1 Sectin One: Attendance Plicy fr Preclinical Years Apprved: July 8, 2009 Revised: June 7, 2017 Plicy Statement: This plicy establishes guidelines and prcedures fr attendance and absences in mandatry classrm and clinical activities. Participatin in learning activities is critical fr students t develp int effective physicians. It is imprtant fr students t act in a prfessinal manner and demnstrate a cmmitment t prfessinal respnsibilities. Attendance at all small-grup sessins, all sessins in which patients are present, and all interprfessinal activities is mandatry. Attendance is mandatry at any ther activity that has been annunced as being required. The student must request an excused absence a minimum f tw weeks in advance and must be recrded in AriznaMed (see Prcedure fr Reprting and Tracking Absences). Attendance at all exams is mandatry. This includes curse exams, retake exams, exams fr curse remediatin, OSCE, NBME and any ther scheduled exam. Attendance Sign-In Sheet/Frm: Signing-in r submitting an attendance sheet/frm fr anther student is unethical and cnsidered an Hnr Cde Plicy vilatin. Students may ONLY sign-in/submit attendance sheet/frm fr themselves and n ther student. 1. Excused Absences Illness. In the case f a student s wn illness r injury, it is the student s respnsibility t ensure that an absence request is submitted t the Curse Directr in a timely manner. A nte may be required frm Campus Health r a primary care prvider. Presentatin at a prfessinal cnference. An excused absence may be granted fr a student t present at a prfessinal cnference. Cnference attendance alne, withut presentatin respnsibilities, des nt meet the requirements fr an excused absence. Prf f acceptance t the cnference where the student is presenting must be prvided. Leadership activity. An excused absence may be granted fr a student t represent the University f Arizna Cllege f Medicine in a leadership capacity at a prfessinal cnference r meeting (fr example, as an elected representative f UACOM n an AMSA cmmittee). Cnference attendance alne, withut leadership respnsibilities, des nt meet the requirements fr an excused absence. Religius bservance. An excused absence may be granted fr a student t bserve a religius hliday, in accrdance with University plicy. Jury Duty. 2 because f the death f student s spuse, parent (natural parent, step-parent, adptive parent), parent-in-law, sibling, child (natural child, adptive child, fsterchild, step-child), grandparents, grandchildren, brther r sister-in-law, r any ther persn wh is a member f the student s husehld. A student may be granted up t tw (2) additinal days in rder t attend r arrange funeral services ut-f-state. If a student requires an excused absence fr mre than five (5) days, the student must request a Leave f Absence with the Assciate Dean fr Student Affairs. 2. Persnal Day Passes Students are allwed up t tw (2) Persnal Day Passes during each f their preclinical years t attend t persnal business, weddings, reunins, r ther events that are nt included n the list f recgnized excused absences. Students must submit a request fr a Persnal Day Pass t the curse directr/scieties directr a minimum f tw weeks in advance. The request must be apprved by the curse/scieties directr. Student will receive final apprval by frm the Assciate Dean fr Students Affairs. Persnal Day Passes may nt be taken fr the fllwing: Curse exams Retake exams Exams fr curse remediatin OSCE NBME exams Other scheduled exams Interprfessinal activities N half days r hur cunts are permitted. Persnal Day Passes are nn-transferrable. A specific reasn fr a Persnal Day Pass is nt required. Apprval is nt guaranteed but will depend n the nature f the missed sessins and whether the sessins can be remediated, if deemed necessary, by the curse directr and/r scieties mentr. After the use f tw Persnal Day Passes within a single preclinical year, any additinal absence that des nt meet the criteria fr an excused absence will be cnsidered an unexcused absence. 3. 