6 About This Handbook This handbook was created by the SDUSD IT Training Team as reference material for teachers who will use TeacherConnection and Student Profile. The handbook is divided into three sections: Part I shows the Program Symbols key. Part II describes how to use the features of TeacherConnection. Part III explains how to view student information using an application called Student Profile. Names used in the documentation are fictitious. Instructions are explained with screenshots and alphabetical steps. Please follow the steps in alphabetical order. This handbook focuses on three web-based applications for teachers: TeacherConnection, Student Profile, and Zangle Reports. Using TeacherConnection, elementary teachers will be able to do the following: Post attendance Build seating charts View school and district news Using Student Profile, elementary teachers will be able to view student data in the following categories: Demographics Assignments School Programs Contacts Behavior Schedule Activities Attendance Using Zangle Reports, elementary teachers will be able to view and print reports. 10 Launching ZangleConnection ZangleConnection is a collection of Zangle web applications, including TeacherConnection (a webbased application used to take attendance), Web Student Profile (a summary of all of the information entered in Zangle for all of your students attending your classes), and Zangle Reports. Teachers using PCs will launch Internet Explorer (5.0 or higher) to access it. Teachers using Macintosh computers will use either Internet Explore or Safari, depending on the operating system used. If you use Mac OSX, use Safari as your web browser. To do this, open your Hard Drive, then open Applications. Find Safari in the list. Drag the Safari icon to the dock (usually at the bottom of your computer screen) and drop it there. If you use Mac OS9 or earlier, use Internet Explorer. Unfortunately, you will not be able to take full advantage of all of the functionality of TeacherConnection. However, you will still be able to take attendance. Follow the steps below to launch ZangleConnection. Launch the appropriate web browser as described above. Navigate to (Notice the URL begins with https.) TIP! Bookmark the website the first time you launch ZangleConnection. This way you will be able to access it easily in the future. TO BOOKMARK IN INTERNET EXPLORER: From the Favorites menu, choose Add to Favorites. The bookmark will look similar to this: Elementary Teach the Teacher Handbook Page 6

11 Logging In ZangleConnection is a secure website that requires a user name and password for entry. A teacher s user name is his or her district Employee ID. If teachers do not know their Employee IDs, they should contact the Secretary or other staff member who is responsible for managing time and labor information at the site. He or she is authorized to retrieve an Employee ID. A teacher s password is his or her Active Directory password, the same one used for accessing district . If a teacher has not yet set up his or her account, he or she can do so on the district s website. If teachers forget their passwords, they can have their passwords reset by telephoning the Help Desk at (619) 209-HELP. Follow Steps 1 through 4 to log in to ZangleConnection. 1 Click Login to ZangleConnection Elementary Teach the Teacher Handbook Page 7

12 2 Type your Employee ID in the User Name field. Click Logon 4 3 Type your Active Directory password in the Password field. At this juncture, if you teach more than one program (e.g., Extended Day or Intersession) or at more than one school, you will see a window with your name at the top that asks you to select a track. In the example below, Leyna Oakes teaches classes during both Carson Elementary s Intersession track (I 0055A 06/07) as well their regular day year-round single track (S 0055A 06/07). If you see this screen, click a track so it is highlighted and then click Select. If you do not see this screen because you only have access to one track, you will go directly to the Launch Pad (see the next page). Elementary Teach the Teacher Handbook Page 8

13 Using the Launch Pad The ZangleConnection Launch Pad appears upon logging in. Features In the main portion of the screen, you will see the applications to which you have access. Most teachers will see the following. TeacherConnection: To take attendance; Student Profile: To view information about the students enrolled in your class; Zangle Reports: To print various data. At the top of the screen, you can click File, Help, or Logout. File: Use this menu to switch tracks. Help: Access a Help file from this menu. Logout: Click this to logout of ZangleConnection. NOTE TO Macintosh OS9 INTERNET EXPLORER USERS: File and Help will not be accessible. To switch tracks, you will need to re-login and select the desired track from the login screen. The Launch Pad displays the web applications to which you have access. Opening TeacherConnection To open TeacherConnection, click the TeacherConnection link. This will open TeacherConnection on top of the launch pad window. The launch pad will remain open under the newly-opened screen. When you close the TeacherConnection screen, you will not be logged out. Instead, you will see the Launch Pad and can make another selection from it if desired. If you close the launch pad, you close out of ZangleConnection completely, and you will need to log in again if desired. NOTE: If you do not see Student Profile in your list, please talk to your site s Power User. The Power User can set you up to give you access to student profile information. See p.24 for more information about Student Profile. Elementary Teach the Teacher Handbook Page 9

