1 Access and Undergraduate Admissions Officer (Trinity College Oxford) Further Particulars Trinity College seeks to fill the position of Access and Undergraduate Admissions Officer from August / September This post, which reports to the Academic Administrator, and is responsible to the Senior Tutor (a Fellow of the College), comprises administrative responsibility for access work with schools and educational establishments to age 19, and for undergraduate admissions. It is a varied and demanding role, for which we seek a self-motivated, highly organised graduate, with a flair for presenting Oxford s collegiate system to applicants from diverse backgrounds and to teachers. Trinity College Trinity College, founded in 1555, is located in a beautiful site in the centre of the Oxford, near main libraries, lecture halls and all the city s amenities. It currently admits approximately 85 undergraduates and 50 graduate students each year, with a balance between Arts and Science disciplines. There are approximately 400 students in residence at any one time. The College prides itself on combining the highest academic standards with a particularly friendly sense of community. The College is headed by the President. The academics currently comprise twenty-six Tutorial Fellows, eight Professorial Fellows, eight Junior Research Fellows, five College Officers who are Fellows of the College, and some thirty Lecturers. For further information about the College, please see the College website: The Academic Office The Access and Undergraduate Admissions Officer will be a member of Trinity College s Academic Office. The Academic Office receives enquiries from potential applicants, students, and academics, and oversees the collection and dissemination of academic information to other departments in the College / University. The Academic Office comprises: A Graduate and Academic Administrator an Undergraduate and Tutorial Administrator an Access and Admissions Officer an Assistant Administrator (75% time) The Senior Tutor is the Fellow with responsibility for the College s academic portfolio. The Senior Tutor s role also incorporates the office of Tutor for Admissions. Purpose and Objectives of the Post The post-holder has day-to-day operational responsibility for organising and carrying out access and admissions work. This involves undertaking a range of visits to schools and other educational establishments; hosting visits, tours and workshops in Trinity College for potential applicants and their teachers; and providing and co-ordinating the administrative support for the annual undergraduate admissions exercise (Oct-Jan). For access work, under the University s regionalisation scheme whereby each College takes the lead for one or two designated regions of the UK

2 ( Trinity has the lead responsibility for Oxfordshire and part of the north-east of England. A defining characteristic of the Academic Office is that whilst every post-holder has specific responsibilities, all members of staff work as a team, assisting each other as the need arises. Hours and conditions: The Access and Undergraduate Admissions Officer has the core hours 9 a.m.-5 p.m. (Monday to Friday) with one hour for lunch (normally ). However, this post often requires flexible hours to be worked to accommodate visits out to schools, hosting events in Trinity, and coordinating the undergraduate admissions in November/ December. It is expected that at these times the postholder will work such hours as are necessary to fulfil the requirements of this post. The place of work is the Academic Office of Trinity College, but the postholder will also be required to attend meetings or training in other locations within Oxford University, and to make visits out to schools and other educational establishments. (Reasonable travel costs for visits outside Oxford are refunded.) 3 Access and Undergraduate Admissions Officer (Trinity College Oxford) Selection Criteria ESSENTIAL Educational qualifications First degree from a collegiate UK University Most recent degree (first degree or higher degree) completed within the last 3 years At least two years experience within a 16-18/19 UK school or college, whether as student, teacher, or administrator Excellent command of written and spoken English for formal and informal communications Professional experience Some experience in a relevant professional environment (e.g. work placement, volunteering) Experience of working with students and / or academics Proven success in project management Excellent working knowledge of Microsoft Office suite Proven ability to handle confidential information appropriately Experience of managing financial or other resources Experience of keeping accurate records (e.g. Excel or database system) DESIRABLE Experience of Oxford University as a student or employee Broad experience of working in, or knowledge of, the UK education sector Experience of working in a small- or mediumsized team Experience in preparing material for electronic publication Experience of giving presentations to a range of audiences

5 Job Description - Access and Admissions Officer (Trinity College Oxford) Title of post: Reporting to: Role: Working with: Access and Admissions Officer The Senior Tutor (on Access and Admissions); the Academic Administrator (for duties relating to day-to-day academic office business) To administer undergraduate admissions; to organise and take the lead in the College s outreach and access programme for undergraduate admissions. Senior Tutor, Fellows and Lecturers; students involved in admissions and access; Academic Administrator and relevant staff in other Departments and Colleges Line Management responsibility: supervise any hourly-paid staff working on admissions and access (e.g. for undergraduate admissions) 1) Undergraduate admissions role Oversee annual undergraduate admissions cycle, liaising with ST and taking lead responsibility for all processing of information and setting up and running of admissions systems from receipt of UCAS forms to sending of final decision letter. Follow up undergraduate admissions, including: checking and sending of offer letters to students; following up individual cases; preparation of generic feedback material; coordinating responses to personalised feedback requests; attendance and participation in post-admissions debriefs Prepare and release materials for undergraduate freshers packs, both by post and digitally Confirm undergraduate admissions, in liaison with Senior Tutor, in August after the release of UK examination results; liaise with other members of College (e.g. bursary, accommodation, etc.) on arrivals for October; log and administer post-confirmation correspondence; issue CAS numbers for overseas students requiring visas. Respond to enquiries by phone/ relating to undergraduate admissions, update and create appropriate sections of the College website. Attend meetings on behalf of Trinity College relating to undergraduate admissions Provide information on undergraduate admissions to other members of the College where requested 2) Access role Liaise with JCR access and bursaries rep and ST, to determine strategy for academic year Oversee links with schools requesting contact; run inbound school visits and taster-days Proactively make contact with schools in link regions, including arranging visit dates for NE schools Schedule and undertake outbound visits to schools in NE region, Oxfordshire, and other schools as relevant Attend annual UCAS fairs and Oxford/Cambridge student conference (outbound)

6 Plan and oversee delivery of three Open Days annually, as well as pre-open day 2-day residential course for schools from NE In consultation with ST, evaluate and update current publicity materials Respond to enquiries by phone/ relating to access, outreach, and related information Update and create appropriate sections of the College website. Monitor access/outreach stories in both local and national media relating to Oxbridge. Attend meetings on behalf of Trinity College relating to access and outreach Provide information on access and outreach to other members of the College where requested 3) Other duties Provide general administrative support in the Academic Office (e.g. issue of university cards, Freshers week) as required. Deputise for the Senior Tutor, if required, for specific admissions and access duties (e.g. attending briefings or Admissions Committee meetings). Such other tasks as reasonably be requested by the Senior Tutor the Academic Administrator within the scope of the post.
