8 Date of Last Revision: March 2010 Date Effective: March 2010 Highlights: Awarded to any Associate of the Ontario College of Art and Design diploma student who has evaluation of 80% or greater in 75% of the credits taken at the university beyond the first year of their program POLICY 2001, SPECIAL STUDENTS Associated Committee: Retention and Recruitment Office Date of Last Revision: May 2007 Date Effective: September 2007 Highlights: Replaces former non-diploma student status; lifetime total of 2.5 credits with no more than 1.0 credit in a given semester; Letter of Permission; Hold undergraduate degrees; fulfill academic or professional development requirements; international students; valid study permit and valid UHIP before registering at OCAD and Test of English as a Foreign Language (TOEFL) POLICY 2002, AUDITING COURSES Date of Last Revision: January 2010 Date Effective: January 2010 Highlights: Auditing students do not pay ancillary fees; the course will be charged at 50% of the regular course tuition fees; Request for Permission to Audit Form; Studio courses may not be audited; Audit courses do not count towards full-time status; graduation requirements or eligibility for any financial aid; Course audit fees for graduate students are included in their program fees POLICY 3001, INDEPENDENT STUDY ABROAD - UNDERGRADUATE Date of Last Revision: March 2009 Date Effective: May 2009 Highlights: Students who wish to study at a foreign university (host institution) with which OCAD U does not have a formal Mobility/Exchange Agreement; Apply for official approval from OCAD to have credits obtained abroad apply to OCAD degree; Student must apply to host institution for formal admission, and, if accepted, will pay tuition directly to host institution; Completed credits will be recorded on student transcript as transfer credit and will not be calculated into academic average; OCAD Residency Requirement 1) a minimum of 50% graduation requirements complete at OCAD 2) two out of a student s three final semesters prior to graduation, including the final one, must be completed in residence at OCAD; Differs from Florence and Special Studies programs; Eligibility Requirements 1) minimum grade point average of 70% 2) completed minimum of 10% credits; Contact hours per 0.5 credit and minimum 3 weeks of instruction; $ non-refundable fee for application and assessment POLICY 3002, STUDENT ACADEMIC APPEALS

9 Date of Last Revision: May 2013 Date Effective: May 2013 Highlights: Students who believe that extenuating circumstances warrant relief from academic decisions may submit an appeal to the Senate Student Appeals Committee; Appropriate appeals include issues of final withdrawal or maximum credit attempts; related policies; Grade Approvals; Petitions for Late Withdrawal from a course, Student misconduct Appeal; Program Requirements POLICY 4001, MINORS Date of Last Revision: May 2009 Date Effective: September 2009 Highlights: Good academic standing; A minor is a sequence of courses comprising no fewer than 3.0 full credits and up to 5.0 full credits in a single field of study 1) Disciplinary Minor credits in a single field of study 2) interdisciplinary minor credits thematically based crossdepartmental; May be declared between May 1 st of second year to not later than February 1 st of the year they plan to graduate; Alumni in degree completion program may only register for courses required for degree completion and the minor; No 100-level courses may be used toward a minor; no less than 1.0 full credit of the minor must be at the 300 or 400 level; electives; expansion studios; students may not use the same course for multiple minors, nor may they apply the same course towards both their major and minor; previous courses already recognized as transfer credits may be applied to the minor; no new transfer credit may be initiated to apply to the minor; undergraduate students with a declared minor may increase their maximum number of credit attempts to 30.0, from 25.0 POLICY 5000, PANDEMIC STUDENT ATTENDANCE POLICY Date of Last Revision: August 2009 Date Effective: September 2009 Highlights: Student is expected and encouraged to stay at their place of residence if they are exhibiting symptoms of influenza-like illness; Student is responsible for immediately reporting their absence due to illness to their instructor; case-by-case basis for granting deadline extensions; students will be required to complete all requirements of the course; communication in case the university is required to close POLICY 6001, GRADUATE ADMINISTRATION Associated Committee: Graduate Studies Date of Last Revision: November 2011 Date Effective: December 2011 Highlights: Administration structure: Associate Vice-President, Research and Dean, Graduate Studies; participates in university administration through membership in President s Cabinet and Senate, Board of Governors; The Office of Research and Graduate Studies coordinates with the Office of the Registrar; Ontario Council on Graduate Studies (OCGS); Quality Council; Student Financial Aid Office; Supervisory Committee (Graduate Studies General Policies, Section 6: Supervision); Graduate Program Committee; Senate Committee on Graduate Studies POLICY 6002, GRADUATE FACULTY POLICY

