1 Assumption Grammar School Examinations Policy Updated February 2013

2 EXTERNAL EXAMINATIONS 1 EXAMINATIONS OFFERED The school offers examinations at the following levels: Key Stage 3, GCSE, AS and A2. At GCSE, AS and A2 level, academic and applied subjects, which may include practical tests, controlled assessments and coursework as well as externally assessed written examinations, are offered in 25 subjects for GCSE and 29 for A level. 1.1 GCSE AND GCE EXAMINATION BOARDS Examinations offered by the following examination bodies are permitted for GCSE and GCE in both academic and applied subjects: CEA, AQA, Edexcel and OCR. (See Appendix 1) Examination Boards used by each department are listed in the School Prospectus and in the guidance booklets for GCSE and GCE choices. If a department wishes to change to an alternative Examinations Board, the Head of Department must present the case for change to the Principal before permission is granted. It is the responsibility of each Head of Department to ensure that specifications for all modules are checked carefully and disseminated regularly and clearly to staff within their departments. Subject teachers should also ensure that they are familiar with current specifications. 1.2 LEVELS OF ENTRY At GCSE, the majority of pupils are entered for the higher tier. However, after midyear internal examinations, Heads of Department or subject teachers may recommend to parents that a pupil should be entered for either Foundation Tier or a combination of Foundation and Higher Tier examinations. Parental agreement to this should be sought in writing. 1.3 KEY STAGE 3 In Year 10, all pupils are assessed for Communication and Use of Mathematics in accordance with statutory requirements. From 2013/14, all pupils will also be assessed in Use of ICT. Teachers moderate pupils through tasks approved by CEA and submit samples of work as instructed by CEA.

3 1.4 MUSIC EXAMINATIONS In the Music Department, pupils are entered for practical, voice and theory examinations through the Associated Board of the Royal Schools of Music. Traditional Music pupils enter the London College of Music exams. Drum pupils take the Rockschool exams. Payment of entry fees is the responsibility of the pupil. Results are co-ordinated and analysed by the Head of Music and presented to the Principal and Board of Governors. The Music Department will endeavour as far as possible to provide a venue and accompanist for each internal candidate. In some cases, a candidate may have to provide and fund an external accompanist. As the school is a designated exam centre, it may be possible to allow external candidates to enter through the school s centre, upon payment. 1.5 LISTENING TESTS IN AS & A2 MODERN LANGUAGE EXAMINATIONS. When feasible, listening examinations in which pupils use individual listening equipment will be accommodated away from the main examination hall. To facilitate this arrangement, HODs of Language should indicate to the VP (Curriculum) and Examinations Officers which examinations papers in each session have a listening element. 1.6 OTHER EXAMINATIONS Qualifications are awarded in the following Year 13 Enrichment Programme options: - ASPIRE Leadership Course: Level 3 - Occupational Studies in Business and Services (Manicure and Facial) - in collaboration with St Colman s: Level 2 - COPE: Level 3 which gains 70 UCAS points - First Aid Certificate Other subjects may be added to this list. 2 GCE / GCSE MODULAR EXAMINATIONS 2.1 MODULES AS and A2 (Advanced Level) examinations are taken on a modular basis with 2 modules being taken in Year 13 and 2 modules in Year 14 in each subject (except Sciences and Maths which have 3 modules in Year 13 and 3 in Year 14). A student will be permitted, with the approval of the HOD, to take one AS module from each of her subjects in the January of Year 13. The remaining AS modules will be taken in June of Year 13. This practice is currently under review and is subject to change with the decision being made by the Principal in consultation with the Senior Leadership Team. It should be noted that English Examination Boards are phasing out January modular examinations at AS & A2 levels. 2

