1 Subject: 2018 Universitywide Commencement Instructions Degree candidates not planning to attend the 2018 Universitywide Commencement Ceremony may disregard this e- mail communication. All degree candidates from all divisions of Johns Hopkins University are eligible to participate in the universitywide Commencement ceremony. Degrees will be conferred on this date for all 2018 spring candidates who have been formally approved by their respective Faculty Boards prior to Commencement. Degrees were previously conferred for any 2017 fall or summer candidates participating in the ceremony. ESSENTIAL UNIVERSITYWIDE COMMENCEMENT INFORMATION: DATE: Thursday, May 24, 2018 TIME: LOCATION: Arena doors will open at noon. Candidates must report to their line up locations by 12:30pm as outlined below. Procession will begin promptly at 1:30pm. Royal Farms Arena, 201 W. Baltimore Street, Baltimore, MD PARKING: Public parking is limited near the Arena, so JHU will be offering free parking on a first come, first served basis at the South Garage on Homewood campus and operating a shuttle service from campus to the Royal Farms Arena. The shuttle is scheduled to depart from Mason Hall every minutes from 9:30am to 1:00pm, with return service from the Royal Farms Arena to Homewood campus beginning at 4:00pm. The trip should take approximately 30 minutes. Graduates planning to take the shuttle should be on a shuttle departing no later than noon. Graduates planning on driving to the Royal Farms Arena for the ceremony, should allow ample time to find parking at one of the nearby public parking garages. REGALIA: Cap and gown are mandatory for any student participating in the commencement ceremony. Wearing military dress uniform is part of accepted academic protocol and may be worn in lieu of regalia at the ceremony. Your cap and gown will be shipped directly to the address you provided when it was ordered. If you missed the April ordering deadline, a limited number of extras are available for purchase/rental with an added late fee at the Barnes & Noble Johns Hopkins Bookstore (Homewood campus) at 3330 St. Paul Street, Baltimore. These will be distributed on a first come, first served basis. No reservations, phone or fax orders will be accepted. All graduates may keep the tassel from the mortarboard. Bachelor and Master candidates may keep their regalia. Doctoral rentals, excluding the hood, must be returned. DOCTORAL REGALIA: Doctoral candidates must return your cap and gown to Barnes & Noble Johns Hopkins no later than Thursday, May 24. If you attend the Universitywide Commencement at Royal Farms Arena on May 24, a regalia return area will be clearly marked in the lower level of the arena to return gowns after the ceremony. Students will be charged for items not returned by May 24. The hoods are a gift from your division and do not need to be returned. LINEUP: Graduates must report to the lower level of the arena for line up by 12:30pm. Attached is a list of line up sections by school and degree program along with a map of the arena for reference. Please find your degree group and remember your assigned line up number and location. Candidates will line up in single file with your fellow graduating degree

2 group, alphabetically by last name. Candidates with more than one major will line up with their first, primary major. Each Bachelor and Doctoral candidate will receive a pre-coded reader card which will display his/her name and degree on the jumbo screen as he/she crosses the stage. Each candidate should hold onto his/her card while approaching the stage. The reader card will display a candidate s division, full name, pronunciation, and degree. The number printed on the bottom right corner is the sequence where you fall in line for your degree group. If any of the information is incorrect, please notify the line up staff member immediately and they will provide you with a blank card to fill in. NOTE: Candidates who arrive late to the procession may not be able to receive their pre-coded reader card and, therefore, will not have a degree or name displayed on the jumbo screen. Candidates arriving late but before their degree group has been called to cross the stage will be placed in line by a staff member. Hand-written cards may be provided so that their names are announced. Any students who arrive after their degree group has already crossed the stage will not be called to walk across the stage. ACADEMIC PROCESSION: The Procession will begin promptly at 1:30pm. Undergraduate candidates will lead the procession followed by graduate candidates. All candidates will process in three lines simultaneously down the aisles and be directed to your appropriate seating area. All candidates will remain standing until after the National Anthem. Men will remove their caps before the Invocation and replace them following the National Anthem. CONFERRING OF DEGREES: During the ceremony, the appropriate Deans will present the candidates for degrees to the President of the University. As each degree group is presented, that group will stand while the President confers the degree. Masters candidates will not be called to walk across the stage at this ceremony. All divisional Doctoral candidates and baccalaureate candidates from Carey Business School, Peabody, Engineering, and Arts and Sciences will walk across the stage individually, according to degree. When approaching the stage, Bachelor and Doctoral candidates will present their pre-coded reader card which will briefly display their degree and name on the jumbo screen as they are announced. Candidates will then proceed to cross the stage and shake hands with the President and Dean. Please follow directions from the on-stage marshals. Be advised that you may not be returning to the exact same seat after crossing the stage. Out of respect for fellow graduates, after crossing the stage, all candidates should return to their seats and remain until the ceremony has concluded. ACADEMIC RECESSION:

