1 GUIDE TO COMMENCEMENT EXERCISES FOR THE JULY 18 TH, 2015 CEREMONY DeVry University & Keller Graduate School of Management takes immense pleasure in inviting you, your family, and other honored guests to the July 2015 Commencement Exercises for the Westminster, Colorado Springs, Greenwood Village locations and DeVry Online students. The faculty, administrators and staff are looking forward to honoring the achievements of our graduates as they embark on a new journey in their chosen career fields. Graduates are asked to familiarize themselves with the ceremony details, protocols and expectations outlined in this guide ahead of the date of our commencement exercises. On behalf of the faculty, staff and administration, we would like to say congratulations to all of the graduates and best of luck in your future endeavors. 3 Graduation Ceremony Details DATE: SATURDAY, JULY 18 th, 2015 TIMES: 10:30 a.m. 11:15 a.m. Graduates arrive to check-in (Remember to allow for traffic) 11:40 a.m. 11:50 a.m. Graduates line up for the Procession 12:00 p.m. Ceremony begins promptly (Processional) Between 1:00 and 1:30 p.m. Ceremony concludes (Recessional) 3:00 p.m. All graduates and guests must exit the facility VENUE: The Wildlife Experience, Great Hall South Peoria Street Parker, CO
4 GENERAL CEREMONY INFORMATION ELIGIBILITY TO PARTICIPATE The honor of participating in a commencement exercise is intended for students who complete all of the graduation requirements for their degree in advance of the ceremony date. Students who have met or will meet the requirements prior to the date of the commencement exercise will be notified by . Students who wish to participate in a commencement ceremony ahead of their degree completion can submit this request to receive approval to participate from the Assistant Dean of Academic Affairs, Dr. Tara Mills, if the student meets the following criteria: The total expected credit hours for undergraduate students should be no more than eight (8) credit hours less than the minimum credit hour requirement for their associate or bachelor s degree program. The total expected credit hours for graduate students should be no more than six (6) credit hours less than the minimum credit hour requirement for their master s degree program. If you meet the aforementioned criteria and wish to request approval to participate ahead of degree completion, please Dr. Tara Mills at tmills@devry.edu. Please note that submission of this request does not guarantee approval and that participation in a commencement ceremony is not a guarantee or an indication of degree completion. To officially graduate, students must satisfy all academic requirements for their specific degree. GETTING YOUR NAME IN THE PROGRAM In order to have your name correctly listed in the program, you must complete a Graduation Application Form by June 25 th, If you still need to complete one, please send an to Lisa Barry at lbarry@devry.edu or Nicole Anderson at nanderson@devry.edu. Starting on approximately June 20th th, 2015, a copy of Ceremony Program Name List will be uploaded and available to verify how your name is listed will be available at this link The list will then be updated approximately once a week with any changes needed and the last day to receive adjustments will be July 6th. The final list will be posted on July 10 th,
5 CONFIRM NUMBER OF GUEST SPACES NEEDED Seating is limited for this event, so each graduate may invite up to 6 guests to attend the commencement ceremony. Each graduate must contact their campus contact via or phone to let us know their number of guests that plan to attend no later than June 22 nd, Westminster and Online: Lisa Barry DNV-Registrar@devry.edu or Greenwood Village: Annette Hernandez at Annette.Hernandez@devry.edu or Colorado Springs: Contact the front desk For those who want to submit a request for extra guests, we will keep a list of first come, first serve requests, but there is no guarantee that we will be able to accommodate these requests. That decision will be determined by June 22nd once we have a final count of guests and graduates that plan to attend. If we can allow extra guests, we will contact the graduate after that date. FREE PARKING Parking at the Wildlife Experience is FREE and the lot is located on the south side of the facility once you come in the main entrance. 5
6 CERMEMONY DETAILS CEREMONY PROTOCOL In order to ensure that the commencement exercises are a special occasion that commemorates the accomplishments of each and every graduate, we ask that all of those in attendance at the ceremony follow the protocols outlined below. Attire DeVry University and Keller Graduate School of Management work closely with an outside vendor, Jostens, to make high quality regalia available to our graduates for their big day. Graduates without proper regalia will not be eligible to participate in the ceremony. Be sure to steam your gown before coming to the ceremony (DO NOT IRON). An option is to toss it in the dryer on a non-heated setting for a few minutes. All graduates are asked to order their cap, gown and tassels ahead of the ceremony by visiting Jostens online at Deadline for Orders: Friday, Saturday, June 6 th, 2015 Please contact Jostens by phone at