4 A2 modules are taken during Year 14. Of these, one may be taken in January of Year 14 when AS modules may be repeated if required. The remaining A2 modules are taken in June of Year 14. Some GCSE subjects are taken on a modular basis with 1 module being taken at the end of Year 11 and the remaining modules at the end of Year 12. Pupils may take one Maths module in January of Year REPEATS OF MODULES The school will fund the cost of entry for one sitting of each required module at GCSE, AS & A2 levels. Students may repeat modules during the course of the 2 years. Normally a candidate may only repeat a given module once. The following conditions apply: Payment of all repeats is the responsibility of the student. A student will only be registered for entry for a repeat after payment has been received. All payments for repeats must be made by a date specified by the Head of Senior School (Advanced Level examinations) or the Head of Middle School (GCSEs) and the Examinations Officers. It is the responsibility of the pupil to ensure that her entry has been registered correctly with the Examinations Officer by carefully checking her Candidate s Statement of Entry. If a pupil withdraws from a repeat examination after 21 days, she will forfeit her payment. Where a pupil fails to register and pay for a module by the specified dates, a late entry fee will be incurred. The Examinations Officers must ensure that any pupil entered for a re-sit of an external examination is not contravening regulations by doing so. 3 ENTRIES FOR GCSE / GCE EXAMINATIONS PROCEDURES/DATES OF REGISTRATION FOR ENTRY The Examinations Officer distributes mark sheets of names of pupils to be entered for each subject to the relevant subject teacher. It is the responsibility of each subject teacher to check carefully before signing and confirming (by signing) the accuracy of the list. 3

5 All entries must be returned by the subject teacher to the relevant Examinations Officer by a date specified by the Examinations Officer in agreement with the Vice Principal (Curriculum). This date is posted on the staffroom notice board. Amendments to entries must be made by a date specified by the Examinations Officer. This will also be posted on the staffroom notice board. If a pupil withdraws from a subject, the Head of the relevant Section of the school must inform the relevant Examinations Officer and Vice Principal (Curriculum). 4 CONTROLLED ASSESSMENT AND COURSEWORK 4.1 The following subjects include Controlled Assessment at GCSE level: Art Home Economics ICT Biology Irish Business Studies Journalism Chemistry LLW Double Award Science Music Drama Physics English Language Physical Education English Literature Spanish French Statistics Geography Technology History The following subjects include coursework at AS level: Applied Business ICT Applied ICT Music (Composition) Art Physical Education (Practical) Biology (ISA) Physics (ISA & Practical) Chemistry Technology English Literature NB PSA Practical Skills Assessment ISA Investigative Skills Assessment The following subjects include coursework at A2 level: Applied Business Physical Education (inc Practical) Applied ICT Physics (ISA and Practical) Home Economics Technology ICT NB Music (Composition) PSA Practical Skills Assessment ISA Investigative Skills Assessment 4.2 All coursework must be submitted by the date specified by the teacher and students must adhere to School Procedures. 6 4.3 INTERNAL MODERATION OF COURSEWORK / CONTROLLED ASSESSMENTS Internal moderation takes place during time specifically allocated for the purpose (e.g. on a Staff Day). Procedures are laid down by the Examination Board. The Head of Department or other nominated teacher must confirm that the appropriate moderation procedures were carried out by signing the appropriate form. (Appendix 6) 5 EXAMINATIONS OFFICERS Two members of the teaching staff are responsible for all matters relating to public examinations. They report directly to the Vice Principals and the Principal. Their responsibilities are detailed in their job descriptions. 6 INVIGILATORS CEA examinations are supervised by person/persons authorised by CEA. It is the responsibility of the Examinations Officer, in liaison with the appropriate member of the SLT, to research and recommend suitable individuals and to ensure that the school has a bank of invigilators. When possible, examinations taken with English Boards are supervised by teaching staff during the periods of internal examinations. The allocation of supervisors to examination is, at this time, the responsibility of the Vice Principal (Curriculum) and in his/her absence the Vice Principal (Pastoral). The teacher of the subject must not be used as a sole invigilator. However, in the case of listening and oral examinations, a Language or Music teacher may be present at the start of and/or during the examination to ensure that equipment is working or may conduct the entire examination alone if permitted to do so by the examination board. Outside this period, the Examinations Officer, in liaison with the Vice Principal (Curriculum) is responsible for drawing up a bank of invigilators and allocating these to exams. All persons invigilating examinations are required to have a police check carried out. Invigilators are paid by the session at a rate agreed between the school and the invigilators. Rates are maintained as close as possible to CEA guidelines. All invigilators will be given a copy of exam regulations prior to the commencement of the invigilation period. It is the responsibility of the Examinations Officer to make copies of these available and to give required guidance. The invigilator will sign a pro-forma indicating they have read and understood the rules of the examination. (Appendix 3) 5

