2 Permission to Print Paper Copies of easycbm Assessments easycbm is a computer-based formative and interim assessment system designed to provide immediate information on students performance and progress. Only the individually administered tests with reading require separate (manual) data entry (due to the focus on fluency). All other measures are taken by students directly on the computer, with automatic scoring and reporting systems providing just-in-time information to make educational decisions. Nevertheless, occasions arise when the computer-based test may not be desirable (e.g., lack of computers, student need for accommodations). On these occasions, a paper-and-pencil version of the measures is needed. Your District easycbm subscription grants you permission to print the PDFs for any of the measures you would like to administer to students in your district. This is part of the license agreement you have for use of the system, and it is why the PDFs are provided on your District easycbm site. This permission does not extend beyond the end date of your subscription to the District easycbm system, but it does extend throughout the time your subscription is current. This permission also does not extend to providing the paper copies of the test to others without District easycbm subscriptions. easycbm is a trademark of the University of Oregon, licensed for use by The Riverside Publishing Company. 7 Part 1 Introduction About This Guide Purpose The easycbm User s Guide helps teachers and assessors learn more about using the easycbm system. This guide helps ensure accurate and complete test results that support the reasons for testing. This guide provides information relevant to individuals in the following roles: District test coordinator Responsible for leading test coordination for a multi school or a multi building school system Building test coordinator Responsible for coordinating testing activities in one school building, working in conjunction with a district test coordinator Teachers and assessors Responsible for administering and scoring easycbm measures How to Use This Guide While most of the information presented in this guide is applicable to all roles and access levels, certain tasks are specific to a given role and/or access level. When required, this guide indicates topics that are relevant to specific roles and/or access levels within the topic heading. 9 Part 2 Getting Started in easycbm In Brief easycbm is an online system that provides reading and math Benchmark and Progress Monitoring assessments and reports for districts, schools, and teachers. This part of the guide provides information about basic easycbm usage, including understanding access levels, logging in and out of the application, managing accounts, and getting additional help. Understanding Access Levels Districts receive a unique URL so that all authorized users can access the same account. The user s access level determines which tasks the user will be able to perform. For example, a teacher may not see all building, teacher, and student information for all schools within the district. The following access levels are available in easycbm: District level Users (typically district test coordinators) with this access level can view building, teacher, and student information at all schools within the district. Building level Users (typically building test coordinators) with this access level can view classroom, teacher, and student information for a specific building(s) with which the user is affiliated. Teacher level Users (typically teachers and assessors) with this access level can view students listed on their class roster(s). Note: Many schools have implemented Response to Intervention (RTI) systems, in which teachers may serve as interventionists for students assigned to another homeroom teacher. The system allows multiple teachers to be associated with a given student, enabling each associated user to access the student s account to enter scores and view reports. Logging In Each district receives a unique URL during the initial implementation with HMH Riverside and the head administrator. The URL provides access to the district s secure easycbm site. The easycbm Login page is the same for all users regardless of access level; each user receives a login username and password by his or her school district. Getting Started in easycbm 3

10 To log in to easycbm: 1. Open easycbm by navigating the unique URL provided to you. After you launch the application, the Login page appears and prompts you to enter your login information. 2. In the Username box, type your user name. If you have forgotten your username: Click Forgot Username? The Looking up your Username page appears. Type your and click Lookup Username. The username will be sent to the address set up for your account. 3. In the Password box, type your password. If you cannot remember your password: Click Forgot Password? The Resetting your Teacher Account Password page appears. Type your Username and click Send Confirmation. A confirmation link will be sent to the address set up for your account. 4 easycbm User s Guide

11 Logging Out Click the link provided in the . A new password displays on the screen, and a second will be sent to the address set up for your account. 4. Click Login. The Dashboard page appears. See Navigating easycbm on page 5 for information about the Dashboard. To log out of easycbm: Click Logout, located in the upper-right corner of the Dashboard. This ends the current session. The Login page appears. Navigating easycbm The easycbm application has an easy-to-use layout to help you efficiently manage student and group information, administer measures, obtain reports, access resources, and edit account settings. The easycbm Dashboard is the same for all users regardless of access level. The Dashboard is composed of buttons and links that provide access to pages within easycbm. Additional information about each numbered item is provided below. Note: The navigation buttons are also available as links at the top of the page. The Students button provides access to managing student lists and organizing students into groups. The Measures button provides access to administering Benchmark and Progress Monitoring measures to assess student progress. Continued on next page Getting Started in easycbm 5

12 The Reports button provides access to viewing and analyzing student performance or progress. Reports are available for viewing by district users, school-level personnel, and teachers. The Interventions tab logs what specific instructional interventions are being provided to students. The Resources button provides access to training modules, manuals, and short videos on the easycbm system. The Account button provides access to viewing and updating your account information. Announcements regarding easycbm appear in this box. The Logout link logs you out of easycbm. Managing Your Account The Managing your Teacher Account page allows you to edit the username or address associated with your account. (You must enter your current password for any changes to take effect.) The Managing your Teacher Account page is the same for all users regardless of access level. To change your username, password, , or name 1. From the Dashboard, click the Account button or link. The Managing your Teacher Account page appears. 2. Getting Help The Resources page provides supporting documentation and training for using easycbm. The Resources page is the same for all users regardless of access level. To access the Resources page, click the Resources button or link on the Dashboard. The Resources page provides access to the following: Training modules Links to training modules are provided for practice purposes in the Resources tab. These modules assist the user in gaining proficiency with test administration for both the group-administered measures (Reading Comprehension, Mathematics, and Vocabulary) and the fluency-based measures (Letter Names, Letter Sounds, Phoneme Segmenting, Word Reading Fluency, and Passage Reading Fluency). The modules include a short narrative description of the measures, provide video clips Getting Started in easycbm 7

