Regulations affecting all MUSC University-Wide student organizations: *Each university-wide student organization is required to have a faculty advisor or in some instances an MUSC department to serve as a university liaison and provide guidance to the organization in a number of capacities to aid in monitoring of organization: Be able to interpret University policies governing recognized student organizations (see the Policies and Procedures section of the MUSC Student Handbook.) Attend meetings when possible, but at least once a semester Advise and consult organization officers on budgets and other financial affairs. Meet with officers at least once a semester
6 Provide continuity to the group by communicating the policies, regulations, roles and responsibilities with group members, and assist with the transition of officers each year Encourage and assist the group in setting organization goals Be available to the officers of the organization for consultation Sign documentation as advisor, for organizational events where all alcohol will be served Encourage the officers to maintain accurate records Provide guidance to group members regarding organization-related problems Stay up-to-date on what is happening within the organization Assist officers in understanding their duties and organizing programs Assist the officers with goal settings Promote diversity and interprofessional collaboration within organization Determine if the organization s constitution defines the advisors role and when it does support the organization accordingly If the constitution does not clearly define the role of the advisor it is strongly recommended that the advisor and the executive officers meet annually to clarify duties, set expectations, and define levels of responsibility to best serve the organization s mission and goals All recognized university-wide Student Organizations must be approved through a formal approval process that is signed off by the Executive Director of Student Programs. The process includes a general application form, submission of by-laws or a constitution and providing documentation of student interest. More information on the student organization registration process can be found at: All university-wide student organizations are required to be compliant with all university policy associated with student events and activities (ex. student alcohol policy, weapons policy) as well as all local, state and federal laws. Any event sponsored by a student organization where alcohol is to be served must be approved through a formal process through the Office of Student Programs. An event will only be approved if applicable university policy and responsible hosting strategies are met. More information on this process is available at: College-Specific Student Organizations (see next table) are monitored by the Dean s Offices in each of the colleges and are held to the same compliances with university policy and all applicable local, state and federal laws. All major off-campus events of a social nature are sponsored by the MUSC Student Government. These events are all managed and monitored by designated university personnel including Student Programs Office Staff and MUSC Public Safety. To date, no adverse events have occurred at any of the events sponsored by any university-wide student organization. In the event an adverse event occurs, it is a practice of the MUSC Student Government to report any adverse event made by a student attending an event sponsored by the MUSC SGA to the MUSC Behavioral Support and Intervention Team (BSIT). It is recommended that all other university-wide student organizations adopt the same practice.

Do you require more in- depth reporting of an adverse event beyond that which is required by the Clery Act? College of Health Professions: If a social organization or class of students (e.g., first year students in the Doctorate of Physical Therapy program) wants to host a class activity off campus where alcohol will be served, the class liaison or appointed officer of the group is required to complete the MUSC Approval Form for Student Events where Alcohol is served. These forms are reviewed and approved in writing by our Director of Student Life and maintained in the Student Life Office. We make students aware of all MUSC student policies in the MUSC Student Handbook at new student orientation. We do not have a policy that requires reporting of adverse events at these functions beyond what is required by the Clery Act. College of Nursing: There is no required reporting of adverse events beyond what is required by the Clery Act. The students must follow the responsible hosting guidelines developed by the University when planning and executing social events involving alcohol. College of Graduate Studies: There is no required reporting of adverse events beyond what is required by the Clery Act. The students must follow the responsible hosting guidelines developed by the University when planning and executing social events involving alcohol.
11 College of Pharmacy: Each student organization has an assigned faculty advisor. They are responsible for working with the Assistant Dean for Student Affairs to oversee the activities (professional, social, fund-raising) of the organization. The Assistant Dean for Student Affairs meets monthly with the Presidents and of all student organizations to discuss planned activities. All social activities involving alcohol must be approved through the Dean s office. The students must follow the responsible hosting guidelines developed by the University when planning and executing these events. All fund-raising activities must be approved through the Dean s office. All professional development activities are reviewed, approved and overseen by the faculty advisor and Assistant Dean for Student Affairs and other pharmacy professionals when needed. The COP is unaware of any adverse events that have occurred related to one of our student groups, so we have never had to address this issue. College of Dental Medicine: Prior to the hosting of an event by any organization, the student leader must complete a form, and get it approved by the faculty advisor of the organization. The form is then reviewed by the CODM Deans Office for approval of the event. The CODM Deans Office may require certain changes in the planned activities of the event, prior to approval. We do require the report of any adverse occurring. We consult with MUSC Public Safety and MUSC legal counsel for guidance. We report all matters required by the Clery Act on an annual basis. We also review events and activities prior to approval of monies raised through the MUSC Health Sciences Foundation to ensure adherence to MUSC s Conflict of Interest Policy. College of Medicine: Both the Associate Dean for Student Career Planning and Manager of Student Affairs have oversight of all administrative activities and serve in an advising capacity for all organizations. Should an adverse event occur and the Associate Dean for Student Career Planning and Manager of Student Affairs are notified, the incident(s) is reported to the Associate and Assistant Dean for Student Affairs. All interest groups/organizations must complete an application to become recognized as an official organization by the College of Medicine Student Council. Once recognized and confirmed as active, each group is required to submit an annual report that includes yearly activities, events, and collaborations. The College of Medicine Student Council organizations and interest groups follow the event protocol set forth by the Office of Education and Student Life, Student Programs office. The Associate Director of Student Programs provides an annual training to the College of Medicine Student Council.