3 Any nn-emergency absence that is taken withut prir ntificatin r permissin f the curse directr is cnsidered an unexcused absence and will be treated as an act f unprfessinal behavir. An unexcused absence will result in a 10% deductin frm the student s Prfessinalism grade fr the curse and a scre f zer n any graded activity (e.g., the IRAT and GRAT in a Team Learning sessin). Prcedure fr Requesting and Tracking Absences 1. Requesting an absence T request an absence frm a mandatry curse activity, except in cases f persnal illness, injury, r emergency, students must cnsult the curse directr (r Scieties mentr) n less than 2 weeks in advance f the anticipated absence. The student must enter all absence requests in AriznaMed. This applies t excused and unexcused absences (including Persnal Day Pass). The reasn fr the absence (except fr Persnal Day Pass) and the date(s) f the absence must be included in the request entered n AriznaMed. A nte may be required frm Campus Health r a primary care prvider in the case f illness. Student will receive final apprval by frm the Assciate Dean fr Students Affairs. A student wh misses any small grup activity fr any reasn is respnsible fr ntifying the student s facilitatr/mentr and small-grup members in advance f the absence. In the event f lng term, serius medical r persnal issues, the student shuld cntact the Assciate Dean fr Student Affairs t request a leave f absence. 2. Tracking absences The Assciate Dean fr Student Affairs will review the student absence reprts, and if a student has a pattern f frequent absences frm mandatry sessins, the student will be required t meet with the Assciate Dean fr Student Affairs t explain the reasns and discuss a plan fr imprvement in attendance. The Assciate Dean fr Student Affairs shall present the data frm student absence reprts t the Tucsn Curriculum Management Subcmmittee (TCMS) n an annual basis s that trends in the data can be nted and discussed. Participatin in learning activities is critical fr students t develp int effective physicians. All clerkship experiences are mandatry including Transitin t Clerkships and Intersessins 1 & 2. Any absence must be recrded in AriznaMed (see Prcedure fr Reprting and Tracking Absences). Excused absences will be remediated as deemed apprpriate by the clerkship directr. T demnstrate that a student has remediated an absence, students will be expected t knw the infrmatin and fllw the requirements fund in each clerkship manual. All absences must be requested a minimum f 30 days prir t the anticipated absence. Absences may nt exceed the maximum number f days allwed in a clerkship (see Prcedure fr Requesting and Tracking Absences). Tw (2) absences r Persnal Day Passes may nt be requested while n the Neurlgy clerkship; this exceeds the maximum number f 1.5 days allwed fr 3 week rtatins. Persnal Day Passes are nt applicable t 4 th year students. After use f tw Persnal Day Passes, any additinal absence that des nt meet criteria fr an excused absence will be cnsidered an unexcused absence. Page 5 f 8 [Attendance/Absence Plicy]

Remediatin f excused absences The clerkship directrs will create a remediatin plan that is specific t the unique requirements f their clerkship and that will apply t students at all sites within that clerkship. In the event that: (1) an absence is requested 30 days in advance; and (2) the clerkship directr is unable t arrange a remediatin plan because f the student s prlnged absence r the clerkship directr s inability t recreate the needed clinical r didactic material, the clerkship directr may deny apprval fr the requested absence. In the event that: (1) an absence due t illness r unanticipated events (i.e., 30 days advance ntice is impssible); and (2) the clerkship directr is unable t arrange a remediatin plan because f a student s prlnged absence, r the clerkship directr is unable t recreate the needed clinical r didactic material, the clerkship directr, in cnsultatin with the Assciate Dean fr Student Affairs, may require the student t repeat the entire clerkship. 4. Unexcused Absences and Cnsequences f Unexcused Absences Any nn-emergency absence that is taken withut prir ntificatin r permissin f the clerkship directr is cnsidered an unexcused absence. This will be treated as an act f unprfessinal behavir which will be included in the student s final assessment. An unexcused absence frm clerkship didactics may be nted in the final assessment and may affect the student s final grade. 