10 Associated Committee: Graduate Studies Date of Last Revision: May 2013 Date Effective: May 2013 Highlights: Membership in the graduate faculty must be: tenured, tenure-track, CLTA or continuing, senior scholar, adjunct professor, sessional faculty; Good standing; 1) Full Members 2) Associate Members 3) Senior Scholar Graduate Faculty Appointees; Principal Advisors; Supervisory Mentor POLICY 6003, GRADUATE ADMISSIONS Associated Committee: Graduate Studies Date of Last Revision: November 2011 Date Effective: December 2011 Highlights: General admission requirements: Program Handbook/Office of Graduate Studies; Application form, admission limited to students whose interests are compatible with available resources and faculty expertise; minimum requirements: Bachelor s degree, cumulative grade point average of at least 75% (B) + submitted evidence of student ability / based on professional experience relevant to the proposed area of study; Conditional Admission; Admission; unsuccessful applicants may appeal to the Senate Committee on Graduate Studies to review admission procedures, the Committee will not review an applicant s credentials; Part-time studies part-time graduate students in studio-based programs do not normally have access to graduate studio space, are not eligible for Graduate Teaching or Research Assistantships and do not receive OCAD U scholarships or needs-based bursaries; Exchange Student; Application to a Second Graduate Degree no course work taken for the first degree shall count towards the second, none of the research completed for the first degree shall be replicated fo the second; English Language Competence Test of English as a Foreign Language internetbased test (TOEFL IBT) overall score of 90; Transfer Credit one half of the minimum course work of the applicable program not including the written thesis or thesis project/exhibition, must be taken at OCAD U; Graduate Diplomas diploma students do not receive OCAD U scholarships or needs-based bursaries nor are they eligible for Graduate Teaching or Research Assistantships, students ins studio-based programs do not normally have access to graduate studio or work/study space and may not take additional courses beyond those required for the completion of the Graduate Diploma; Master's degree program; Graduate Program Admissions Committee POLICY 6004, GRADUATE REGISTRATION Associated Committee: Graduate Studies Date of Last Revision: March 2012 Date Effective: March 2012 Highlights: Completion of Registration, dates published by the Office of the Registrar; Graduate Program Director for academic advising on course selection; Continuity of Registration graduate students must register in every semester until all requirements for the degree have been fulfilled; Course Audit in accordance with OCAD U Auditing Policy, recorded as AU on student transcript POLICY 6005, GRADUATE ACADEMIC STANDING AND GRADING Associated Committee: Policy and Planning; Graduate Studies

11 Date of Last Revision: January 2011 Date Effective: January 2011 Highlights: Assessment criteria Norami Grading System + F 0-59, P Pass, I Incomplete (medical reasons or no grounds for assigning a failing grade, carries no credit for the course and is not considered for average purposes), W Withdrawn (without academic penalty, dropped courses do not appear on the student s transcript, relevant calendar dates), AU Audit; Procedures related to grading Grade Changes, revisions submitted to the Graduate Program Director for approval using Grade Revision Form including written explanation; Coursework extensions apply for extensions for completing course work after the dates et by Graduate Studies with approval from the Graduate Program Director, form provided by the Office of Graduate Studies; Grounds for extension are determined by Graduate Program Director and Office of Graduate Studies and will have specified time-limits; Academic standing under no circumstance will a student whose cumulative grade point average (CGPA) is below 75% be awarded a graduate degree; Good Standing at least a grade of B, favourable assessment on their annual progress report; Supervisory Committee; Graduate Studies General Policies, Section 9: Progress, Withdrawal, and Leave; Retaking a course to improve the grade earned by permission of the Graduate Program Director; both grades are recorded only the better grade is used in calculating the CGPA and credit hours are used only once towards the requirements for the degree; Grade reporting Procedures temporary grade of I Incomplete to student on extension, if a final grade is not available and the student has not submitted the outstanding course work, then the grade of I will be the final grade and this will be a permanent transcript entry; Amendments require the approval of the Senate Graduate Studies Committee; Graduate Studies and Home Graduate Program Notification POLICY 6006, GRADUATE STUDIES SUPERVISION Associated Committee: Academic Policy and Planning; Graduate Studies Date of Last Revision: January 2011 Date Effective: January 2011 Highlights: Each student will work with a Supervisory Committee, including a Principal Advisor to guide their program of study and culminating thesis project or Major Research Paper/Project (MRP); all members must be of OCAD U s Graduate Faculty; Supervisory Committee Form completed and signed by all supervisors and submitted to the Graduate Program Director of the office of Graduate Studies official records; any questions or problems with the advising process should be addressed to the Graduate Program Director; Basic Principles Regular contact, not less than once per semester, timely review of submitted material, adequate notice of prolonged absence, adequate notice of impending deadlines, courteous, respectful, and clear communication POLICY 6007, GRADUATE RESIDENCY, COURSE REQUIREMENTS AND TIME LIMITS Associated Committee: Academic Policy and Planning; Graduate Studies Date of Last Revision: January 2011 Date Effective: January 2011 Highlights: Except in the case of executive master s programs, Master s and Graduate Diploma students must register for minimum of three semesters; the three-semester minimum includes approved off-campus residencies and internships, but does not include leaves of absence; one half of the minimum course work of the applicable program, not including written thesis or thesis project/exhibition must be taken at this university; none of the minimum may be courses taken in order to qualify for admission; applications to take one or more courses at another university for