14 Posting Attendance Teachers will use TeacherConnection to post attendance every day. (To open TeacherConnection, click the TeacherConnection link on the Launch Pad.) This will open TeacherConnection on top of the launch pad window. They will be able to mark their students Present, Absent, or Tardy. The default attendance code for each student is Present. It will be possible for teachers to change attendance codes for students after they have been posted. For instance, if a student is marked tardy and then shows up to class after attendance has been posted online, the teacher will be able to change the student s code and re-post. This will only be possible during that school day. Teachers cannot change attendance to prior days rosters. Note: Elementary teachers should take attendance within the first 15 minutes of school. Follow Steps 1 through 5 to post attendance. 1 Click Attendance. The date defaults to today. 2 Choose the class from the drop-down menu. Elementary Teach the Teacher Handbook Page 10

15 This is the attendance roster for the class that was selected. By default every student is marked Present. One student had an attendance code entered by the Attendance Office prior to this teacher posting her attendance this day. (Note: Students are Present by default at negative attendance schools. At positive attendance schools, students are Absent by default.) Click the Apply button next to the absent student(s). If you need to mark a student Tardy, repeat Steps 3and 4using the Late/Tardy code. 4 Click Unverified Absence. 3 5 Click Submit after all absences and tardies have been marked. The Attendance Taken checkbox will be checked. Attendance has now been submitted and is available to the office attendance staff. Elementary Teach the Teacher Handbook Page 11

16 ATTENDANCE FREQUENTLY ASKED QUESTIONS By what time do teachers need to take attendance? Your site administrator will determine when attendance needs to be taken. As a guideline, elementary teachers should take attendance within the first 15 minutes of school. What if a teacher marks a student absent, posts attendance, and then the student shows up? A teacher can post attendance as many times as necessary during a school day. In this situation, the teacher would apply the Late/Tardy code to the student and then click Submit again. What if the whole class is present? Does a teacher need to do anything? Yes! If the whole class is present, the teacher still needs to click the Submit button. This confirms that attendance was taken and that the whole class is there. What if students are sick? How does a teacher mark them ill? Teachers only have the ability to mark students Present, Unverified Absent, or Tardy. The attendance clerk at your school will mark students with all other codes as appropriate. If necessary, the teacher should communicate with the attendance clerk. What if a teacher realizes the next day that he marked a student incorrectly? Or that he forgot to? If teachers need to modify attendance on prior days rosters, they must use the pink Absence Report Cancellation (22-A-0690) or the white Absence Report by Teacher (22-A-0685) form. 17 Building a Seating Chart Teachers can use TeacherConnection to build seating charts for their classes. They can use the seating charts to take attendance. Also, they can view a student s contact information and attendance history for that period. Follow Steps 1 through 8 to build a seating chart. 1 Click Seating Chart. The date defaults to today. 2 Choose a class from the dropdown menu. 4 Enter the number of columns and rows you would like to use. 3 Click Setup to define the layout of your seating chart. 5 Click Submit. A popup window will appear. It reads, Updates Complete. Click OK to close this window. Elementary Teach the Teacher Handbook Page 13

18 6 Click Seat Assignment to assign the students to seats. Note: If you do not want to manually assign students, skip Steps 7 and 8. Click either the Assign All button or the Assign Randomly button instead. 7 Click the desired student s name. Click the Clear All button to start over. Click an available seat to assign the student to it. To remove a student from an assigned seat, click the X. Repeat Steps 7 and 8 until all the students have been assigned to seats. 8 Elementary Teach the Teacher Handbook Page 14

19 This is an example of a finished seating chart. Notice how aisles are created by leaving available seats unassigned. SEATING CHART FREQUENTLY ASKED QUESTIONS How does the Assign All button assign students? By clicking the Assign All button, the students in the roster are assigned to the seating chart alphabetically beginning in the front row (bottom left). What if a teacher assigns a student to a seat and then wants to move the student? To edit a student s seat, simply click on the X under his name. This returns the student to the unassigned list at the left. Then reassign the student to any available seat by clicking on it. What if a teacher needs greater or fewer seats than were originally specified during the setup? A teacher can click Setup (Step 3) at any time to change the number of rows and columns. If rows or columns are being added, the students who were assigned to seats will be unaffected. If rows or columns are being deleted, the students who are out of the range will become unassigned. What if a teacher wants to arrange the students in pods or groups? The seating chart can be used creatively. Pods and groups can be made by setting up the chart with more seats than needed. The extra seats can be used to make aisles between the pods. What are the Classroom and Attendance buttons for? The Classroom button allows you to view a student s phone number, contact numbers, and attendance history for that period. The Attendance button allows you to take attendance from the seating chart format. Elementary Teach the Teacher Handbook Page 15