7 7 SUPERVISION OF PRACTICALS/ORALS/AURALS It is the responsibility of the Head of the relevant department to present details of practicals including dates, numbers of rooms and teachers involved in orals etc to the Vice Principal (Curriculum) as soon as this information is available. In liaison with the relevant staff, the Vice Principal decides on suitable rooms and arranges cover for teachers involved in the exams. 8 TIMETABLES OF EXTERNAL EXAMINATIONS The final co-ordinated timetable is to be submitted by the Examinations Officer to the SLT as soon as possible. Each student must be given an individual copy of her timetable by the Examinations Officers at a time agreed with the relevant Head of Section. Timetable clashes will be dealt with in accordance with examination board regulations by the Examinations Officers and arrangements will be communicated to the VP (Curriculum). Any adjustment made to the starting time of an examination may only be made after consultation with the Head of Centre, or, in his absence, the VP (Curriculum), the VP (Pastoral) or the relevant Head of Section. 9 MAIL RELATED TO EXAMINATIONS Parcel Force material addressed to Examinations Officers is received and signed for by the Secretarial Staff. This is then transferred to the examinations store by the Examinations Officer(s). In the absence of the Examinations Officers the material should be handed over to the Bursar s Office for secure storage in the examinations store. Where necessary, the Examinations Officers should disseminate materials to appropriate members of staff and retain a record of all information passed on and to whom. Mail addressed to the School or Principal is passed on to the Principal s PA. It should be checked, copies filed if required, recorded in a book retained by the Principal s PA and passed on to the appropriate Examinations Officer. PROCEDURES FOR TRANSFER OF COMPLETED PAPERS Collection of completed examination papers. After each exam is finished, the Chief Invigilator for the relevant board, the Examinations Officer or, where appropriate, the subject teacher, completes a form in the booklet provided by CEA or signs the black folder provided for the English Boards which is located in the secure store behind Reception. This indicates the code of the paper and the date on which it was sat. He/she initials this. 6

8 When examination papers are to be posted (in the case of English Board examinations), the Secretary completes date of postage and initials. The Secretary keeps a copy of the certificate of postage and files it with the completed form. When the Parcel Force employee collects CEA examination papers, the relevant secretary completes date of collection and initials. Each completed form is filed. (Appendix 9) DISSEMINATION OF RESULTS All Examination Boards Results may be collected at the school at a specified time on the date they are received by the school. Pupils who have handed in a stamped addressed envelope will receive results by post. Re-mark of Examination The following procedure should be adhered to: All requests must be made in writing. Payment must be made at the time of application. PROCEDURES REGARDING RETURNED COURSEWORK When returned by examinations boards, coursework should be signed for by the receiving secretary and passed on to the Bursar for secure storage, until such time as it can be passed on to the Examinations Officers for dissemination. 10 REGULATIONS FOR PUPILS TAKING EXTERNAL EXAMINATIONS The regulations for pupils taking external written examinations are those that are distributed by the JCQ and the examination boards (See Appendix 2A). The school will give the JCQ information and the school s own guidance to all candidates prior to the examination session. An example of such guidance appears in Appendix 2B. Both documents will be distributed together with individual candidates timetables at a time agreed by the Examinations Officer and the relevant Head of Section. 11 TIMETABLE OF INTERNAL EXAMINATIONS 11.1 The timetable for and supervision of internal examinations is the responsibility of the Vice Principal (Curriculum) and, in his/her absence, the Vice Principal (Pastoral) Supervision of public examinations which take place during the period of internal school tests is organised by the Vice Principal (Curriculum) and, in his/her absence, the Vice Principal (Pastoral) Venues for internal examinations are arranged by the Vice Principal (Curriculum) Teachers who wish to attend courses during the period of internal examinations must present requests to the Vice Principal (Curriculum) as early as possible. 7

