1 Faculty of Medicine Annual Report to the MD Undergraduate Regional Executive (MDUREX) for the period of July 1, 2013 to June 30, 2014 Date: August 22, 2014 Committees: Submitted by: Admissions Selection Committee (ASC) Admissions Policy Advisory Committee (APAC) NMP Admissions Subcommittee (NMPAS) Admissions Ratification Committee (ARC) Dr. Bruce Fleming, Associate Dean, Admissions Purpose In accordance with University of British Columbia and Faculty of Medicine admissions policies and the Faculty of Medicine s social responsibility mandate: The Admissions Selection Committee, with input from the Aboriginal Admissions Subcommittee, the NMP Admissions Subcommittee and the MD/PhD Admissions Subcommittee, considers and selects applicants for interview, offer, and ultimately admission, to the MD Undergraduate Program. The Admissions Policy Advisory Committee develops recommendations for the criteria, policies and procedures for the admission of applicants to MD Undergraduate Program. The Northern Medical Program Admissions Subcommittee is a subcommittee of the Admissions Selection Committee and assists with the selection of students appropriate for the local context of learning in the Northern Medical Program. The Admissions Ratification Committee is responsible for the quality assurance and integrity of the admissions selection process and the final decisions made. Decision Highlights 1. In the cycle, an adjusted formula to obtain academic & non-academic scores was used. There was no appreciable drop in the average overall GPA of applicants invited for interview (still >87%); (of 2124) applicants were invited for interview; 3. In an attempt to counter the growing number of applicants with overly-prepared responses, we continue to explore new & innovative MMI stations in order to address this; 4. Preliminary statistics for MED 2018 show that once again the majority of applicants were admitted to their site of first preference; 5. Minimum overall (or adjusted) GPA for out of province applicants to obtain a full file review will be increased to 85%, beginning in the application cycle. Goals for Coming Year 1. Proposed MMI pilot in Prince George we will seek endorsement from MDUREX prior to introduction for discussion by APAC; 2. Proposal to phase out prerequisite courses a plan & timeline will be presented to APAC; MCAT Challenge of comparing scores from new & previous tests;

2 4. Non-Academic Qualities Working Group members are currently being recruited to review & make recommendations on the non-academic evaluation process; 5. SMP - we will be discussing possible strategies to increase the number of students from the BC interior admitted into this program; 6. We will continue to attract and admit applicants from diverse backgrounds. Status of Last Year s Goals 1. Admissions Website: it was decided that any changes should be part of the MDUP Website Redevelopment which is currently awaiting approval; 2. MMI Site Information Session Videos: a video compiled of footage from each of the distributed sites highlighting their particular program was shown over the two interview weekends and was well received; 3. Admissions Information Sessions: Dr. Fleming has reiterated the importance of visiting all the sites to speak to students during each cycle; 4. Graduate Students: waiving the BC residency requirement for applicants with a conferred PhD* has had a limited impact, as there were only two out-of-province applicants in this category. Neither of these applicants met the criteria in order to be interviewed. (*This policy was instituted in an effort to address concerns that there may be a shortage of future physician scientists); 5. Joint Committee Meeting: this was felt to be useful & was well received. The presence of the Dean, Dr. Stuart and the Executive Associate Dean, Education, Dr. Snadden, was appreciated by all in attendance. Another joint meeting is planned for this fall. Number of Meetings Held ASC: Three (September 10, 2013, April 14/15, 2014 (Final Selection) & June 3, 2014 APAC: Two (October 29, 2013 & February 25, 2014) ARC: One (May 8, 2014) NMPAS: Two (September 18, 2013 & March 25/26, 2014) Membership: see Terms of Reference NB further to the recent 5 Year Standing Committee Review, it was recommended that in the Terms of Reference of the Admissions Policy Advisory Committee, it should be clarified: that it is the Associate Dean, Admissions who appoints the community representative that One Health Authority Representative should be amended to One Health Authority Representative (rotating among Health Authorities, appointed by the Associate Dean, Admissions) and that The Aboriginal Programs Manager s title should be amended to Aboriginal Student Initiatives Coordinator (correct title). In addition, at the request of the College of Physicians and Surgeons of BC, that as a regulatory body there should no longer be representation from the College on the Admissions Policy & Selection Committees. The above will be taken to MDUREX and Faculty Executive for their review in the fall.

3 Faculty of Medicine Annual Report to the MD Undergraduate Regional Executive (MDUREX) for the period of July 1, 2013 to June 30, 2014 Date: July 2, 2014 Committee: Submitted by: Aboriginal Admissions Subcommittee Dr. Bruce Fleming and Mr. James Andrew Purpose The Aboriginal Admissions Subcommittee (AASC) is a subcommittee of the Admissions Selection Committee and assists with the selection of qualified, self-identified Aboriginal applicants for admission to the MD Undergraduate Program in accordance with University of British Columbia and Faculty of Medicine admissions policies and the Faculty of Medicine s social responsibility mandate. Decision Highlights 1. Discussed 19 eligible Aboriginal applicants. Received applications from 26 Aboriginal students of the eligible Aboriginal applicants were supported for interview. One withdrew offer for interview Aboriginal applicants attended the MMI and the Aboriginal panel interviews. 4. Reviewed the interview results and 10 were supported for offer of acceptance. 5. One applicant was given a conditional offer based on successful completion of her prerequisites. Applicant was unsuccessful. Goals for Coming Year To continue to recruit qualified Aboriginal candidates for the MD Programs. Status of Last Year s Goals Ten Aboriginal students started the MD program in August One of them is in the MD/PhD program. Nine offers went out in May 2014 and all nine accepted. Goals for Coming Year Continue the goal to recruit top candidates to the MD/PhD Program.
