1 ALUMNI AFFAIRS UPDATE For the Board of Governors APRIL 2011 Message from the Executive Director, UBC Alumni Association/AVP Alumni Alumni Association Board of Directors The professional staff and board volunteers have recently done some additional work to further define the execution of our engagement strategy with a multi-year eye and the goal of doubling alumni engagement by 2015 and strengthening the alumni association. We re gearing up for a big year, full of alumni programming and communications. Planning is underway for Alumni Weekend in May, as well as for our ongoing UBC Dialogues and Next Step programs. We re also continuing to work with our campus and affinity partners as well as our alumni volunteers to plan reunions and various alumni-driven activities. At the same time, we re preparing for the launch of UBC s campaign, with a particular focus on the engagement component. Staff members are working closely with our Development Office colleagues to manage messaging, database mining and event presentations to ensure a smooth, coordinated launch. The Alumni Affairs communications team is preparing for the official launch of the Alumni Affairs website (visit for the soft-launch version), preparing the spring edition of Trek Magazine, and designing a new, online version of the magazine. All in all, we are experiencing a very busy year-end. The Alumni Centre is a strong focus for all of our teams. Using the latest up-to-date imagery, a new website and strong messaging, we are building both awareness and support for this future home for UBC s alumni, students, and campus visitors. Tuum Est! 2 ALUMNI AFFAIRS UPDATE APRIL 2011 Foster the Growth and Development of UBC s Alumni Communities Alumni branch events were held in centres across North America and the UK, including New York City, Toronto, Calgary, London, Ottawa, Florida, Victoria, San Jose and Palm Springs. New Athletics and Calgary branches were launched and an Aboriginal Alumni branch is under development with the First Nations House of Learning. The Volunteer Engagement strategy has made significant headway in finding effective and creative ways to use volunteers as human resources to support important UBC initiatives. Most significant are the pilots for the Alumni Ambassador Program. The Alumni Affairs Communications team has recruited two Ambassador Story Collectors who are in the midst of populating a library of alumni volunteer stories in partnership with UBC Career Services and the faculties of Pharmacy, Medicine, Human Kinetics and Dentistry. The recruitment process has also begun for Ambassadors to support other initiatives including reunions, mentorship and the campus wide volunteer assessment. At UBC s Kelowna campus, students, alumni and friends participated in the second annual UBC Community Curling Funspiel with proceeds supporting student awards. The Next Step Making the Pitch Create Access for all Alumni to a Ready Network of Peers and the UBC Learning Environment Access to the intellectual, social and cultural riches of UBC is a key interest of alumni who want to reconnect with the university. They also want to be part of social and professional networks that introduce them to fellow grads. Our task is to help create those opportunities. Here are some highlights of our efforts. The Book Club is one of our most successful engagement tools. February sessions were hosted by Dr. Richard Cavell, BA 71, MA 74, and ZsuZsi Gartner, MFA 93. The March session was hosted by Rhea Tregebov, Assistant Professor of Creative Writing. The Next Step Making the Pitch provided 220 young alumni the opportunity to learn techniques and tools to hone their elevator pitch and make their case, whether in the non-profit or small business sectors. Alumni Association Board Chair, Miranda Lam, LLB 02, hosted a panel of four experts. Campus Based Alumni Relations saw alumni engagement 2
3 ALUMNI AFFAIRS UPDATE APRIL 2011 goals set for each faculty in consultation with the Deans. Alumni engagement work plans are also in development to align with the DAE work-planning processes. In addition to the current CBA s, the Faculty of Education has decided to hire their first-ever alumni relations officer. The UBC Alumni Centre project continues to move forward with careful consideration of design and a clear focus on the building program. Now entering working drawings, the team is using the project to raise awareness of the overall alumni program and the commitment of the Association and University to increasing alumni presence on campus. Designed to build awareness of the Centre, Alumni Affairs has received feedback from over 1400 alumni through the Alumni Centre Travel Contest with just less than three months to go. Also, over the programming year, the Centre will have an active presence at 15 alumni events with a total impression count of approximately 5,000 individuals. Work also continues on the fundraising front. has proven very valuable in increasing alumni engagement. As of the end of the third quarter, current new activations for sit at 1901 cards. With three months to go, we expect as much as a 25 per cent increase over the total of 1670 in A key driver of the demand for the card, the free library access saw 4759 active Alumni Library Cards in use as of the beginning of January. With continued focus on campus and community partnerships, the program should make a substantial contribution to campaign targets over the next few years. On UBC s Kelowna Campus, the Distinguished Speaker Series continued with more than 300 participants at each community event. Roughly 20 alumni participated in the first meeting of the New Alumni Council consisting of Okanagan campus grads with a desire to support each other and make a difference in the world. Another 10 alumni have expressed interest in participating in future meetings and a subcommittee has been formed to develop process and structure. Demand for the free lifetime Alumni Cards has increased substantially this year amidst strong support from faculty, alumni, staff, and other campus partners. With this year s upgrade in card quality, and increased cross-promotion at campus activities such as Graduation, Alumni Weekend, Homecoming and the Alumni Association AGM, the program For the third year, a screening of an alumni-produced film was organized for Celebrate Research Week, along with an interdisciplinary, Okanagan faculty panel. This year the film, Ghana: Digital Dumping Ground, was featured including a post-screening discussion panel with two of the former student filmmakers. Attendance approached 100. 4 ~ ALUMNI AFFAIRS UPDATE APRIL 2011 ~ Equip UBC Students to Make the Most of Their UBC Networks Co-hosted with Alumni Affairs and Residence Life, the annual Residence Life Alumni Night in January brought together over 20 alumni from the Residence Life program from the last 20 years. Alumni were provided the opportunity to share their stories with a current staff of 120 and an additional 200 prospective staff members. The Faculty of Arts, Science and the Sauder School of Business hosted the Three Course Connection Dinner in March, bringing together 100 students and 40 alumni from the three faculties to share with current students the value of considering approaches beyond the realm of their faculty area of study. In February, Alumni Affairs, Career Services and International Student Development co-hosted Launch a Career in Canada, an initiative to help former and current international students begin a successful career in Canada after graduating from UBC. Employers from various private and public organizations shared their hiring practices for students with study and work visas. A panel of four alumni from the faculties Arts, Science, Applied Science and Human Kinetics shared their experiences as undergraduate researchers at the Multidisciplinary Undergraduate Research Conference (MURC) 2011 Alumni Panel in March. The Women in Science and Engineering event connected 30 successful women graduates with over 100 female students to learn more about women s work experience in these disciplines. At UBC s Kelowna Campus, the Student Legacy Council continues to raise money for the 2010 grad stone class gift. The 2006, 2007 and 2008 stones are now ready for installation with partial funding received from the Public Affairs and Operations portfolios. By June graduation, five stones will be in place. The Student Legacy Council remains active in alumni events and is currently planning and promoting the upcoming Grad Gala.
