2 Process for School Year Calendar School Calendar Steering Committee Initiated a core District Office Steering Committee to evaluate best practices and lessons learned from the SY13-14 calendar. Content owners from District Office provided detailed feedback and developed recommendations to be presented to stakeholders. Reviewed the SY calendars from surrounding LEAs to evaluate opening, school closures, holidays, and professional development. Stakeholders Committee Stakeholders include District Office staff, Principals, external partners, BTU/PSASA The Steering Committee presented calendar recommendations to the Stakeholders Committee Stakeholders provided feedback and recommendations on general concerns, start of school, professional development days, parent-teacher conferences, early releases and exam windows. 4 Rationale: Proposed Professional Development Days 4 PD Date(s) August September 26 October 17 November 3 February 17 April 17 June 9 Rationale August PD will include three school-based days and one systemic day. Systemic PD will be held on August 20.This model allows schools to prepare for the start of school. Holding systemic PD on the second day allows school teams to infuse district guidance into the remaining PD days. September PD aligns with mid way point for the first quarter. October PD is the Qwest conference for BTU staff; there are also several statewide conferences on this date. This is in alignment with other LEAs. November PD is the day before Election Day. The Steering Committee considered student attendance and agreed that clustering versus spreading out school closures during the holiday months was optimal. February PD will be held the day after President s Day. Committee agreed that clustering closures during the month as opposed to spreading out closures was best. April PD will be held a week after Spring Break and prior to the final four weeks of testing. End of the school year PD is important to introduce district initiatives for the coming year. June PD will be held the day after the last day of school for students and may change due to inclement weather adjustments.

City Schools does not support a post-labor Day start to SY and will be advocating for the school year to begin in late August. The calendar has accounted for five inclement weather days at the end of the school year. If any of the five days are not used they shall be deducted from the June closing date. Inclement weather dates: Day 1-June 9; Day 2-June 10; Day 3-June 11; Day 4-June 12, Day 5-June 15.

9 Rationale: Proposed Parent-Teacher Conferences Shift Back to Parent-Teacher Conference Opportunities Every Quarter The Steering Committee proposes that the calendar revert back to prior years practice of providing an opportunity for parent-teacher conferences at every quarter. For SY13-14, parentteacher conferences were not equally distributed. This recommendation is informed by feedback from schools and the community. Early Release All efforts were made to place proposed early release days on weeks with no PARCC testing. The October early release day does not fall in the testing window The March early release day does fall in the testing window due to the distribution of progress reports. The Steering Committee evaluated the following: Falls on the Friday during the first week of testing to minimize disruptions Schools might test in the morning allowing for early release afterwards Schools might opt to utilize Friday morning for make ups Evening Conference window December and May marked the proposed evening conference windows. Schools determine what day (1 day) they will hold an evening conference. Evening conference windows are designed to provide schools with flexibility for their community. 9

If there are any emergency closings for inclement weather, midterm and final dates can be adjusted to account for changes in the calendar due to emergency closings.