14 of the test administration (approximately one minute in length), and give the user an opportunity to listen to the correct pronunciation of letters or sounds contained in the assessment. Manuals and videos Contains manuals and short videos to assist users with implementing easycbm. Proficiency component The proficiency component provides an opportunity for the user to identify if student sample responses are correct or incorrect. The user is then evaluated on the proficiency with which he or she scores the sample items. Anyone who will be administering the easycbm assessments should read the information provided and watch the example videos. (Be aware that not all of the videos support online or paper-and-pencil administration.) 8 easycbm User s Guide

15 Part 3 Managing Students and Groups In Brief easycbm allows building-level and district-level users to access and modify teachers student rosters. Teachers are then able to create, modify, and delete student groups. In districts where the Create Temporary Record option has been enabled, teachers can utilize that option through the Students tab. This part of the guide provides information on managing student rosters, student groups, and individual students. Managing Student Rosters Users Only) (Building- and District-Level In addition to creating, modifying, and deleting student groups and student records: Building-level users can access student rosters for all teachers at a specific school site. (For example, a teacher provides intervention support to a student in another homeroom at the school.) District-level users can access student rosters for all teachers at all district school sites. (For example, a teacher provides intervention support to a student in another school within the district.) To add students to teacher rosters (building-level and district-level users): 1. Click the Students tab. The Managing your Students page appears. Managing Students and Groups 9

16 2. Click the Teacher/Student Setup tab. Teacher and student information for the selected building appears. 3. In the Building box, click the building for which you will be updating a student roster. Note: District-level users have access to all buildings within the district; building-level users only have access to the buildings they have been assigned to. 4. In the Teacher box, click the teacher for which you will be updating a student roster. Note: District-level users can click show district-level users to select a district-level user within the building. 5. In the Students box, click the grade level of the students who will be added to the student roster. 6. From the Students list, do one of the following: 10 easycbm User s Guide

17 To select all students, click the Check All button ( ). easycbm automatically saves your selections. To deselect all students, click the Uncheck All button ( ). easycbm automatically saves your selections. To select individual students, select the check box in front of the name(s) of the student(s) you wish to add to the roster. If a student s name is already checked and you do not wish to add the student, uncheck the box in front of the student s name. easycbm automatically saves your selections. Managing Student Groups The Groups feature on easycbm organizes students for Progress Monitoring on a particular measure as well as organizes how student data displays on the Reports page. You can add as many student groups as necessary, with no limit to the number of students you may add to a group. You can also edit and delete student groups in easycbm. Student groups are listed in alphabetical order in the Groups list on the Managing your Students page in the Students tab. The Students list identifies students in the currently selected student group. Managing Students and Groups 11

18 Note: The All Students group is directly loaded by the district. All students in this group are automatically assigned Benchmark tests by means of the Benchmark Window set by the district. Creating a New Student Group To create a new student group: 1. Click the Students tab. The Managing your Students page appears. 2. From the Students list, select the check box in front of the name(s) of the student(s) you wish to add to the new group. If a student s name is already checked and you do not wish to add the student to the group, uncheck the check box in front of the student s name. 3. Click Add Group. A new Group Name box appears. 4. Type a name for your new group in the Group Name box. 12 easycbm User s Guide

19 5. Do one of the following: Click Cancel to return to the tab without creating a new group. Click Ok to add the new group. Editing a Student Group To edit a group: 1. Click the Students tab. The Managing your Students page appears. 2. From the Groups list, click a group s name. An Edit link appears. 3. Click Edit. The Group Name box appears. 4. Type the new group name in the Group Name box. 5. Do one of the following: Click Cancel to close the Group Name box without changing the group name. Click Ok to change the group name. The new group name appears in the Groups list. Deleting a Student Group Once all students have exited a group or a group is no longer necessary, you can delete that group from the list. Deleting a group only affects how you assign Progress Monitoring probes and how you view reports in the Groups tab; it does not affect student data. To delete a group: 1. Click the Students tab. The Managing your Students page appears. 2. From the Groups list, click a group s name. A Del (delete) link appears. Managing Students and Groups 13

20 3. Click Del. A message appears asking you to confirm that you want to delete this student group. 4. Do one of the following: Click Cancel to close the message without deleting the student group. Click OK to delete the student group. Managing Students Some districts have enabled teachers to add temporary student records, while others do not allow this option. Student are listed in alphabetical order on the Managing your Students page in the Students tab. Creating a Temporary Student Refer to your district s policy regarding adding temporary students. Some districts choose to allow only easycbm administrators to add students. In districts where the option of creating temporary student records exists, teachers may add students to the roster by creating a temporary record. For example, if a new student enters a 14 easycbm User s Guide

