1 Tips, Guidelines, and Rules and Regulations 2017 Call for Presentations BOMA International is now accepting proposals for our Call for Presentations (CFP) for the 2017 Conference. To submit a proposal, please go to and fill out the required information. All proposals must be submitted by Friday, October , at 11:59 p.m. Eastern. Session selections will be announced by January 13, EDUCATION TRACKS Asset Management Designed to help property managers and asset managers gain further knowledge about the asset management function within commercial real estate, this track will cover policies, leases, negotiations and decision-making skills. Building Operations and Management Identifying solutions to reduce daily operations costs, more efficiently manage buildings, and maintain smooth building operations inside and out are subjects included in this track. High Performance Buildings Focusing on energy efficiency, durability, life-cycle performance, occupant productivity, sustainability and technology in buildings; these sessions will help attendees improve processes to reduce their carbon footprint and lower costs within their buildings while maintaining a highly optimized building. Industrial Real Estate Designed to keep attendees informed about this rapidly growing sector of commercial real estate, these sessions focus on best practices, current trends and new and improved processes. Leadership and Career Development Sessions in this track concentrate on professional development and maximizing on career potential, while sharpening the talents and leadership skills of attendees. Tenant Relations and Retention These sessions explore how to create successful operations plans and how to use effective design techniques to address evolving tenant workplace needs. WHAT WE CONSIDER IN EVALUATION OF PROPOSALS Overall quality of the session proposal and content Timeliness and relevance of the topic Clarity and completeness of the proposal Broad industry appeal Well defined focus of the topic and presentation Format and length is appropriate to topic Creative and innovative approaches for delivering education BOMA International Annual Conference 1

2 Specifically, we are looking for the topics outlined below for each track: Asset Management Managing the relationship between an asset manager and property manager; How to communicate with an asset manager; Leasing/Lease Negotiations; Adding value to the bottom line; How funds operate; Key economic indicators; Impacts of decisions; Value change; Managing risk; High value task vs. low value task Building Operations and Management Building a training program for facility staff; Resiliency due to climate change; Building a preventative maintenance task and/or programs; Construction management; How to build an operating manual; Micro-grids for commercial buildings with or without renewable energy; Trending your building utilities; Retro-commissioning and commissioning; Service Contracts; Metering; Life Cycle Cost Analysis on building improvements; Developing and evaluating RFPs High Performance Buildings How to find financial incentives for retrofits; Wellness/WELL Building Standard; Foundations of a high performance building; Renewable energy solutions; Corporate Social Responsibility (CSR) or Environmental Social Governance (ESG); Water efficiency/conservation; LEEDv4; Indoor air quality; Engaging tenants; How to manage today with less resources; Performance contracting; Big Data and Analytics Industrial Real Estate How to encourage tenants to take advantage of energy saving initiatives; Benchmarking industrial properties; New technologies; New development trends/changes; Storytelling: interesting and unusual situations; Staffing for industrial property management; Challenges of managing re-purposed warehouses; Energy Efficiency; Building and managing the modern industrial warehouse (i.e. recreational purposes, churches, etc.); Logistics Leadership and Career Development How technology can help you succeed; Effective communication: business and social media; How to hire and retain a diverse and talented workforce; utilizing LinkedIn to find new and upcoming talent; Managing/working with different generations in the workplace; How to be a successful in committee leadership positions; Managing difficult situations/people; Stress/time management; How to effectively manage remote teams; Work life balance; Different leadership theories; Generation gap in the workplace Tenant Relations and Retention How to manage existing tenants through major building renovations/modernization; Best practices in customer service from the retail & hotel industry; Tenant communication matching the message to the method; How to deal with difficult situations/tenants; Densification and future trends; Case study on cost to relocate a tenant vs. renew an existing tenant; Fun, new, exciting, innovative tenant events that go beyond the ice cream social; How to market a building through a repositioning; Changing tenant needs and how to appeal to multi-generational tenant base; Emerging trends in building amenities 2017 BOMA International Annual Conference 2

