3 How To Log In 1 Log in to using your username and password. 3
4 How To Create My Establishment Structure 1 Once logged in, click the Admin icon to go to the Admin portal. 2 Select the Manage Establishment or View / Manage Establishments icon. 4
5 How To Create My Establishment Structure 3 Add a Department or an Outlet to a Department by selecting 4 the Add department or Add an outlet to this department icon. Add a Manager to the Department or Outlet by clicking the Select Manager and selecting a Manager from the drop-down list or add a new Manager by selecting the Add new Manager icon and inserting the Manager s details. Once finished, click Assign. 5
6 How To Delete An Empty Department Or Outlet 1 On the Admin portal, select the Manage Establishment or View 2 / Manage Establishments icon. Select the empty establishment and click the cross button to delete the Department or Outlet. In order to delete a Department or Outlet, it must be empty, i.e. all Learners and Managers must have been transferred to another Department or Outlet first. 6
7 How To Assign/Unassign Admin Rights 1 On your Admin portal, select the Manage Learners icon. 2 In the search bar, type the name of the Learner that you wish to assign/unassign admin rights. 7
8 How To Assign/Unassign Admin Rights Select Edit under the Profile icon. 3 4 Select Enable or Disabled from the Assign Admin Rights drop-down menu and click Save. 8
9 How To Assign Multiple Managers 1 On the Admin portal, select the Manage Establishment or View 2 / Manage Establishments icon. Add a Manager to a Department or Outlet by clicking Select Manager and selecting a Manager from the drop-down list, or add a new Manager by selecting the Add new Manager icon and inserting the Manager s details. Once finished, click Assign. 9
10 How To Assign Multiple Managers 3 To add multiple Managers, select Assign Another Manager. 4 Select an existing Manager from the drop-down list or create a new Manager by selecting Add New Manager and inserting the Manager s details and clicking Add. 10
11 How To Assign A New General Manager If you re the General Manager at your establishment and you re moving properties, you are able to assign your General Manager admin rights to the new General Manager who will be taking over from you. Before assigning the new General Manager to your property on Lobster Ink, be sure to check if they already have an existing profile. 1 On the Admin portal, select the Manage Establishment or 2 View / Manage Establishments icon. Next to the General Manager s name, Transfer General Management. 11
12 How To Assign A New General Manager 3 From the drop-down menu, select the Learner that you would 4 like to add as the new General Manager. A pop-up screen will appear asking you to confirm the new General Manager. Click Confirm Change. Please note that the previous General Manager s Learner profile will still appear in your Learner list. To remove this profile from your Learner list, simply disable their account. 12
13 How To Assign A New Lobster Lead As a General Manager, you are able to assign the Lobster Lead for your establishment. Before assigning the new General Manager to your property on Lobster Ink, be sure to check if they already have an existing profile. 1 On the Admin portal, select the Manage Establishment or View 2 / Manage Establishments icon. Next to the Lobster Lead s name, Assign new Lead. 13
14 How To Assign A New Lobster Lead 3 From the drop-down menu, select the Learner that you would 4 like to add as the new Lobster Lead and click Assign. A pop-up screen will appear asking you to confirm the new Lobster Lead. Click Confirm Change. Please note that the previous Lobster Lead s Learner profile will still appear in your Learner list. To remove this profile from your Learner list, simply disable their account. 14
15 How To Add Learners 1 On your Admin portal, select the Manage Learners icon. 2 Click Add Learners. 15
16 How To Add Learners 3 Select the Department and/or Outlet that you would like to add 4 your Learners to. Add the Learner s first name and last name. If you would like to add more than five learners at a time, click Add Another Learner and repeat this step. 16
17 How To Add Learners 5 Once you have added all of the new Learners details, click 6 Finish at the bottom of the page. Once you have clicked Finish you will receive a confirmation message and the option to download your Learner List. This list contains your Learners username and passwords and can be used to distribute this information to your Learners. All Learners that have been added to a Department or Outlet will automatically receive the courses allocated to that particular Department or Outlet. This process can be followed to add just one Learner of multiple Learners. 17
18 How To Find A Learner 1 On your Admin portal, select the Manage Learners icon. 2 Type the Learner s name into the search bar. After typing the Learner s name, their profile will appear below the search bar. 18
