1 Host Homestay Agreement In order for a student to be placed with a UPEI Homestay family, potential host families must read and sign the following agreement. Homestay families are an important part of the student s overall University experience. Ideally, the Homestay arrangement goes beyond providing room and board to the student. Students should be welcomed into the home as a member of the family. The Homestay family agrees to: 1. Provide a welcoming home for international students in which the student will have a private, heated bedroom in a clean, safe environment. 2. Respect the student s privacy, personal property, and individual rights and make every effort to understand the student s culture. 3. Provide: adequate bedding and towels; a comfortable bed, a place to study and appropriate storage for belongings; access to a private or shared bath, and laundry facilities; reasonable access to Internet, telephone and TV and a key to the home. Students will be expected to do their own laundry, but the host may have to show them how the washer and dryer works.

2 4. In order to provide, a friendly personal welcome to the student, we ask that all Homestay host families pick their student up at the airport. Students are required to confirm their flight information with the family and the UPEI Homestay Coordinator at least one week in advance. If it is not possible for the host to pick up the student at the airport, please discuss this with the Homestay Coordinator in advance of the student s arrival. 5. Provide 3 balanced meals a day. This may include allowing students access to the kitchen to make his or her own meals, if agreed upon or desirable, or packing a lunch for the student. 6. Provide transportation to and from UPEI, if not within reasonable walking distance (15 minute walk), or on the bus line. 7. Review the Student Homestay Agreement with the student to clarify expectations, family house rules, and to provide information regarding use of the facilities. 8. If appropriate, assist student to get settled by helping with such tasks as setting up a bank account, familiarizing the student with the neighbourhood, and shopping for essentials. Students, other than shortterm EAP students, will be sent information in advance about opening a bank account in Canada, and bank plans for international students.

3 9. Converse with the student regularly to help them improve their English skills, and make the student feel part of the family by including him/her in family meals and social activities. Host families must not ask students to babysit or perform other household chores, though they are expected to keep their room clean and tidy, and clean up after themselves in the bathroom and in the kitchen. All Host families must have and maintain throughout the duration of the placement comprehensive general public liability and property damage insurance in respect of claims involving injury, death or property damages occurring in or about the host s property, including damages to the property of others with limits of liability of at least $2 million in coverage. The host family must ensure that such policies of insurance cover the visiting student as a family member. The host family must provide a copy of such insurance policies to UPEI upon request. Conflict Resolution: While UPEI will try hard to find a suitable match between students and hosts, sometimes miscommunication or other issues may occur. If a problem occurs between the student and the host family, the host family agrees to: First, discuss the issue with the student, in an effort to understand and find a solution to the problem. Second, if the problem has not been resolved after following step one, the host family agrees to contact the Homestay Coordinator

4 to discuss the issue. A meeting may be set up between all three parties if the coordinator feels that this would be helpful. If the parties are not able to come to an agreement, the Homestay Coordinator will assist the student in finding a new Homestay placement. Unless it is an emergency or extreme situation, as determined by the sole discretion of the Homestay Coordinator, no transfers during the first month of a Homestay placement will be allowed. All Homestay transfers must be coordinated through the UPEI Homestay Coordinator. Termination Policy, Students: For a student to end a Homestay placement, he or she must give at least four (4) weeks advance notice by filling out the Termination Notice Student form and delivering a copy to both the host family and the Homestay Coordinator. The Homestay Coordinator will use the student s pre-paid deposit of $800 CAD to pay the host family for the final 4 weeks of the student s placement. If a student fails to give 4 weeks notice, she or he will forfeit part of all of their $800 CAD deposit in order to compensate the host family for the 4 week notification period. Students cannot give four weeks notice to end a Homestay placement within the first month of their placement. If a student moves out of their Homestay within the first 2 months of placement, he or she will forfeit part or all of their $800 CAD deposit.