9 11.5 Other Procedures Re Internal Test Timetable Staff will be notified via of the deadline for presenting timetable requirements to the Vice Principal (Curriculum) A draft timetable will be prepared for a date agreed between the Vice Principal and the SLT. A draft timetable will be ed to staff. Any concerns may be taken into consideration before a final copy is distributed to pupils. 12 INTERNAL EXAMINATION PROCEDURES FOR STAFF AND PUPILS Pupils and staff will be made aware of the procedures relating to internal examinations prior to each examination session. Copies of the relevant documents appear in Appendices 4 & 5. 8

11 Appendix 2A JCQ, AQA, CCEA, Edexcel, OCR, WJEC Information for candidates for written examinations effective from 1 September 2012 This document has been written to help you. Read it carefully and follow the instructions. If there is anything you do not understand, especially which calculator you may use, ask your teacher. A Regulations Make sure you understand the rules 1 Be on time for all your exams. If you are late, your work might not be accepted. 2 Do not become involved in any unfair or dishonest practice during the exam. 3 If you try to cheat, or break the rules in any way, you could be disqualified from all your subjects. 4 You must not take into the exam room: notes; a calculator case/instruction leaflet; a reading pen; a mobile phone, ipod, MP3/4 player, a wrist watch which has a data storage device or any other product with text /digital facilities. Any pencil cases taken into the exam room must be see-through. Remember: possession of unauthorised material is breaking the rules, even if you do not intend to use it, and you will be subject to penalty and possible disqualification. 5 Do not use correcting pens, fluid or tape, erasable pens, highlighters or gel pens in your answers. 6 Do not talk to or try to communicate with, or disturb other candidates once the exam has started. 7 If you leave the exam room unaccompanied by an invigilator before the exam has finished, you will not be allowed to return. 8 Do not borrow anything from another candidate during the exam. B Information Make sure you attend your exams and bring what you need 1 Know the dates and times of all your exams. 2 Arrive at least ten minutes before the start of each exam. 3 If you arrive late for an exam, report to the invigilator running the exam. 4 If you arrive more than one hour after the published starting time for the exam, you may not be allowed to take it. 5 Only take into the exam room the pens, pencils, erasers and any other equipment which you need for the exam. 6 You must write in black ink. Coloured pencils or inks may be used only for diagrams, maps, charts, etc. unless the instructions printed on the front of the question paper state otherwise. C Calculators, Dictionaries and Computer Spell-checkers 1 You may use a calculator unless you are told otherwise. 2 If you use a calculator make sure it works properly; check that the batteries are working properly; clear anything stored in it; 10

12 remove any parts such as cases, lids or covers which have printed instructions or formulas; do not bring into the exam room any operating instructions or prepared programs. 3 Do not use a dictionary or computer spell checker unless you are told otherwise. D Instructions during the exam 1 Listen to the invigilator and follow their instructions at all times. 2 Tell the invigilator at once: if you think you have not been given the right question paper or all of the materials listed on the front of the paper; if the question paper is incomplete or badly printed. 3 Read carefully and follow the instructions printed on the question paper and/or on the answer booklet. 4 Fill in all the details required on the front of the question paper and/or the answer booklet before you start the exam. Make sure you fill these details in on any additional answer sheets that you use. 5 Remember to write your answers within the designated sections of the answer booklet. 6 Do your rough work on the proper exam stationery. Cross it through and hand it in with your answers. Make sure you add your candidate details to any additional answer sheets that you use. E Advice and assistance 1 If on the day of the exam you feel that your work may be affected by ill health or any other reason, tell the invigilator. 2 Put up your hand during the exam if: you have a problem and are in doubt about what you should do; you do not feel well; you need more paper. 3 You must not ask for, and will not be given, any explanation of the questions. F At the end of the exam 1 If you have used more than one answer booklet and/or any loose sheets of paper, place them in the correct order. Remember to fasten them together with a treasury tag before you leave. Make sure you add your candidate details to any additional answer sheets that you use. 2 Do not leave the exam room until told to do so by the invigilator. 3 Do not take from the exam room any stationery, this includes the question paper, answer booklets used or unused, rough work or any other materials provided for the exam

