an assignment is not submitted by the student before the due date, Open for Editing changes to Late, and the instructor may decide to grant an extension for assignment submission.) Once the student has submitted the assignment, the phrase changes to Assessment Pending. When the instructor has completed the assessment, the phrase changes once more, to Assessment Complete. When instructor assessment is complete, the student is notified through TK20, and may view the assessment. (In case you are curious, student instructions are on p. 9.) Assessments and student submissions remain in the system, and can be viewed by instructors at any time. Be aware that the process for completing student teacher evaluations (ST-76) and qualitative evaluations (Pro-05) differs from that for key assessments. Instructions for these activities are included this document (p. 10 and p. 11). Thank you for your patience as we continue to implement and lean to use this powerful tool. TK20 has already provided us with valuable reports for the upcoming NCATE review, and, in the future, will provide us with a method for examining long-term trends within our program. 3 Faculty Help Guide Sending an Assignment in Tk20 SU faculty: Your Unit Administrator will send Key Assessment assignments for you if you prefer. Contact To send an assignment in Tk20, you must first log into the system at Enter in the following information: Username: <Your Shepherd username> Password: <Your Shepherd password> Select the Assignment Template 1. Select the Courses tab. 2. In the side menu, select Templates underneath the Libraries heading. 3. You will see all of the public assignment templates that have been created by your system administrators. Select the checkbox next to the assignment templates you wish to use, and select Copy to My Templates. 4. You will receive a message stating that any assessment tools associated with the selected assignment templates will automatically be made available to you. Select OK. 5. You will receive a message at the top of the page stating The selected template(s) have been successfully imported. 6. You are now ready to prepare the assignment template for delivery to your courses. Prepare the Assignment Template In order to send an assignment, you will need to activate the assignment template. You will be able to reuse the same assignment template every term if you so desire. To activate an assignment template that you have imported from the Libraries section, follow these simple steps: 1. Select the Courses tab. 2. Select Assignment and Project Template Builder from the left menu under the heading My Templates. 3. By default, this screen will show you any templates that you have already created and/or imported from the Libraries section. You will see a list of all templates, the type (assignment, project, exam, etc.), and whether or not the template is active. Note: A template must be active in order to send! 4. Choose the name of the template you wish to activate, and follow the four-step wizard. a. Define Template Delete the words Import of from the title; please leave the name remainder of the title and the instructions as they are written. Please leave the visibility of the assignment as Private. Select Next. b. Standards Note: Because the standards for all key assessments need to remain consistent, your Tk20 unit administrators will assign the standards and you will not need to complete this step. Select Next. c. Assessment Tool The assessment tool(s) associated with any templates imported from the Libraries section are already selected. You will not need to complete this step. Select Next. d. Review Review the template you have created. If you are satisfied with the template, select Yes to make the template active. Select Save. 3

4 Send the Assignment 1. Select the Courses tab. 2. On the left menu, select Assignments under the Coursework heading. 3. This screen will show you all assignments that have been sent from your account for the current term. To send a new assignment, select Send underneath Assignments on the left menu and follow the wizard. a. Select Course In this step, you will need to select the course(s) to which you are sending the assignment. If you are a faculty member teaching courses, the courses you are teaching during the current term will appear by default. Check the boxes next to the course(s) that should receive the assignment. Select Next. b. Select Template In this screen, you will see a list of the templates that you have made active in your account. Choose the template for the assignment that you wish to send, and select Next. Note: If you do not see the assignment template you need, return to Assignment and Project Template Builder and ensure that your template is present and active. c. Select Assessors In this step, you will confirm the assessors for the assignment. The faculty member teaching the course will appear as a default assessor, but you can add more assessors as necessary. d. Send In this last step, you need to type in the assignment name; this is the name students will see in their Pending Tasks list. You also need to enter a due date and time for the assignment. Select Send. Help Resources A. 5 Student Guide Completing an Assignment in Tk20 To complete an Assignment within Tk20, you must first log into the system at Enter the following information: Username: <Your Shepherd username> Password: <Your Shepherd password> Viewing the Assignment A. Find the Pending Tasks section in the Home tab. B. Select the link that says, You have pending tasks in courses. C. You will see a list of all Pending Tasks for your courses. D. Select the link for the assignment you wish to view. E. The following informational sub-tabs will appear with the assignment: 1. <Assignment Name> will appear as the title of this sub-tab. This sub-tab gives the instructions for the Assignment, the course and the due date. 2. Standards This sub-tab allows you to view the standards that you must meet in this Assignment. 3. Attach Artifacts This is where you will later attach your artifact(s) to complete the assignment. (Information on artifacts can be found in section II below). 4. Assessments In this sub-tab, you can view the assessment instrument (the rubric) that the instructor will use to evaluate the assignment. Creating and Attaching an Artifact using Artifact Wizard 1. Click on the Artifact Wizard icon on the right 2. Select a radio button next to the desired action and click the Continue button. 3. Select * I would like to create a new artifact to create and attach a new artifact for this assignment. Select the Artifact Type from the drop down menu. Use Project unless your instructor has told you otherwise. Attach a file if necessary using the Browse button. If another document needs to be uploaded for this assignment, click the Click to attach another file link. Enter a Title for your artifact; a Description is optional. (If you attached a file using the Browse button, the Title field will automatically add the document s title here. If you want to rename the title, you can do so). 5

