1 Faculty Study Abroad Program Proposal ELIGIBILITY CRITERIA A study abroad program proposal will be considered for BMCC Association funding and to be open for registration, if the following items are completed and submitted by this year s deadline of October 2, The completed Faculty Coordinator Application which includes each of the following sections: a. Title Page b. Course Description c. Teaching Site/Host Institution d. Teaching Hours e. Budget f. A syllabus for the course. Please use the BMCC syllabus template included in the coordinator package. The syllabus should include a specific outline of how grades will be calculated and a complete reading list. g. A detailed itinerary including all travel and excursions. Coordinators should make sure that their itineraries, teaching hour totals, and syllabi are all consistent with one another. h. A list of all guest lecturers that will be invited as part of a study program, if applicable. 2. A letter from the host institution confirming the use of facilities for the duration of the program and describing any student services provided by the host institution. This letter should also indicate an official contact person at the host institution; alternatively, if the letter from the host institution does not indicate a specific contact person, a second letter from the contact person at the host institution agreeing to serve in this role will be acceptable. 3. A letter from all hotel(s) or institutions providing housing, confirming housing for the dates of the program at the prices indicated in the budget. If the host institution is providing housing in addition to teaching facilities, this may be included in the letter from the host institution. 4. A letter from all hotel(s) or other entity providing meals for the dates of the program at the prices indicated in the budget. If the host institution is providing meals in addition to teaching facilities, this may be included in the letter from the host institution. 5. If applicable, a letter confirming transportation to and from airport and for excursions or tours. Letter should specify dates of service and the prices indicated in the budget. If the host institution is providing transportation in addition to teaching facilities, this may be included in the letter from the host institution. 6. All documentation for contracted services should show, wherever applicable, dates for deposits, final payment, cancellation policy, and other caveats, particularly as it applies to 1
2 refunds involving program participants who abruptly cancel their program participation due to medical and/or personal reasons. PROCEDURES The Student Application Materials included in this package must be distributed to students when they apply for a BMCC study abroad program. Study Abroad Coordinators must interview applicants as part of the selection process. Each student must submit the completed online application by the March 7 th, 2016 deadline. The Study Abroad Manager will provide information about how to access all online application materials. Applicant s 40% share of program expenses (excluding pocket money & tuition/fees for the program s 3 credit course) must be paid in full by April 14, Each program will need to have between 12 and 15 complete student applications and the 40% of the applicants share of the program expenses by the required deadlines in order for the applicant and program to receive the necessary BMCC Association program funds. No payments will be made by the BMCC Association unless each applicant fulfills his/her financial obligations by the required April 14, 2016 deadline. Program coordinators are urged to include additional qualified applicants on a waiting list in case students already admitted to the program withdraw their application prior April 4, Airline deposit(s) for up to 16 passengers including the study abroad coordinator needs to be requested in writing by Faculty Coordinators to the Vice President for Student Affairs, Dr. Marva Craig. Program coordinators are required to submit a copy of the airline contract to Dr. Craig before any deposit(s) can be made. Program Coordinators must travel with their study abroad group. No student or Program Coordinator may travel before or after the entire group travels to and from its final destination. Study Abroad Manager will register all students with CISI insurance, CUNY Central and the US State Department STEP program. Program Coordinators must find out what the nearest hospital or health care provider is located to the host institution/lodging abroad. Program Coordinators along with Study Abroad Manager are responsible for finding out from the embassy/consulate of the country they will be visiting about necessary visas, vaccinations, and other travel requirements as applicable. Program Coordinators along with Study Abroad Manager will organize 2 mandatory orientations for all students going abroad to include review of the following information: need to inform students about weather & climate issues, appropriate clothing and items to bring along, emergency procedures while abroad, phone dialing formats to call in and out of the host country, how to reach and/or contact the nearest health provider, do s & don ts while abroad depending on cultural expectation and common practices among other details. Coordinators and Study Abroad Manager will provide orientation predeparture materials to all students participating in BMCC study abroad programs. Scholarship: Students should be directed to meet with Deborah Stengle, Study Abroad Program Manager to discuss all scholarship opportunities, application processes and deadlines. 2
3 PROPOSAL CHECKLIST FOR STUDY ABROAD PROGRAM PROPOSALS Title Page Course Title and Description Teaching Site/Host Institution with representative s contact information Anticipated Budget Expenses for 12 & 15 Students (Use Excel budget document). Itinerary List and cost of guest speakers if applicable Breakdown of teaching contact hours. For a 3 credit course, contact hours should amount to 45. BMCC Syllabus Template with updated bibliographical, textbook, and/or reading material information. DOCUMENTATION In addition to this application form, coordinators must also submit several other forms of documentation to complete their application: 1. A letter from the host institution indicating what services & arrangements have been made. It should list what facilities & services students will be entitled to. English translation is required. 2. A letter from the hotel or housing provider. An English translation is required. 3. Documentation indicating where students will be getting their meals and/or what kind of arrangements have been made for students to have access to three meals a day. 4. Documentation of all budget items such as : a. Airline quotes from at least two airlines. If selecting an airline with a higher quote, a justification letter must accompany the proposal. b. Airline Contract. Travel agency documentation will NOT be accepted. c. Letter or contract confirming all costs from: Host institution, room & board providers, transportation, tours, guests, etc. d. List of excursions (cost estimate to be included in budget item) e. List of guest speakers (cost estimate to be included in budget item). 3