13 Appendix 2B Some advice for pupils regarding GCSE / GCE Exams You must: Arrive in plenty of time 15 minutes before the exam. Exams will start promptly so make sure you have time to go the toilet and sort out your pens etc. before the time the exam is due to start. If you are more than 30 minutes late it has to be reported to the Examination Board and you may not be allowed to sit the examination. Morning exams start promptly at 9.15, afternoon ones at Know your candidate number and bring your Statement of Entry into the Exam Room Know which dates you have exams and whether they are morning or afternoon sessions. Know which room your exam is to take place in: all external exams are normally scheduled to take place in Multi Hall or the Study Hall; when more than one room is being used the information will be posted outside the Multi Hall. Know what equipment you need for each exam and come properly equipped. No borrowing is allowed. Black pens must be used no gel pens. Leave your mobile phone, mp3 player, Ipods, electronic devices, outside the examination room. Once in the exam room check that you know when your paper ends; if you have any doubts about the length of time allocated, raise the problem with the Examinations Supervisor as soon as possible. The Examinations Officers and Supervisors know which candidates are entitled to extra time. Full school uniform must be worn whenever you are in school. If you should be sick on the day of an exam you should: Come into school and sit the exam if at all possible Let the Examinations Officers (Mr Maginn and Mrs McAfee) and / or your Section Head (Mrs Lewis or Mr Breen) and / or the Examinations Supervisors know: they will seat you near the door if needs be and may make further allowances if appropriate. If you are completely unable to attend because of sickness (e.g. hospitalization) or other very serious reason (e.g. death of a close family member) you must: Let school know at your earliest opportunity Ensure that you obtain a medical / other certificate which specifies what the problem was, what dates it related to and how it affected you. Give that certificate to your Section Head. There is no possibility of sitting an exam later than the scheduled time; if you have a timetable clash it is your responsibility to discuss what arrangements will be made with the Examinations Officers as soon as examination timetables have been distributed. 12

15 Appendix 4 INTERNAL EXAMINATION PROCEDURES FOR PUPILS The following information regarding Internal Examinations should be read by the Form Teacher and explained to the pupils prior to internal examinations. Borrowing is not permitted during examinations. Pencil cases must not be placed on desks. Correcting fluid/correcting pens, highlighters or gel pens are not permitted. Students must not talk to or communicate with or disturb other pupils once the examination has started. Pupils should remain silent until all papers have been collected. Students will normally sit in the same seat, in alphabetical order, throughout the duration of the tests. Bags and coats must be left outside or at the front or back of the examination room before the examination commences. Students may not call out during the exam. They should raise their hands to attract the teacher s attention. Students must go to the toilet before the exam commences. Only in exceptional circumstances will permission be given to leave the room when the exam is in progress. Copying or communication with others will result in the cancellation of the exam mark in question and parents will be informed. At break and lunch time, pupils should not be in the vicinity of any room where public examinations are taking place. Mobile phones must be switched off and left in school bags. A breach of this rule will result in cancellation of the paper. Ipods or any electronic devices may not be used during study periods or examinations except by pupils in Years 13 & 14. Pupils entitled to extra time will be offered that time (25% additional time) prior to the scheduled start time in the case of internal examinations. Students may stay in the classroom or go to the Windmill Restaurant at break time. Pupils must be escorted from the room at lunch time and sent to the Windmill Restaurant. No pupil may stay in an examination room at lunch time. 14