5 If a student gives notice of cancellation of the Homestay placement at least one week prior to the agreed upon Homestay start date, a full refund of the pre-paid Homestay fees will be provided. If any notifications are received after that time, the student will only be eligible for a return of 50% of this fee. The application fee of $300 is non-refundable unless a suitable Homestay family, as determined by the sole discretion of the Homestay Coordinator, cannot be arranged by UPEI. In situations where either the student or the Homestay family is found to be engaging in unlawful activities, the Homestay placement will terminate immediately, and no financial recourse will be available to the offending party. Termination Policy, Hosts: For a host to end a Homestay placement, the host must give at least four (4) weeks advance notice by filling out the Termination Notice Host form and delivering a copy to both the student and the Homestay Coordinator. In the case of an emergency or extreme situation, as determined by the sole discretion of the Homestay Coordinator, the host may terminate a Homestay placement on an immediate basis. In the event of a termination of a Homestay placement by the host, all unused monthly fees will be refunded to the student on an immediate basis, and the Homestay Coordinator will transfer the student to another Homestay placement as soon as soon possible. Transfer Policy: Transfers of a student to other host families will not be allowed in the first month of a Homestay placement. The only

6 exception to this is if the Homestay Coordinator determines that the student is not following the house rules, and the Homestay family asks to have the student moved, or if the Homestay Coordinator determines that the host family is not meeting their obligations under the program. After the first month, if a request for transfer is made due to incompatibility, the UPEI Homestay Coordinator will work with the student and host to help mediate any difficulties. A transfer may be arranged at the sole discretion of the Homestay Coordinator. The student may only make one transfer request under this program. Financial, Semester Homestay: Homestay hosts will receive monetary payment for providing room and board. The rate set for semester UPEI Homestay hosts is $800 CAD ($200 a week payable every four weeks) and $35 per night for extra nights. This payment will be due on the 1 st day of each month, or at a time otherwise designated by the Homestay host, for example, 4 weeks after the date of the student s arrival. Families must agree to not charge students more than this amount. Where possible, UPEI will collect the Homestay fee from the student prior to their arrival in Canada and will forward this fee to the host prior to the student s arrival. UPEI will also collect the final monthly fee of $800 CAD in advance as a deposit. The student is responsible for notifying the Homestay Coordinator when they wish to end their Homestay placement, so the Homestay Coordinator can pay out the final monthly fee of $800 CAD to the host family. All other monthly payments will be made by the student directly to the Homestay family. Host families should issue receipts to the student.

7 Financial, Short-term Homestay: UPEI will forward the entire Homestay fee to hosts of short-term EAP language camp students. The rate set for short-term UPEI Homestay hosts is $225 per week and $35 per night for extra nights. UPEI kindly asks host families to not charge students for the following items/services (when initiated by the host): sightseeing excursions, restaurant meals, family outings. If, however, the student makes the request, it will be at the student s own expense should the host choose to accommodate them. Hosts are responsible for keeping track of their payments and claiming their income. Miscellaneous: All parties acknowledge that fax copies, e-signatures, and scanned signatures shall be treated as originals. The Homestay Coordinator will attempt to match a host family with a student that fits their preferences. However, UPEI cannot guarantee that we will find a suitable placement for each family. Before proceeding with any Homestay match, UPEI will provide a potential host family with information about the potential student guest, and will discuss the possible placement with the family. The UPEI International Relations Office wants to help host families to have a good Homestay experience. One week after the student arrives the Homestay Coordinator will contact the host to see how the student

8 is adjusting to their placement, and to provide support, if required. In the case of longer term placements, host families will also be contacted prior to the end of the school term to ensure that the placement is still satisfactory, and to see if the student will be staying for the second term, if a full school year placement was asked for. In the case of a dispute over the terms of the Host Homestay Agreement, all parties agree that the laws of Prince Edward Island will govern this Agreement and the courts of Prince Edward Island have exclusive jurisdiction. Release: In the unlikely event of injury, sickness or death, or damages or losses to property as a result of the host s participation in the Homestay program; the host agrees to assume all risks associated with same. In consideration of the host s participation in the Homestay program, the host hereby releases, holds harmless and indemnifies UPEI, its administration, Senate, Board of Governors, directors, officers, employees, volunteers, agents and representatives, and their respective heirs, executors, administrators, successors and assigns ( Related Parties ) from any and all actions, causes of action, claims, suits and demands of whatever nature including negligence. The host understands that this release applies to release UPEI and its Related Parties from any injury, sickness or death or damages or loss of any kind which might arise from the host s participation in the Homestay program or as a result of or in relation to any medical treatment provided to the student by the host family and/or by UPEI.. The host

9 further acknowledges that UPEI is not responsible for any unpaid Homestay fees or expenses payable by the student or otherwise incurred by the host as a result of the host s participation in this program and releases UPEI from all liability in respect of same. By signing this agreement the host(s) represent and warrant that they have read this document in its entirety and fully understand and agree to abide by the terms set out herein.
