11 Getting Started with Mission Control THE IMPLEMENTATION CHECKLIST for ONLINE PROGRAMS This checklist provides a suggested path to implement the Mission Control System following your workshop. Practice, support and opportunities to learn are built into this checklist as part of the best practices for implementing the Mission Control System. DIRECTIONS: Check ( ) each item in the complete column below as you complete them, and keep this list available as you develop new work habits for productivity using the Mission Control System. ITEM COMPLETE 1. Choose your Capture Tool and begin using it as your one and only one Capture Tool. a. Review and practice using all of the Capture Tool work practices on the The Six Tools of the Mission Control System overview, located at the end of this workbook. 2. Review any previous webinar sessions you missed, or segments you noted to review again, on the program website. 3. Set up your Mission Control Vivid Display: Calendar of Occasions, Not Doing Now List, Never Doing Now List, and Agendas. a. Download the appropriate Implementation Guide from our site: or here 4. Ensure that you have scheduled recurring daily and weekly Occasions for using the Mission Control System in your Calendar of Occasions: WEEK ONE a. Daily Occasions: (30 minutes) Today is complete and I am set up for a powerful day tomorrow: i. I ve reviewed all my Occasions and accomplishments of the day. I ve moved any unfinished Occasions to new Nows. ii. I ve emptied my Capture Tool by moving all thoughts and items to do and handle captured during the day into my Vivid Display. iii. My calendar for tomorrow is set up for success and I have allowed sufficient unscheduled time to account for interruptions. iv. My calendar for the two days after tomorrow is as accurate and realistic as possible at this time. b. Weekly Occasion: (30 minutes) I am complete. Next week is planned out and set up for success as my Calendar of Occasions for next week is as complete as it can be at this time. My calendar for the coming week is full of accomplishments and reflects the fulfillment of my Concerns. 5. Make a list of your daily, weekly, monthly and quarterly routines. Then schedule them in your Calendar of Occasions to account for the time they will take. Include things like recurring interruptions, processing, returning phone calls, driving time to and from work, etc. things you know are going to happen, even when you can t say exactly when. The object is to allow for the duration of time used. You can always move them forward or back in your schedule to adjust for the unexpected as your day unfolds. 6. Select a colleague or fellow Mission Control graduate and set up recurring weekly Occasions to provide support for each other while you develop your new work habits for using the Mission Control System. 12 ITEM COMPLETE 1. Schedule 10% of your Occasions with statements of as accomplishment this week. WEEK TWO a. As you Drill Up on the items you schedule and identify your Concerns, look to see what other Occasions you could schedule that also fulfill those Concerns. 2. Review your Calendar of Occasions each time you are asked to take on a new thing to do and handle, and only say yes when you have determined that you have the available and sufficient Occasions to complete it. 3. Each time you schedule a new Occasion, CONSIDER all of the Relevant Information you need to accomplish it, and link or attach this information directly into the Occasion. ITEM COMPLETE 1. Continue to increase the number of Occasions stated as accomplishments, and attach any useful Relevant Information to those Occasions. WEEK THREE 2. Review your Calendar of Occasions each time you are asked to take on a new thing to do and handle, and only say yes when you have determined that you have the available and sufficient Occasions to complete it. b. Practice saying no whenever appropriate remember you are never going to get it all done. 3. Review the Not Doing Now list work practices on the The Six Tools of the Mission Control System overview, located at the end of this workbook. a. For each item listed on your Not Doing Now List, communicate to the person(s) who should know that this item is not currently in your list of scheduled Occasions. b. Each day, check your Not Doing Now List and move items to your Calendar of Occasions, your Never Doing Now List, or out of existence entirely, as appropriate. ITEM COMPLETE 1. Identify the regular meetings with individuals and/or teams for which you could use Agendas. WEEK FOUR a. If you are using Microsoft Outlook, create a new Agenda folder for each person or project you will have recurring meetings with or about. b. Schedule your recurring meetings as Occasions and link the appropriate Agenda file directly to the Occasion. c. As you empty your Capture Tool, enter the items to cover in upcoming recurring meetings into the appropriate Agenda for that person or project. 2. Practice, practice, practice Give yourself the space and opportunity to try, fail, succeed and learn as you continue to expand your productivity and Power, Freedom and Peace of Mind. 15 PRODUCTIVITY & ACCOMPLISHMENT: LIVE WEBINAR SERIES The Six Tools and Work Practices of the Mission Control System CAPTURE TOOL Your one and only one Capture Tool, is ready at hand at all mes. Immediately enter anything to do or handle, or Relevant Informa on. At the end of every day, move everything from your Capture Tool into your Vivid Display or your Relevant Informa on System. CALENDAR of OCCASIONS If you re commi ed to doing it, schedule it. If you re accountable for doing it, schedule it. If you want to do it, schedule it. Your Occasions, stated as Accomplishments, drive your day, not the circumstances dicta ng what you do or handle. Each Occasion is of dura on sufficient to complete the item, stated as an Accomplishment, with 15 minutes between Occasions. At the end of every day, create an accurate and realis c Calendar of Occasions of the next day. At the end of every week, create an accurate and realis c Calendar of Occasions of the next week. NOT DOING NOW LIST The number of items in your Not Doing Now List and one file or pile, is never more than you can comfortably confront. Weekly, review each item in your Not Doing Now list to: leave as Not Doing Now, turn it into an Occasion, move it to the Never Doing Now list, or delete it en rely. NEVER DOING NOW LIST Nearly everything there is for you to do and handle goes into your Never Doing Now List and mul ple files or piles. Monthly, review each item in your Never Doing Now list to: leave as Never Doing Now, turn it into an Occasion, move it to the Not Doing Now list, or delete it en rely. AGENDAS Maintain an Agenda of items to be handled in recurring mee ngs you have scheduled with people (or teams) you regularly interact with. When something arises, rather than calling or sending an , enter the item in your agenda for the person. Note in the Occasion for those mee ngs, that you have an Agenda, and (where possible) link directly to the Agenda. RELEVANT INFORMATION Relevant Informa on is always at hand when you need it.