for Late Charge ordering information Honor Distinctions Honor distinctions are based on a graduate s final CGPA unless you have not completed all requirements or final grades are not yet posted and then honors distinctions are determined by a graduate's CGPA in the session prior to their final session; all Undergraduate students with a cumulative GPA of 3.5 or higher will receive honor medallions and Graduate students with a cumulative GPA of 3.70 or higher will receive honor cords at each of the Honors Ceremonies held at the Colorado Springs Campus on Monday, July 13 th, 2015 and Westminster Campus on Wednesday, July 15 th, (More information will be coming in another if you meet these criteria). If a graduate is not able to make it to either of these events then they will be able to pick them up at the Check-in table at the Graduation Ceremony. Anyone who has served in the military with a general or honorable discharge will be given red/white/blue honor cords ONLY at the Graduation Ceremony Check-in table on the day of the ceremony. Please let the check-in table staff know that you should be receiving one. Check-In All graduates should arrive between approximately 45 to 60 minutes in advance of the scheduled start time of the ceremony. Upon arrival, graduates are asked to check-in at the tables across the ceremony entrance of the Great Hall. There is 6
7 Check-In (continued) no rehearsal so please read the following information in order to prepare for the lineup and procession for the ceremony. During check-in each graduate will be given a reader card that will include a phonetic pronunciation of the graduate s name, their degree program and honors (if applicable). Graduates will then be free to spend time with family and/or congregate with their fellow graduates until called for line-up approximately 30 minutes before the scheduled start time of the ceremony (11:30 am). Graduates are encouraged to have family or friends hold all personal items such as purses and coats, as there is no place for the graduates to leave them in the check-in area. NOTE: Reader cards are essential to the logistics of the ceremony, so all graduates are asked to please tend to their card closely, as the card will have to be passed to the official readers on stage so the graduate s name and program may be read aloud correctly. Late Arrival For any graduate who arrives more than 20 minutes past the start of the ceremony, participation in the ceremony will be determined by the members of the Graduation Committee based on where we are in the ceremony. If it is determined that the graduate will be able to participate, they will be directed to an open seat in the graduates rows as to not disturb the ceremony proceedings; graduates will most-likely not be permitted to sit within the area designated for their degree program. Line-Up Graduates will be called for line up by degree program/number by the Line-Up Coordinators in the side hallway. At that time, graduates will be asked to find their place in line directly behind the signage posted for their degree program. Graduates are to line-up based on the number in the top corner of their reader card; the numbers serve to alphabetize the graduates within their degree program s line. Members of our staff will assist in ensuring that the graduates are in proper alphabetical order before the processional begins. The specific order that degree programs will be called up to the stage by degree type is listed in the ceremony program that will be distributed on the day of the ceremony. 7
8 Graduates protocol during the Ceremony Graduates will be led into the Great Hall for Processional and directed to their seats. Next, the National Anthem is played, followed by the Welcome statements and brief introductions of the DeVry University Faculty and Staff. The Metro President will speak briefly and introduce the Keynote Speaker who will then address the graduates. At the conclusion of the Keynote Speaker Address, candidates for graduation by level and degree will be called to the stage. Graduate degree level will be called to the stage first, they will walk in a line behind an usher to the stairs on one side of the stage and then have their name read as they walk across to receive their diploma cover, take a picture, and then walk down the other side stairs and return to their seat. Undergraduate students will be called next in the same order. Out of respect for fellow graduates, and for the safety and security of those in attendance, we ask that all graduates and guests remain in their seats for the duration of the ceremony. Graduates are not permitted to leave immediately following their time on stage. The Assistant Dean of Academic Affairs will present students to be conferred as graduated. The Metro President will then have Closing statements and finally all graduates will be led out of the Great Hall for the Recession and end of ceremony and will then wait for their families to join them out in the hallway and court yard. All students and guests must exit the event facility by 3pm. Guest Etiquette Personal cameras are permitted, however, photos and videos may not be taken from the foot of the stage; guests must remain seated at all times. Please remind guests to turn off or silent their cell phones so it will not disrupt the ceremony or bother other guests. 8