16 Appendix 5 INTERNAL EXAMINATION PROCEDURES FOR STAFF Teachers supervising examinations are responsible for ensuring: That test papers are collected from the designated area and returned to teachers pigeon holes in the Staff Room after the examination. That an adequate supply of file paper is brought to the exam room. That the register is marked at 9.00 am (in the case of Junior Exams) That pupils are seated with their backs to the teacher and that there is adequate spacing between the desks. That bags and coats are left at the front or back of the classroom before the examination commences. That the pupil does not have a mobile phone or Ipod in her possession during the examination. That only pens, pencils, erasers, rulers are on the desk (other mathematical equipment in the case of a Maths or Science exam). That there is no communication between pupils during the examination. That there is no borrowing. That pupils are afforded the opportunity to go to the toilet before the exam commences. That pupils who have extra time are given the extra time prior to the other students commencing their exam and that there is complete silence during this period. Teachers supervising examinations should: Arrive punctually to the exam room. Not use the computer during the period of invigilation. Circulate regularly to check that there is no malpractice among the students. If there is a suspicion of malpractice, take papers from the student/students concerned and give a written account to the Year Head. Ensure that study periods are treated as such and that pupils do not disturb or interrupt others. Ensure that question papers are returned with written papers for the convenience of staff who are marking papers. Collect all unused stationery. Reserve teachers must inform Reception or a Secretary where they can be contacted. 15

18 Appendix 7 ASSUMPTION GRAMMAR SCHOOL COURSEWORK PROCEDURES FOR STUDENTS The Head of each Department, in conjunction with the subject teacher, will agree a final deadline for the presentation of coursework. Students will be informed of this date. If the deadline is missed by the student, the following steps will be taken: i) The student will be immediately referred to the relevant Year Head. ii) If the work is not submitted within 2 days, the student will be referred to the relevant Section Head. iii) If the work is not submitted within a further 2 days, a letter will be forwarded to parents requesting them to ensure the work is completed within 2 days. iv) It this does not occur, a referral will be made to the Vice Principal (Curriculum) who will telephone parents indicating that the student is in danger of not receiving a mark for coursework. v) In the event of work not being submitted on the following day, parents will be sent a letter informing them that their daughter will receive no mark for coursework. 19 Appendix 8 ASSUMPTION GRAMMAR SCHOOL COURSEWORK PROCEDURES FOR STAFF AND EXAMINATIONS APPEALS PROCEDURES PROCEDURE FOR APPEALS AGAINST INTERNAL ASSESSMENT OF WORK FOR EXTERNAL QUALIFICATIONS Preamble Assumption Grammar School is committed to ensuring that whenever its staff assess students work for external qualification, this is done fairly, consistently and in accordance with the specification for the qualification concerned. Staff Assessments will be conducted by staff who have appropriate knowledge, understanding and skills. Students work should be produced and authenticated according to the requirements of the examination board. Where a set is divided between staff, consistency will be assured by internal moderation and standardisation. The Head of Department or other responsible teacher will explain procedures prior to the commencement of internal moderation. Documentation of the internal moderation process will be lodged with the Vice Principal (Curriculum) through the relevant Examinations Officer before the final date for submission of coursework or controlled assessment marks set by the Examination Board. Students: Right of Appeal If a student feels that consistency may not have happened in relation to his/her work, she may make use of this appeals procedure. This procedure is available on request. 1. Appeals should be made in writing as soon as possible and must be made at least 2 weeks before the end of the last externally assessed paper in the examinations series, i.e. mid June for the summer series. 18

20 2. Appeals should be made to the delegated member of the Senior Leadership Team - currently Mrs Lewis - who will investigate the appeal. If Mrs Lewis was directly involved in the assessment in question or is not able to conduct the investigation for some other reason, the Principal will appoint another member of staff of similar seniority to conduct the investigation. 3.1 The delegated member of the Senior Leadership Team will decide whether the process used for the internal assessment conformed with the requirements of the awarding body and the examinations code of practice of the QCA. This will be done within one week of the appeal and the appellant informed of the outcome. 3.2 If the delegated member of the Senior Leadership Team so decides or if the appellant so requests in writing within one week of the appellant having been informed of the outcome, an Appeals Committee consisting of the VP (Curriculum), the delegated member of the Senior Leadership Team and the Head of Department involved will hear the appeal formally. The appellant, accompanied by a parent/guardian, will present her case to this Committee. The Appeals Committee may ask for any further evidence it feels necessary to assist its deliberations. 4. The appellant will be informed in writing of the outcome of the appeal. 5. The outcome of the appeal will be made known to the Principal. A written record of the appeal will be kept. 6. After work has been assessed internally, it is moderated by the Examination Board to ensure consistency between centres. Such moderation may change marks awarded for internally assessed work.