5. Hlidays Clerkship sites will bserve the hliday schedule f the University f Arizna. A student may request t wrk n a day designated as a hliday by the University f Arizna. Upn apprval by the clerkship directr in advance, the hliday day may be substituted fr a regular nn-hliday wrk day. Clarify with the clerkship crdinatr r directr if it is required t reprt fr weekend service fllwing a hliday at the end f the week. Prcedure fr Requesting and Tracking Absences 1. Requesting an excused absence: T request an excused absence, except in cases f persnal illness, injury, r emergency, students must send an t the clerkship directr/clerkship crdinatr n less than 30 days in advance f the anticipated absence. 7 If a student requests an excused absence due t illness r injury, he/she will cntact the clerkship directr/clerkship crdinatr as sn as pssible. A nte may be required frm Campus Health r a primary care prvider. The student must enter all absences in AriznaMed. This applies t excused and unexcused absences (including Persnal Day Pass). The clerkship directr r crdinatr will infrm the student f his r her decisin regarding the request fr an excused absence by . In the event f lng term, serius medical r persnal issues, the student shuld cntact the Assciate Dean fr Student Affairs t request a leave f absence. 2. Tracking absences The fllwing indicates the maximum number f absences fr clerkships f varius lengths..5 days fr a 1-week curse 1 day fr a 2-week curse 1.5 days fr a 3-week rtatin 2 days fr a 4-week rtatin 3 days fr a 6-week rtatin 6 days fr a 12-week rtatin If the number f absences exceeds the maximum allwed, the student will be required t repeat the clerkship. The Assciate Dean fr Student Affairs will review the student absence reprts, and if a student exhibits a pattern f excessive absences, the student will be required t meet with the Assciate Dean fr Student Affairs t explain the reasns and discuss a plan fr imprvement in attendance. The Assciate Dean fr Student Affairs shall present the data frm student absence reprts t the Tucsn Clinical Curriculum Subcmmittee (TCCS) n an annual basis s that trends in the data can be nted and discussed. Sectin Three: Attendance Plicy fr Electives Apprved: December 14, Attendance is required at all activities identified fr an elective curse. The student must cmplete the amunt f wrk in the curse that matches the number f credit hurs established fr the elective curse. The electives curse directr must apprve an absence. 8 Even if a request is made in advance, apprval f an absence is nt guaranteed. The elective curse directr may refuse t excuse an absence in the case where alternative experiences/wrk cannt be arranged such that the student cannt accmplish the curse bjectives. If a student has an excused r unexcused absence, the student must arrange with the curse directr t cmplete an equivalent amunt f wrk at an alternative time. Unexcused absence(s) may result in a failure f the curse at the discretin f the curse directr. The criteria fr failure due t unexcused absence(s) will be cmmunicated t students and written in curse materials. 2. Acceptable reasns fr excused days f absence include the fllwing: Nte: Regardless f the reasn, a student must fllw the plicies abve fr btaining an excused absence and arranging fr the wrk t be cmpleted. Interviews fr residency. It is expected that students use discretinary days t schedule interviews. Hwever, circumstances may ccur such that an interview is unavidable during an elective (particularly fr the mnths f Nv, Dec and Jan). Presentatin at a Prfessinal Cnference r Leadership Activity (e.g., as an AMSA Cmmittee Member) n behalf f the University f Arizna Cllege f Medicine. Religius bservance. Students may arrange fr an absence fr religius bservances, which will be cnsidered in accrdance with law and University plicy. Extenuating Persnal Circumstances. Extenuating persnal circumstances may include, withut limitatin, significant family r persnal events that acutely disrupt the student s ability t attend t rtatin respnsibilities. The student shuld cntact the electives curse directr as sn as pssible. Persnal Illness, injury r disability. In the case f a student s wn illness, injury r disability, it is the student s respnsibility t ensure that electives curse directr is infrmed f the absence in a timely manner. If the student is seriusly ill (injured, etc), a family member r friend can infrm the electives directr. Hliday schedule.