21 teacher s classroom on the day he or she is scheduled to test, the teacher may create a temporary record to add the new student to the teacher s group. To create a temporary record: 1. Click the Students tab. The Managing your Students page appears. 2. Click Create Temporary Record. The Student Record dialog box appears. 3. Complete the following information: In the First box, type the student s first name. In the Last box, type the student s last name. In the Grade drop-down list, select the student s grade. 4. Do one of the following: Click Cancel to close the Student Record dialog box without creating a temporary record. Click Ok to add the temporary record. The student appears in the Students list. Editing an Existing Student Editing an existing student s record could have serious implications to that student s testing data. Contact your district s easycbm administrator if you need to modify an existing student s record. Managing Students and Groups 15

23 Part 4 Administering Measures In Brief easycbm allows you to administer Benchmark and/or Progress Monitoring measures and to enter results for those measures. This part of the guide provides information on administering measures (both online and paper-and-pencil) and on entering results for individuals or groups of students. Note: Individually administered fluency measures are typically administered using paper-andpencil tests, while the group-administered measures are normally administered online. The publisher recommends administering measures online whenever possible. Before You Begin Be sure to reserve a quiet place free of distractions and noise and have the following supplies when testing: Item Online Test Paper-and-Pencil Testing Clipboard Stopwatch 1 Pencil Place marker or cover sheet Assessor Copy of the test being administered Student Copy of the test being administered easycbm provides an online stopwatch for timing the activities. You must click Show Stopwatches for the stopwatch to appear. See Entering Student Responses into easycbm beginning on page You will need an Assessor Copy for reading the test administration instructions. (See Downloading and Printing Benchmark Measure Documents, beginning on page 27, and Downloading and Printing Progress Monitoring Measure Documents, beginning on page 32, for download instructions.) For ipad users, a small version of the Assessor Copy (without instructions) will be provided in the interface. 3 You will need a Student Copy of the test being administered for reference purposes, with the exception of the Phoneme Segmentation (PS) test, as you will you will supply the words that the student must listen and respond to during this assessment. See Downloading and Printing Benchmark Measure Documents, beginning on page 27, and Downloading and Printing Progress Monitoring Measure Documents, beginning on page 32, for download instructions. 24 Following Test Administration Procedures Follow standard test administration procedures, including: Monitoring students to help ensure a quiet and appropriate testing environment. Noting if a student s Individual Education Plan (IEP) allows the student to have accommodations during testing. (These accommodations should be provided whe taking the easycbm assessments.) n Ensuring students do not use a calculator during the math tests, unless a student s IEP stipulates this as an accommodation or if a district policy encourages calculator use. Providing students scratch paper during the math tests. Administering Measures Online Selecting Measures for Online Administration The measures designed for group administration, such as the Vocabulary, Multiple Choice Reading Comprehension, CCSS Reading, and Math measures, are optimized for group online testing. However, you can also administer these measures as paper-and-pencil tests and enter student responses into easycbm. To select a measure to administer online or to administer an online test as a paperand-pencil test: 1. Click the Measures tab. The Measures on easycbm page appears. 2. Click the Progress Monitoring tab. The Progress Monitoring page appears. 18 easycbm User s Guide

25 3. From the grade bar, click the grade level for which you are administering a Progress Monitoring measure. 4. From the Show: box, filter Progress Monitoring assessments by clicking the desired assessment group (for example, Reading) or individual assessment (for example, Vocab). 5. Scroll to locate the assessment you wish to administer online. Select the Take Online check box. The online testing options menu appears. To hide this menu, click Hide options. 6. Do one of the following: To continue administering the test online, complete the following information: In the Which Groups? check boxes, select the group to administer the online test to. To select all groups, click check all. To deselect all groups, click uncheck all. Choose one of the following to customize the feedback that will be provided to the students: Student Feedback Option Description Simple thank you Does not provide the student with a score after submitting his or her test Most often used in situations where a student might react strongly if his or her score is low Always used for Benchmark assessments Overall score Provides a student with a score as soon as the student clicks Done Allows the student to know how he or she performed on the test Does not provide information about specific correct or incorrect responses Continued on next page Administering Measures 19

26 Student Feedback Option Description Detailed scoring Provides the student a color-coded answer key to the test as soon as the student clicks Done Identifies every item the student got correct, as well as providing the correct answer for any item the student got incorrect Note: Although this option provides the most detailed and immediate feedback to the student on his or her performance, it should not be used in testing situations where a student is able to see another student s computer screen. Continue to step 7. To continue administering the online test as a paper-and-pencil test: Click Student Copy to download and/or print the testing booklet. Enter scores into easycbm after administering the test. See Entering Student Responses into easycbm, beginning on page 22 for more information. 7. Students are now able to take the test online. See Logging Students In to easycbm below for next steps. Note: You can preview the online test by clicking Preview. The preview version is for you to view individual test items or to demonstrate to students how to begin the test. Because the preview version shows actual test items, you should not use this interface to provide students with answers to example questions, as doing so will invalidate student scores. Answers selected in the preview version are not saved. Logging Students In to easycbm Students use their teacher s username to log in to easycbm. In some districts, each student also receives a password set by his or her school district. If your district requires student passwords, you should receive the password information before using easycbm. Note: If your district enabled passwords for students and you want to show students online testing features, use the DemoStudent account. The Demo Student is the last name on the list when you enter a teacher s username. The password for this account is demo To log students in to easycbm: 1. Open easycbm by navigating the unique URL provided by the district. The Login page appears. 20 easycbm User s Guide