6 Student Guide Sending an Artifact using Artifact Wizard If necessary, select I would like to attach/submit a previously created and saved artifact to attach an artifact you have already created and saved in the system. If you are not ready to submit the assignment and want to return to it later to make changes, click the Save button. If you are done with the assignment and want to submit it to your instructor, click the Submit button. Clicking the Cancel button will allow you to exit, without saving anything. If you realize that you have submitted an assignment or project in error, you will have the option to recall it, so long as the assignment or project has not already been assessed by your instructor. (If you need to re-send an assignment that your instructor has already opened, ask the instructor to grant you an extension.) To recall an assignment or project, simply click in the checkbox to its left in the Assignments or Projects screen and click the recall button above the row of checkboxes. This will change the Status of the assignment or project from Assessment Pending to Open for Editing. You will be able to edit the assignment or project and re-submit it for assessment. Help Resources Online tutorials Tk20 has step-by-step tutorials located on your log-in page. On the right side of the screen, next to the Administrator s contact information, click on the Tutorials sub-tab. You will see a listing of all of the tutorials that we provide. Click on the link for the one you d like to view. Student Guide: Tk20 has user guides for both students and faculty members. 7 Assessing Materials in TK20 1. Courses tab 2. Click the blue name of course. 3. Activities tab 4. Blue name of assignment you wish to assess 5. Your student list will appear. Click on the NAME of the student whose work you wish to assess (not the box to the left of the name). 6. You will get a split screen, with the rubric on the right. On the left will be a link to the student attachment (artifact), or, if the student completed the assignment directly in TK20 (cut-and-paste), the assignment itself will appear. 7. Complete the rubric. 8. Click calculate scores. Insert a grade. You may write additional comments in the Comments box. 9. Click Save. This will take you to a short page which asks for the Grade and the Score. The Score may be the score from the rubric on the previous page, or, if your personal scoring system includes additional items not listed on the rubric, your score may be different from that of the rubric. After you complete these boxes, click Submit. If you realize you have made a mistake, the assessment can be revoked. To do this: 1. Return to the list of student names and click the NAME of the student whose assessment you wish to revoke. 2. From the rubric panel on the right, click the blue Back button at the top of the page. 3. On the next page, click the grey Revoke assessment bar. Make any changes needed, and proceed as above. (Note that revoking an assessment is not the same as revoking an assignment. The former just lets you re-do an assessment, whereas the latter cancels the assignment completely, as well as any related student submissions.) 7

8 Granting extensions for student assignments in TK20 Note: This procedure is used to grant an extension to a student who is submitting an assignment after the due date, OR to allow a student who submitted an assignment incorrectly (without attachments, for example) to re-submit. Courses tab; Activities tab To grant an extension to individual students (not the entire class): Click the NAME of the assignment Click the box next to the student s name. Click the grey button that says Grant Extension. Choose a new date and/or time, and enter comments such as The due date for this assignment has been extended. Click Grant Extension. This will re-open the assignment to all students, and he/she can submit/re-submit it. You will get a message saying The extensions are being granted. This process may take several minutes. The due date/time of the assignment will change to the new one you have listed. To grant an extension to the entire class: Click the box to the left of the assignment name you wish to extend. Click the grey Grant Extension bar Choose a new date and/or time, and enter comments such as The due date for this assignment has been extended. Click Grant Extension. This will re-open the assignment to all students, and they can submit/re-submit it. You will get a message saying The extensions are being granted. This process may take several minutes. The due date/time of the assignment will change to the new one you have listed. 8

9 Student Guide Students can view assessed work in a several ways. A. 1). Courses Tab 2). Select the tab for either Current Courses or Previous Courses (depending on the term) For example, Fall 2009 term has ended, so this now falls under the Previous Courses tab. 3). Choose a course 4). Select the Activities tab 5). Any activities (assignments, projects, quizzes, etc.) that were sent through that course will display. The status of the assignment will show (Late, Assessment Complete, Assessment Pending, etc.) 6). Select the assignment. 7). Multiple tabs will display (Assignment Information tab, Standards, Attach Artifacts, Assessments, Extensions, Feedback) Note: This is the same place where students go in the first step of the assignment cheat sheet to view the assignment and necessary artifacts. 8). The assessment tab will show all assessment tools tied to that assignment. If the assessment is pending, the assessment tool will be visible but without any marking. If the assessment is complete, the Overall Grade/Score will show and the assessment tool will be visible with all marking and comments. B. 1). Courses Tab 2). Select Assignments from the side menu 3). A list of all assignments for all courses will display along with the status for each assignment. 4). Follow steps 6-8 above. 5). Students have the option of creating folders in this section and moving old assignments into those folders to keep this page organized. C. 1). Home Tab 2). Tasks 3). A list of all tasks (assignments, surveys, quizzes, etc.) will display. 4). Follow steps 6-8 above 5). There is also an option to create and edit folders in this section. 9