3 BEFORE YOU BEGIN REVIEW AND PREPARE THE REQUIRED COMPONENTS OF THE PROPOSAL Title: The title is the first impression for your presentation. Is it informative and engaging? Is it active, i.e. what, exactly is the take away? Does it accurately reflect the session topic? Is it short and to the point (do not confuse the title with the description)? Session Description (max 150 words): A well-written description clearly identifies the purpose and intent of the session. It is also concise and well-organized. To be effective, the description SHOULD: have an educational tone; preview the content and learner outcomes; clarify the relevancy of the topic to the audience; and highlight the benefits of attending the session. Note: this description has a dual purpose: describing your session to reviewers and marketing the session if accepted. Methodology: Describe your vision for presenting the proposed content. Outline the concepts to be shared, the learning approach in detail, activities planned to engage the audience, and the role of each person involved in the session, if there is more than one presenters (maximum is 3 + a moderator for 60-minutes and 2 for 30-minutes). Specifically, explain how the presenters will work together to deliver the content. NEW! Sub-categories for Building Operations and Management and High Performance Buildings Tracks ONLY: If your proposal is in either the Building Operations or High Performance education tracks, please select one of the following six sub-categories to narrow down the topic of your proposal. Energy Efficiency Commissioning; Demand response; Energy efficiency; Lighting; Metering; Operating efficiency Environmental Responsibility Districts; EV charging; LEED; Renewable energy; Water Major Building Systems HVAC; Roof; Sprinkler systems; Vertical transportation Services Janitorial; Pests; Security; Waste management Management Decisions Certificates of insurance; Compliance; Emergency planning; Financing; Warranty Data Management Data; IoT; Technology; Wifi NEW! Learning Approach: Identify how the information will be presented to the attendee. Is it a tangible, hands-on skill developing session, or a solution-based session? Select the best option: o Skill-building: how-to, tactical instruction (often the best choice for a 30-minute power session) o Best Practices/Lessons learned: Sharing real work experiences, case studies, strategies o Problem Solving: identification, examination, and analysis of solutions to a particular o problem or issue Concept exploration: Discussion, or higher level ideas, strategies, and/or issues important to CRE Learning Objectives (4): Learning objectives show the measurable outcomes of the session. Learning objectives are best expressed through active verbs such as: learn, discover, establish, assess, identify, examine, construct, etc. Tip: when developing your learning objectives, complete the following sentence after this session, attendees will know, or will know how to Target Audience: who would benefit most from being in the room? 2017 BOMA International Annual Conference 3

4 Speaker information: provide the name, title, and contact information for ALL proposed speakers. Brief Bio for each proposed speaker: bios should be brief, in paragraph format and focus on credentials and professional expertise in the topic being proposed. This is an additional opportunity to show why the committee (or an attendee) should choose your session. Additionally, you will need to: Review the Submission Rules & Regulations (see page 5) Determine what type of session you are proposing: o Traditional Session (60-minutes) limited to 3 presenters plus 1 moderator o Power Session (30-minute) - a specific, single topic session that provides quick and concentrated information or skill building. Power sessions are repeated back-to-back. References: Provide information on most recent speaking engagement o Date, location, topic and website (if applicable) SAVE YOUR WORK before you submit. We strongly recommend that you create and save your proposal in Word format before entering information into the online form. PROPOSAL EVALUATION Submissions are evaluated by the CFP Review Committee, which consist of BOMA staff and industry experts. We will discard: Incomplete submissions Sales pitches Poorly written/underdeveloped proposals Submissions with lack of adherence to the CFP rules and regulations Proposals are evaluated on the following criteria: Relevance and timeliness to CRE industry (30%) A well-defined focus (25%) Demonstration of "take home" value for conference attendees (20%) The take home value is described through the learning four (4) objectives. Speakers' expertise and experience as a commercial real estate practitioner or topic expert (15%) Innovative presentation techniques and audience engagement (10%) Use of case studies, interactivity, actual applications, and/or field data We also consider: Number of submissions for each education track Number of submissions using the same speaker(s) Location of the conference and important topics to that region THINGS THAT MAKE US GO, HUH? Poor grammar or incorrect use/lack of punctuation Capitalization proposals should not be in all capital or all lower case letters Lack of understanding of the audience 2017 BOMA International Annual Conference 4

5 Less than four learning objectives learning objectives should not consist of facts or data, but define what the attendee will take-away Titles that do not match the presentation description Multiple submissions from the same person/group with similar topics TIPS FOR A SUCCESSFUL SUBMISSION Think and plan before you write your submission Draft from the vantage point of your audience it is about their interest level, not yours Determine what your audience needs to know, then narrow it down to what will be most important to them and what you can realistically fit into the time-frame Once you have a cohesive list, organize it with a logical beginning, middle, and end Create well developed and defined learning outcomes that use active verbs Go to a high level - people are smart! BOMA s CFP Rules & Regulations 60-minute sessions are limited to a maximum of three speakers plus one moderator. 30-minute Power Sessions are limited to two speakers. Presenters may submit no more than two entries and each submission must have a separate submission form. Education sessions are required to be non-commercial. Presenters may not promote a product, service, or anything representing monetary self-interest. Any proposal deemed as a sales pitch will automatically be removed from consideration. Industry vendors and suppliers must include speakers from their client firms who can speak to the application or implementation of ideas or products discussed in the proposed session. Names, titles, bios and contact info for each speaker must be provided at the time of submission. Any submissions containing incomplete speaker info will be automatically disqualified after the submission close deadline. Submitters must have permission from all speakers to submit their names for consideration. If a proposal is selected and the speakers were not aware of the submission, the proposal is subject to automatic cancellation and will be replaced from a session on the wait list. Each presenter associated with an accepted session must review and agree to all rules and regulations. Preference is given to BOMA members and those speakers who did not present at the previous Annual Conference. BOMA does not reimburse any travel expenses or pay speaker fees/honoraria for education sessions BOMA International Annual Conference 5

6 Speakers are offered a discounted registration fee for the conference or a complimentary, dayonly registration for the day of their session. Once a presentation is accepted, a new person cannot be added or switched out without prior approval from the CFP Review Committee. For all accepted submissions, BOMA reserves the right to edit any submitted copy for promotional purposes. Sessions at BOMA International Conference and Expo are scheduled on Sunday, Monday and Tuesday. The schedule is determined by balancing topics and target audiences.