27 2. Tell students to click Students Click Here. Students are prompted to type their teacher s username and click Go! The Group, Name, and Test selection page appears. 3. Tell students to make the following selections: From the Select your Group drop-down list, select the student s assigned group. From the Select your Name drop-down list, select the student s name. Check that each student selected his or her name correctly from the drop-down list. If a student selected an incorrect name, direct the student to return to the Group, Name, and Test selection page and select the correct name. You will need to delete any responses the student may have made in the test. For more information, see Deleting Student Responses in easycbm on page 24. From the Select the Test drop-down list, select a test to take. Instruct students to stay on this page before clicking Take Test (this allows the teacher to verify the correct student name and correct test is loaded). Administering Measures 21

28 4. Tell students to click Take Test. The Sound Test page appears. 5. Instruct students to click the sound icon to check that they can clearly hear the audio play. If students are unable to hear the audio, adjust the volume or provide headphones as needed. If students are able to hear the audio, instruct them to click Continue. The test automatically loads. Note the following: If the teacher has selected one measure, only one test appears in the Select the Test drop-down list. If the District Benchmark window is open, all the Benchmark measures available will automatically be added to the list of available tests. Once the Benchmark window has closed, those measures automatically disappear from the list. 6. easycbm automatically scores student responses. Results are immediately available on the Reports tab as soon as the student completes the test. Note: If a student is unable to complete testing during one sitting, the program will remember where the student left off and will return to the same item when the student logs back in to the site and resumes the test. Entering Student Responses into easycbm You can administer the online Math, Multiple Choice Reading Comprehension, and Vocabulary tests via paper-and-pencil testing. However, in order to provide item analysis reports, these tests can only be scored online. Therefore, if you elected to download, print, and administer the paper-and-pencil version of the Math, Multiple Choice Reading Comprehension, CCSS Reading, and/or Vocabulary test, you must enter student responses into easycbm. To enter student responses into easycbm: 1. Click the Measures tab. The Measures on easycbm page appears. 22 easycbm User s Guide

29 2. Click the Progress Monitoring tab. 3. Select the grade of the student(s) whose responses you are entering into the system. 4. In the Show box, select which measure you are entering responses for into the system. The system filters the list according to your selection. 5. Locate the measure for which you will enter responses into the system by scrolling down the list. Click Enter Scores. The Enter data for which group? dialog appears. 6. In the Group: drop-down list, select the group for which you will enter responses into the system. Do one of the following: Click Cancel to return to the Progress Monitoring tab without entering scores. Click Go. The Teacher Data Entry page appears and displays the Progress Monitoring assessment you selected. Continue to step 7. Administering Measures 23

30 7. In the Date students took measure: field, enter the date of testing. 8. In the Student column, locate the student for whom you will enter test responses by scrolling down the list. 9. In the Data Entry area, click the student response (for example, A, B, or C) for each question. Do one of the following: In the Save column, click the Save button next to the student for whom you entered responses. easycbm automatically scores the test and updates reports with the student s results. Select student responses for any additional students and click the Save All button located at the bottom of the Save column. easycbm automatically scores the test and updates reports with the student s results. Deleting Student Responses in easycbm In the event that a student accidentally accesses another student s online Progress Monitoring test, you can delete the responses in easycbm. Note: Only district easycbm administrators can delete Benchmark data. To delete student responses in easycbm: 1. Click the Measures tab. The Measures on easycbm page appears. 24 easycbm User s Guide

31 2. Click the Progress Monitoring tab. 3. Select the grade of the student(s) whose responses you are deleting from the system. 4. In the Show: box, select the measure from which you are deleting responses from the system. The system filters the list according to your selection. 5. Locate the measure from which you will delete responses from the system by scrolling down the list. Click Enter Scores. The Enter data for which group? dialog appears. 6. In the Group: drop-down list, select the group for which you will delete responses from the system. Do one of the following: Click Cancel to return to the Progress Monitoring tab without deleting scores. Click Go. The Teacher Data Entry page appears and displays the Progress Monitoring assessment you selected. Continue to step 7. Administering Measures 25

32 7. In the Student column, locate the student for whom you will delete test responses by scrolling down the list. 8. In the Save column, click the Delete link located below the Save button. Administering Benchmark Measures Nationally representative Benchmark norms were calculated using six-week windows of time: Fall Winter Spring September 1 October 15 January 1 February 15 May 1 June 15 Districts set their own specific Benchmark testing windows. We recommend making the testing window as short as reasonably possible so all Benchmark scores within the district are gathered at approximately the same time each season. A variety of Benchmark assessments are available. Only those assessments designated for testing purposes by the school district should be administered during the district-specified Benchmark-testing window. Group-administered measures (Vocabulary, Comprehension, and Math measures) have been optimized for online administration. These measures generally do not require any printing for test administration. For the individually administered fluency measures, test materials should be printed in advance. 26 easycbm User s Guide

