1 The Ruby Newhall Memorial Scholarship was established in October Ruby Newhall of Gainesville, Florida was president of Pilot International. Her contacts with international students at the University of Florida strengthened her belief that these students could contribute significantly to improving international relations. Ruby Newhall's dream of a scholarship fund to enable international students to study in the U.S. and Canada became a reality after her death in 1949 when her family suggested scholarship contributions in her memory in lieu of flowers. The Ruby Newhall Memorial Scholarship Fund became a part of Pilot International Foundation, Inc. in Please photocopy the application as needed. 2 RUBY NEWHALL MEMORIAL SCHOLARSHIP POLICIES Eligible students from outside the United States and Canada countries may be granted a scholarship for specific studies at an accredited college or university. Research/institutional requests for grants or scholarships must comply with Section 501(c)(3) of the United States Internal Revenue Code and may be granted for studies in a field significant to the advancement of human health, education and welfare. 1. A Pilot Club, a district, or the PI Executive Committee may recommend a student to the Board of Trustees. 2. Applications must be sent to District PIF Representatives postmarked by March 1 and to Headquarters postmarked by March 15. The PIF Board of Trustees, upon recommendation by the Scholarship Division, will make selection of scholarship recipients. A student must reapply annually with an updated application and supporting documents if the club elects to continue sponsorship of the student. 3. Scholarship funds, not to exceed $1,500, are disbursed for one full academic year and must be used for tuition and related educational expenses as considered necessary by the Board of Trustees. Assistance may only be extended to students who are studying through the doctorate level. 4. The amount granted to a research facility or to an educational institution will be determined by the Board of Trustees. 5. An applicant must: a. Be from a foreign country, pursuing a degree in the United States or Canada in one of the following fields: Agriculture Business Administration Computer/Information Management Education Guidance Counseling Healing Arts & Sciences Social Service Livestock Industry Political Science Psychology Public Health Religion Home Economics Journalism b. Have spent at least one full semester in a college in the United States or Canada by the application submission date and have a cumulative grade point average of 3.0 on a 4.0 scale. c. Be a FULL-TIME student and remain a FULL-TIME student for the duration of the scholarship. d. Plan to return to his/her country within six months of completing studies. e. Enclose a brief summary of volunteer service or an employment history. f. Sign and abide by the Student Agreement. 6. Preference is given to students attending a college or university in the vicinity of a Pilot Club, thus enabling the student to become a part of the community through contact with 2 Revised July 2007

3 Pilot members. No Pilot member should unduly encroach upon the student's free time. 7. Responsibilities of a Sponsoring Pilot Club: a. Contact the student about the approval/denial of the application. When a scholarship is awarded, notify the student and the college/university of the approved amount. b. Inform the student that the scholarship is for one full academic year. c. Familiarize the recipient with Pilot International's principles so the student will be a good Pilot ambassador while at college and upon returning home. d. For the duration of the scholarship, it will be the continuing responsibility of the sponsoring club to: Contact the student regularly and assist when necessary. Inform the student of the necessity to obtain credits and advance to the next academic level (i.e. from junior to senior year) before they are eligible to be considered for another scholarship from this fund. Make certain the student understands the terms of the Student Agreement and is aware of its provisions about returning home upon receipt of a degree. Work closely with the student and college/university to see that the Registration Verification and official transcript(s) are sent to the Foundation. The scholarship payment MUST be requested by December 1, (of the same year) or the scholarship is automatically cancelled. The sponsoring Pilot Club may apply for reinstatement of a portion of the scholarship funds for use by the student during the current academic year by writing a full explanation to PIF Headquarters. All members of the Scholarship Division must approve the request for reinstatement and set the amount of funds that can be released. Ensure the student has current immigration documents for the duration of the scholarship. Reapply annually with an updated application and supporting documents if the club elects to continue sponsorship of the student. 8. Responsibilities of Student (See Student Agreement Form.) 9. Responsibilities of College or University: The college/university will furnish a statement of good standing and any other information affecting the student's status as a scholarship recipient to Pilot International Foundation. 10. Any deviation from these policies must be approved by the Board of Trustees. The sponsoring Pilot Club must: 3 Revised July 2007

4 a. Screen applicants in cooperation with officials of the college/university. The club's PIF representative should carefully review the applicant's scholarship request and the application procedures. Clubs are strongly encouraged to personally interview applicants. Only those applicants who meet or exceed the minimum qualifications required but the scholarship should be recommended for an award. b. Guarantee that the application is typed or printed. c. Provide the original and four copies of each of the following items to District PIF Representative postmarked by MARCH 1. Make copies of EACH page and sort into complete sets. Each set should be stapled. Do not use folders or notebooks. The club must include a proper sized envelope and postage addressed to PIF Headquarters, P.O. Box 5600, Macon, GA Please arrange application materials in the order listed below: Sponsorship Profile Sponsorship Letter from Club: A letter, signed by the club president and PIF representative, stating that, to the best of its knowledge, the club believes that the applicant meets the qualifications for the scholarship, and that the club voted to recommend the applicant. Student Application, including essay and financial aid worksheet. Student s official transcript(s) of the most recent college-level course work. Transcript should be sent to the club from the school s registrar s office in a sealed envelope. The club must open the envelope to verify student s GPA and to make the required copies. Financial Aid Worksheet Two letters of recommendation that address character, commitment and ability. Letters must be dated within 12 months of date of application. The letters should be from qualified persons such as a professor who has taught the applicant, a faculty advisor, or an employer. If these arrive in sealed envelopes the club must open the envelope to verify letter and to make required copies. Make sure the applicant understands the policies governing the scholarship program and the terms of the Student Agreement and remains aware of its provisions throughout the term of the scholarship. e. Familiarize the recipient with Pilot International's principles so the student will be a good Pilot ambassador. f. Inform the recipient of the approval/denial of the scholarship and formally award, if possible. g. Work closely with the student to ensure that the payment is requested on time. 5 and send it to Pilot International Foundation Headquarters along with a current transcript.