9 PICTURES Pictures and Ordering Ceremony Pictures A photographer from 3 Peaks Photography and Design will be on site taking student pictures during the ceremony and as each student walks across the stage. When the graduate s name is called, they are to proceed across the stage to the diploma cover table and receive a diploma cover where they will shake hands with our Dean of Academic Affairs. The graduate will then stop to shake hands with the Colorado Metro President and pose to have their picture taken. Graduates then proceed down the stairs at the other side of the stage and back to their seat. Pictures are generally available online within 2 weeks after the ceremony and information on how to order these pictures will be ed to graduates when the photos are available at Special Accommodations Any graduate needing special accommodations to cross the stage or for their guests seating please call the Graduation Coordinators (see next page for contact information) DIPLOMA DISTRIBUTION All graduates will receive their diplomas by mail or pick up in approximately 6 to 8 weeks after the end of the term that they complete their degree requirements. If a graduate s mailing address or name changes prior to graduation, it is the responsibility of the graduate to notify their Registrar's Office in writing of the change. 11 ORDERING REGALIA (CAP, GOWN) FROM JOSTENS ORDERING REGALIA (cap, gown, and tassel): 1. All regalia must be ordered directly from Jostens by June 6th, 2015 and late orders will add a $10 late fee. You can order the regalia while at Graduation Fair Events or by phone via Jostens Consumer Call Center at or online via their website at If you order online: Once on the Jostens website click on Graduation, then under the College list click on Caps and Gowns then click the Shop your School button. Enter in the school name DeVry (undergraduate) or Keller (Masters) and then it s helpful to enter the State as CO and then a list will pop up and any of the Colorado locations will work. Then click on Graduation Caps and Gowns, click Student and select the order for the cap and gown for your degree level and then select Customize and enter all information and then finish order process. 2. The DEADLINE to order your regalia and receive it in time for the ceremony is Saturday, June 6 th, All items ordered from Jostens will be shipped directly to you at the address you provide. Please allow 4-6 weeks for delivery for all standard DeVry/Keller regalia orders. Cost: Prices include cap, gown, tassel, standard shipping, and sales tax if applicable, maybe less depending on where you live. $10 late fee will be added after deadline to order. 12 STUDENT AWARDS INFORMATION DeVry University gives out the following awards to graduating students each ceremony. The awards are as follows: Academic Excellence This award is given to the student from each college at each level who has demonstrated a high level of academic performance in the classroom. Leadership - This award goes to the student that has exhibited outstanding extracurricular leadership in communities in which DeVry University is located. Service This award goes to the student who has exhibited outstanding service to the DeVry Community. Persistence - This award goes to the student who has exhibited perseverance and achieved outstanding success under challenging circumstances. Innovation - This award is presented to the individual or team that is judged to have designed the most creative entrepreneurial project that would likely benefit a community. Major Field Test - This award recognizes students who scored in the top 10 percentile for the entire group of DeVry/Keller test takers. All awards can be given to both graduate and undergraduate level students. To be eligible for these awards undergraduate students must have a CGPA of 2.5 and graduate students must have a CGPA of 3.3. Students winning the Leadership, Service, or Innovation awards at the metro level become eligible to win these awards at the national level. The national awards are given out once a year. The metro level awards are given out twice a year to coincide with the commencement ceremonies. Faculty are asked to nominate students for these awards. Students can self-nominate for all awards except the Academic Excellence award. All students receiving a nomination, whether from Faculty or themselves must fill out an application form and return it to the awards committee headed by Louis Freese. 13 Microsoft Software Agreements After you graduate you will no longer have access to the software store. Please be sure you do the following before graduation: (1) Download and Print out all of your License Confirmations which gives you your proof of ownership until they expire. (2) Make sure you have downloaded any items you have ordered and not yet downloaded. (3) Create a back-up copy of the downloaded software if you have not already done so. (4) Write down ALL product keys for future reference You will not be able to obtain license keys, downloads, or upgrades when you are no longer enrolled in courses so please be sure you keep all keys and backup media in a safe place. 13