33 Downloading and Printing Benchmark Measure Documents You must download and print the following documents before administering an individually administered Benchmark measure: Student Copy one student testing booklet for each student completing the measure(s). Note that you can choose to either download and print the combined K 8 booklet or scroll to find the individual student-testing booklet. Assessor Copy one assessor testing booklet for each assessor administering the measure(s). Note that you can choose to either download and print the combined K 8 booklet or scroll to find the individual assessor-testing booklet. Answer sheets one copy for each student completing the measure(s) (typically only for districts that use OMR) Answer keys one copy for each assessor scoring student answer sheets To download and print Benchmark documents: 1. Click the Measures tab. The Measures on easycbm page appears. 2. Click the Benchmarks tab. The Benchmarks page appears. 3. Progress monitoring assessments are available in both reading and math for students in kindergarten to eighth grade. Measures designed for online administration require no printing. For individually administered fluency-based measures, follow the steps below. 51 Part 5 Working with Reports In Brief easycbm automatically generates reports once student data are entered and saved. Both group- and individual-based Benchmark and Progress Monitoring reports are available for viewing by district users, school-level personnel, and teachers. This part of the guide provides information about accessing, generating, and working with reports. It also provides information about managing student interventions and goals. Accessing Reports To access the Reports page, click the Reports button or link on the Dashboard. The Reports and Analysis page appears. Additional information about each numbered item is provided below and in the subsequent topics. Working with Reports 45

52 The Print button prints the current report view. The Progress Monitoring Scoring Guidelines and Detailed Percentile Table PDF icons link to the following documents: The Progress Monitoring Scoring Guidelines contain both the national norms tables for each of the grade measures as well as information regarding the interpretation of student performance. The Detailed Percentiles Table shows the exact percentile rank for every possible score on all easycbm measures that have been in the system at least one full academic year. Note: Although norms are based on Benchmark measures, all easycbm test forms have been carefully constructed to ensure comparability of Benchmark and Progress Monitoring forms. The Benchmark and Progress Monitoring forms are of equivalent difficulty, and numerous alternate form reliability analyses have been completed to provide evidence of comparability. Both documents can be equally useful in interpreting Benchmark and Progress Monitoring scores. The Benchmarks tab provides Benchmark score reports for each Benchmark period (fall, winter, and spring). The Groups tab provides detailed information about the specific tests student groups have taken. It provides item analysis of each test, providing information about the specific test items individuals and groups of students have either mastered or found most difficult. The Individuals tab provides access to individual reports for all students on the teacher s roster. The display area populates report data according to the tab and report options selected. Viewing Benchmark Reports About Benchmark Reports Benchmark score reports are available for school and teacher review for each Benchmark period (fall, winter, and spring). Reports are generated for each grade level and individual class and provide information regarding the risk level of each student on each of the Benchmark measures. Only measures that are not new to the system are included in Benchmark reports. New measures are operational in the system for a full school year before being included in Benchmark reports so that sufficient validity information can be garnered first. This process helps ensure that decisions relative to risk are made only with measures that have been fully vetted. Results for measures in their first year of operational use can be seen in the Group reports. Student raw scores are reported for each measure; percentile ranks for measures that have been operational for at least one full academic year can also be displayed by checking the option at the top right of the report. National norms were calculated in based on a stratified national sample. These norms will remain in place until August of 2020, at which time they will be updated following a five-year norming cycle. Also note that, for any measure (including measures new to the system), local norms can be calculated by exporting the data and calculating the norms by hand (for example, with spreadsheet software). District-level users would most likely perform this task in situations where there are at least 500 students per measure per grade. 46 easycbm User s Guide

53 School districts can customize the range of performance that comprise each of the color-coded risk-level categories (low, some, high). Risk-Level Category Red Yellow Description Students who score in this range are those students whose performance suggests that they are most at risk for academic failure Students who score in this range are those who are at some risk for failure Default Setting 10th percentile and below between the 11th and 20th percentile White Students who score in this range are at low academic risk between the 21st and 89th percentile Green Students who perform in the green range are performing above grade-level expectations Creating Benchmark Reports 90th percentile or above Recall that all reports are automatically available once student data are entered and saved. Note: You can select all students listed by clicking All. To deselect all students listed, click None. Type a name for your new group in the Create Group box. Do one of the following: Click Cancel to return to the Students list without creating a new group. Click Ok to create the new group. Click the Groups tab to view results for the group you created. You can log interventions the group of students are receiving, as well as view item-level reports for the group of students available on the Groups Reports page. 5. (Optional) Click Export CSV to download report data. 6. (Optional) Click the Print icon ( ) located at the top of the Reports and Analysis page to print the report. Working with Benchmark Reports You can further refine the created Benchmark report in easycbm. 50 easycbm User s Guide