10 Shepherd University Department of Education Dear student teacher supervisors, Student Teachers Supervisor How-to Sheet -Assessing Student Teachers (ST76) in Tk20- Beginning this semester, the evaluation forms for student teachers (the ST 76) will be returned to Shepherd University electronically using the Tk20 Assessment Data system, as well as in hard copy. (Eventually, the hard copies will be eliminated, but as we all adjust to the electronic system, we ll retain the hard copy format as well.) You will log in to Tk20 using the same user name and password that you use for your Shepherd . Each time you observe your student and are ready to complete the assessment form, please log on to the system and follow the instructions below. I realize that you have completed some of these assessments already. They can be entered into the system at any time. Remember to complete the hard copies as well, and submit them to the education office as you have always done. Click on the tab Field Experience. From the side bar, click Assessments. Click the name of the student you wish to evaluate. From the right hand side of the screen, click the evaluation form you wish to complete. The ST76 form will appear. After you complete it, click Save, or, ONLY if you have completed ALL of this student s assessments for the semester, click Submit, which finalizes the assessment (no changes are possible). You may get the message Please review the assessment tools before submitting if you left one of the items blank (for example, if you didn t observe the student teacher maintaining classroom records). If you left an item blank intentionally, you need do nothing. However, you must enter a letter in the grade box; this is a system quirk we re trying to eliminate; for now, just put any letter of the alphabet into the box. 11 Faculty instructions Completing the Pro-05s in Tk20 Log in using your Shepherd ID and password at Choose Your Assessment Tool In order to complete an observation, you will first need to choose the assessment tool that you are going to complete. Since the assessment tools have been created for you in Tk20 by your Unit Administrator, you only need to choose the assessment tool(s) from the public Libraries section. To do this, follow these steps: 1. Select the Courses tab. 2. Select Assessment Tools underneath the Libraries heading on the bottom left. 3. You will see all of the public assessment tools that have been created. Check the box next to Instructor's Qualitative Evaluation of Teacher Education Student (Pro05) for undergraduates/mats or Instructor's Qualitative Evaluation of Graduate C&I Student (Pro-05) for C&I students) 4. Click the gray box at the bottom that says Make Available to Me. Completing the Pro-05 form Note: In TK20, the Pro-05 form is classified as an Observation. 1. Select Observations on the left menu under the heading Coursework. 2. By default, this screen will show you any Observations that you have already created. To create a new Observation, you will need to click Assess on the left menu under Observations. (Your current courses will appear.) 3. Select the Instructor's Qualitative Evaluation of Graduate C&I Student (Pro-05) or Instructor's Qualitative Evaluation of Teacher Education Student (Pro05) for undergraduates/mats from the dropdown menu at the top, under General Information. 4. By default, the courses that you are currently teaching will appear in the Select Course section of the screen. Choose the course containing the student(s) that you wish to evaluate. Select the radio button next to the desired course number and click Next. 5. Completing the Observation. In this step, you will see all of the students who are currently enrolled in the chosen course. You may complete an observation on a student by selecting Add New under his/her name. The assessment tool will appear in the middle of your screen. Complete the assessment and then click Save. 6. Note: The TK20 Pro-05 allows you to select in between levels for Fair through Excellent ratings, provided for instructors who prefer to check the line between ratings rather than the boxes themselves. 7. This form automatically adds the NA (Not Applicable) box on the left; please do NOT click this box. If you feel you cannot judge a student on a particular indicator, please select Cannot Judge. 8. Add comments as you wish. 9. Click Calculate Scores. (The total possible is 72 points.) 10. Since the Pro-05 does not include a letter grade, put any letter in the box marked Grade. 11. TK20 provides a second score box, for assignments in which your particular requirements may have been slightly different than what is shown on the rubric. Since that is NOT the case for a Pro-05, simply put the Rubric total number in the box marked Scores. 12. You may now either Save, which will leave the form open in case you want to continue working on it at a later time, or Submit, which will finalize the form. 13. You ll be returned to the list of student names; select the next student you wish to assess. Continue in the same manner for each student for whom you wish to complete an observation. 14. When you have finished the entire class, select Save at the bottom of the screen which lists student names to save all of the observations. 11
