2 Office of Student Organizations and Greek Life GREEK LIFE STANDARDS Purpose Statement GREEK LIFE STANDARD(GLS) is designed to continually improve the overall quality of the SFA Greek Life experiences of its members by establishing a comprehensive set of minimum chapter standards the Greek Community, their National Offices, Office of Student Organizations and Greek Life (OSOGL), and the University expects each recognized chapter to maintain. Chapters excelling in specific areas are rewarded, while chapters failing to meet the standards will be placed in an evaluation/review period where they will be provided with not only recommendations for improving their standings but also the tools and support through the OSOGL to achieve the minimum requirements. This assessment seeks to provide chapters with continuous feedback in order for the individual chapters to successful in the future. All Greek organizations are required to complete the application packet by responding to each stated standard, and providing information/proof of completion about how the chapter approaches, meets or exceeds those standards. Chapters must meet our standards in the following 8 categories of achievements: A. Brotherhood & Sisterhood B. Campus Involvement C. Community Service & Philanthropy D. Leadership E. Operations F. Recruitment & Retention G. Risk Management H. Scholarship & Academics This documentation will be used for SFA to determine the outstanding fraternity and sorority for the annual Student Awards Ceremony at the end of each April which is sponsored by the Office of Student Affairs Programs. The PROCESS Chapters will complete and submit the following report and provide supporting evidence as requested by the first class day of April of each year. Failure to submit this information to the OSOGL on the the 10 th class day of April will result in the chapter automatically being place in first year review. Only chapters submitting their report by the first class day will be eligible for University Sorority and Fraternity of the Year Awards.
3 Here are the levels of success: RATING Chapters are not rated against each other. A rating will be determined based only upon the responses given on the GLS collected by OSOGL in April each year. Gold Status Silver Status Chapter in Good Standing (1st year) (2nd year) (3rd year) Greek Life Standard Must be completed and turned in to the OSOGL by the first class day in April each year. 45 of the 50 standards (90%) 43 of the 50 standards (85%) 40 of the 49 standards (80%) REWARD/SANCTION Will be listed as a Gold Status on the University Website. Eligible for Fraternity/Sorority of the Year. Will be listed as a Silver Status on the University Website Will be listed as in good standing on the website. 1. One year probation 2. Will be required to meet with the respective council advisor from OSOGL once each month to plan, implement goals, tasks, projects, etc. to gain Good Standing Status Your National Office will be contacted. Will be listed on the website as not in good standing. 1. Chapter will not appear in any publication material or website with the current status noted. 2. Chapter will be reviewed by OSOGL Chapters falling into this category will be subject to immediate loss of recognition by OSOGL and to suspend all rights and privileges associated with organizations recognized by the University for up to one calendar year.
4 Areas for Achievement A. Brotherhood & Sisterhood Each Chapter should publish and submit a calendar (i.e. one providing a balanced social schedule, complementing personal development, while not interfering with members academic, family, or job responsibilities) annually/a semester..(attach a copy) Each Chapter should have in place and enforce a Code of Conduct or Member Expectations pertaining to risk management, alcohol, and drug use polices..(attach a copy) Each Chapter should have a New Member or Intake program. This program should be outlined and be presented in a written format to the new members. The program should address a variety of areas including: scholarship, history of the organization, policy and procedures, financial expectations, and purpose.(attach a copy) Chapter hosts a minimum of one (1) non-alcoholic social activity for every two (2) social activities that include alcohol. (Attach Invites for all events) B. Campus Involvement Chapter will actively participate in their respective governing councils meetings and activities, and encourage members to hold leadership positions when applicable. (Attach roster of positions held) Chapter will encourage co-sponsorship and/or participation in non-greek events on campus and in the Nacogdoches community (excluding events where alcohol is present). (Attach advertisement or agenda) 50% of the chapter will participate in external organization activities, and events (i.e. Jack Camp, Orientation, Student Government Association, etc.) (Attach roster of organizations and positions held) Chapter will participate in awards programs such as Order of Omega, Presidents Volunteer Service Awards, Inter/National Awards, etc.(attach list of those who participated) Chapter will provide educational resources (speakers, programs, etc.) during meeting times. (Attach list of the programs and a list of those who attended) Each Chapter should co-host/sponsor/support at least one (1) program/initiative with a chapter outside their governing council (excluding Community Service and Philanthropy events, mixers, and formals) (Attach a copy of the advertisement or invitation) Each Chapter should host/sponsor or co-host/sponsor at least one (1) program/initiative recognizing SFA faculty members. (Attach an invitation) C. Community Service & Philanthropy An annual compilation of service hours and/or dollars raised by the chapter is provided to the OSOGL staff to be published and circulated among key SFA offices, faculty members, chapter advisors, media contacts, community leaders, national organization headquarters, and national governing councils/conferences (i.e., NIC, NPC, NPHC, NALFO). (Attach list of all service an philanthropic events with hrs served and money earned) Each chapter member must engage in at least 8 service hours each semester. (Attach an attendance roster for each activity listed above.) No chapter member (initiated or uninitiated) will have alcohol at any chapter philanthropic event. (Attach Policy) Chapter will establish goals for community service including dollars raised and participation hours. (Attach Goals for next year) Chapter participates in at least one all-fraternity/sorority community service event annually. (Attach information) Each Chapter s membership (or at least 50%) should attend/participate in the Big Event sponsored by Student Affairs Programs..