57 Report information can be sorted by category (for example, in ascending or descending alphabetical order by student name, from highest to lowest or lowest to highest score on a particular measure, or by risk rating) by clicking on the report heading in the table ( ). Sorting the report by type of measure or risk level assists in identifying patterns of need within a class, grade, or school. Growth from one assessment period to another is reported automatically in the Growth columns ( ) when viewing a Benchmark report that compares one measure across a season (for example, Compare WRF or Compare PRF). Report data can be exported to an Excel file by clicking Export CSV ( ). For districts that adopted and will use the Journeys Common Core Reading Series, a suggested Journeys Interventions report for the listed students is available by clicking the desired Interventions report link ( ). (The district administrator must activate this option before it will appear on teacher screens). For more information about interventions, see Working with Interventions beginning on page 87. Working with Benchmark Risk Analysis Tables You can view risk analysis tables through the Benchmark tab by clicking the Risk Analysis button. Risk analysis tables provide: Information about the number of students (by grade or individual class) who fall within the risk-level categories Comparison data from one Benchmark period to another, thus enabling teachers and Working with Reports 51

58 administrators to determine if student gains are being made (for example, a decrease in the number or percentage of students in the high-risk range from one assessment period to another) Report information can be sorted by category (for example, in ascending or descending order by student name [ ], change indicator [ ], or risk level [ ]) by clicking on the report heading in the table. For district and building-level users, two options exist for the risk analysis tables: information can be presented as percentages of students within each risk level or as the number of students within each risk level. It is also possible to review student data using the Intact or Cohort option. The Intact option should be selected if school personnel wish to review assessment results of all students present for all Benchmark assessments; the Cohort option should be selected if assessment results of all students present for one particular Benchmark assessment will be reviewed. 52 easycbm User s Guide

59 Creating an Individual Benchmark Performance Report The Benchmark Performance report provides information regarding a student s performance on the Benchmark assessment for the current school year only. The student s performance is contextualized within the risk level identified by the school district. Each measure is displayed with a rectangle, which is color-coded according to the district-defined risk levels. For instance, if the default risk levels were used: The bottom 10 percent of the rectangle would be red, representing the high-risk category. The 10 percent above the bottom 10 percent would be yellow, representing the some risk category. The top 80 percent of the rectangle would be white, indicating the low-risk category. A thick horizontal line indicates the student s normative rank on the measure. For example, the line for a student scoring in the 97 th percentile would be 3 percent below the top of the rectangle. Viewing Progress Monitoring Reports About Progress Monitoring Reports There are two types of Progress Monitoring reports: Group and Individual. Because Benchmark assessments are equivalent alternate forms of the Progress Monitoring reports, student data from the Benchmark measures will also appear in Group and Individual reports. Assessment data for specific groups of students can be exported into an Excel file by clicking on the Data Export link. Creating Group Progress Monitoring Reports Group reports provide detailed information about the specific tests a group of students has completed. The report provides the number of tests administered (by measure type) to the group and the resulting average score for each measure. Student data collected over multiple school years can be included (for example, last year, this year, or all years) in the report. To create a Group Progress Monitoring report: 1. Click the Reports tab. The Reports and Analysis page appears. 2. Click the Groups tab. Select the name of the Group whose data you wish to view. Note: To select a different group, click the group name in the Groups list. The group s data appears. Working with Reports 59

66 3. From the CBM Name list, click a test name to generate the report. The report appears below the CBMs list. You may need to scroll to see all the results. 4. (Optional) Click Export CSV to download report data. 5. (Optional) Click the Print icon ( ) located at the top of the Reports and Analysis page to print the report. Working with Group Progress Monitoring Reports The Summary bar graph displayed in the Group Report (by measure type) provides information regarding the heterogeneity of student performance on a specific assessment. If the students scores cluster together in a single similar skill grouping, it is likely that teachers can effectively meet students instructional needs with whole-class instruction. When teachers have one or a few students who score significantly lower (or higher) than their peers, they may need to investigate opportunities to differentiate instruction to better meet students specific skill-based needs. These reports are intended to assist with grouping for instructional interventions. In addition to a bar graph, an Item Analysis table is provided for all the tests with individual item scores (Math, Reading Comprehension, and so forth). The table provides information for teachers on the specific assessment objective for each item on the test and lists in order the items students found to be the easiest to those they found to be the most challenging. Teachers can use this information to help guide their decision-making regarding an appropriate focus for instruction or intervention support. 60 easycbm User s Guide

67 For student groups of ten or fewer students, a line graph is also generated. While the bar graph above provides a representation of students performance on a single test, the line graph provides information regarding students performance on the specified measure type over time. The date the assessments were administered is plotted along the x-axis. All tests within the specific measure type that have been administered to the students in the group are plotted. Information derived from this graph may be used to compare the group s response to intervention and to ascertain the effectiveness of the intervention support. For example, if all students are demonstrating improvement, one may conclude that the intervention support is effective. If only some students are demonstrating improvement, it may be necessary to adjust the intervention for those who are not making progress. Working with Reports 61

68 Creating Individual Progress Monitoring Reports Individual student reports can be generated for all students on the teacher s roster. The individual student reports are presented as time-series line graphs and track the student s scores over time. You can customize individual reports by including information regarding the type of intervention support being provided and the learning goal that has been set for the student. This information is helpful when sharing data regarding a student s response to intervention at parent conferences and IEP reviews. To create an Individual Progress Monitoring report: 1. Click the Reports tab. The Reports and Analysis page appears. 2. Click the Individuals tab. The display area populates with the Students list. 3. Navigate to a student and click his or her name. The student s report appears. You may need to scroll to see all the results. 62 easycbm User s Guide