19 How To Disable A Learner s Profile 1 On your Admin portal, select the Manage Learners icon. 2 Type the Learner s name into the search bar. 19
20 How To Disable A Learner s Profile 3 Select Edit under the Profile icon. 4 Select Disable / Hide from the Student Account Status drop-down menu. 20
21 How To Disable A Learner s Profile 5 Click Save at the bottom of the page. This will disable the Learner s profile immediately. Should you wish to reactivate the Learner s profile, please contact support@lobsterink.com. 21
22 How To Transfer Learners To Another Department Or Outlet 1 On the Admin portal, select the Manage Establishment or 2 View / Manage Establishments icon. Search for the learner you would like to transfer to another Department or Outlet and click Edit under the Profile the icon. 22
23 How To Transfer Learners To Another Department Or Outlet 3 On the Learner s profile, select the option to move the Learner. 4 Select the Department or Outlet and from the drop-down menu and click Move. 23
24 How To Assign Courses To A Single Learner 1 On your Admin portal, select the Manage Learners icon. 2 Type the Learner s name into the search bar. 24
25 How To Assign Courses To A Single Learner 3 Select Edit under the Profile icon. 4 Assign or unassign a course from the Learner s profile by ticking the box next to the course name under Establishment Courses. 25
26 How To Assign Courses To A Single Learner 5 Once you have allocated the course(s), click Save at the bottom of the page. The course(s) will be available on the Learner s dashboard. 26
27 How To Assign Courses To Multiple Learners 1 On your Admin portal, select the Course Report icon. 2 In the Bulk Assign Courses section, select the course(s) you wish to assign to multiple Learners. 27
28 How To Assign Courses To Multiple Learners 3 Select the Department and/or Outlet you would like to add the 4 course to. Click on Assign Courses. 28
29 How To Reset A Learner s Password 1 On your Admin portal, select the Manage Learners icon. 2 Type the Learner s name into the search bar. After typing the Learner s name, their profile will appear below the search bar. 29
30 How To Reset A Learner s Password 3 Select Edit under the Profile icon. 4 Select Yes from the drop-down menu next to Reset Student Password. 30

32 How To Input Practical Marks 1 On your Admin portal, select the Manage Practical Marks or 2 Add Practical Marks for a User icon. Select the Learner whose practical marks you would like to input. 32
33 How To Input Practical Marks 3 Then select the course you would like to input the marks for. 4 Insert the correct mark for the relevant subject. Select the date on which the practical assessment was performed. Provide a comment where necessary. Click Save. 33

35 Navigating The Activity Reports Page 2 Logins per Learner 3 Tests per Learner This table shows the average number of logins per Learner per month. This table shows the average number of tests written by Learners for the specified time period. Filter this report by using the various search bars available. 36 Navigating The Activity Reports Page 4 Learner Activity 5 Average Tests This table indicates the number of days since the Learner last wrote an assessment, and the number of days since the Learner last logged in. This table shows the average number of tests passed per Learner for the specified time period. Filter this report by using the various search bars available. 37 Navigating The Course Reports Page 1 On the Admin portal, select the Course Report or Course Activity Reports icon. 2 Establishment Course Summary This report shows a per-learner breakdown for each assessment within a course. Select a particular course from the drop-down box and click on Generate Report to view the course progression 37
38 Navigating The Course Reports Page 3 Course Progress This table shows the number Learner assigned to a course and their progress, broken down by theory and practical components. Filter this report by using the various search bars available. You are able to print this report or export it to either PDF or Excel. 4 This see individual learner progress for a particular course, simply click on the course name and scroll to the bottom of the page. You are able to print this report or export it to either PDF or Excel. 38
39 Navigating The Course Reports Page 5 Department Averages per Course This table shows the average score achieved for all assessments in a particular course, organised by the various departments in the establishment. Filter this report by using the various search bars available. You are able to print this report or export it to either PDF or Excel. 6 Certificates Select a course from the drop-down menu as well as the period in which the course was completed and select Get Certificates. Select the certificate(s) you would like to download and click Download. 39