3 Following the University Ode, graduates will remain standing at their seats until the recession of the principals, officials, and members of the faculty is complete. Graduates will then recess down the same aisle they processed in from, starting with the first row from the stage. Please follow the marshals directions. GUESTS: Tickets are not required for guests attending the universitywide Commencement ceremony. It is recommended that guests arrive early if they wish to select a particular seating area. Arena doors will open at noon. The main entrance is at the corner of W. Baltimore Street and Hopkins Place. Another entrance is on S. Howard Street, across from the Light Rail station. Please review the attached document for items not permitted in the arena. Graduates should leave any personal belongings with their guests before entering the lower level of the arena for line up. Guests are not allowed to enter the lower level with graduates. The 2018 universitywide Commencement ceremony is at 1:30 p.m. on Thursday, May 24, at Royal Farms Arena, 201 W. Baltimore St., Baltimore, Maryland The main entrance is at the corner of W. Baltimore Street and Hopkins Place. Another entrance is on S. Howard Street, across from the Light Rail station. Who should attend the universitywide Commencement ceremony? All bachelor s, master s and doctoral degree candidates are invited to attend. This ceremony includes those candidates whose degrees were conferred in the summer and fall of 2017, and who will be conferred for the spring 2018 term. All degrees from all nine schools will be conferred during this ceremony. Master s candidates will be recognized from their seats. Bachelor s and doctoral candidates from the following schools will be called to cross the stage: Carey Business School School of Education Peabody Conservatory School of Nursing Bloomberg School of Public Health Paul H. Nitze School of Advanced International Studies School of Medicine Whiting School of Engineering Krieger School of Arts and Sciences I'm graduating with a bachelor s degree. What do I need to do? Make sure you complete all the things on the Undergrad checklist. In early May, the Registrar s Office will distribute a document covering all final information and instructions. I'm graduating with an advanced degree. What do I need to do? All graduates are invited to attend the universitywide Commencement ceremony on Thursday, May 24 at 1:30 p.m. at the Royal Farms Arena. Doctoral candidates will be called to cross the stage. Please refer to the Ceremonies by School page for details on your school-specific ceremony. What are graduates required to wear? Each graduate will need to purchase regalia (cap and gown) in order to participate in the school-specific and universitywide ceremonies. To purchase your regalia, visit and select your school to purchase the correct regalia. Page 1 of 5

5 Are tickets required? Tickets are not required for family and guests of graduates to attend the universitywide ceremony. There is ample seating in the arena, and students are welcome to bring as many guests as they would like. It is recommended that guests arrive early if they wish to select a particular seating area. Doors will open at noon. When should candidates arrive at the arena? Doors will open at noon. Candidates must be inside the Royal Farms Arena for line up by 12:30 p.m. The main entrance is located at the corner of W. Baltimore Street and Hopkins Place. Another entrance is on S. Howard Street, across from the Light Rail station. How can I be as informed as possible about Commencement day? Continue to visit the Commencement website; information will be updated as it becomes available. Follow us on Facebook and Instagram, #jhu2018. How can family members who cannot attend participate in the ceremony? The ceremony is broadcast over the internet. Anyone with internet access can view it. The webcast will be available on May 24, so check back on that day for the webcast link. What hotels are close to the arena? Many hotels are in close proximity to Royal Farms Arena. The Hotel page has a map and a list of hotels offering special rates to Johns Hopkins guests. When should families plan to be in town? The universitywide Commencement will take place at 1:30 p.m. on May 24. If schedules permit, consider arriving in time to join your graduate for other Commencement-related activities on Homewood campus. A detailed calendar is available here. Activities will include the Homewood Undergraduate Senior Toast a champagne and dessert reception with university leadership at 8:30 p.m. on Wednesday, May 23. Tickets are required for the Senior Toast. A student may request up to 5 tickets, which should include one for themselves. Tickets, including the graduates, are limited and available on a first-come, first-served basis. More information is available on the Homewood Undergraduate Senior Toast page. As the Commencement date nears, your student can tell you what other events they are participating in, as there are many smaller events that take place leading up to and following Commencement. Where is Royal Farms Arena? Royal Farms Arena is located in the heart of downtown Baltimore at 201 W. Baltimore Street. Follow these directions to the arena. Where should we park? Since there is limited parking near the arena, please consider avoiding driving if possible. For those who plan to drive, the Parking & Transportation page has information about parking in the general vicinity. Page 2 of 5