69 4. (Optional) Click the Print icon ( ) located at the top of the Reports and Analysis page to print the report. Working with Individual Progress Monitoring Reports In the event that the student s progress is monitored over more than one school year, you can select which data ( ) are displayed in the graph. If the student has completed multiple measures, you can also select which Progress Monitoring information appears ( ). It is important to note that you must be careful when entering data to ensure that the date corresponds to the date the assessment was administered, rather than the date the data were entered into the system. If the assessments are administered online, then data are entered and saved automatically with the correct date. However, if data are entered by hand, the date will default to the day the person is entering the scores, which is potentially quite different Working with Reports 63

70 from the day the student actually took the test. If the date is not changed, then trends observed in students data may be unrepresentative of the students true gains (note that the date is plotted along the x-axis). For Benchmark measures, the easycbm system is set up such that the date for the Benchmark assessments is always the date the Benchmark Window is set to open. This design feature was included in response to requests from multiple districts because of inaccuracies with data entry from individual users not correctly entering the date the tests were taken. A black trend line appears once students have taken three or more forms of the same gradelevel measure. When interventions are entered into the system, a vertical black line is plotted at the date the intervention began. (See Working with Interventions on page 87 for more information.) In keeping with the traditions of single-subject research, on which individual Progress Monitoring models are based, trend lines are not carried through intervention lines, and three new data points are required before a new trend line is displayed. This feature assists users in determining trends in student achievement pre- and post-intervention. 64 easycbm User s Guide

71 Viewing Building- and District-Level Reports (Building and District-Level Users Only) Teachers are only able to access their students Benchmark and Progress Monitoring reports, whereas building- and district-level users can access all teacher reports specific to a building or the district. See Part 5: Working with Reports, beginning on page 45, for more information on accessing teacher Benchmark and Progress Monitoring reports. Creating a Class Report for a Specific Teacher If you are a building-level user, you can only access teacher reports specific to your building. If you are a district-level user, you can access all teacher reports for all buildings within the district. To create a class report for a specific teacher: 1. Click the Reports tab. The Reports and Analysis page appears. If you are a teacher-level user, the most recent test event and your students appear. Continue to step 4. (Note: During IEP team meetings, it is possible that an out-of-grade-level goal will be set. When this is the case, the goal plotted on the graph should reflect the decision made based on realistic expectations for progress in the time frame selected.) In the Measure Type: drop-down list, select the measure type. In the Goal Date: drop-down list, select the goal achievement date. In the Goal Score: field, type the target goal score for the student. It is important to remember that this is not the percentile you want the student to achieve but the actual raw score. The PDFs at the top of the Reports page are helpful for identifying reasonable target goal scores. In the Goal Description: field, type a description of the goal. 6. Do one of the following: Click Cancel to return to the student s Goals page without creating the goal. Click Save to create the goal. The goal appears on the graph immediately. Note that goals are made on the raw scale of the measure (for example, correct words read per minute) and not student s percentile rank. 74 easycbm User s Guide

81 Once three data points (that is, three assessments) are recorded for the individual student, an aim line will appear on the student s individual graph, starting with the midpoint of the first three scores and ending with the goal that has been set (see the next graph). 85 Part 6 Managing Interventions In Brief The Interventions tab allows you to log the specific instructional interventions being provided to students. The Interventions interface is based on templates that are created by district- or building-level users and those with teacher-level accounts. Anyone with an easycbm account can then apply the templates either to groups of students or to individual students. This part of the guide provides instruction on how to view, create, and apply intervention templates. It also discusses how to log notes, change interventions for a student, or deactivate an intervention. About Interventions Templates created by a district- or building-level user are accessible by all other users on the district s easycbm website with district, building, or teacher accounts. Those with teacher-level accounts can use preloaded district or building-level templates, as well as create their own templates for use with their students. An individual can delete or modify templates that he or she created but cannot delete or directly modify a template created by another individual. If modification of a district- or building-level template is required for accurate recording of the instruction being provided, a user must first apply the template to a group or a student, then edit the template, and finally save it with a new name. Creating Intervention Templates Viewing Preloaded Templates In districts where templates have been preloaded by district- or building-level users, the first step is to examine existing templates to see if any of them accurately depict the intervention being provided. To view a preloaded template: 1. Click the Interventions tab. The Instructional Interventions page displays. Managing Interventions 79

86 2. Click the eye icon ( ) to preview an intervention. The template preview screen displays. 3. Click the x in the upper-right corner of the preview screen to close the template. Creating a Template If no templates exist or if none of the preloaded templates are appropriate for the student in question, the user can create a template through the Interventions tab. To create a template: 1. Click the Interventions tab. The Instructional Interventions page displays. 80 easycbm User s Guide

87 2. Click Create Template. The Create Template wizard launches and the Description page appears. 3. Complete the following: In the Label box, type a short but descriptive label. (Note: This will be plotted on the Individual Student time series graphs.) In the Subject area, select Reading, Math, or Spanish. In the Description box, type a brief description of the intervention. 4. Click Next. The Intensity page of the Create Template wizard appears. Managing Interventions 81

