2 Appropriate Use and Security of Confidential and Sensitive Information Due to the integration of Student, Human Resource, and Finance modules in Banner, it is imperative to understand the importance of records security in regard to the access to Banner. Access may be granted to information beyond what is needed to perform assigned office duties, but should be specific to only the areas of responsibility. Access to Banner has been granted based on job duties. It is each users responsibility to ensure the information accessed is used appropriately. Information access requires awareness and compliance with the Family Educational Rights and Privacy Act, because you have access to confidential information for currently enrolled and former students, it is important that you comply with and are aware of the FERPA. All student information, should be used for legitimate educational purposes only. It is necessary that All University employees become aware and sensitive to the following procedures. Below are good standards university employees should always follow. Do not share password(s) or store them in an unsecured location. Do not leave a workstation unattended without first closing all securely accessed applications, it is the responsibility of all university employees to keep any activity attached to a login id secured. Do not share any confidential and sensitive information with anyone, including colleagues, unless it is to be used for legitimate educational purposes. Do not leave any documentation that includes student identifiable information at a workstation. ALWAYS, securely dispose of all documents, reports, screen prints, and handouts that contain confidential and sensitive information by destroying or shredding the documents. 3 Banner TTU/TTUHSC contains the academic history maintained on a student such as grades, grade changes, grade replacements, GPA by institution, term, or subject, degree sought, degrees awarded, graduation date, curricula, transfer work, academic standing, and dean s list. Grades and GPA are moved into once faculty members submits the grades and the End of Term programs are processed, at that time grades are then rolled into academic history. Once grades are rolled into academic history, all maintenance (grade changes, etc) are maintained within. Banner Forms associated with. 4 SHACRSE Student Course Summary (Academic Transcript) SHACRSE displays courses and grades the student has completed for a specific term or for all terms. GPA s are not displayed on SHACRSE. Go to the SSB system to view the unofficial transcript with GPA. 5 SHACRSE (Continued from previous page) (SHATCKN) Click on Select Button on SHACRSE to access the Course Maintenance Form (SHATCKN) to view the highlighted course details. SHATCKN displays course details including grades, grade changes, and grade replacements. 6 SHACRSE (Continued from previous page) Using Query Function Queries Queries can be performed on SHACRSE to search for courses by term, campus, level, subject, course, section, repeat, and course title. Wildcards (% or _) can be used to assist in query search. Searches are case sensitive. To begin a new query Click on the Enter Query Icon This will clear any courses on form and puts the form in query mode. In this example, we will search for all Course with Intro in the course title. This query search is case sensitive. %Intro% query results Count Hits To know how many records match your query criteria before the query is executed. Enter the query criteria, then select Query >Count Hits (menu), or press the Shift + F2 The Auto Hint message (bottom right of form) will display how many records match the query criteria. 7 SHATERM Subject Sequence Course History GPA by Level (Term History) SHATERM displays the student s current academic standing, Institution GPA, and Term GPA and Course Detail Information. Use SHATERM to view student s GPA on a term by term basis. First block of SHATERM displays: First and Last Term attended Displays the first and last term the student has attended Academic Standing Displays good standing, probation, and suspension status Institution and Overall GPA Displays the Institutions GPA Key Block Enter Tech ID, or do Name Search Enter Course Level Codes by Person Click on drop down arrow to view all levels on the student Highlight and double click on level Leave Term blank to display all Terms on Term GPA Block [Next Block] (Refer to next page for additional information) Level Codes (list does not include all level codes) GA Allied Health Graduate PH Pharmacy Doctoral UN Nursing Undergraduate GR Graduate UG Undergraduate LW Law Click [Next Block] to view Term GPA and Course Detail Information block TTU TTUHSC 7

Key Block Enter Tech ID, or do Name Search Enter Term (required) Search Term (if needed) Click on the Term drop down arrow Select Term Summary (SHQTERM) Select and Highlight appropriate Term Click the Select icon (you will be automatically taken back to SHAINST) [Next Block] Continue to [Next Block] to view all information TTU TTUHSC 11

12 SHADGMQ Student Degree Summary SHADGMQ displays a summary of all the degrees the student is seeking or has been awarded. Use SHADGMQ to view degree(s) awarded, degree(s) sought, graduation term, graduation status, graduation date, curricula summary, and field of study (major, minor, concentration).
