1 BE CIVIL PROJECT MONITORING, MANAGEMENT AND ASSESSMENT 1.1 Introduction To elevate the quality of final year project report and its presentation and for consistent and smooth running of the work throughout the academic session, it is imperative to lay down procedure for its management, monitoring and assessment. The different phases of the project are outlined as under and the procedure within each are described under phase head. 1) Project allocation 2) Project management and monitoring 3) Project assessment 1.2 Project Allocation Before the allocation of project topics to various groups, a project orientation seminar shall be held for 3 rd year students just after commencement of fall semester Project orientation seminar The project orientation seminar would mainly focus on the basic philosophy and the need of working in groups and presentation of the work accomplished. Project orientation also focuses to guide students about the work that is expected from them in the final year project and salient features of the management, monitoring and assessment of their project Project titles/topics and supervisors The project titles form probable supervisor(s) (Internal and/or External) shall be obtained by the class advisor BE (Civil), and shall be placed on the BE (Civil) notice board at the start of new academic session. The probable project groups would be given ample time to discuss the topics/titles with the supervisors for deciding upon their choice.
2 1.2.3 Allocation of titles/topics to project groups The projects are normally undertaken on a topic agreed upon by a member of a faculty who shall act as supervisor(s) for the project group. From the training point of view induction of junior faculty members as helpers to the main supervisor shall be encouraged. After deciding upon the topic/title of the project, the project group shall have to deposit duly filled in PMMA-FORM-1 and FORM-2 (if needed) to BE (Civil), class advisor within 2nd week of commencement of spring semester. Any change in the TITLE of the project or group members shall be allowed within six (6) weeks of the commencement of spring semester classes. The application for the change has be submitted on PMMA-FORM-3. Project allocation shall be finalized by the end of second week from commencement of spring semester and the final list shall be deposited by BE (Civil), class advisor the chairman who shall sign it and deliver a copy of the list to the class advisor for record keeping. 1.3 Project management and monitoring The monitoring of the project shall be performed by a monitoring body, which shall comprise of the following: a) Every project group shall be monitored and guided by an Internal Supervisor who shall be a faculty member with a status of Professor/Associate Professor or Assistant Professor (with a master s degree). b) In addition to an internal supervisor a project group may also be guided by an External Supervisor (if required). External supervisor should be an expert from the industry in the relevant field and not a faculty member. He/She shall be appointed after approval by the chairman of the department. c) The external Supervisor shall be officially appointed to guide the student after He/She gives written consent (PMMA-FORM-2) to the Chairman of the department Monitoring procedure For regular monitoring of work done by the project group and for monitoring of the effort of individual members of the group, the following procedure shall be followed.
3 a) A periodic progress report (PMMA-FORM-4) shall have to be maintained by the internal and/or External Supervisor according to the following schedule: 10 th week from the commencement of final year spring semester 3 rd week from the commencement of summer semester 5 th week from the commencement of fall semester Last teaching week of fall semester The periodic progress report shall have to be signed by the Class Advisor, who shall retain a copy of the report; which shall be presented on the day of the examination by the Class Advisor. b) An attendance sheet(s) (PMMA-FORM-5) shall also be maintained by project supervisor(s) for recording of number of meetings with the supervisor. The PMMA- FORM-5 shall also be signed by the Class Advisor who shall retain a copy of the attendance record, which shall be presented on the day of examination by the Class Advisor. 1.4 Project assessment The total marks allocated to the final year project are % of the total marks (80 marks) shall be treated as sessional marks. These marks will depend on the performance of each student within a project group during the session. The assessment of sessional marks and final marks of the students in the project shall be conducted according to the format as given below: Sessional Marks Sessional marks being reflective of the performance of student in the term of regularity in the meetings, initiative, writing skills etc. during the session, shall be given by the supervisor(s) in the following manner. a) A mid-term presentation of every group shall be held a fortnight before end of spring semester teaching session. At this stage the project group is expected to present their scope and objective of the work under taken, initial work and literature review, the reviewer of the written chapters of the report and the work that is still to be undertaken. Twenty (20) marks out of forty (40) shall be given by supervisor(s), on the basis of
4 individual performance of the student, his/her progress report and attendance reflected by the reports, for this mid-term presentation. b) Further twenty (20) marks shall be awarded by the Internal Supervisor based on performance indicated by reports, during the last teaching week of fall semester. c) The rest of 40 sessional marks shall be allocated to final submission of the project report and shall be submitted by the class advisor to the chairman, on the day of examination, and shall be based on timely submission of project report. The advisor may deduct marks for late entries. If the project is submitted on the notified date, full 40 marks shall be awarded to each member of the project group Other Marks The rest of 120 marks shall be awarded as follows: a) 100 marks shall be allocated to the Final Examination of the project which shall be presented to the examiners. The marks shall be given by the Internal and External Examiner separately, and the average shall then be taken. The Internal Examiner shall be the Internal Supervisor and External Examiner shall be External supervisor. In case there is no external supervisor, the chairman shall appoint a faculty member having expertise in that area, as external examiner. The exam shall be conducted in such a manner that individual performance, ability and intellectual input may be evaluated and the marks given accordingly. b) The chairman shall have to sit in all Project examination, and should gauge the quality of work, presentation, intellectual ability of each group and individual. Based on his assessment, he should award 20 marks allocated to Chairman. For each project group, the Chairman has to fill in the PMMA-FORM-6 and get sign of all concerned which shall then be submitted to the Controller of Examinations as award list of Project. 1.5 Presentation of Written Project report The internal Supervisor shall be responsible to see that the project report is being written in the format as prescribed in the Guidelines for Submission and Format for BE (Civil) Projects. As provided in Appendix-II.