12 credit towards a degree at OCAD U shall be approved by the student s Supervisory Committee and Graduate Program Committee and be sent to the Associate Vice-President, Research and Dean, Graduate Studies for final approval; may apply to have credit for graduate courses taken prior to admission applied to the requirements for the degree under certain conditions; Student Mobility Opportunities approved non-ocad U residencies, internships, placements, or specialized courses taken on Letter of Permission (LoP) or as part of Ontario Visiting Graduate Student Agreement (OVGS), the Canadian University Graduate Transfer Agreement (CUGTA) or the Canadian Graduate Student Research Mobility Agreement (CGSRMA) may serve as or substitute for elements of a graduate program; full-time Masters students should normally complete their program within five semesters for a maximum total time of eleven semester; Parttime students should normally complete their program within fourteen semesters; Graduate Studies General Policies 6003 POLICY 6008, GRADUATE ACADEMIC INTEGRITY Associated Committee: Academic Policy and Planning; Graduate Studies Date of Last Revision: January 2011 Date Effective: January 2011 Highlights: Academic integrity requires that all academic work be wholly the product of an identified individual or individuals; ethical conduct is the obligation of every member of the university community and breaches of academic integrity constitute serious offences; OCAD U Academic Misconduct Policy for Undergraduate and Graduate Students POLICY 6009, GRADUATE PROGRESS, WITHDRAWAL AND LEAVE Associated Committee: Graduate Studies Date of Last Revision: March 2012 Date Effective: March 2012 Highlights: Progress evaluation shall be sent as a report at least once each year from the Graduate Program Director; maintenance of cumulative grade point average (CGPA) of 75%, as required by Graduate Studies General Policy 6005; Review of Unsatisfactory Progress written report from Principal Advisor or Graduate Program Committee when the case is considered and may submit any materials relevant to the case; decisions may be appealed to the Senate Committee on Graduate Studies through the Associate Vice-President; Research, and Dean, Graduate Studies; a student may withdraw from an individual course or from the university at any time by completing the appropriate paperwork and submitting it the Office of Graduate Studies; leave of Absence continuous registration as outlined in Graduate Studies General Policies 6004, a student may apply to go on leave if both of the following conditions obtain: a) a situation arises which makes it necessary to interrupt the graduate program, and b) no substantial use will be made of university facilities; time spent on leave of Absence will not be included in the calculation of time to the completion of the degree (graduate Studies General Policies 6007); Parental Leave of Absence may be taken by an enrolled graduate student at the time of pregnancy, birth or adoption, and/or to provide full-time care during the child s first year, it can be taken for a maximum of three semesters POLICY 6010, GRADUATE HUMAN SUBJECTS ETHICS REVIEW Associated Committee: Academic Policy and Planning; Graduate Studies Date of Last Revision: January 2011 Date Effective: January 2011

13 Highlights: All research plans involving human subjects must be reviewed by and receive the approval of the OCAD U Research Ethics Board POLICY 6011, GRADUATE STUDIES SUBMISSION AND EXAMINATION OF MASTERS THESES AND MRPS Associated Committee: Graduate Studies Date of Last Revision: December 2011 Date Effective: January 2012 Highlights: Submission and Examination of Master s Theses and Major Research Papers/Projects subject to the approval of the Graduate Program Committee at the outset of the student s course of study, a candidate may write their thesis or MRP and be examined in French; Binding and processing costs are paid at the time of the final submission and nothing will be considered submitted until these fees are paid; submissions one paper copy of the thesis produced in conformity with the Guidelines for the Preparation of the Thesis to each member of the Supervisory Committee and the Graduate Program Director, signed pre-exam; examining committee; copies of thesis shall be distributed at least three weeks prior to the scheduled date of the oral defense along with a covering letter explaining the status of the thesis and range of options for its disposition; Thesis Exhibition and Defense candidate defends the thesis in an oral examination open to the university community where candidates are required to gibe evidence that they have a thorough knowledge of the discipline(s) in which they have been working; voting is based on a simple majority; Examination Outcomes Five recommendations: thesis is approved as it stands, approved provided certain minor revisions made by a certain date; approved provided certain major revisions, not approved as it stands but may be resubmitted and re-examined, not approved; Final Submission candidates not meeting the deadlines are required to re-register until the thesis has been formally submitted and approved by the university, made to the Office of Graduate Studies, candidate submits the required copies and pays the cost for binding and microfilming/electronic processing; Thesis Non-Exclusive License form; Students submitting a Major Research Paper should refer to guidelines provided by their graduate program regarding processes for examination, defense, and final approval POLICY 6012, GRADUATE AWARD OF THE DEGREE Associated Committee: Academic Policy and Planning; Graduate Studies Date of Last Revision: January 2011 Date Effective: January 2011 Highlights: Candidates are responsible for applying for graduation by the published deadline using forms available from the Office of the Registrar; Certified official transcripts may be obtained from the office of the Registrar; Only individually signed copies with the university seal are valid POLICY 6013, GRADUATE STUDIES APPEALS PROCESS Associated Committee: Academic Policy and Planning; Graduate Studies Date of Last Revision: January 2011 Date Effective: January 2011 Highlights: Informal resolution of problems through discussion; grade appeal is a written request based on evidence provided by the student questions the grade assigned, believes an unreasonable evaluation method was used, believes the evaluation criteria deviated