88 5. Complete the following: In the Tier area, select which tier of instruction is being provided. In the Student-Teacher Ratio area, select the student-teacher ratio. In the Duration/Frequency area: In the min box, type the duration for which the intervention is being provided. In the days box, type the frequency with which the intervention is being provided. 6. Click Next. The Curricula page of the Create Template wizard appears. Note: The curricula list populates according to the selection made in the Description page. For example, if Reading was selected, then the list only includes published reading curricula. If Math was selected, then math curricula displays instead. 82 easycbm User s Guide

Note: The strategies list comes from the What Works Clearinghouse (WWC) analysis of instructional strategies with some scientific evidence of effectiveness. 91 Applying a Template If you are applying a template during the template creation process, then continue to step 2. Otherwise, follow the instructions below. To apply a template to a group of students or to an individual student(s): 1. Click the Interventions tab. The Instructional Interventions page displays. 2. In the Label column, navigate to the intervention template you wish to apply. Click Apply. The Apply Template page appears. 3. Do one of the following: To apply a template to a group of students: a. In the Groups box select the check box next to the group you want to apply the template to. The list of students who belong to the selected group appear in the Students box. 92 b. In the date box located on the bottom-left corner of the Apply Template page, indicate the date on which the intervention has or will begin. (The date defaults to the current date.) c. Click Apply. To apply a template to individual students: a. Select the Groups check box. A list of all students appears in the Students list. b. From the Students list, select the check box in front of the name(s) of the student(s) to whom you wish to apply the intervention. If a student s name is already checked and you do not wish to apply the intervention, uncheck the check box in front of the student s name. c. Click Apply. The Instructional Strategies page appears and displays a log of the interventions under the templates. To apply a template by drag-and-drop: a. In the Label column, locate the intervention template you wish to apply. b. Select a template and apply it to a student by clicking, holding, and dragging it onto a student or group name in the students or groups list. easycbm applies the template to the student or group. 86 easycbm User s Guide

93 Working with Interventions Once you have created and/or applied an intervention(s), you can log notes to track intervention progress, edit an existing intervention, change an intervention, or deactivate an intervention for a student. 94 2. Select a student name from the Students list. All interventions in that student s record appear in the viewing area. (You may need to scroll to find the intervention if more than one has been assigned to the student). Note the following: All currently active interventions are shown first, with the most recently added at the top of the page. Any deactivated interventions (those that a student is no longer receiving but did receive at some point in the past) appear at the bottom of the list, with a line through the name of the intervention. Logging Notes and Editing Interventions Once the intervention has been applied, it then becomes editable and enables the logging of notes to track intervention progress. To log a note on an intervention: 1. Click the Interventions tab. The Instructional Interventions page displays. 88 easycbm User s Guide

95 2. Select a student name from the Students list. All interventions in that student s record appear in the viewing area. (You may need to scroll to find the intervention to which you wish to add a note.) 3. In the Notes section, click in the Add a note box and type a note for the intervention. 4. Click the add icon ( ) to add the note to the student s intervention history. The note appears below the Add a note box and indicates the date and time the note was logged into the system. 96 5. Do one of the following: To add another note, repeat steps 3 and 4. To delete an existing note, click x in the note box. A message appears asking you to confirm that you want to delete this note from the intervention history. Do one of the following: Click Cancel to close the message without deleting the note. Click Delete to delete the note. The note is removed from the student s intervention history. To edit an intervention: 1. Click the Interventions tab. 97 2. Select a student name from the Students list. All interventions in that student s record appear in the viewing area. (You may need to scroll to find the intervention you wish to edit.) 3. Click the intervention menu icon ( ) in the upper-right corner of the intervention viewing area. The intervention menu appears. 4. Click the edit icon ( ) to modify the intervention. The Edit Intervention message appears, asking you to confirm that you want to edit the intervention. 5. Do one of the following: Click Cancel to close the Edit Intervention message without editing the intervention. Click OK to edit the intervention. The Edit Intervention wizard appears. 98 Changing Interventions An important part of RTI is ensuring accurate records of interventions being provided. When one or more parts of an intervention are changed (for instance, moving the student to a smaller group for instruction, increasing the duration or frequency of the intervention, or changing curricula or instructional strategies), note this change in the student s records. If a substantial amount of changes are required, consider creating a new intervention. The new intervention will be plotted on the individual student Progress Monitoring graph. See Creating a Template on page 80 for more information. To change an intervention: 1. Log the date of the deactivation in the Notes area. See Logging Notes and Editing Interventions on page 88 for instructions. 2. Deactivate the original intervention. See Deactivating Interventions on page 92 for instructions. 3. Apply the intervention to the student. See Applying a Template on page 85 for instructions. 4. Edit the newly applied intervention to alter the name and specific details that were changed. See Logging Notes and Editing Interventions on page 88 for instructions. The changed intervention will be plotted on the individual student s Progress Monitoring graph. Deactivating Interventions You can record the ending of an intervention from the intervention menu. easycbm automatically logs the date on which the intervention was deactivated as an end date in the intervention log. To deactivate an intervention: 1. Click the Interventions tab. The Instructional Interventions page displays. 92 easycbm User s Guide
