1 AWARDS COMMITTEE STANDARD OPERATING PROCEDURE Revised November 2008 Authority: AVDC By-Laws, Article II, Section 2. Awards Committee The Awards Committee shall consist of five (5) members. The term of appointment shall be three (3) years. The Awards Committee shall make recommendations to the Board of Directors for Awards to be given by the College. Board of Directors: Nominations for appointment to the Awards Committee are made by the President, and consent to the appointment is considered by the Board at its Fall meeting. The President also appoints the Chair of the Committee. Term of appointment to the Committee starts January 1st. Introduction In 1992, the American Veterinary Dental College (AVDC) established the Awards and Public Relations Committee as a standing committee of the AVDC. In April 2005, the Board established a separate Public Relations Committee, and modified the Awards Committee standard operating procedure to reflect this change. The Awards Committee is charged with making recommendations to the Board of Directors regarding awards presented by the AVDC. The Awards Committee includes Dr. Peter Emily and Dr. Robert Wiggs as continuing members, who may vote only in the event of a tie. AWARDS The American Veterinary Dental College Awards are: AVDC Service Award Dr. Peter Emily Award This award is presented annually to an outstanding Diplomate of the College for contributions made to further the field of veterinary dentistry. Those contributions may include academic efforts, scientific presentations, research endeavors, book chapters and books, other publications, involvement in organized veterinary dentistry and the
2 veterinary medical community, civic involvement, and the general promotion of veterinary dentistry. St. Jons/VRx agreed to sponsor this award in recognition of Dr. Emily s contributions to veterinary dentistry. Following a corporate merger, Virbac Animal Health continues to sponsor this award. Past Emily Award Recipients - Chuck Williams (1992), Colin Harvey (1993), Bob Wiggs (1994), Gary Beard (1995), Ben Colmery (1996), Sandra Manfra Marretta (1997), Donald L. Ross (1998), Tom Mulligan (1999), T. Keith Grove (2000), Steve Holmstrom (2001), Heidi Lobprise (2002), Frank Verstraete (2003), Edward Eisner (2004), Mark Smith (2005), Ken Lyon (2006), Gregg DuPont (2007), Michael Peak (2008). Dr. Robert Wiggs Outstanding Candidate Award This is an award given annually to an outstanding veterinarian on successful completion of an approved training program. This is an annual award given to honor Dr. Robert Wiggs, who has contributed selflessly to AVDC and veterinary dentistry. Nominees must have successfully completed the Credentials process of the AVDC within the past three years, and either has not yet completed the examination process or are recent Diplomates of the College. Letters of support from Mentors or Residency Directors are evaluated and criteria may include presentations, seminars, publications, research, promotion of veterinary dentistry, and contributions to veterinary dentistry in general. Financial sponsorship of this award has been made by St. Jons/VRx ( ), Pharmacia & Upjohn ( ) and Pfizer Animal Health (2004-current). Past Wiggs Award Recipients - Linda DeBowes (1994), Gregg DuPont (1995), Don DeForge (1996), Mark Smith (1997), Randi Brannan (1998), Milinda Lommer (1999), R. Michael Peak (2000), Krista Mendoza (2001), Gary Lantz (2002), Cindy Charlier (2003) John Lewis (2004), Anson Tsugawa (2005), Jennifer Rawlinson (2006), Stephen Juriga (2007), William Krug (2008). Historical Note Hu-Friedy Golden Scaler Award. From , this award was occasionally presented to a Diplomate of the College for outstanding contributions to veterinary dentistry. The Hu-Friedy Instrument Company sponsored this award, as it does in human dentistry. Recipients: Steve Holmstrom (1996), Colin Harvey (1998), Robert Wiggs (2001) and Ken Lyon (2004). This award is now known as the Miltex Award. In 2008, AVDC transferred stewardship of this award to the Foundation for Veterinary Dentistry. The Foundation now selects nominees for this award.
3 Procedures for AVDC Service and Outstanding Candidate Awards 1. The Awards Committee s work is conducted in confidence, and is subject to the AVDC Confidentiality Policy (which is available on the AVDC Diplomate-only page of the AVDC web site). 2. Only Diplomates of the American Veterinary Dental College in good standing can make nominations for the AVDC Service Award and the Outstanding Candidate Award. 3. Only Diplomates in good standing of the American Veterinary Dental College can be nominated for the AVDC Service Award. A Diplomate cannot nominate her or himself for an AVDC Award. 4. Only candidates who have met credentialing requirements and have been designated as AVDC candidates by the BOD, or are recent Diplomates, are eligible for the Outstanding Candidate Award. 5. The AVDC Executive Secretary sends an Awards nomination form to all AVDC Diplomates in good standing by June 1 st of each year. 6. The completed nomination form with a nomination letter and summary of the contributions of the nominee and current curriculum vitae of the nominee must be submitted to the Secretary of the AVDC by July 31 st. 7. The nomination documents received from the AVDC Executive Secretary will be distributed to Awards Committee members. Members of the Committee are to meet AVDC committee membership minimum computer access requirements for file transmission and electronic committee discussion. In addition, the Chair may contact committee members by telephone, letter, or fax. Additional information can be solicited by Committee members from e.g. Training Support Committee, Credentials Committee and Examination Committee. 8. By September 1 st, the Chair will call for a vote for each award by the members of the Awards Committee. The evaluation of nominees will follow an established evaluation form with a scoring system. The committee will consider the scores resulting from evaluation sheets submitted by persons making nominations or by committee members, and other factors considered to be relevant by the committee. While the person recommended by the committee is likely to be the person receiving the highest score from tabulation of the evaluation forms, this is not a requirement. Should the committee recommend a person who did not receive the highest evaluation form score, the report from the committee to the Board is to note the score received by the recommended nominee and by the person receiving the highest score, and reasons supporting selection of the lower scoring nominee. In the event of a tie, Drs. Peter Emily and Robert Wiggs, the continuing members, will cast the deciding votes. If there is only one nominee for an award, an evaluation shall be completed to determine if the one nominee shall be recommended for the award. The chairman may vote. 9. The recommendations of the Awards Committee are submitted to the Board of Directors of the AVDC for approval. The Board may request clarification or additional information from the Committee. 12. The Executive Secretary informs the Awards Committee chair of the Board decisions. 13. The Awards Committee or Executive Secretary organizes the preparation of the plaques. 14. The Awards Committee Chair presents the AVDC Service and Outstanding Candidate Awards, with corporate representatives assisting, at the Annual Veterinary Dental Forum. The awards consist of a plaque and an accompanying check. 15. Photographs of the presentations will be submitted for publication in the Journal of Veterinary Dentistry as well as the Journal of the AVMA and any other journal deemed appropriate. 16. The Chair, or a designated committee member, will prepare a news release about the award presentations for submission to the AVDC Executive Secretary and the management company responsible for organizing the Veterinary Dental Forum for release to various publications no later than 30 days after the Forum.
5 Other Awards The Committee can be charged to provide assistance when other awards are presented by AVDC. Discussion of other awards has included recognition of successful residency programs, successful mentors, annual Veterinary Dental Forum exhibitor s awards and enduring contributions to the Veterinary Dental Forum.
