2 In attendance: Chair/Co-Chair: Renee Kilmer, Elva Salinas Members: Susan Fontana, Farnaz Khoromi, Brenda Lee Long, Anna Rogers, Sean Ryan, Minou Spradley, Angela Testado The meeting was called to order at 2:30pm 1. Welcome Introductions were made around the table. The committee attendance consists of administrators, faculty and classified staff, which is a good start to representing the campus as a whole. A motion was made to approve the 09/29/16 meeting agenda. (approved: Spradley/Fontana) 2. Review and approve minutes A motion was made to approve 05/12/2016 Flex Committee Meeting minutes. (approved: Spradley/Khoromi; abstain: Kilmer.) 3. Professional Development Program VPI Kilmer shared with the committee a brief history of professional development at San Diego City College (SDCC), with it that professional development projects were completed in pockets throughout the campus. Of these only a few of them received funding and reassigned time, and others completing the work in their own time with little to no funding at all. Kilmer introduced the development of building a Professional Development office to better serve the campus needs for professional development. She further explained that with the consolidation of professional development under one umbrella, the campus will be able to filter all professional development efforts through one conduit, which will allow for professional development to be more visible and accessible to the entire campus. Charge and Advisory Program The new advisory committee is charged with revising the current Instructional Improvement (FLEX) Committee Charge and Committee makeup to better fit the newly formed Professional Development (PD) Advisory Committee. Kilmer states that the current charge is tailored to faculty for FLEX, but can somehow incorporate the overall

3 campus community (faculty and staff) in the details along with additional bulleted items that better explains the committee s charge, mission, and expectations. ACTION PLAN: Committee to return with recommended edits to current charge. Budget Traditionally, the Instructional Improvement (FLEX) Committee operated without a budget. Under the consolidated (PD) Program, it was reported that the operating budget for academic year is $3,000. Additional sources of revenue will be allocated from other funds (e.g. Equity, SSSP, and other grants) will maintain PD activities. Administrative Support The PD Program will consist of a Program Coordinator and an Administrative Assistant. At the current time, the program is performing with a full-time Program Coordinator, a part-time Administrative Assistant, and support from the Vice President of Instruction Office. The Administrative Assistant will also serves as assistant to the Administrative Secretary to the Vice President of Instruction. The eventual goal for the program is to be able to hire a full-time contract Administrative Assistant to the Professional Development Coordinator. 4. Flex Update August and September Activity Evaluation Report Testado reported on the evaluation of activities offered in August 2016 and September The report assesses professional development activities relevance and interest. Missing FLEX Obligation Report and Independent Projects Testado reported a total of 200 adjunct and prorata faculty are on the Missing FLEX Report as of 09/28/2016. She shared that Honors Department was able to provide the list of faculty and their FLEX hours early in the semester, and the report has omitted names from the Honors Department list. The report is a true number of faculty that will need to be reminded of their FLEX obligation for Fall Testado plans to distribute the report to respective Deans and Chairs to assist with cutting the number down. October 2016 FLEX Activities

4 Testado creates, maintains and publishes monthly flyers that advertise the professional development/flex activities through the Flexible Calendar system at Faculty Web Services (FWS). Flyers are posted online for the campus community to access, especially for those who do not have access to the Flexible Calendar such as nonteaching faculty and classified staff. 5. Building Foundation for Professional Development Committee Professional Development Seminar and Lecture Series/SDSU Class Salinas shared the upcoming Professional Development Seminar and Lecture Series. The seminar and lectures are distributed throughout the semester, touching on cultural competency and instructional improvement. Professional Development Survey Strategy Salinas worked with SDCC s Research Office to generate and distribute a survey to collect quantitative and qualitative data of the campus needs and preferences in the type of professional development activities they may need and/or want on campus. The survey was distributed via with the following link attached: The results to this survey will be reported at the next meeting. Equity/Professional Development Collaboration with SDSU Certification Program Salinas reported that she is with Tyler and San Diego State University Professor Dr. Bill Piland to develop different professional development certificates that faculty and staff can pursue. Salinas plans to utilize the Professional Development Certificate Program towards advancements on the pay scale for recipients; she plans to work with President of Community College Council and leader of AFT Guild, Local 1931 Jim Mahler to see how that would look after she finalizes the certificate program. Focus Groups: Classified Staff, Adjunct Faculty, Chairs, Supervisors, Contract Faculty Salinas plans to construct a focus group with the various cohorts on campus. Thus far, she has worked with the Classified Senate regularly to formalize a two-year professional development plan for classified staff that will encompass the entire campus, and not just one area of classified staff (e.g. Student Services and Instruction).

5 6. Spring 2017 Activity Planning Theme: Big Picture Spring 2017 FLEX days planning started with discussions of a potential President s Spring Convocation. At this convocation, there could be a section on Accreditation, as SDCC is expecting the Accreditation Team to visit in March Regardless of the confirmed President s Spring Convocation, an activity about and/or related to Accreditation is needed to ensure that the campus has some involvement with preparing for the visitation. In addition to the spring convocation and accreditation, it was suggested to have Jan Connal and/or Adela Najarro for their lecture on the Habits of Mind. The committee agreed that the overall theme for Spring 2017 activities should be: Our City, Our Journey, Our Success. There should be some form of celebration of the pride of being at San Diego City College and the various journeys and successes of staff, faculty and students with a touch of accreditation. 7. Fall 2016 Meetings Planning The committee has agreed upon scheduling the following dates for the remaining PD Advisory Committee meetings for Fall 2016: October 20, 2016 November 17, 2016 December 15, 2016 Meetings will be held from 2:00 3:30 pm as this will accommodate a committee members teaching assignment. Testado will complete the room reservations for the listed dates and times. 8. Additional Discussions In respects to the discussions about accreditation, Social Justice may be able to include a small program to assist with kicking-off the communications about accreditation. The meeting was adjourned at 4:15-pm