6 The arena s drop-off area is along the curb on W. Baltimore Street, near the main entrance at the corner of W. Baltimore and Hopkins Place. JHU will offer complimentary parking in the South Garage on the Homewood campus on Commencement day and operate shuttle service from Mason Hall to the Royal Farms Arena. Information about the Homewood shuttle is on the Parking & Transportation page. Is there accessible parking available near the arena? Accessible parking spaces available on a first-come, first-served basis are located in the garage attached to the arena and in other nearby parking facilities. Parking in these spots requires a state-issued license plate or hangtag. More information about accessibility can be found on the Event Accessibility page. Please note that the Hopkins Place entrance is the accessible entrance into the arena. How early should guests arrive to get seats? The doors to Royal Farms Arena will open at noon. All guests should be in their seats by 1:15 p.m. for the 1:30 p.m. processional. Please allow time for traffic, parking, walking to Royal Farms Arena, and finding a seat. Is disability seating available? The ceremony will have designated seating areas for persons using wheelchairs. Seating is available for the individual with the disability and up to three companions on a first-come, first-served basis. This seating is located on the Level 1 Concourse behind sections 103, 104, 115 and 116. For assistance finding seating, please see one of the Commencement volunteers or ushers inside the arena. For other guests with mobility disabilities, it is strongly recommended that you arrive early to ensure you are able to find a seat that meets your needs. For assistance, please see an usher or Commencement volunteer. Elevators are on the southeast and southwest corners of the buildings. Please see a Royal Farms Arena staff member for assistance upon entering the building. Please Note: The arena is a large facility and a considerable distance must be traveled to get to all of the seats. Guests for whom walking long distances is difficult are strongly encouraged to rent a wheelchair for the day. Wheelchairs will not be available at the arena. Information about renting one is in the next section: Will wheelchairs be available? Will wheelchairs be available? Wheelchairs are not available at the arena. To rent a wheelchair, you may call Northern Pharmacy at , press 0 to speak to the operator and ask for medical equipment rentals; or Northern Pharmacy. Will an ASL interpreter and/or captioning be provided? Sign Language Interpreters are available upon request. Please contact the Commencement Office at commencement@jhu.edu or by April 24 to request ASL Interpreters. In all situations, a good faith effort (up until the time of the event) will be made to provide accommodations. Assisted listening devices are available at Royal Farms Arena Guest Services, which is located behind section 227. A driver s license will need to be left in exchange for the device. Page 3 of 5

7 Additionally, large screens will project the Commencement ceremony and each graduate as he/she crosses the stage, so guests need not sit close to the stage to have a good seat. The ceremony will be captioned on the large screens on either side of the stage. Are large print or Braille versions of the Commencement program available? Should a guest need the Commencement program booklet in an alternate format, such as enlarged print or Braille, please contact the Commencement Office at commencement@jhu.edu or by April 24. A limited number of large-print copies will be available on the day of the event. Please see the ushers for large print copies. Will food be available during the universitywide ceremony? Concession stands are available around the arena; they accept credit cards and cash. When should I eat on Commencement day? Eating an early lunch near the arena will enable you to arrive between noon and 12:30 p.m. When making dinner plans, please note that the ceremony is expected to conclude around 5:30 p.m. Are there restrictions on what can be brought into the arena? Yes. Restrictions are as follows: Backpacks are not permitted. Bags and purses larger than 13 x 15 are also not permitted. Diaper bags are permitted.(note size restriction above) Please do not bring wrapped gifts into the arena. No balloons are allowed in the arena. Food and drinks may not be brought into the arena. All bags and purses may be searched upon entering the arena. Re-entry to the arena will not be permitted once you have left the building. How will I find my graduate after the ceremony? What works best is to select a meeting point either in the concourse area or outside the arena near an entrance. Once our graduate's name is called and he or she crosses the stage, may we leave? No. Out of respect for the other graduates, all graduates and their guests are expected to stay until the ceremony is over, at approximately 5:30 p.m. However, if it is necessary to leave early, we ask you to move quickly and quietly to an exit so as not to disrupt others. 8 Where do I pick up my diploma? Spring Bachelor and Doctoral graduates from Arts & Sciences and Engineering will receive their diplomas at the universitywide Commencement ceremony on May 24, All other graduates will receive their diplomas by mail. Diplomas not claimed at the ceremony will be available for pick-up in the Registrar s Office, Homewood Campus, 75 Garland Hall, starting at 12 noon on Friday, May 25.
