1 2014 Annual Title I and Federal Programs Report to the Public Tuesday, October 14, 2014 Portland Elementary School 5:30 p.m. Tracy Streeter, Federal Programs Coordinator, along with other Administrators of the Hamburg School District presented the Annual Report to the Public and the Title I and Federal Programs Report on Tuesday, October 14, at 5:30 p.m. The agenda and sign-in sheet are attached. The meeting was adjourned at 6:20 p.m. (See attached Report.) MINUTES OF THE MEETING Hamburg School Board S.P. Portis Administration Building Tuesday, October 14, 2014 The Hamburg School Board met on Tuesday, October 14, at 6:30 p.m. at the Portland Elementary School for its regular meeting. The meeting was called to order by the Vice-President, Mike Harville. The roll was called. Present were Jim Wells, Mike Hartley, Suzanne Singleton, Mike Harville, Maggie Ware, and Randy Smith (arrived late). Bryan Hollis was absent. Harville welcomed the persons present. MINUTES OF SEPTEMBER 8, 2014, REGULAR MEETING and SEPTEMBER 22, 2014, SPECIAL CALLED BUDGET MEETING: M/S (Wells/Hartley) to approve, accept and file the minutes of September 8, 2014, and Regular meeting and September 22, 2014, Special Budget meeting. Motion passed 5-0. FINANCIAL REPORTS FOR PERIOD 3 OF 2015: Dyson and Lawrence addressed the financial reports for Period 3 of M/S (Wells/Hartley) to approve, accept and file the financial reports for September. Motion passed 5-0. REPORTS AND RECOGNITION BY SUPERINTENDENT: A. Report from Building Principals and Administrators Cristy West-Portland-Portland received Foundation Grants and are very appreciative of them. Michelle Dunbar-Wilmot-Wilmot had 100% attendance for P/T conference. PTO is starting up with a fish fry fundraiser this Saturday. Lisa Atkins-Working the kinks out of Insight and Quest. Tracy Streeter-Presented the Board with additions/changes to Policies 3.1, 8.1, 3.52, 3.52F, 8.41, 7.23, 4.7H, 4.62H, 4.18H, 4.64H, 4.66H, 4.67H and to delete 4.60 from the handbook. M/S (Wells/Singleton) to adopt the recommended additions, changes, and deletions as presented. Motion passed 5-0. Kandi Keith-Special Education is going fast and furious. Tammy Streeter-HMS-Teachers are collaborating with other teachers within the district and Coop. HMS averaged 71% parent attendance at P/T conference. Nick Adams-HHS-Approximately 350 families attended P/T conference. Homecoming had a tremendous turnout. Rivalry 5K run will take place this weekend. HHS received $1,000 from Brookshires.
2 Chris Hammond-Noble/Allbritton -Had 99% attend P/T conference. Willie Campbell-ALE-11 students right now. Virtual High School is going well. Lu Davis-Food Service-61% free/reduced as of October 1. Computer systems are scheduled for training November 12, 13, & 14, and will, hopefully, go live November 17. Bob Davis-Bathrooms at gym will be completed by the first ballgame. Air-conditioners are still not working well in the Middle School gym. There have been no leaks since getting the new roof on the Middle School gym. We did receive the two new buses last week. There is a possibility of having to run double routes due to the lack of bus drivers. Davis informed the Board of the possibility of a new diesel mechanic school and asked for support. M/S (Wells/Hartley) to support the possibility of a new diesel mechanic school in the area. Motion passed 5-1. Randy Smith voted against as he walked in at the very end. B. Discussion of Wilmot School, Attorney James Hamilton James Hamilton, school attorney, gave an update of the timeline of events to come concerning the Wilmot Elementary lawsuit: November 21-Discovery cutoff date; December 5-Closing (Judge Hickey advised that a full briefing will need to be ready by December 5, 2014); January 26-27, 2015, Preliminary Hearing. Discussion of the mediator s proposal from the first mediation followed. C. Presentation of AdvancEd Accreditation Plaque (Mike Harville) Dyson and Harville presented the AdvancEd Accreditation Plaque they received from the meeting attended in Little Rock recently. It will be displayed in the Central Office. D. Statement of Assurance, Cycle 2 Dyson presented the Cycle 2 Assurances to be signed tonight and postmarked by tomorrow, October 15, M/S (Wells/Hartley) to approve the statement of assurances for Cycle 2 as presented. Motion passed 6-0. E. Minority Recruitment Report (Doretta Griffin) Griffin presented the Minority Recruitment Report with updated ratios and percentages for the school year. M/S (Singleton/Hartley) to approve the Minority Recruitment Report as presented. Motion passed 6-0. F. School Improvement Plan update (Tracy Streeter) Streeter presented the School Improvement Plan for the M/S (Hartley/Smith) to accept the School Improvement Plan for as presented. Motion passed 6-0. G. PPC & Classified minutes, Administrative Team minutes Dyson encouraged the Board to review the minutes provided in their packets. SPECIAL BUSINESS BY THE BOARD Dyson presented a resolution to pay Jon Ballard for work that can only be done after working hours not to exceed $1,000. M/S (Wells/Smith) to approve the resolution as presented. Motion passed 6-0. Dyson asked the Board to notify Central Office if they want to go to the 2014 ASBA Annual Conference so arrangements can be made.
3 SET DATE FOR THE NOVEMBER BOARD MEETING The November meeting is scheduled for Monday, November 10, 2014, 6:00 p.m. at the Wilmot Elementary School. PERSONNEL: After executive session the following recommendation was made: To accept the resignation of Justin Brophy effective September 17, 2014; To hire Charles Jacob as bus driver for the remainder of the school year; To assign Brandi Poole as Dean of Students at Portland Elementary on days when the principal is off campus; and To hire the attached list of tutors for the 21 st CCLC program. M/S (Smith/Singleton) to approve the recommendation of the superintendent. Motion passed 6-0. M/S (Ware/Wells) to adjourn the meeting at 8:45 p.m. Motion passed 6-0 Bryan Hollis, President Maggie Ware, Secretary