(Attach a copy of the sign in sheet) The chapter provides percentage of annual budget dedicated to service and philanthropic projects. D. Leadership Each Chapter should send the all required leaders invited to the annual SFA Greek Leadership Retreat in January.(attach a list of those who attended) Each Chapter s membership (or at least 10%) should attend at least one (1) leadership development retreat/event sponsored by its Inter/National chapter or SFA..(attach a list of those who attended) Each Chapter should hold a meeting/retreat where incoming officers should be trained, review job duties and responsibilities, as well as begin planning for future chapter goals and objectives.(attach agenda for meeting) 10% of each Chapter s membership should be in a leadership role in another university recognized student organization and/or their chapter s respective governing council.(attach a list of members and their involvement.) E. Operations Chapter submits accurate roster of members to OSOGL by first class day in October in the fall semester and first class day of March in the spring semester. Chapter Officers and chairs have written job descriptions. (Attach) Chapter will host a comprehensive officer training to cover Chapter and University policies. Chapter position statements are reviewed annually and updated if necessary. (Attach current copy)
5 Chapter maintains, and utilizes as necessary, a crisis management proceedings booklet as provided by the chapters inter/national office. (Attach current copy) Chapters provide the OSOGL staff with verification of liability insurance. (Attach current copy) F. Recruitment & Retention Chapter associate/pledge/new member programs are concluded as mandated by the Inter/national office but no later than January 31 for fall and August 31 for spring: unless written permission is granted by inter/national office and SFA. Chapter submits/updates the associate/pledge/new member roster 48 hours after the invitation to join is accepted. The executive officer responsible for initiation week and/or initiation meets with the appropriate OSOGL staff member prior to beginning initiation week. Any associate/pledge/new member who depledges or is removed from membership process must be reported to the OSOGL within 24 hours. Chapter initiates a minimum of 80% of their pledges/associates/new members each year. Submit recruitment/intake forms and plans prior to any new member education period. G. Risk Management Chapter has a risk management program and policies on file with the OSOGL. Chapter president, risk manager, other officers, advisors, and house corporation officers participate in training programs on risk management and liability.( i.e. University Risk Management Training). (Attach Agenda) All chapter social programs are consistent with the policies of the chapter and its organization (national or otherwise) and the laws and regulations of SFA, the State of Texas, and the City of Nacogdoches. (Attach) Chapter social functions will meet the following: No open parties An invitation list.(attach copy of form) Must have security Must have non-alcohol beverages and food Must notify respective advisor/national office.(attach copy of form) Must have sober officers and members present at the event. If alcohol is present at a chapter event, it is only consumed by those of legal drinking age. (Attach Security Contract) Chapter prohibits use of alcohol at any recruitment event including formal, informal and summer/break recruitment activities (i.e., all recruitment events/activities are dry). (Attach Policy) Chapter prohibits use of alcohol during all new member, associate member, and pledge activities. (Attach Policy) Chapter, its leaders and members, adheres to inter/national policies, university policy and state law regarding hazing. (Attach Policy Chapter will schedule and host at least one risk management seminar each semester for the entire chapter. (Attach Agenda/Invitation) H. Scholarship & Academics Chapter has a Scholarship Chair/Officer or equivalent with a written job description. (Attach All executive chapter officers are enrolled as full-time, good standing students at SFA and are academically eligible to hold a leadership position at SFA (2.5 cumulative GPA or previous semester SFA GPA).) Chapter meets/exceeds the all women s/men s university grade point average respectively. Each associate/pledge/new member has a minimum high school or college GPA of 2.5 (on a 4.0 scale). Each associate/pledge/new member has a minimum 2.25 GPA during their first semester with the organization and maintains a minimum of a 2.25 thereafter. (Beginning Fall 2014, all new members will have a minimum 2.5) Chapter will have an Academic Coach. (An Academic Coach is a faculty/staff member that assists the chapter with University resources and study skills, time management, etc.) (Provide name and list of contact dates) Chapter distributes a directory of academic resources to members (initiated and uninitiated) each semester. (Attach) Chapter will provide educational support for upper-class members of their chapter such as resume writing workshops, interviewing skills, etc. (Attach Attendance sheet as well as information provided.) Chapter sponsors an academic skills workshop for all associates/pledges/new members prior to the conclusion of each associate/pledge/new member initiation. Programs may include but not limited to teaching study skills, test taking, note taking, etc. (Attach Attendance sheet as well as information provided.)