20 Viewing School and District News School News entries are created by school administrators and site technicians. District News entries are created by the district central office. Teachers are able to view the news by clicking on the School News tab. News items have an effective Begin Date and End Date (these two dates will be the same if the event takes place on only one day). News items will be displayed in ascending chronological order by their Begin Date. Expired news items will be removed when their ending display date has passed. 22 Printing Reports Teachers have the ability to view and print several different reports from ZangleConnection. Zangle Reports can be accessed from the Launch Pad or by clicking the reports icon in the upper right corner of TeacherConnection. Note: Adobe Acrobat Reader, a free application that is already installed on district computers, is necessary for viewing and printing the reports, which are in Portable Document Format (.pdf). Follow Steps 1 through 6 to view and print reports. 1 Click Zangle Reports or the Reports icon Elementary Teach the Teacher Handbook Page 18

23 2 Click the + to see the subheadings of types of reports. 3 Click the desired + to expand the desired sub heading. 4 Click the desired report. Elementary Teach the Teacher Handbook Page 19

24 6 Click Create Report. Adobe Acrobat Reader will open the report in a new window. OPTIONAL: Customize your report by changing the default settings. 5 Each report has its own settings. Therefore, every report screen is different and will not always look like this one. Click the disk icon to save the report. Click the printer icon to print the report. Click the X to close the report. You will return to Zangle Reports. The report opens in new window. This example shows a Class Roster report. Elementary Teach the Teacher Handbook Page 20

25 Logging Out When you are finished using ZangleConnection, always log out of the Launch Pad. Either close all open browser windows or simply display the Launch Pad. If you leave ZangleConnection open for longer than 15 minutes without using it, then your connection will time out. This is for security purposes. If your connection times out, you must close the expired screen and log in again. Follow Step 1 to log out of ZangleConnection. 1 Click Logout along the menu bar. 28 Launching Student Profile Student Profile is a web-based application used to view student data. There are two methods of launching Student Profile. Method 1 might not be successful if your browser is currently blocking pop-ups or if you are using Internet Explore on a Macintosh. Method 2 should always be successful. Method 1: Click a link in TeacherConnection. Method 2: Click a link in the Launch Pad. Follow the step below to launch Student Profile from TeacherConnection (Method 1). Click the Profile icon. This may be done at any time a user is logged into TeacherConnection. 1 Elementary Teach the Teacher Handbook Page 24

29 Follow the steps below to launch Student Profile from the Launch Pad (Method 2). Launch your web browser. Navigate to (Notice the URL begins with https.) Login to ZangleConnection. Enter your ID and password and click Login. When the Launch Pad opens, click Student Profile. This is the Launch Pad. Elementary Teach the Teacher Handbook Page 25

30 Viewing Data Using Student Profile, a teacher can view various data about any of his or her students. The following categories are available: Demographics, School, Contacts, Schedule, Attendance, Assignments, Programs, Behavior, and Activities. Follow Steps 1 and 2 to view data. This is the top portion of the Student Profile screen. Choose a student from the 1 Available Students menu. Elementary Teach the Teacher Handbook Page 26

31 Choose a category from the View Selection menu. 2 For more information about each of these categories, click the Help link at the top right of the Profile screen. Clicking the printer icon will print the information displayed on the screen. This is the bottom portion of the Student Profile screen. 32 STUDENT PROFILE FREQUENTLY ASKED QUESTIONS What is the difference between Show active students and Show all students? By default, Show active students is selected. Active students are a teacher s students who are currently enrolled in his or her class. All students are students who are currently enrolled or have been dropped from one of the teacher s classes. Some students have a symbol next to their names. What do the symbols mean? The wingding symbols ( ) correspond to the programs in which students are actively enrolled. For example, all students enrolled as English Learners will have the book icon ( ) next to their names in Student Profile. See page 3 for a list of symbols and programs. What are the Alerts on the School screen? The School screen displays Alerts. Alerts are flags that are intended to make the viewer aware of an incident or situation. Alerts are set by the person who enters data in Zangle. Students may have behavior, health history, health screenings, household, accounts, and bus alerts. Behavior alerts may be viewed by selecting the Behavior category; they appear in red text on this screen. Health alerts may not be viewed on the screen due to the Health Insurance Portability and Accountability Act (HIPAA); teachers must communicate with the school nurse to get more information about a health alert. How does a teacher print the information from the profile screen? Click the Printer icon toward the top left of the window. Click Print. How does a teacher update information for a student? Teachers do not have the ability to edit information for students. This task is handled by the office staff using Zangle. If a teacher notices information that needs to be changed, he or she should contact the school clerk. How does a teacher log out of Student Profile? Teachers need to click the Close link in Profile.
